Welcome to AIESEC Leiden-Den Haag! Dear student, Great that you are considering a board position within AIESEC Leiden-Den Haag! Since 1948 more than 1 million students have chosen to fulfill a board position within the largest international student organization in the world; AIESEC! By means of this information booklet we will provide you with the big picture of this organization, and what this organization could provide you. Worldwide there are more than 90.000 students from 124 different countries working for AIESEC. This is a huge network that you can connect with. Besides the diversity, AIESEC Leiden offers much more. International contact, professionalism and personal development are main topics within an AIESEC board year, both full-time and part-time. What your AIESEC experience will be precisely is for you to decide. Do you want to work in a close team, learn how to build a good strategy, have contact with multinational organizations or do you want to go to a national or international conference? These are among the possibilities and are only a small part of all experiences you will have during an AIESEC board year. Who are we? AIESEC is the international platform for young people to explore and develop their leadership

potential. We develop responsible, global-minded leaders that can face the challenges of today’s and

tomorrow’s world.

Why join the board of AIESEC Leiden-Den Haag? A sparkling year full of surprises is what you can expect when you choose to fulfill a board position

within AIESEC! At our local office in Leiden, we work in a team of 18 motivated and ambitious

students in four different teams. Each of the teams has a different focus, but we are all working

together towards the same goals.

On a daily basis, we run our processes, we talk to students, to companies, we write strategy, we talk

to the network, we send and receive students to and from all around the world, we organize events

and of course, we have a lot of fun. In AIESEC, we work hard and we play hard. Our four pillars

explain what AIESEC can offer you.

Structure of AIESEC Globally AIESEC exists of 3 levels.

AIESEC international is the global umbrella of the organization, it

consists of 22 people coming from different nationalities, mostly

after a long AIESEC career in their own country.

The 125 AIESEC countries have a national board, a Member

Committee. The MC of the Netherlands consists of 6 fulltime

members who are responsible for coordinating and supporting

the Local Committees of the Netherlands.

In the Netherlands AIESEC is located in 11 university cities: Amsterdam, Groningen, Delft, Leiden, Maastricht, Nijmegen, Rotterdam, Twente, Tilburg, Utrecht and Wageningen.

Structure of AIESEC Leiden-Den Haag Our local office in Leiden exists of 18 motivated and ambitious students, divided in four different

teams. Every team has a different focus, but we are all working together towards the same goals.

The Executive Board is the fulltime board of AIESEC Leiden-Den Haag, consisting of 4 people. The

Local Committee President and the Vice-President Finance form together the ‘Head Office’. The four

coordinators each lead a team. The teams consist out of 6 to 8 part time board members. Part time

members work ± 15 hrs. P/week and each position has a clear job description.

National and International level

National involvement National conferences

During these multiple-day conferences (organized twice a year) all the AIESEC board members in the Netherlands gather together to get to know each other and to share experiences. These days consist of trainings and strategic sessions, where we’re all discussing the short and long term strategic direction of AIESEC the Netherlands. And most of all, it is all about fun and getting to know new people!

Convents & Reception Weekends

Every six weeks, the fulltime boards

(EBs) gather for convents in one of

our eleven cities. We discuss

progress and strategies in our

functional areas and align our

operations nationally. Following

convents, we organize Reception

Weekends. These two-day events

bring together (full and part time)

members of AIESEC the Netherlands and our international trainees, for a weekend full of

bonding and fun!

International Conferences Every year AIESEC worldwide organizes more than 350 international conferences! Every member of AIESEC is able to attend these amazing conferences. The special thing about such a conference is that you are able to interact with hundreds of students from all over the world.

Nearly every conference is about personal development and about leadership. It is a unique experience to learn more about other cultures and countries together with students who do the same work for AIESEC but in a completely different country and reality. Next to that it is really amazing to meet so many people to build up a great international network. LC Leiden-Den Haag went, for example, to Porto, Portugal last year.

Executive Board (EB) – Available full-time positions As a fulltime board member, you will be part of the Executive Board (EB). The EB of AIESEC Leiden-

The Executive Board consists of:

The central focus within a board year in AIESEC is self-development, especially for an EB

position. You will participate in several trainings aimed at full-time board members of

AIESEC. These trainings will be organized both on a local as on a national level. Team

management, strategy, self-development and coaching are examples of these trainings.

