Aloha AAES Families,
Thank you for partnering with us throughout the First Semester. We appreciate your continued support in your child’s virtual
learning at home. We want to inform you of our plans for the 3rd Quarter which began after we returned from Winter Break.
While our school is eager to have our students return to campus, we want to do it in a thoughtful, well ordered, and safe
manner.
The Pearl City and Waipahu Complex Area (PWCA) Schools’ decisions on reopening schools are based on many
considerations provided by the State of Hawaii’s Department of Health (DOH) which include indicators such as when and
how a school can reopen. Each indicator must be addressed adequately to ensure we are able to bring students back
safely to school. Addressing each indicator is mandatory and not optional. Schools may be judged to be not ready for
students to return in large gatherings if we are unable to address all the indicators.
While we are considering these indicators, please keep in mind each school’s facilities, enrollment, and staffing are
different. These factors also impact if a school is able to bring more students on campus for face-to-face instruction. Each
school’s decision may look very different when considering all these factors.
After much careful planning and consideration, August Ahrens Elementary School will gradually return its students to a
Blended Learning Model (blended learning is a combination of face-to-face instruction and online learning) in the 3rd
Quarter. We are allowing ample notification so parents and guardians can plan accordingly for scheduling purposes.
Please keep in mind that sudden and unexpected spikes in COVID-19 cases resulting from the Holidays may delay the
reopening dates for students to return.

OUR PURPOSE AND GUIDING PRINCIPLES
The Hawaii State Department of Education (HIDOE) continues to be proactive and agile in its tri-level response to the
COVID-19 pandemic across schools, complex areas, and state offices. Applying the Hawaii Board of Education principle of
Work Toward Togetherness...There is no way we can do everything that needs to be done unless we do it together.
Understanding and recognizing the importance of our relationship with each other and the impact of our actions on others
will help us strengthen our August Ahrens Elementary School Community to get through this safely, respectfully, and
responsibly. At AAES, we Aspire, Adapt, Excel, and Serve.
The Hawaii Board of Education principle of Give Hope...We cannot start from a place of fear; we must give hope to
students and to each other. By giving hope to students and helping them achieve their goals, they, in turn, give us hope as
the future of our world. Which sets forth our Guiding Principles of...Health and Safety - Continue to prioritize the health &
safety of our school community in every decision we make. Teaching and Learning - Committed to teaching and learning,
which is the heart of our work. Focus on essential actions to promote coherence with grade level standards and flexibility to
support and sustain student learning moving forward. Operations - Design a plan to respond to external health conditions
that is flexible and able to adapt to circumstances beyond our control; in particular, possible future COVID-19 outbreaks.
CONSIDERATIONS FOR REOPENING FACILITIES
Our School Administrators are in the midst of evaluating school facilities, teacher-student ratios, and health guidelines to
ensure the continuity of learning on healthy and safe campuses. It is a monumental task that lacks precedent and
challenges our ability to continually adjust and recalibrate to a new normal while grappling with budgetary shortfalls and
economic recovery efforts. Therefore, consider this August Ahrens Elementary School Reopening Parent Handbook as
a living document that will update as conditions change throughout the school year.
EVENTS FOR A SCHOOL CLOSURE
In the event of a school closure, August Ahrens Elementary School will shift to a Full Distance Learning instructional model.
Various factors can contribute to this decision which can include but not limited to: Governor Ige’s recovery/reopening plan,
Superintendent Kishimoto’s order for schools to quickly transition if the impact level of the county is elevated to “safer/stay
at home”, or if the Complex Area Superintendent/Principal deemed imperative due to a significant number of cases on
campus. In all cases, parents/guardians should expect a school closure to occur 24-48 hours after a decision is made.

SOCIAL-EMOTIONAL HEALTH AND SUPPORT
Our last Hawaii Board of Education principle of Act With Kindness...This is a stressful time. We have all experienced a
great deal of change and some level of loss. We must show empathy for each other. Kindness creates a sense of
community and serves as a bridge between hope and togetherness; calls attention to the Social-Emotional Health of AAES
Ohana and Community. The Faculty & Staff at AAES are prepared to offer support and/or resources to all students in need.

