E. The acceptance if a secure place is conditional on the following:
RWL
“Reserved waiting list”
The “Reserved waiting list” for each grade records pupil applications for that year but does not
afford the applicant any additional security in terms of gaining a place in that year. No debenture
(in the case of debenture option holders) or advance deposit (in case of non-debenture option
holders) is due until the school readiness/entrance tests and interviews have been conducted. Were
the pupil to be successful in the entrance test and interview, the debenture or advance deposit would
then be required on request, following which an offer of place will be made. Once the acceptance of
place form has been returned signed, to the school, the pupils place is secure.
CWL
“Confirmed waiting list”
Acceptance onto the “Confirmed waiting list” for that year enhances likelihood of gaining a place in
the school on condition that he/she meets the entrance requirements of the school at the time and
provided places are available. Debentures or advance deposit may be paid in advance in order to
gain access to the „CWL‟. The „CWL‟ will never exceed the number of places available in that
grade. In order to gain a place in the school a formal “Offer of place” from the College Director is
required. This will involve passing the school readiness test/entrance test and a successful interview
with the Principal. A formal offer of a place in the school is also conditional on the signing of the
Acceptance of place form by the parents. Were your child to not meet the entrance requirements at
the time, the College will initiate the redemption procedures for your debenture or advance deposit.
A discount is available for early debenture payments and is available on request from the Bursar‟s
office.
F. Independent examination board: Examination fees are payable for all IEB Examinations written at Woodhill College.
G. International computer driver’s licence (ICDL):
All ICDL costs including manuals, log books and examination fees are payable to
Woodhill College.
H. Text books and stationary: Textbooks and stationery are not included in the school fees.
I Siblings:
The eldest child in a family pays the full school fee amount and thereafter any brothers
and/or sisters qualify for the sibling rate (in the order of 5% discount) shown as “sibling”
on the school fee structure.
In the case of twins, one will pay the full school fee, while the second twin is treated as a
sibling.
J. Discontinuance:
One term’s notice is required before:
(i) The removal of a pupil from the College
(ii) The discontinuance of any extra or special subjects
Failing this, a full term’s fees will become payable in lieu of such notice

Substance abuse:
In order to help our children resist the temptation of drugs, we operate a drug-testing programme.
The School would like to proceed in the spirit of co-operative partnership with parents and pupils in
this programme.
Today‟s adolescents face an increasing number of threats and challenges to both their code of values
and to their right to freedom of choice. Among certain groups, the use of illegal drugs (such as
Dagga, Ecstasy and “Acid”) is perceived as being socially acceptable, and the ready availability of
drugs like dagga, combined with natural curiosity and so-called “peer pressure” can result in
children making decisions which could have negative and long-lasting effects on their lives.
It is in order to protect our children, and support their right to say “No,” that we operate a programme
of drug testing at WOODHILL COLLEGE, based on the principle of reasonable suspicion, as
required by the Minister of Education.
The drug testing will be done by analysing urine samples. A professional will oversee the process.
The results of tests will be dealt with confidentially and sensitively, and will be known only to the
Director, the Principal, the student and his parents, in the first instance. Where pupils have tested
positive, the School counsellor will become part of the process of rehabilitation. This test will be for
the parents‟ account.
The School does not intend involving the South African Police Service unless drug trafficking at the
School is suspected, in which case the School will request the assistance of the police to identify
“dealers” or “pushers.”
Should your child test positive, the following procedure will apply:
1. The parents/legal guardians will be informed and included in the processes that follow.
2. A date will be set for a follow-up test to be done.
3. The pupil could be required to attend a disciplinary committee hearing in which the circumstances
of the substance abuse will be investigated. (Parents may accompany pupils at these hearings.)
4. The pupil will be advised of sanctions which might apply and will be reminded of the

Studies show that children who remain drug-free until the age of eighteen are far less likely to use
drugs as adults than their counterparts who use drugs while still at school. Please help us to protect
and support all our children by completing the attached consent form, and returning it to the College.
Due to the fact that you as parents/guardians have previously signed the ACCEPTANCE OF PLACE
document, which includes the acceptance of the Woodhill College CONSTITUTION, CODE OF
CONDUCT and SUBSTANCE ABUSE POLICY, pupils will be subjected to random drug testing as
deemed necessary by the School.