Furthermore, you will bond particularly strongly together as EB and this will also accelerate

your personal development. No one will know you better on a professional (and personal)

level than your fellow EB members. You will go on an international conference together,

attend many EB activities and trainings, and work together for most of your time throughout

the week. These things make an EB position so special; it is both the ultimate personal

challenge and great fun at the same time!

Local Committee President (LCP)

The Local Committee President has the final responsibility over all the operations and

performance of the Local Committee. As an LCP you are managing the Executive Board on a

daily basis and you ensure that, from a supportive role, you are there to improve the

performance of all the teams in the Local Committee. As president, you are naturally

responsible for the strategy and planning of all the operations on a local level and the

alignment of these plans with the national and global AIESEC agenda.

Together with your colleague LCP’s in all the other AIESEC cities in the Netherlands, you translate and improve the national strategy towards your Executive Board. Within the board, the president is the one that leads every meeting, prepares and plans activities ahead, keeps the overview of the ‘bigger picture’ and coaches the Vice Presidents in their personal development and team performance. Within the Local Committee, you chair the Local Committee Meeting, are the primary contact person for all information that comes from the national level to the local level, and take the lead in organizing local events. As president, you are also responsible for the personal and professional development of the members of AIESEC Leiden-Den Haag. A significant part of the job is the management of the human resources in the Local Committee; recruitment, trainings, coaching, and human resource allocation are important responsibility areas of the LCP. The president is the face of AIESEC Leiden-Den Haag towards external relations This accounts for the contact with other Local Committees, the national board (MC), and other AIESEC countries during international conferences. Furthermore, you will also visit many companies and organizations in-house, you will have contact with other study/student associations and you are the primary contact person for students that approach AIESEC. Finally, as LCP you form the ‘Head-Office’ with the VP FERIT. Together you discuss the performance of the Local Committee, track the Executive Board’s performance, and make decisions about the direction in which the Local Committee, the Executive Board and the Head-Office itself should be heading. The last seven months as LCP (Local Committee President) has been an absolutely blast. I have had the privilege to experience, learn and develop in a way which I have never had the chance before at university. The enthusiasm you get from your members, the international and national conferences, and the opportunity to lead and push an organization forward are priceless experiences. One of the highlights of my year was EuroCo, the international conference for LCP's . I realized that all 250 AIESECers with 40 different nationalities at that conference were working towards one goal: creating cultural

understanding through exchange and developing the new leaders of the future by having the most amazing board year. I realized that I am indeed part of the largest student organization in the world and I was, and still am, proud to be an AIESECer.

- Ryan Dowling – Local Committee President 2014/2015 -

Local Committee Vice President Finance & External Relations (LCVP FERIT) The Local Committee Vice-President Finance, External Relations & IT has the sole and main responsibility over all the financial processes within AIESEC Leiden-Den Haag. This means that you are controlling and registering the transactions of your Local Committee on a daily basis, making budgets, funding the teams, tracking the financial results, etc. As LCVP FERIT you have a lot of influence in the decision-making, because many decisions go along with spending money and since you are the only one that really understands the financial condition of your Local Committee, you have a big vote when deciding. However, since you make the decision with your whole Executive Board, it is your duty to communicate the financial conditions as clearly as possible. As LCVP FERIT you are responsible for the contact and interaction with the Local Advisory Council (Lokale Advies Raad; LAR). This board exists out of people who are in senior management positions in companies active in Leiden, which means that they have a lot of experience in operational and strategic areas. The LCVP FERIT schedules meetings with the Board as a whole and goes on individual meetings with the Advisory Board members for advice and performance tracking of the Local Committee. Together with your colleague LCVP FERITs from the other AIESEC cities you work on a national level, developing all the AIESEC cities and thus AIESEC the Netherlands as a whole on a professional level. Through different national meetings you decide which problems should be tackled and how to do that. Creating a customer relation system, improving your accounting-system and writing take-over manuals for different financial processes are some of the projects that have been worked on in the past. Finally, as LCVP FERIT you form the ‘Head-Office’ with the Local Committee President. Together you discuss the performance of the Local Committee, track the Executive Board’s performance, and make decisions about the direction in which the Local Committee, the Executive Board and the Head-Office itself should be heading.

