1. Introduction Several signatory firms have their own project databases. An underlying theme of the AIA 2030 DDx is

“enter information once”. Rather than re-entering this information into the AIA 2030 DDx, they can

export the data from their database and bring it into the DDx using Batch Import.

This guide provides the basic steps and use cases for how Batch Import can be used, relevant detail on key

elements, related information sources, error and warning messages, and the required format and spelling

for the selection options for the fields that require a match for successful import into the DDx.

Recommended “Batch Import” Project Set Size During testing CSV/XLS/XLSX files with greater than 1,000 projects have been successfully imported at one

time using batch import. The validate data process time was a couple of minutes, which can vary based

on internet connection speed, browser type and version.

Current recommendation: If the number of projects being imported is greater than 750 projects,

multiple CSV/XLS/XLSX files should be created.

The “Batch Import” Process for each CSV/XLS/XLSX file is required to be done separately.

2. Recent Updates

- Parking has been added as a use type. It cannot be used as a primary use type.

- Additional data integrity checks for ERRORS and WARNINGS have been incorporated.

- Additional energy modeling tool options have been incorporated.

3. Step by Step: How to Use The Batch Import feature at a basic level is simple:

Step 1: A Firm Administrator logs into the AIA 2030 DDx

Step 2: Select “> Batch Import” If you are an “administrator” user type, the batch import feature can be accessed by selecting “> My Account” on the upper right and going to Section 9. Then Select “> Batch Import”.

Step 3: Confirm Firm, User and Reporting Year information On the Batch Import screen, the Reporting Year displayed will be the Reporting Year that is associated with all the projects in the CSV/XLS file that is uploaded. By default, it will display the current reporting year (April 1st of Reporting Year displayed to March 31st of the following year).

If a firm wants to upload projects for an earlier reporting year, just select the appropriate year from the drop-down list, and then complete the batch import process.

Step 4: Select “Choose File” Selecting the “Choose File” button launches a browser allowing you to select the CSV/XLS file that you want to import.

Step 5: Select “Validate Data” Validate data runs the data in the CSV/XLS file through a series of data validation checks to identify errors and warnings.

Step 6: Review Validation Report for ERRORS and WARNINGS

When the “Validate Data” process is complete, the “Batch Import Validation Report” is displayed below it. At the top is a summary, which contains the timestamp, file name, and a table showing the status of the projects and the categories of projects that were included in the imported file. The columns display the rows validated (included in the file), the number of rows with NO errors, the number of rows with errors, and the number of rows with warnings.

The next section is for ERRORS. Each unique error is reported on a separate row. Column Name identifies the column in the imported file that triggered the error. The next column displays the error message. If multiple project phases have the same error, the project phase row numbers (corresponding to the rows in the uploaded file) are listed collectively in the last column. There can be more than one row for the same error, if the project category and construction type differ for the project phases. ERRORS must be addressed before the next step of IMPORT DATA becomes active.

The last section is WARNINGS. Like the errors section, if multiple project phases have the same warning, the project phase row numbers are listed collectively in the last column. The recommendation is to address all warnings, but you also have an option to ignore the warnings. See the next step.

Step 6b: If WARNINGS are identified, make a decision If “Validate Data” finds no errors, but there are warnings, then the “Import Data” will only become active (display green) when you either 1) address all the warnings, and when you run “Validate Data” again, no warnings are identified; OR 2) Select the “Ignore Warnings Identified” checkbox. Note: The CSV/XLS/XLSX file does not need be selected again with “Choose File” button, if the file has not been changed.

Step 7: Select “Import Data” Note: The CSV/XLS/XLSX file does not need be selected again with “Choose File” button, if the file has not been changed Now you are ready to import the project data. Go ahead and select “Import Data”. .

Step 8: Projects are in the DDx, review the import summary After the “Batch Import” is successfully completed, the summary table will be displayed, so you can see the total number of projects, and the project category breakdowns.

The project phases imported will appear on the PORTFOLIO screen.