Code of conduct:
This is an abbreviation of our Code of Conduct. The complete document “Pupil Code of Conduct” is available on request.
Throughout the world successful societies set acceptable norms and standards of behaviour. This
enables them to function successfully. Communities within the society are expected to uphold the
norms and standards and behave in a manner befitting that community – and the society to which
they belong. As an independent school, WOODHILL COLLEGE expects the members of the
College student community to live up to the professional standards of excellence associated with
educational communities of similar standing.
SA Schools Act
In addition to being subject to all the provisions of the Bill of Rights described above, independent
schools are affected by the provisions of the South African Schools Act, No. 84 of 1996 as amended.
While this statute, per definition does cover all schools in SA [see definition of “school” in S1], it is
clear that most sections of the Schools Act are not intended to regulate the activities of
independent schools. The only exceptions to this exclusion are Chapter 3 (“Independent Schools”
S45 to S50), Section 53 (Transition provisions) and Chapter 7 (General Provisions: S58 to S64)
which are applicable to independent schools.
The Schools Act‟s Section 8 / Code of conduct for pupils; 9 / Suspension and expulsion from public
school and 10 / Prohibition of corporal punishment, are not technically applicable to pupils at
registered independent schools.
All parents, guardians, staff members and notably students, are urged to study this Woodhill Code of
Conduct thoroughly in order to understand what is expected of them. A positive attitude and spirit of
co-operation will enable WOODHILL COLLEGE to function successfully to the benefit of all
concerned.
1 THE BASIS OF THE CODE OF CONDUCT 1.1 The College will respect the rights of the child as pronounced in the Constitution of the
Republic of South Africa, particularly the right to dignity, personal privacy and due process.
1.2 Punishment systems will be based on the withdrawal of rights and/or privileges as a member
of WOODHILL COLLEGE and the College will strive to achieve consistency and fairness in
this process.
APPLICATION INFORMATION AND FEES amended as of 12 October 2010 Page 19 of 29
2 NON-COMPLIANCE WITH SCHOOL RULES
Membership of the school community is a privilege available to very few people. Within
the school itself, there are many other privileges. To wear our academic and sporting
colours, is one such privilege.
As a member of our community there are also many rights afforded to pupils. Whilst one
tends to earn the privileges, a pupil would expect to be afforded his rights in the school.
In a privileged society there is an understanding of the concept that rights and privileges are
afforded to those who have legitimate claim to them.
Those whose claims are lessened by anti-social behaviour, lose these rights, and may or
may not be given the opportunity to earn them back.
Disciplinary procedures at WOODHILL COLLEGE will take into account these rights and
privileges and will be aimed at withdrawing these from individuals who abuse these rights
and privileges in the school. As a result punishments will be appropriate and corrective in
nature.
A list of the rights and privileges available to WOODHILL COLLEGE students is listed
below:
Rights Privileges 1. Freedom of speech, association and
expression
(within the bounds of school norms)
2. To uninterrupted learning
3. To function free from prejudice and
discrimination
4. Access to normal teaching programme
5. Access to normal sports programme
6. Access to normal cultural programme
7. Access to school facilities serving these
programmes
8. Due process and fair hearing
1. Enrolment at Woodhill College
2. To write matric under the name of
Woodhill College
3. To wear the Woodhill College uniform
4. To wear colours
5. To display awards e.g. Academic tie, etc.
6. To serve the school
7. To hold office
8. To represent the school
9. To represent interest groups
10. To partake in extra-mural activities
11. To drive a motor vehicle
In addition, no Woodhill College computer may be utilised to make obscene, abusive, defamatory of
threatening statements, including the creation of participation of any nature in any so-called “hate
groups” or “hate sites” about any individual on any internet site, including chat rooms and other
applications such as Facebook.
This also includes the rapidly advancing cell phone technology and cell phone applications such as
Mxit. From this follows the obvious conclusion that such statements, even from a private computer
or cell phone, against any member of the Woodhill College community, will be viewed in a serious
light and will be followed by the appropriate disciplinary and legal action.
3 CODE OF DRESS AND APPEARANCE
3.1 SUMMER AND WINTER UNIFORM REQUIREMENTS
Pupils should be aware that they are representatives of WOODHILL COLLEGE at all times
and accept the responsibility of this role. They are instantly recognisable as such when in the
College uniform. Students must wear the correct full and neat uniform appropriate for the
season, the occasion or activity. No mixing of uniform items is permitted.
Parents are asked to mark all items clearly with the pupil‟s name.

permission, will be considered guilty of theft and may be asked to leave the College.

secretary in higher grades. Clear written instructions regarding time or administration and

4.5 If reasonable evidence exists that a student is using narcotic or dangerous substances, the
College also reserves the right to conduct a substance abuse test under parental supervision.
Failure to comply may result in the student being asked to leave the College.
5 RESPECT FOR COLLEGE PROPERTY
Where self-respect exists, there is self-discipline and respect in all areas. Parents need to play

