The American Association of Orthopaedic Executives (AAOE) is an organization dedicated to providing education and resources to orthopaedic practice executives and their staff members. Our vision is to set the standard for knowledge and insight as it relates to orthopaedic practice management while fostering credibility that is universally recognized. As the American Association of Orthopaedic Executives (AAOE) finishes its 42nd year, I am proud of what the Board of Directors, staff, and volunteerism from the 92 members who have served on the various councils, committees, and task forces has been able to accomplish. With a strong governance structure in place, AAOE’s leadership set out to strengthen the core business functions, while advancing vision of cultivating the knowledge and insight to improve the practice of Orthopedics and related ancillary services. Some of this past year’s highlights include:
1. Enhanced benchmarking survey participation from 1,620 participating physicians to 3,605 physicians and an increase of 50 participating practices. This significant increase highlights the continued collaboration between AAOE and the Orthopedic Forum to enhance the compatibility and scope of data being collected, and ongoing efforts to increase the ease and efficiency of submitting the data.
2. Value added membership outreach through our new program to increase more practice management participation. This program has been extremely positive and is having unforeseen results of generating additional practice management staff expertise and increased participation by physicians joining our webinars, online services, and conference attendance. We intend to review and study this growing segment in 2015. 3. Concurrently, the AAOE volunteer leadership and staff:
• Updated over 80% of the membership profiles in 10 key areas further enriching the AAOE member database• Researched and launched a new member touch program• Developed a mentor/mentee handbook to enhance the ALPS program• Increased number of mentoring ALPS pairs from 5 to 22 pairs, and launched an enhanced ALPS program to improve the mentor/mentee relationship with a six touch point schedule• Increased our weekly newsletter reach from 1,300 to 2,000 subscribers with a 10% increase in subscriber opens and click-throughs to review content
4. The 2014 Annual Conference Committee had great success in researching and launching several new programming venues to make the conference a better experience for our members, including new guest agendas, a first time on-site bookstore, and membership recognition of leadership and years of service. In response to membership input, the 2015 Annual Conference Committee has been working to update and enhance the Chicago experience with increased education sessions, a tighter conference schedule, and added pre-conference educational sessions – based on member survey participation.

5. The Education Council researched, tested, and launched ORTHOEd, a new member certificate program with eight topic tracks. This program allows members to demonstrate their proficiency for continued professional development and the opportunity for staff to increase skillsets.
6. With the strong leadership of the Advocacy Council, AAOE has made great strides in becoming a potential lobbyist and strong partner alongside the efforts of AAOS and the Orthopedic Forum. More importantly, the Advocacy Council has managed and organized our membership base with the improved communications and sophistication necessary for effective lobbying.
7. In addition, the Board of Directors spent time reviewing the documentation of Board performance with the following policies and procedures:
• Revamped the Board of Directors manual• Implemented a new Board of Directors Orientation Training Program• Wrote a survey with scoring grid for a Board self-assessment• Researched and wrote a CEO Succession Plan• Researched and wrote a Business Continuity Plan• Researched and wrote a Disaster Manual for the Annual Conference• Researched and wrote an Operations Manual
Currently, the Board of Directors is also planning for a major strategic planning retreat prior to the Chicago AAOE Conference, inviting over 90 member volunteers from all the various
councils, committees, task forces, and AAOE staff to ensure we have set the course for AAOE with member participation and support.
As you have read, it has been a busy year for all of the leadership volunteers, our Executive Director, Addy Kujawa, and dedicated AAOE staff. Everyone has put in a significant amount of time and effort to strengthen and improve the association’s capabilities and improve
member benefits to ensure growth and success in the future.

Membership ReportWritten by Sam Santschi, JD, AAOE Membership Council Chair
2014 saw Membership totals rise slightly versus 2013, and totals are increasing moving into January, 2015 to nearly 1500 as a result of the MGI contract, which began in the 4th quarter of 2014. We anticipate a continued spike in Membership throughout the year as a result of MGI and we also are very pleased with the Group Membership benefit, which allows discounts to larger practices. This benefit helps cement or tie those organizations to AAOE for the future in addition to the individuals who join. This will bolster our retention efforts going forward. The Membership Council and your Board of Directors believes membership growth to be paramount to the success of AAOE.
Categories of Membership Active Members Active Members must have an interest in orthopaedic or musculoskeletal practice management and/or orthopaedic surgeons/physicians currently or in the past; and/or desire to become an orthopaedic practice executive. Examples of an orthopaedic practice would be academic, multispecialty, single specialty, hospital or health system owned. Active Members shall have the right to vote at general meetings, may serve on AAOE committees, and may serve on the Board of Directors. Group/Practice Membership Practice Membership is a companywide membership that gives named employees AAOE login credentials and the benefits of an individual Active Member. Practice Members must be an employee of an orthopaedic practice. Examples of an orthopaedic practice would be academic, multispecialty, single specialty, hospital or health system owned. Practice Members at manager level or above shall have the right to vote at general meetings and may serve on AAOE committees, and may serve on the Board of Directors.

