Preface

Electrical and Electronic Engineering Association, Engineering Society, HKUSU was founded in

2005 as an official student organization in the Department of Electrical and Electronic

Engineering, The University of Hong Kong. It serves as an official representative body of the

Association members. Our aims include promoting the comradeship and understanding among

members, facilitating the communications between the Association and external bodies and

helping members to gain insight of their profession and future career.

As there was no nominated cabinet this year, three Executive Committee members of previous

session were appointed to be acting Executive Committee members in this Session. As

mentioned in the Annual General Meeting of session 2009 – 2010, the acting Executive

Committee members successfully sustained basic functionality of the Association, such as selling

of Association welfare products and organizing functions such as Orientation Camp and

Information Day. Besides, we have also organized several additional functions.

It’s challenging for three of us to run the Association this year. There are both progress and

regress this year. The relationship between the Association and other Academic Societies of

Engineering Society, HKUSU has improved as a large joint-society activity was organized

together. Meanwhile, the number of activities provided has dropped and welfare enjoyed by

Members has decreased.

This Annual Report serves as an official document recording what have been done by the cabinet

in session 2010 – 2011. Reports about general affairs and function reports of the Association are

included in this Annual Report.

Definitions

In this Annual Report, unless otherwise stated

“University” shall mean the University of Hong Kong

“Faculty” shall mean Faculty of Engineering of the University

“Department” shall mean the Department of Electrical and Electronic Engineering of

the Faculty

1. General

1.1. Membership

65 Members were recruited in Session 2010-2011. All of them are Full Members who are year 1

undergraduates of the Department. Taking account into the Members recruited before Session

2010-2011, the composition of membership is summarized below:

1.2. Finance

The Association has a bank account in The Hongkong and Shanghai Banking Corporation

Limited since 2005.

As on 11th February, 2011, the Association had a financial reserve of HK$23,808.60. Comparing

to the last session, the amount of financial reserve has increased as the number of functions held

by the Association was decrease, as well as the total expense on functions.

The Annual Financial Report of Session 2010-2011 was audited by Dr. N.H.C. Yung, the

Honorary Auditor of the Association of Session 2010-2011, on 11th February, 2011.

Summary:

Throughout the Session, 8 council meetings had been held for Engineering Council, HKUSU,

session 2010-2011 and 1 council meeting had been held for Engineering Council, HKUSU,

session 2011-2012.

Current affairs of the University, the Faculty, affairs of the Engineering Council and Engineering

Society, HKUSU and reports of council meetings of Hong Kong University Students’ Union

were discussed in the council meetings. Representatives of the Executive Committee voiced out

the opinions of the Members and secured the welfare of the Members. Also, the reformation of

disciplinary problems in Engineering Council, HKUSU was discussed and practiced.

1.4. Affiliation

Affiliation is the administration process for a student bodies to be a sub-organization o HKUSU.

As an association mainly serves students of the Department, the Association is regarded as an

Academic Society and shall be directly affiliated to Engineering Society, HKUSU.

The starting date of affiliation was 23rd April, 2008. The status of Partially Affiliated Society had

lasted for 24 months and has become Fully Affiliated Society after 23rd April, 2010, as no

decision of affiliation is overthrown by the Members in General Meeting or General Polling of

the Association, and the Association successfully comply with the constitution of Engineering

Society, HKUSU, By-laws of Engineering Council, HKUSU or Engineering Council, HKUSU

resolutions, negligence of duties, unbecoming conduct or do harm to good name of Engineering

Society, HKUSU.

As affiliated to Engineering Society, HKUSU, the Association is recognized as an official

student organization of the University and enjoys several advantages:

• Obtaining recourses and using facilities provided by HKUSU.

• Increasing the representation of Members by attending the Engineering Council.

• Increasing the publicity of the Association and recognition as an official student organization

of the University.

Throughout the Session, the Association benefits from affiliating Engineering Society, HKUSU

from the above ways.

2. Functions

2.1 Talk on interview skills for an engineer

Number of participants: 14

Objectives:

� To help Members to get prepared for future career

� To let Members know more about interview skills, especially for engineering jobs

Event details:

The talk aims to help Members to get well prepared for interviewing engineering jobs. In early

March, the Executive Committee and representatives from The Institute of Engineering and

Technology Student Section (IETSS) agreed to co-organize an interview skill talk in the

University. The Association will be responsible for providing venue and promoting the function

while IETSS will be responsible for inviting speaker and providing financial support.

