Using Date Range Reports Filtering
Date Range Reports are filtered either by From Dates and To Dates or by an As Of Date.
Enter the relevant date(s) in the corresponding fields.
You can filter many reports by Legal Company, Pay Group and Employee Status by selecting a filter from the drop-down menus.
Enter an employee’s name in the Employee field to search for individual records. If the employee’s name has no corresponding data, the field will return, “No results found.”
Sorting
Use the sort fields to sort the report data. Reports can be sorted by Employee Name, Employee Number and Employee Status, as well as by Organization Fields and Labor Fields unique to your company.
Options
Many reports have the option to create either a PDF or Excel format. Select the Format from the drop-down menu.
Options vary with each report. See the individual report description in this catalog for information on options that are unique to that report.
Click Run Report after you have entered the necessary options, filters and sort fields.

Using Reports On-Demand Reports On-Demand contains reports that are run for a specific payroll. Run reports for past payrolls by selecting the Pay Date from the drop-down menu. Here you have the option to archive the report by selecting the Add Report to Archive checkbox. Click Run Report.

Reports On-Demand
This report shows details for your individual benefit plans. The report is organized by provider with the provider’s information displayed first, then the individual employee’s costs, the employer’s contribution and the total combined cost in the following section. You might use this report for shopping and comparing benefit packages or for showing a particular benefit’s cost to your company.

Date Range Reports
This report is the Date Range version of Benefit Plans (previous page). The benefit plan data provided in this report includes all payrolls within the quarter and year up to and including the As Of Date.

Benefit Statement
Date Range Reports
The example below shows an employee benefits statement. The statement shows the employee and employer contributions and the total compensation amount for the year-to-date. Each employee’s statement is separated by a page break. This individual statement is a convenient way to distribute benefit information.
Customize the statement using the formatting options in Date Range Reports. You can also select the corresponding checkboxes to include employer taxes, leave accruals and workers’ compensation.

Date Range Reports
This report breaks down benefit plan elections by employee name, displaying employee and dependent monthly premiums as well as employee monthly contribution. This is a convenient way to view current participation.

This report shows a head count for each benefit plan type with employee and dependent monthly premiums and contributions. This allows you to determine participation level by benefit plan as well as compare costs.

Dependent Age Out Report
Date Range Reports
This report is useful for tracking dependents that will age out of their parents benefit plans. It uses the payroll’s period end date to determine the dependents that will be aging out in the next 30, 60 and 90 days.

Deduction Reports Deduction Register
Reports On-Demand
This report shows deductions for each employee by type for the current, month-, quarter- and year-to-date periods. Scheduled amounts and arrears information are also shown for applicable deductions. The Arrears Information column shows three values when applicable: amounts accrued, amounts taken and the balance.

This report differs from the Deduction Register (previous page) in that it is sorted by code, or deduction type, rather than by employee. The example below shows Roth 401(k) deductions.

This shows the deductions not taken from an employee’s pay for various reasons during a specific pay period.

This report shows the employees registered for each type of deduction. Use this report if you need to view deductions for a specific date range. The report is organized by deduction type, listing all the employees for that deduction.

Employer Match Report
Date Range Reports
This report shows deferred comp information similar to the Deferred Comp and Retirement reports. However, this report is unique from the other reports as it shows the deferral and match contributions for specific check dates within a specified date range. The eligible gross, deferral, match and total are given for each check date for each employee under a given plan. The example below shows information for the demo company’s 401(k) employee deferrals.

Date Range Reports
This report summarizes the information contained in the Employer Match Report (previous page). Like the Employer Match Report it is sectioned by plan and shows employee deferral and match information for a given date range. Unlike the previous report, this only shows the totals for each employee under a given plan rather than detailing each individual check.

Leave and Time Off Reports Leave Accruals Report
Reports On-Demand
This report shows paid time off (PTO) information sorted by plan type, such as sick or vacation. The “Balance is Unavailable” column will show a “Y” for employees that may be accruing but are not eligible to use any hours because of a probationary period. The employee will not see any of their plan information on their pay stub when this column shows Y.

Leave Accruals with Liabilities for Daily & Tipped Employees
Reports On-Demand
This report shows leave time or paid time off (PTO) information and the employer’s liability on unused time for non-salaried and tipped employees. Like the Leave Accruals Report on the previous page, this report is sorted by plan type. The Balance Liability column shows the dollar value of unused vacation, personal and sick leave time that individual employees would receive if they accept pay instead of using leave time.

Lost Hours Report
Reports On-Demand
This report shows employees who lost leave time or paid time off (PTO) hours during the carryover payroll because they were not used and the employer does not allow carryover into the next plan year. The Hours Lost column represents the hours that exceeded any carryover allowed by the employer. The carryover payroll is defined by the employer’s policy and typically is the first payroll in January, the first payroll of the fiscal year or the payroll of the employee’s anniversary date. The pages in this report are sorted by plan type.

Paid Time Off Report
Reports On-Demand
This report shows leave time or paid time off (PTO) information for the calendar year and is similar to the Leave Accruals Report. It sorts by an accrual type and shows the individual employee’s information for that type. While the Leave Accruals Report shows leave information based on the current payroll, this report shows leave information based on the calendar year-to-date period. This report does not show the current hours earned or taken.
The Base Date is the employee’s adjusted service date or hire date. Carry Over is the carryover the employee had during their last carryover payroll, Earned is the calendar year-to-date accrued PTO, Taken is the calendar year-to-date taken PTO, and the Balance is the balance at the end of that specific payroll.

Accrual Audit History Report
Date Range Reports
This report shows employees’ leave accrual (paid time off) history by accrual type and by pay date. The report shows each employee’s balance, hours and amount paid for each pay period for the year.