The e-Toolkits provide links to articles, podcasts, websites, videos and webinars. The first e-Toolkits focused on Financial Management and Human Resources. Additional e-Toolkits will be added on a regular basis. Legislative and Regulatory Update e-Newsletter Current legislation information affecting orthopaedics. The AAOE list serve is a real-time members-only networking tool where members can ask questions and receive responses from their peers on what you’re dealing with right now. For members that participate, it is the top ranked resource from AAOE. AAOE Leaders in Practice Success (ALPS) Program. The ALPS Program unites experienced executives (Mentors) with new ones (Apprentices). Mentors provide guidance and insight to assist the Apprentice in their personal and professional growth, development and education. Annual Conference ReportWritten by Karen Sollar, CMPE, AAOE Board Member-at-Large
For those members who attended the 2014 AAOE Annual Conference, they are well prepared to manage the industry landscape and better positioned to implement the ongoing industry changes impacting their groups. The Annual Conference held in Washington D.C. had more than 600 attendees and over 150 vendors that offered solutions to help support and manage orthopaedic practices. The 2014 conference was the beginning of several changes to the educational program, networking sessions, and general sessions. The two additional tracks, coding and regulatory compliance, rounded out the 4-day conference and incorporated specific content that focused on billing and coding. These new tracks were successful in capturing new members and attendees. The networking sessions were structured to be topic specific and allowed attendees to participate in networking in those areas that were of interest to them. Since networking is one of the top benefits of membership, there were ample opportunities to meet and mingle with members throughout the conference. In addition to keynote speaker Jonathan Bush, a new general session format referred to as flash points, focused on hot topics relevant topics in today’s practice environment. These fifteen minute flash points were delivered by three of the top speakers from previous conferences. Expanded versions of the flash point topics were also included as one hour break-out sessions in the program to give the attendees more detailed information on the respective topics. The keynote sessions were rounded out with a panel of political figureheads that represented differing perspectives on Obama Care, Exchange Coverage, accessibility and affordability. This was followed by an active Q&A session where the members posed challenging and stimulating questions to the panel, resulting in a lively discussion. The social events once again proved to be the best avenue to meet new members and get reacquainted with old friends. From the opening event at the Newseum to sports day in the Exhibit Hall followed by beer tasting with the vendors, there was a buzz in the air and for a brief time, a lighter side to healthcare. Although the 2014 AAOE conference is behind us, the knowledge that was gleaned, the solutions that were identified, and the awards that recognized member contribution and our dedicated members will continue be the foundation to build from, for the 2015 conference in Chicago. It was an honor to serve as the conference chair and work closely with a committee of colleagues that were instrumental in fine tuning the details and putting the finishing touches on a record breaking conference. If you were unable to attend the 2014 conference you do not want to miss the 2015 Annual Conference in Chicago on April 25-28!

It has been my pleasure and honor to serve the AAOE as its Treasurer over the past year. It has been an exciting year with the renegotiation of our contract with Somerset CPA’s under the leadership of Mike McCaslin, CPA. Somerset provides the AAOE with space and Human Resource support. Also, we have endeavored to restructure our policies with regards to the management of our reserve funds.
According to the Accounting and Financial Policies and Procedures Manual for the AAOE, it is the policy of the AAOE to maintain a Short Term Investment Fund, consisting of our Merrill Lynch Money Market and Mutual Fund investments, equal to 12 months of the AAOE’s annual unrestricted operating expenses. This goal and expectation is
consistent with the goals of other comparable national organizations and assures the stability of our organization through unforeseen events or
circumstances. Also, it allows our organization the latitude to take on special projects. One example of such an endeavor during 2014 includes our membership drive coordinated through Marketing General Inc. (MGI). The expenses associated with this membership drive would not have been possible without our reserves or the outstanding efforts of our management team. Reviewing the revenue and expenses for the AAOE, the AAOE management team under the leadership of Addy Kujawa, CAE and the many AAOE member volunteers did a remarkable job staying within the projected budget for fiscal year 2014. Due mostly to a very successful conference in Washington DC and additional revenues related to our educational endeavors, our total revenue for the year finished $72,347 over budget. It is significant to report that we finished within $33,683 of our budget given our use of $30,095 in cash reserves to establish our membership campaign. Furthermore, our Short Term Investment Funds have grown a modest 5.9% over the course of 2014 and is within the expected parameters given our selected risk stratification. Looking ahead to 2015, I am optimistic that the success of the AAOE will continue to grow as our campaign with MGI further increases our membership.