In mid March, Mr. Frankie Kwan was invited to be the speaker of the talk. Mass email was sent

to Members to promote the function and invite Members to participate. The speech delivered by

Mr. Kwan included some opinion in the of companies’ view, common weakness of engineering

students in interview and ways to improve interview skills. Souvenir was given to participants

and speaker.

Problems:

� The number of participants was lower than expected.

� The talk was not interactive enough.

Suggestions:

� Promotion should be done earlier and in more different ways, e.g. posters, leaflets, etc.

� Demonstration and practice of interview may be included.

2.2 Information Day

Participants: Freshmen

Objectives:

� To let Freshmen to know more about the Department and also the curricula of programs

offered by the Department

� To introduce and promote the Association to the Freshmen

� To introduce and promote the Orientation Camp

Event details:

Engineering Orientation Affairs Committee (EOAC) was formed to under By-law of

Engineering Council, HKUSU in order to discuss affairs during Orientation Period (26th July,

2010 – 19th September, 2010). To enhance the smoothness of preparation of Orientation camps

and Orientation days of Engineering Society, HKUSU, affiliated departmental society, curricular

society of the Engineering Society, HKUSU and HKU Industrial Engineering Association,

arrangements and dates of orientation camps were discussed in EOAC. The entrance fee of

orientation camps was set in EOAC. A total of 7 meetings of EOAC were held from March,

2010 to July, 2010.

The Information Day was successfully organized and fulfilled the regulations settled by EOAC.

The Association products were available for sale on the Information Day. 500 Association files

together with the Association papers and leaflets about orientation events were distributed to

Freshmen. Freshmen applied for the Orientation Camp at the booth.

Problems:

� There were not enough helpers to communicate with Freshmen about the curricula of

programs offered by the Department or orientation events.

� Fewer Freshmen had attended the event due to online registration provided by the Faculty.

Suggestions:

� More helpers should be recruited.

� Online application for Orientation Functions should be introduced.

2.3 Orientation Camp

Date: 13th August, 2010 and 15th August, 2010

(Friday – Sunday)

Duration: 3 days and 2 nights

Venue: Tso Kung Tam Outdoor Recreation Centre

Fee: $400 (Freshmen)

Objectives:

� To provide an opportunity for the Freshmen to make friends with each other

� To provide a platform for Freshmen to meet higher year students who are more able to solve

academic and non-academic matters concerning EEE

� To let the Freshmen familiarize with the Association and the Department

Event Details:

Organizing committee:

� During early April, 17 Members was recruited to help organizing the Orientation Camp.

These 17 Members were divided into 8 group leaders, 9 helpers.

� A 19-people organizing committee was form, including 9 helpers, 8 group leaders and 2

Executive Committee members. The organizing committee was responsible for giving ideas

of the rundown of the function, games and activities involved, designing Camp T-shirts,

Camp booklets and souvenirs.

� During June, 2010 and July, 2010, 5 organizing committee meetings were held. Works and

duties of the organizing committee were successfully fulfilled.

Engineering Orientation Affairs Committee (EOAC):

� The EOAC, as described in previous section, also played an important role in organizing the

Orientation Camp. During EOAC meetings in June and July, it was suggested that we could

promote the Orientation Camp and other orientation events in the booklet distributed by

Engineering Society, HKUSU on Information Day and a promotion site in 3/F, Haking

Wong Building, The University of Hong Kong, which was part of the route that the

Freshmen would go through during Information Day.

� Some rules and regulations were also mentioned in the EOAC meetings.

Preparation:

� In early April, among the 4 campsites managed by the Leisure and Culture Service

Department, Tso Kung Tam Outdoor Recreation Centre was finally assigned.

� In June and July, we sought for sponsorship from the Department. With their kind support,

the Department agreed to sponsor HK$5000.

� During mid and late June, details such as souvenirs, rundown of the function, design of

Camp T-shirts of the Orientation Camp were decided in the organizing committee meetings.

� In early July, Camp T-shirts were ordered and collected from DOS.

� In early August, a pre-camp was held for the organizing committee to familiarize the games

of the Orientation Camp, and investigate possible problems encountered in those games.