DAILY WELLNESS CHECK BEFORE COMING TO SCHOOL/WORK
All HIDOE employees, students, parents/guardians, and visitors are required to do a Wellness & Temperature Check at
home before coming to school/work. Individuals who exhibit any of the symptoms and/or had a recent COVID-19

COVID-19 SAFETY PROTOCOLS
RETURN TO SCHOOL/WORK CRITERIA FOLLOWING ILLNESS
All HIDOE employees and students who exhibit any of the symptoms while at school/work will be sent home immediately. Students will be assessed by the School Health Assistant and then isolated from others in a supervised area until a
parent/guardian or their emergency contact arrives. Please consult with your primary healthcare provider. If you do not
have one, please consider the following options:
❖ HAWAII KEIKI PROGRAM Students are eligible to receive free healthcare from a Hawaii Keiki Nurse by calling
(808) 436-3888, available Monday-Friday from 8:00 am - 3:00 pm, excluding holidays. Interpreters are available.
❖ COMMUNITY HEALTH CENTERS Serve all patients regardless of their ability to pay or their insurance status.

Return to School/Work Criteria
Close Contact of a

PERSONAL HYGIENE, SOCIAL DISTANCING & USE OF PPE
All HIDOE employees, students, parents/guardians, and visitors are required to wear a face mask at all times while on
campus, with the exception of individuals who have requested an exemption due to a medical condition. Students will be
allowed mask breaks outside where social/physical distance of at least 6 feet of separation can be monitored.
All classrooms have been arranged to allow a social/physical distance of at least 6 feet of separation between students.
When instruction or social skill development activities make it difficult to maintain a 6 feet social/physical distance, face
shields and desk partitions will be provided for each student in the classroom. No items and/or supplies will be shared.
Handwashing and sanitizing stations are accessible in all classrooms and in all common areas such as restrooms,
cafeterias, offices, and the library. Stations will be cleaned, sanitized, disinfected, and restocked throughout the day.
Appropriate informational signage will be posted throughout the campus regarding COVID-19 health & safety.
VENTILATION, CLEANING, AND SANITIZING OF FACILITIES
All classrooms and common areas such as restrooms, cafeterias, offices and the library will be well ventilated to increase
the supply of fresh outdoor air. Ceiling/standing fans may be used to help draw in the air but will be placed strategically to
prevent potentially contaminated airflow directly from one person to another. An air filtration system will be placed in
areas where there is very little ventilation or in high risk areas such as the health room or special education classrooms.
Our school Custodial Staff have been trained on proper procedures, supplies, and the frequency of cleaning according to
guidance from the CDC, DOH, and DOE’s Office of Facilities and Operations. Cleaning, sanitizing, disinfecting, and
restocking of supplies will be done throughout the day with attention to high-touch areas/surfaces such as door
knobs, light switches, counters, desks and chairs, railings, and water refill stations.
RESPONSE PROCEDURE FOR POSITIVE CASE / POSSIBLE EXPOSURE
In the event a positive case and/or possible exposure has occurred at August Ahrens Elementary School, the school’s
COVID -19 Response Team will be activated, and the situation will be addressed accordingly, using current procedures
established by the Hawaii State Department of Health.
Our school’s COVID-19 Response Team includes the Administrators (Principal/Vice Principals), School Health Aide, Head
Custodian, School Administrative Services Assistant, School Food Services Manager, and Data Processing User Support
Technician.
If someone is suspected to have COVID-19 while on campus, the areas used and/or accessed by the individual will
be closed. Our school COVID-19 Response Team and the DOE’s Office of Facilities and Operations will work together on a
cleaning plan and schedule to determine sanitization priorities and protocol.
The Administrators will contact/notify faculty & staff, students, and parents/guardians when appropriate through all
available means of communication which may include the use of School Messenger, email and/or phone call.

INSTRUCTIONAL MODEL & TRACK A/B SCHEDULES
Students will be on a Hybrid instructional model where they will be on a Blended Learning rotation that will include
Face-to-Face and Distance Learning. The instructional model has been designed to meet the needs of our students,
adhere to health and safety guidelines, and consider the unique conditions to ensure equitable access to quality education.
Each homeroom has been divided into 2 groups: Track A (yellow) or Track B (blue), to ensure the health and safety
of all by reducing the number of students on campus and in the classroom on any given day. Other factors that
have been considered are the school facilities capacity, student enrollment, and safety protocols. In the event of a school
closure, August Ahrens Elementary School will shift to a Full Distance Learning instructional model.

