USING CONDITIONAL FORMATTING IN GRIDS IN WINTEN 2+

You can apply Conditional Formatting to any screen in WinTen 2+ that contains a data grid. Conditional formatting is a useful

feature for customizing how the data appears. For example, you can highlight certain values or bold text using conditional

formatting. With conditional formatting you can change the appearance of individual cells or rows based on specific conditions.

Conditional formatting makes a data grid look more similar to tables that appear in Microsoft Excel. This feature helps to highlight

important information, identify trends, highlight exceptions, and compare data.

Conditional formatting relies on the use of rules to modify the appearance of cells within a data grid. There are dozens of pre-

defined rules to choose from, and you can also create your own custom rules. You can also apply multiple rules to any column.

APPLYING CONDITIONAL FORMATTING TO A DATA GRID

You can apply conditional formatting to any screen that has a data grid in 4 easy steps. In the example below, we add conditional

formatting to the Customer Search screen:

1. Right-click on the Column header where you want to apply conditional formatting.

2. Hover your mouse over Conditional Formatting menu option.

3. Choose your rule category.

4. Choose your rule.

If you have already applied one or more rules to a column, the Clear Rules submenu option appears. You can remove rules from one

column by choosing Clear Rules from This Column, or you can remove all applied rules by choosing Clear Rules from All Columns.

RULE

Format based on date.

MENU SELECTION

DESCRIPTION

Applies a format if a column's DateTime value refers to a specific date and/or date interval relative to today. These days and intervals include Today, Yesterday, This week, Earlier this month, Prior to this year, etc.

EXAMPLE

Highlight all records where the Create Date is prior to this year.

RULE

Format only top or bottom rank values; Format only values that are above or below average.

DESCRIPTION

Applies a format if a value is in the range of the highest or lowest column values.

EXAMPLE

Bolds the amounts in green text that are above average for the Total Due Now.

RULE

Format only values that contain.

MENU SELECTION

DESCRIPTION

Applies a format if a value matches one of constants.

EXAMPLE

Highlight any Address fields that contain the number “34”.

RULE

Format only unique or duplicate values.

Applies a format if a column's value is unique or a duplicate.

EXAMPLE

Highlight any unique ZIP code fields.

Format using 2 or 3 color scales.

DESCRIPTION

Applies a format using a two-color scale to display data distribution and variation.

EXAMPLE

Use a Green-Yellow-Red color scale for the Total Due Now field.

Note: When printing the Grid control and exporting it to PDF, HTML, MHT, RTF and XLS(X) formats, conditional formatting using icons and data bars is not printed/exported.

CREATING CUSTOM RULES

You can also create your own custom rules to apply to any data grid.

1. Right-click on a Column Header within a data grid and hover your mouse over Conditional Formatting. Click on Manage Rules.

2. Click the button in the Conditional Formatting Rules Manager window.

3. Select a Rule Type for your new formatting rule and edit the rule description. In this example, we want to create a rule that

highlights all HAP amounts greater than $249 but less than $501.

4. Click the button to open the Format Cells window. In the Font tab, choose your Font, Font Style, Font Color, and

Effects such as Underline or Strikethrough.

5. Click on the Fill tab to modify the Background Color.

6. Click on the Predefined Appearance to choose a pre-defined format.

7. After making your selections in the Format Cells window, click the button. You will see a preview of the formatting

style you’ve chosen. Click the button on the New Formatting Rule window.

8. The custom rule you just created appears in the Conditional Formatting Rules Manager window.

9. Click the Column drop-down to change the affected column. Check the Apply to the row box to apply your rule to the entire

row of an applicable record. Click the button to add new rule, the button to edit any existing custom

rules, or the button to delete any rule.

10. Click the button to apply the custom rule to your grid. Click the button to close out of the Conditional

Formatting Rules Manager window. Your new custom rule is now applied to the grid.

SAVING LAYOUTS FOR FUTURE USE

You can save layouts for data grids where you’ve applied conditional formatting so that you don’t have to spend time in the future recreating the layout.

1. Click the Save Layout button in the upper right-hand corner of the screen.

2. Enter a Layout Name. Check the box to make the layout available to everyone at your agency, and click the button.

3. This layout option is now available for all users for that particular screen.

USING MORE THAN ONE TYPE OF CONDITIONAL FORMATTING FOR A COLUMN

Even after adding a custom rule, you can add other rules to the same column. In this example, we added an icon set to the HAP

column after we created a custom rule to highlight the HAP amounts between $249 and $501.