Problems of those games were found and suggestions of organizing committee were

collected. The rundown and games were modified accordingly.

� In early August, 28 Freshmen applied for the Orientation Camp during the Information Day.

These Freshmen were then divided into 4 groups, with 7 Freshmen in a group. 3 helpers

were also assigned to 3 groups to act as “spies”. Camp booklets were published and

souvenirs were packed.

Orientation Camp (On day):

Day 1 (13th

August, 2010):

� Before 9 am, helpers and group leaders were gathered for final briefing of the Orientation

Camp.

� At 9 am, participating Freshmen were gathered in G/F lobby, Chow Yei Ching Building,

The University of Hong Kong. Souvenirs were given to participating Freshmen. Ice-

breaking games were held by group leaders in each group.

� At 10 am, introduction and briefing to participants of the Orientation Camp was held in

Room 603, Chow Yei Ching Building, The University of Hong Kong.

� The first function held was Hong Kong Orientation. Group photos were taken before groups

dismissed in the University.

� At the same time, helpers and the Executive Committee transported Orientation Camp

materials and bags of participants and organizing committee to the campsite.

� After dinner, Trust Walk, ‘Once in a Life’ and Room games were held. Different groups

had also prepared their group cheers.

Day 2 (14th

August, 2010):

� Trust game was held after breakfast.

� After lunch, all Freshmen were gathered in a common room and “Monopoly Game” was

played, followed by the Detective Game. Before having dinner, the result of Detective

Game was released.

� After dinner, Mass game was held. After that, the identities of spies were exposed. At mid-

night, Room games were continued.

Day 3 (15th

August, 2010):

� In the morning, Bidding Games were played and group cheers were demonstrated. After

that, the overall result of different groups was released and the group with lowest score was

punished.

� Photo Taking and Sharing sections were held before lunch and participants dismissed at the

campsite.

Others:

� During mid-nights of the Orientation Camp, evaluation meetings were held by the

Executive Committee, helpers and one of group leaders of each group. Comments from

participants were collected and adjustments were introduced accordingly.

Problems:

� The number of participants was less than expected.

� Some helpers quitted the organizing committee just before the Orientation Camp.

� Helpers and group leaders were not familiar with the most updated instructions of games.

Some group leaders were not so familiar with ice-breaking games.

� Activity rooms booked were too small to gather all participants.

� Some Freshmen complained that some tasks were too difficult to achieve.

Suggestions:

� More helpers should be recruited and communication between helpers should be improved.

� A hard copy of the most updated instructions of games should be given to helpers and group

leaders one week before the function. Ice-breaking games should be taught to helpers and

group leaders during pre-camp.

� Activity rooms should be booked once they are available.

� Helpers should be available to demonstrate all tasks to Freshmen.

2.4 Commencement Lunch

The University of Hong Kong

Fee: Free of charge

Participants: The Members, the Staff and

the 1st year students of the Faculty

Objectives:

� To provide a platform for enhancing relationship amongst the staff, the Members and the

1st year students of the Faculty

� To provide an interface for the participants to gain various knowledge about the University

Event Details:

The Commencement Lunch was sponsored by the Department and was based on “buffet” style.

In the early September, the preparation work of Commencement Lunch was started. Detail of the

rundown had been discussed and meeting with Department was held for discussing the details in

sponsorship for Commencement Lunch. Mass e-mail was used in early September to publicize

the Commencement Lunch. All the food had been ordered and materials like paper dishes and

cups were well prepared before the function.

Before the Commencement Lunch, the Staff, the Members and the 1st Year Students of the

Faculty gathered at LG1/F Lobby in Chow Yei Ching Building at 12:30. Then a welcoming

speech is given by the Acting Head of the Department, Prof. V.O.K. Li, and the Acting

Chairperson of the Association.

During the Commencement Lunch, nearly 25 dishes of food were provided and participants

could choose their desired food. Participants could also have a chance to chat with the Staff.

Participants could walked-in the Commencement Lunch and joined after some while.

Problem:

� Time clashes on some courses so some participants came at the end of the Commencement

Lunch or could not attend the Commencement Lunch.

Suggestions:

� Check the timetable once more to prevent serious time clash.