4. Feature Workflow and Components This section provides more detail on key areas of the Batch Import process.

Batch Import Workflow See Appendix A for a process flowchart of the actions and decision points in the process.

Batch Import Screen Once “> Batch Import” is selected on the “> My Account” screen, then the “Batch Import” screen is displayed.

CSV/XLS/XLSX Templates – The templates are located on the Batch Import screen to the right of

“Choose File” (see figure). They provide the set of columns, which identify the set of fields, for the

project data that can be imported.

The most critical element of the import process is the CSV/XLS/XLSX file, and the values included in the cells. The “Validate Data” process is intended to significantly reduce, if not eliminate the errors of imported data. The requirements for the CSV/XLS/XLSX file format are:

1) The column headers must match one of the column headers included in the CSV/XLS/XLSX templates on the Batch Import screen. See Appendix.

a. Note: The columns on the import file do not need to be in the same order as those on the template.

2) A minimum set of fields are required to be submitted for each project, otherwise an

error will be displayed in the data validation report. See Appendix B

3) The column cell values are required to be a certain entry type (alphanumeric, text to

match, numerical). See Appendix B: CSV/XLS/XLSX Fields for Batch Import.

4) In some cases, cells need to be a certain unit type. See Appendix B.

5) Although more flexibility in syntax has been incorporated into batch import, in some cases, the cell values still need to MATCH in spelling and format, one of the available options in the AIA 2030 DDx. If they do not match an error or warning will be triggered during the “Validate Data”

process.

The table displayed provides the high level metrics for the Batch Import process, and informs next steps. You can confirm that:

• The correct number of overall projects were checked • The correct number of each project category type of projects were checked • The number of overall projects or projects of a certain project category that were checked and

did not identify errors

• The number of overall projects or projects of a certain project category that were checked and DID TRIGGER errors

• The number of overall projects or projects of a certain project category that were checked and returned warnings

Errors The error verification checks are structured to ensure that only acceptable project information is

imported into the DDx for the input fields that information is provided. If errors are returned, they ARE

REQUIRED TO BE CORRECTED before a successful batch import can be completed. The error verification

checks evaluate things, such as:

• Is a required field included? • Does the CSV/XLS/XLSX entry MATCH one of the DDx options for select input fields? • Is the value entry type correct? • If Baseline EUI or Baseline LPD values are less than zero • If Office Location or Inputs Responsibility match a location or user associated with the firm

account • If multiple use types are provided, are there duplicates?

Note: ALL ERRORS must be addressed before the “Import Data” button becomes active.

Warnings The warning verification checks focus on identifying potential outliers in terms of values for such fields as

area, EUI, LPD, and others. They also highlight when values for certain fields, such as Project ID or

Zip/Postal Code, are not provided or do not match an option currently in the DDx Zip/Postal code

database. The warnings identified in the Validation Report are optional, meaning they do not have to

be addressed for a successful import. If the “Ignore Warnings Identified” checkbox (Figure 10) is

selected, the “Import Data” button will become active if there are no errors associated with the CSV.

The warning verification checks evaluate things, such as:

• If Use Type 1 Area > 10 Million sf • If the Area Total for all use types provided is > 10 Million sf • If Baseline EUI > 500 kBtu/sf/yr

• If Predicted EUI > 1,000 kBtu/sf/yr • if PREDICTED EUI < -50 kBtu/sf/yr • if Baseline LPD or Predicted LPD > 5 W/sf • if Window to Wall Ratio is < 5%

Batch Import Log A row at the top of the “Batch Import Log” (> My Account, Section 7) is added each time “Validate Data”

or “Import Data” is selected. Each entry contains a time stamp, which user performed the action, the

reporting year, the CSV/XLS/XLSX file used, the number of projects processed, the number of errors

returned, the status of the import (Imported or errors), and the user notes entered with the action

(Figure 13). Two items can be directly accessed from this table:

• The CSV/XLS/XLSX file used by selecting on the file name • The Validation Report by selecting the status descriptor
