Overview
• Participants show their project.• 1/3 of all participants will make it to
the auction.• Only one project per participant may
be auctioned.• Students keep animals for major
shows (San Antonio, Houston, etc.).
Photographs
• When the participant places, he/she must have their picture taken with their project.
• Pictures are taken by BCJLS assigned photographer located near the show ring.
• Pictures will be ready the morning of the Auction.
• Participant provides the picture frame.

• AMP Booster Club is the representative buyer for all James Madison High School FFA Participants.

• AMP Boosters have budgeted funds for use at BCJLS.
• For 2008, the approved budget amount was $16,500.
• The budget amount is apportioned to all James Madison students who participate in the auction.

Get Contributions
• Each student should be developing a list of potential contributors from which to solicit donations.
• Send letters to these potential donors soliciting contributions for the project.
The Letter should Contain
• A brief introduction of the student and their purpose for involvement in the animal project.
• An introduction to their animal project including a picture of the animal and/or the student with the animal.
• An explanation of how the donation will be used (College, next year’s project, etc.)
Individualize the Letter
• Each letter should contain the same basic information.
• However, personalize the letter according to the recipient.
• Make the letter personal.• Show some effort in what you
send.
Who should I ask?
• Local businesses you patronize.• Doctors• Lawyers• Dentists• Friends• Relatives
Contributions you receive
• Your sponsor may want to be a buyer at the Auction. (Current minimum is $300) for entrance.
• Your sponsor may send their donation, payable to the Madison FFA Boosters, in care of the student.
Where do I send the money?
• Submit the money to Jeannette Crawford, our Ag Dept Secretary.
• Submit the money to one of the Booster Club Officers.
• Bring the money to the Ag Department the night before the auction.
Make Sure
• Submit the money in a sealed envelope with the student’s name and BCJLS marked on the outside of the envelope.
• We track funds received and credit those funds to that student’s project.
Important
If the student does not place their project, the student may designate another student as the recipient of the funds or the student may direct the Booster Club on how those funds should be used. Directions should be in writing, where possible.
Special Note
Once the funds are received by the Booster Club, the funds must be used either for the BCJLS Auction or used for other Booster Club business. These funds will not be reimbursed to directly to any student.
Thank You Letters
• Must be sent to every donor from which the student has collected funds.
• Must be sent to all Auction buyers that contribute to the student’s project on the day of the auction.

• Write sincere thank you letters.• Address and stamp but do not
seal the envelopes.• Give all letters and envelopes to
Jeanette Crawford for verification.
• Once verified, mail the letters.