7 DAILY COLLEGE ATTENDANCE REQUIREMENTS
Pupils are required to be present for the entire College day.
7.1 Truancy
Or any absence from school without permission is an extremely serious offence. The matter
will be taken up by the Disciplinary Committee and may lead to expulsion from the College.
If a student is absent from even one lesson without the permission of the teacher concerned,
this is considered as truancy.
7.2 Absenteeism
7.2.1 When a student is unable to attend College, a parent or guardian must contact the College
reception. The information and reasons why will be passed to the relevant teacher.
7.2.2 When returning to College the student must bring an absentee note from a parent - addressed
to the Principal. This should be handed to the grade teacher and will be attached to the class
register.
7.2.3 A doctor‟s certificate is also required when a student is absent during part of or all of test or
examination days.
7.2.4 Appointments to see Medical Practitioners (or for other important reasons) during College
hours should only be made by parents if no other opportunity exists or in the case of an
emergency.
7.2.5 In this case the student must report to the College secretary with a note signed by the parent
explaining the circumstances and stating the time of collection.
7.2.6 A “Permission to Leave Early” slip will be given and this must be handed to the teacher. This
note must be signed by the Principal or Deputy Principal.
7.2.7 The teacher will allow the student to leave the class in good time. Students will wait in the
reception foyer to be collected by their parents. Fit students must return to College
immediately after the appointment. Students, who are unwell and not able to return the same
day, must present a doctor‟s certificate on the day they return to College and the parents must
inform the school.
7.3 Lateness for College
The College urges parents to ensure that students arrive on time. Instilling punctuality is of
great importance both as a courtesy, in developing self-discipline and to save valuable time.
When late, a student is expected to be responsible for reporting to College Reception with a
note from the parent or guardian. The time of arrival will be recorded and the class teacher
informed.
7.4 Pupils may not enter the following areas without the supervision of a teacher or responsible
adult. (Library, Swimming pool, Auditorium, Science lab and Techno lab and Art room).
7.5 All deliveries to pupils to be taken to the school admin office (lunch, kit etc). No visits to the
classrooms during normal teaching time.
7.6 All channels of communication must be adhered to.
8 THE CO-OPERATION OF PARENTS It is never possible to run any College successfully without the co-operation of parents.
Their input and support is vital and welcomed. The above Code of Conduct is based on the
considerable experience of a number of premier schools together with the professional
experience of long serving, dedicated teachers. Our vision for Woodhill College is to be
amongst the best of premier schools in the country. Towards this end, we respectfully suggest
the following guidelines to parents:
APPLICATION INFORMATION AND FEES amended as of 12 October 2010 Page 24 of 29
8.1 Please attend as many Parents‟ days and Parents‟ meetings as possible. This will keep you up
to date and enable you to participate in certain College matters and decisions.
8.2 Offer to volunteer for certain activities, however humble. Your assistance will alleviate the
load on teachers and involve you more directly.
8.3 Do not hesitate to contact the Principal for an appointment should you wish to discuss
anything in the Code of Conduct or other matters concerning the College.
8.4 Do not contact staff at home on College matters. They are entitled to privacy.
8.5 Make appointments with teachers at a time convenient to them either before lessons begin or
immediately after the final period. Teachers may not receive visitors during class periods.
8.6 If unable to keep an appointment, attempt to notify the teacher in good time.
8.7 Inform the College immediately of any change of address, telephone number, personal details
or contacts, however temporary. The College may need to contact you urgently.
8.8 Inform the College of any trauma or emotional disturbance in your child‟s life. Knowing a
problem exists often helps to understand out-of-character behaviour. Qualified staff members
may be able to help.
8.9 If at any time you feel your child has been victimised or treated unjustly, contact the Principal
immediately. Please do not give vent in public before you have all the details. A wrongful
impression is damaging to both the College and the parent body.
8.10 Try not to criticise or undermine a teacher in front of any student. This will result in a
negative attitude and non-productivity. It is the student who suffers most, not the teacher.
The matter, however trivial it may seem, must be brought to the Principal‟s attention,
investigated and dealt with in a dignified manner.
8.11 Check and sign homework diaries.
8.12 If there is reason to believe that too much or too little homework is given or your child says
often that there is no homework – check with the teacher.
8.13 Be conscientious about providing notes when your child is ill and a doctor‟s certificate after
missing an examination/test or an absence of more than two days.
Standardised tests are regarded as mini-examinations. Should a pupil miss a test, a
medical certificate will be required. Pupils will need to write an alternative test on the
first Friday after return in the detention class. Extra tests will not be set for pupils who
opt to go on vacation. Zero will be given for abovementioned situations.
8.14 Remember that a note is also required if a test or examination is missed. Such dates are often
written in homework diaries or printed out by the College.
8.15 Personal coaching of your child while taking part in sporting activities is not allowed.
8.16 Finally, adopt the same positive attitude that you would expect from your child.
8.17 In addition, no Woodhill College computer may be utilized to make obscene, abusive,
defamatory or threatening statements, including the creation or participation of any nature in
any so-called “hate groups” or “hate sites” about any individual on any internet site, including
chat rooms and other applications such as Facebook.
This also includes the rapidly advancing cell phone technology and cell phone applications
such as MXit. From this follows the obvious conclusion that such statements, even from a
private computer or cell phone, against any member of the Woodhill College community, will
be viewed in a serious light and will be followed by the appropriate disciplinary and legal
action.
8.18 All students must hand in projects that reflect their own, original work. Students will not
allow other students to copy their work. Where a secondary source has been used, pupils must
acknowledge and reference (which includes a full reference list of all sources as proof).
Woodhill College does not tolerate plagiarism.