� A lunch or dinner in restaurant can be held instead of buffet lunch.

2.5 Annual Dinner

Participants: The Staff, the Members, the Alumni and

the 1st year students of the Faculty

Objectives:

� To provide an opportunity for 1st year students of the Faculty to try organizing a function

� To provide an opportunity to gather the staff, the Members and the 1st year students of the

Faculty

Event details:

Fourteen 1st year students of the Faculty were recruited to organize the Annual Dinner. The

organizing committee formed by 1st year students of the Faculty was responsible for organizing

the Annual Dinner. The Executive Committee took a consulting role. Games and lucky draw

were held during the Annual Dinner. A violin performance was played by a 1st year students of

the Faculty at that night. The atmosphere created by the violin performance was optimal for

Annual Dinner.

Problem:

� The organizing committee held lengthy meetings to discuss arrangements of Annual Dinner.

Suggestion:

� Assist organizing committee to plan and organize.

2.6 Recruitment Program for Next Session Executive

Objectives:

� To let Members to know more about the Association

� To recruit Executive Committee of session 2011 – 2012

� To share experience of being Executive Committee members

Event details:

In order to introduce the Association and recruit the Executive Committee of session 2011 –

2012, two tea gatherings were held. Drinks and snacks were provided to the participants. During

the tea gatherings, the Association was introduced and experience of being the Executive

Committee was also shared. Activities for the preparation of being an Executive Committee were

introduced to make Member having a clear mind of becoming an Executive Committee.

Problem:

� Since only mass e-mail was used for promotion only, some members may not know about

the information of the tea gathering.

Suggestion:

� Besides of mass e-mail, poster should also be designed and posted in order to draw the

attention of Members.

2.7 CIMMEC Singing Contest

Objectives:

� To promote co-operations with other student organizations of the University

� To provide a chance for Members to show their talents in singing

� To encourage interactions between Members and other students of the Faculty

Event details:

In late September 2010, the organizing committee of CIMMEC Singing Contest was formed.

The organizing committee was responsible for discussing regulation, publication and promotion.

Starting from late October 2010, the promotion of first round of the Singing Contest started. For

the first round of the Singing Contest, contestants and required to submit sound track to the

organizing committee for judging who to enter the final contest. By the end of November, 26

applications of individual contestants and 7 applications of group contestants were received. 3 of

Members applied for individual competition and 1 of them applied for group competition with a

non-EEE student.

In early January 2011, list of contestants for the final Singing Contest was confirmed. 12

individual and 6 applications of group entered the final Singing Contest. Mr. Edmond Tsang, 2

representatives from Music Club, HKUSU were invited to be judges of final contest and a

dancing team from Dance Society, HKUSU was invited to be the performer. A rehearsal was

held in mid January 2011 for organizing committee, helpers and contestants to familiarize the

rundown and venue.

In mid January 2011, promotion of the final Singing Contest started. A counter was set in Run

Run Shaw Podium, The University of Hong Kong for Members and other students of the

University to buy tickets for the final contest. In late January 2011, the organizing committee

confirmed to have lucky draw and Wii Console was bought to be the prize of the lucky draw.

On 26th January, 2011, the final Singing Contest was held successfully. Although the Members

who participate the contest did not get any prize, the all enjoyed the Singing Contest and bonding

of the Association with other organizing parties was strengthened.

Problems:

� The function was not included in the year plan and therefore limited time and resources was

allowed in organizing this function.

� There is lack of sponsorship of this function.

� The audio and lighting system and equipments were not suitable for holding a singing

contest.

� Judges of first round of Singing Contest was not professional and the varying quality of

sound tracks also affects the judgment.

� Rehearsal was inefficient since most of time was used to tackle technical problems.

� Not many people bought tickets from the counter as the location of counter was far away

from common area of Members and students of the Faculty.

� Helpers were not well briefed.

Suggestions:

� Planning should be done earlier so that each organizing parties can allocate more resource

and the function can be put in marketing plan.

� Other venue such as Chong Yuet Ming Theatre, The University of Hong Kong (CYM303)

may be considered.

� Professional judges should be invited such as representatives from Music Club, HKUSU

� Sound track may be replaced by live performance for first round of the Singing Contest.

� Site inspection should be held before rehearsal. One more rehearsal for organizing

committee and helpers may also be considered.