As the Vice-President FERIT (Finance, External Relations

& IT) it is my task to safe keep the financial health of

AIESEC Leiden-The Hague and maintain a strong

connection with our most important stakeholder: the

Local Advisory Board. Discussing partnerships and

chairing meetings with managers from companies like

Nationale nederlanden, Achmea and Rabobank was a

truly remarkable experience which I can use to reach

my professional goals. Because of the versatility of my

function I not only discovered what my strengths and weaknesses are, but it also gave me the

opportunity to develop them. An experience that will stay with me for the rest of my life!

Thomas Benard - Vice President FInance, External Relations & IT - 2014-2015-

Main responsibilities:

Responsible for tracking other teams on their budget

Vice President Incoming Exchange (VP ICX) The Vice President Incoming Exchange has the final responsibility over all the operations and performance of the Incoming Exchange (ICX) team. You are managing your team on a daily basis, ensuring that you reach the targets that your team has set. As VP ICX you are end responsible for finding companies that are willing to place an international intern in their company. Together with your team, you write your strategy for your term and you ensure that this strategy is executed on a national level, you cooperate extensively with your colleagues from the other AIESEC cities. Together, you tackle important issues, solve difficult problems and find innovative solutions to bring ICX the Netherlands to a higher level. You will think pro-actively and in terms of solutions, not in terms of problems. As Vice President Incoming Exchange one of your most important tasks and challenges is developing the members of your team. You have to ensure, together with the other members of the Executive Board, that a year in AIESEC is worthwhile for them. This means that both on the social and the professional level you are responsible for their development throughout the year. At the end of their term in the Incoming Exchange team, they have to have lived an AIESEC Experience, and you are there to guide them through it. Lastly, since your main priority is finding suitable internships in the area of Leiden and the Hague and find high quality interns to match these spots with, you have the final responsibility over the people that you and your team welcome to Leiden. This means that you get to know a lot of different and interesting cultures and will learn to deal with a variety of people and any issues they may have. You are the main responsible for the life changing experience these AIESEC interns are living. I’m the Vice-President of the Incoming Exchange team and I’m responsible

for meeting new companies who’d like to have a student of AIESEC from

outside the Netherlands. To achieve this we, as the incoming exchange

team, call companies, go on appointments and visit network events. The last

9 months have been truly amazing! Getting the opportunity to lead a team

of six people and working together to achieve our goals was a new

experience for me and I like every part of it. Working together with so many

motivated and enthusiastic people within AIESEC is so much fun and gives

me a lot of energy. I have to say that I regret the fact that I only have three

months left until our term will end. I can definitely recommend a fulltime or

part-time board year for everyone who wants to develop him/his self and

make this year the best you’ve ever had!

Vice President Outgoing Exchange (VP OGX) The Vice President Outgoing Exchange has the final responsibility over all the operations and performance of the Outgoing Exchange Team, which consists of 6 part time members. As a VPOGX you are managing the OGX Team on a daily basis and you ensure that, from a supportive role, you are there to improve the performance of all the team members of the OGX team. As a Vice President, you are naturally responsible for the strategy and planning of all operations on a local level and the alignment of these plans with the national and global OGX strategy agenda. Together with your colleague VPOGX’s in all the other AIESEC cities in the Netherlands, you translate and improve the national strategy towards your OGX Team. Within the OGX Team, the Vice President is the one that leads every meeting, prepares and plans activities ahead, keeps the overview of the ‘bigger picture’ and coaches the members in their personal development and team performance. As VPOGX, you are responsible for servicing the student body at the University of Leiden with the opportunities that AIESEC has to offer. You provide international experiences, leadership opportunities and professional development by sending students from Leiden all over the world on international internships. You are also responsible for the personal and professional development of the members of the OGX Team and a significant part of the job is the management of the human resources in the OGX Team. Finally, as VPOGX an important aspect of your function is also to be a part of the Executive Board and to mutually lead the entire Local Committee Leiden-Den Haag. Furthermore you are responsible for external relations. This accounts for the contact with the VPOGX’s of the other AIESEC cities in the Netherlands, the national board (MCVPOGX), and other AIESEC countries during international conferences. Furthermore, you will also visit many companies and organizations in-house, you will have contact with other study/student associations and you are the primary contact person for students that approach AIESEC concerning OGX activities. Only a couple of months left before I leave this fantastic organization

as the Vice President Outgoing Exchange Team. It's my responsibility

to send as much students abroad during my term for a volunteer

project or professional internship. In this year I learned how to coach,

track and motivate a team. I wrote strategies and implemented them,

organized marketing campaigns and had contact with dozens of

NGO’s and Local AIESEC Committees abroad. And above all,

being part of AIESEC is fun! We work hard and play even harder. This year I developed myself

professionally and personally and I wouldn't have wanted to do this in any other organization!