Government Affairs ReportWritten by Paul Bruning, DHA, ATC, LAT, AAOE Advocacy Council Chair
The Advocacy Council (AC) has been very active during 2014. The AC improved the infrastructure of the council with the addition of Bradley Coffey as the Government Affairs Coordinator. Bradley has added a great deal of capabilities, depth, and even become registered as a lobbyist with the House of Representatives and the Senate on behalf of the AAOE.
Several new or improved membership benefits have come from the AC in 2014. One of the most noticeable changes is the new Legislative Action
Center on the AAOE website (orthoactivist.com). The OrthoActivist is a presence on twitter, on the internet, and provides members with daily information on occurrences within the federal and state governments.
The former Legislative and Regulatory Update Newsletter has changed its appearance and been upgraded as the OrthoActivist, tying together
government affairs activities within the AAOE. The newsletter is a monthly member benefit and Twitter information occurs daily. Another member benefit is the addition of “Coffey Talk from the Hill” which is a weekly update on various regulatory and legislative events. While the roll out of the AC listserv had a few bumps, a listserv dedicated to regulatory and legislative questions and concerns provides another avenue for the AAOE membership to interact with leadership, AC members, and peer members.
Other activities of the AC included Letters written to legislative and regulatory members of government, and position statements:
• Medicare Physician Fee Schedule for CY 2014 Interim Hip and Knee Replacement RVU’s• Meaningful Use Stage II Requirements Comment Letter• Request for Information on Specialty Requirements Comment Letter• Meaningful Use State III Delay Comment Letter• Durable Medical Equipment “Specialized Training” Comment Letter• 2015 Revisions to Physician Fee Schedule• Response to Senate Committee on Finance Request for Information on Healthcare Data Collection
• In-Office Ancillary Services Exception (IOAS)• Medicare Sustainable Growth Rate Repeal• These letters resulted in comments from legislative and regulatory staff, including specific comments in the final CMS ruling on DME in regard to the AAOE response. AAOE has also met with the AARP in regard to the AARP’s support of APTA’s stance against IOAS. This meeting went very well with AARP agreeing to review and listen to further comments regarding IOAS with emphasis on PT.

The AAOE was recognized and awarded with the Indiana Society of Association Executives’ Star Award for excellence in government affairs in 2014. The AAOE was invited to the annual AAOS Advocacy Committee meeting in Washington, DC. At that meeting the AAOS indicated their willingness to continue to partner and work more closely with the AAOE. The AAOS also asked that the AAOE work in tandem with the OrthoForum on advocacy related issues. The AAOE AC will actively seek out opportunities and coordinate efforts with both the AAOS and OrthoForum.
The AC is a very active group with subcommittees meeting regularly every month:• Legislative• Regulatory• Newsletter• State Societies
These subcommittee chairs and each member of the AC are volunteering their time and talents to the AAOE and the association is proud and thankful for each of their involvement.
The AAOE AC is continuing to monitor legislative and regulatory initiatives on behalf of the AAOE membership. Three primary areas of concern are:
• In-Office Ancillary Services• Metrics for Outcomes (PQRS, Meaningful Use, etc..)• SGR repeal
If anyone is interested in joining the AC, membership is not limited as there are always legislative and regulatory items occurring. Finally, if any AAOE member is interested in participating in an ad hoc task force on recommending orthopedic specific outcomes measures please contact Bradley Coffey at the AAOE office. It is an honor and I am truly thankful to work on behalf of the AAOE membership and endeavor to improve the practice of orthopedics with the amazing group of individuals on this council.

A LOOK AHEAD

Each year I wonder how we can be better, do better, and deliver more to our members, our vendor partners, and the orthopaedic community at large. I wonder if we haven’t reached the end of the line for new programs, new approaches, new benefits, new revenue sources, new speakers, new topics and fresh ideas and perspective in general.
Well, I am thrilled and proud to say that your Board of Directors, Council and Committee members, and staff dug in and delivered on all counts!
If you missed the tremendous list of successes for AAOE in 2014, be sure to read through the President’s Report from Don Schreiner where
he talks about not just the focus on membership, member benefits, and education, but also the foundational focus including operations, disaster,
business continuity, and board manuals as well as a CEO succession plan and board orientation program. The focus on both aspects of AAOE’s growth is paramount to an association’s future success.
The Marketing General, Inc. (MGI) membership campaign has been an important step in AAOE’s quest to serve more staff in orthopaedics. We’ve learned a lot about the potential growth of AAOE, additional types of practices to target, and what those outside of our membership are interesting in learning from you, our current members and leaders in the orthopaedic industry. With the addition of a dedicated full-time staff person to Advocacy, AAOE’s program has seen explosive growth in a very short time. As you can see from the Government Affairs report we have been able to accomplish so much more than ever before.
The American Association of Orthopaedic Executives is the only organization solely focused on the education, enrichment, and support of orthopaedic practice executives. Because of this, member satisfaction is of the utmost importance. Your feedback is the strongest, most valuable asset which allows us to grow and move forward. I want to hear from you!