� Briefing session for helpers should be held earlier.

Event details:

The role of the Staff-Student Consultative Committee (SSCC) is to enable class representatives

and class tutors to meet face to face to discuss matters raised by students or teachers.

In session 2010-2011, 2 formal meeting and 4 informal meeting were held by the SSCC. Since

EEEA acts as the bridge between Department and Members, at least one of the Executive

Committee members would attend the meetings to join the discussion and collect opinions from

both Department and students. The topics in the discussion include problems and difficulties

encountered in lectures, laboratory classes, teaching assistants, reporting scheme, computer

utilization, departmental accommodation, and many other similar issues. The atmosphere during

the SSCC is often informal, positive and problem solving.

2.18.2 Consultation on A New Producer Responsibility Scheme for

Waste Electrical & Electronic Equipment

Event details:

In 2010, the Hong Kong Government consulted the public about the system for managing waste

electrical and electronic equipments. In mid April, meetings of the Executive Committee with

the Staff were held and both parties agreed that this was a good chance to raise Members’

awareness about the society and show social responsibility of Members to the public..

On 21st April, 2010, mass email was sent to all undergraduates of the Department to invite

students to express their view in the Scheme for Waste Electrical & Electronic Equipment. On

24th April, 2010, several opinions from Members were collected and combined into a proposal.

On 27th April, 2010, the Executive Committee and Dr. W.W.T. Fok of the Department went to

the office of Environmental Protection Department and submitted the proposal to representative

of Environmental Protection Department.

2.18.3 Energize 10’

Event details:

In late April, the Executive Committee contacted the Department and knew that they were

planning this function. The Executive Committee agreed to assist the Department to organize this

function by finding helpers and designing the treasure hunt in the function. In mid May, 10

helpers were recruited for the function.

On 20th May, 2010 morning, participants and helpers were gathered at Theatre A, Chow Yei

Ching Building, The University of Hong Kong. An introduction talk was held by Staff of the

Department. Then student helpers and Staff led participants to different laboratories to see EEE

related projects. After lunch, a campus treasure hunt was held. All participants and helpers were

then gathered in Theatre A, Chow Yei Ching Building, The University of Hong Kong to listen a

talk with topic ‘SUstainable & Responsible Engineering (SURE)’. Finally, an admission Q&A

section was held. In this function, participants learnt more about EEE and its career prospect

through this function.

Event details:

Information Day for Undergraduate Admission 2010 was held by the University to introduce the

undergraduate admission of the University and each curriculum provided by different

departments to the visitors. Visitors were mainly JUPAS applicants, non-JUPAS applicants,

secondary school students and their parents. A booth was set at the Haking Wong Podium, 4/F

Haking Wong Building, The University of Hong Kong, showing the information and career

prospects of the curricula provided by the Department. Program briefings and discussion

sessions were also held by the Department.

Invited by the Department, the Executive Committee recruited student ambassadors to welcome

the public and to introduce the Curricula. Student ambassadors also shared their University life

with the visitors and some of them guided the laboratory tours for those visitors who were

interested in EEE.

4. Prospect

As time goes by, the term of office of the Association of the Session 2010 – 2011 is finally

coming to an end. Flashing back to the previous year, we have organized various activities and

provided different kinds of welfare to the Members, achieving what we promised a year before.

Although we organized less function this year, we still receive generous and unlimited support from the

Department of Electrical and Electronic Engineering of The University of Hong Kong, Members and past

Executive Committee of the Association. Therefore, we would like to take this opportunity to express our

thanks to above parties. The culture of unity and support is an important treasure of the Association and

we hope it can be sustained in the coming session.

In the past two years, the Association suffered from decreasing number of Members. Yet, we see

the number of undergraduate student from the Department has increased since common

admission system was adopted by the Faculty. In the coming year, we hope the cabinet of next

session can continue to promote EEE, the Department and the Association to year 1 students of

the Faculty in next academic year and to the public.

Fortunately, we can see the proposed cabinet of the Association of next session successfully

elected in the Annual Election. We can see that they are willing to devote themselves to the

Association and eager to serve Members. We believe they will work hard to achieve the aims and strive

for the best of the Association. Last but not least, I wish the elected cabinet of the Association will

have a fruitful and memorable year, and Members love and enjoy