SCHOOL BELL SCHEDULE & CAMPUS MAP
School office hours are from 7:30 am to 4:00 pm, Monday through Friday. The school office will be closed on state
holidays. Parents/guardians and visitors are encouraged to schedule an appointment prior to arrival on campus.
Our school phone number is 307-7200. Please adhere to directions given by our School Security Attendants and
observe all informational signs posted around campus for the health and safety of all. There is no loitering on campus.

The school campus and entrance gates will be open at
7:00 am for synchronous (face-to-face) students eating
breakfast in the Main Cafeteria (I Cafeteria, TBD). All other
students, please arrive near or at 7:45 am, when the school
day begins. There is no supervision before 7:30 am.
Attendance will be taken daily for students on their
synchronous days (face-to-face or virtual learning). The
tardy bell will ring promptly at 7:50 am each day.
Students will be released at staggered times according to
their mode of transportation. There is minimal supervision
after 2:00 pm, all students must be picked-up on time. Parents/guardians will be notified for late pick-ups.
**There will be NO A+/YMCA care for students.***
STUDENT CONDUCT AND DISCIPLINE ACTION
Every Student Succeeds Act (ESSA) law states that each Title I school shall jointly develop with parents a
School-Parent-Student Compact Agreement that outlines how parents, the entire school staff, and students will share the
responsibilities for improved student academic achievement and the means by which the school and parents will build and
develop a partnership to help children achieve the state standards. ESEA section 1116(d)
General Learning Outcomes (GLOs) are the overarching goals of standards-based learning for all students in all grade
levels. Observable behaviors, which are demonstrated in daily classroom activities, are evidence of GLOs. Student effort,
work habits, and behavior are important and they must be evaluated separately from academic performance in the content
areas (in accordance with Board of Education Policy 4501: Assessing/Grading Student Performance)

Students will be required to wear the school uniform and ID. Also, it is highly recommended that students wear covered
shoes at all times for their safety in and out of class. Repeated violations of the school dress code will result in disciplinary

● Oversized or saggy, baggy clothing or shorts with an inseam less than four inches is prohibited.
● Dresses/skirts, with/without slits shall not be shorter than the middle finger with arms at the side.
● Clothing that exposes the midriff (with any kind of movement) is not permitted.
● Undershirts, tank tops, and spaghetti straps are not permitted.
● Gang related clothing or accessories and/or clothing otherwise inappropriate are not allowed.
● Sports jerseys/clothing is prohibited.
● Caps, hats, and dark glasses are prohibited.
To keep our schools safe, rules have been established relating to student misconduct; these rules also govern searches
of students and seizures of property. Hawaii Administrative Rules, Chapter 19, are derived from state law. It’s important

HEALTH SERVICES & EMERGENCY RESPONSE
The School Health Assistant will be available to render first aid care, and contact parents/guardians should the student
require medical attention beyond first aid care. Students will not be released on their own to walk/bike home from school
through the health room. Please contact the school office at 307-7200 for any changes/updates to your contact information.
Should an emergency occur at school, the school Emergency Action Plan will be activated, and the situation will be
addressed accordingly. Do not contact or come to the school during this time. School personnel will contact
parents/guardians when appropriate through all available means of communication.
GRAB-AND-GO MEAL PROGRAM - BREAKFAST & LUNCH
The Grab-and-Go school meals program currently running at 203 public schools has been extended through June 30, 2021
by the US Department of Agriculture and will continue to provide free meals to children ages 18 and younger. All meals
will be placed in take-out containers. If your child is in need of a special meal accommodation, please email
[email protected] or call 784-5500. This institution is an equal opportunity provider. Please visit our school website

FOOD AND CELEBRATION POLICY
Due to the presence of students on campus with severe peanut allergies, AAES is a peanut-aware school. Please
refrain from packing or sending with your child food items containing peanuts or nut products to school or
consuming peanuts before coming to school. In addition, NO OUTSIDE FOOD will be allowed on campus to share with
students for birthday/class celebrations. This includes but not limited to: birthday cake/cupcakes, ice cream, candy, goodie
bags, etc. In an effort to be more health and safety conscious, AAES has adopted a “No Food Sharing” practice for its
students. However, your child will be allowed to bring their own food (breakfast, snack, lunch) for individual consumption
during recess and/or school meal times.

DROP-OFF PROCEDURES & SUPERVISION
The school campus and entrance gates will be open at 7:00 am for synchronous (face-to-face) students eating breakfast in
the Main Cafeteria (I Cafeteria, TBD). To avoid students congregating while waiting for classrooms to open, students
should arrive near or at 7:45 am, when the school day begins. There is no supervision before 7:30 am. All students
must enter the campus at any of the (3) designated stations - 1st Circle, 2nd Circle, and Tucker Field. See Campus Map.
ABSENCES & TARDIES PROCEDURES
Attendance will be recorded daily for synchronous (face-to-face) students. For students who will be absent from school,
please contact the School Attendance Line at 307-7220 and provide the following information: student’s name, student’s
grade, student’s homeroom teacher and reason for absence.
Students who exhibit any of the symptoms listed in the Daily Wellness Check and/or had a recent COVID-19 exposure are
required to follow the Return to School/Work Criteria before entering campus. Please notify the School Health
Assistant at 307-7241, if your child will need to meet this criteria to return to school and provide the following information:
student’s name, student’s grade, student’s homeroom teacher, parent/guardian's name, and parent/guardian’s phone
number. Proper documentation is essential to ensure the safety & well being of our AAES Ohana and Community.
For students who arrive at school after 7:50 am, they will be marked tardy and will need to report to a School Security
Attendant for a Wellness & Temperature Check and a tardy slip, then proceed directly to class.

RECESS PROCEDURES & PLAY AREAS
Recess will be limited to students within the same class. Classes have been assigned a time and location on campus
to have their recess. Students will be allowed to use the jungle-gym/playground during recess. Also, classroom equipment
such as basketballs, footballs, jump ropes, and hula hoops will be allowed. All playground & classroom equipment will be
cleaned and sanitized after each use. No personal equipment/items will be allowed during recess. Recess Supervisors
will be available to monitor and assist students. Personal snacks are permitted, however, AAES has adopted a “No
Food Sharing” practice for its students.
LUNCH PROCEDURES & DINING AREAS
Lunch will be available for synchronous (face-to-face) students, during their assigned lunch period at their designated
cafeteria. Students will enter through the designated door to receive their lunch and from there follow the marked
path to their assigned seat in the cafeteria or classroom. Students will be seated with at least 6 feet of separation and
facing the same direction. Adult Supervisors will be there to monitor and assist students. Please see the “Grab-and-Go
Meal Program - Breakfast & Lunch” section under Health & Emergency Information for asynchronous students.
USE OF RESTROOMS & WATER FOUNTAINS
All restrooms are open for student use. Appropriate signage has been posted in all restrooms and hallways, reminding
students the importance of Handwashing & Social Distancing. Cleaning, sanitizing, disinfecting, and restocking of
supplies will be done throughout the day with attention to high-touch areas/surfaces such as doors knobs, light
switches, counters, sinks, railings and water refill stations.
Due to health and safety concerns, all water fountains on campus will be off-limits to students. It is highly recommended
that students bring their own (labeled) water bottle filled with enough water for the school day. However, there are
“NO-TOUCH” water refill stations in the Main Cafeteria and J Cafeteria available for students to use.

DAILY WELLNESS CHECK BEFORE ENTERING CAMPUS
All HIDOE employees, students, parents/guardians, and visitors are required to do a Wellness & Temperature Check
before entering the campus. Individuals who exhibit any of the symptoms and/or had a recent COVID-19 exposure
will not be allowed on campus and must follow the criteria to return to school/work.
PICK-UP PROCEDURES & SUPERVISION - STAGGERED RELEASE TIMES
To allow adequate social distancing between students at the (3) designated stations - 1st Circle, 2nd Circle, and Tucker
Field (see campus map), students will be dismissed at staggered times starting at 1:30 pm. The school campus and
entrance gates will be opened again at 1:35 pm for parents/guardians who will be walking in to pick-up their child(ren) from
their classrooms. There is minimal supervision after 2:00 pm, all students must be picked-up on time.
EARLY RELEASE/PICK-UP PROCEDURES
Students can be released early from school until 1:00 pm for reasons such as medical appointments, court
appointments/appearance, or family emergencies. Parents/guardians will need to notify their child’s homeroom teacher or
contact the school office at 307-7200. Please allow up to 20 minutes for your child to meet you at the Front Office.