- Michelle Koomen – Vice President Outgoing Exchange 2014/2015 -

Vice President NOUR (VP NOUR) The Nour Project is a national program, which enables students from all Dutch universities to do a summer project in the Arab world. The mission of the Nour Project is to challenge prejudices and increase mutual understanding between the Western and Arabic culture. One of the unique parts of this project is the learning program; an extensive preparation period before the summer. Also, afterwards the students will share their experiences through presentations, blogs, and experience stories. As the Vice President Nour Project you are responsible for coordinating, organizing and realizing the project. Responsibilities

making of marketing material and the railshows Final responsible for the coordinating of communication with other LC’s in the

IMPORTANT for the fulltime positions Though your function officially starts the 1st of July, the take-over will start mid-May. Take-overs are

very important within AIESEC, because we want to prepare you as good as possible for your new job.

Your predecessor has a lot of experience and knowledge that should be transferred to you in a

proper way.

Before you start, you will get the opportunity to select the team you will work with for a whole year!

In May there will be several national events, one for you and your team and one national congress

for only EB’ers. During this national congress you will be introduced to your new colleagues from

other cities, and you’ll learn more about your function.

In June you will have meetings with external parties and ‘work along days’ with your predecessor. Off

course we are quite flexible, but in May and June you have to be available.

Local Committee (LC) – Part-time positions At our local office in Leiden we work with motivated and ambitious students in 3 different teams. On

a daily basis, we run our processes, we talk to students, to companies, we write strategy, we talk to

the network, we send and receive students to and from all around the world, we organize events and

of course, we have a lot of fun. In AIESEC, we work hard and we play hard!

General Job Description

As a part time board member, you will spend an average of 15 hours a week within AIESEC: this

includes working with your team or function, but also working with AIESEC in general and assisting

the other teams. This means that you will spend more or less 15 hours a week on your team and

AIESEC. You will be working 1/3 of your time for your team, 1/3 of your time on function specific

tasks and 1/3 of your time for AIESEC in general.

To give an idea of what this means a short overview is provided below.

Attendance at LC Meetings, Drinks and Activities Tuesday evening is AIESEC evening. At 21.00h the Local Committee Meeting starts, afterwards we

always have drinks each Tuesday. Furthermore, you also have to be present at LC activities such as

kick-off weekends. These activities are important to determine the objectives of AIESEC Leiden-Den

Haag and laying the foundation for your term and passing it on to your successors. To keep AIESEC

Leiden-Den Haag sustainable and to improve the overall quality, we need the entire LC.

National and International Conferences We will promote the opportunity of going to national and international conferences in the LC, so if you get the chance to join, do so! Events of Other Teams For you and for the rest of the LC, it is nice if you attend as many activities as possible of other teams. Therefore most of the times you and your team will try to help out other teams in order to make each event or activity a big success. This way team activities become AIESEC Leiden-Den Haag activities.

Trainings AIESEC is about development of professional skills. During the year you regularly receive professional trainings.

Take Over After your AIESEC year you are going to hand over your position and tasks to your successor. In order

to keep growing and improving every year, we really need the whole LC to transfer all the knowledge

as good as possible. This is essential for a good start of the next year and for the continuity of AIESEC.

Available part time positions per team

Incoming Exchange team As a member of the ICX team you are responsible for the incoming exchange program. Together with both your coordinator and the other ICX team members it is your responsibility to create as many quality internship opportunities as possible in Leiden and surrounding areas. In addition, you are responsible for receiving and supporting foreign interns who come to Leiden for an internship. Main responsibilities:

Acquiring quality traineeships in Leiden and surrounding areas

Searching for suitable candidates for these traineeships by contacting abroad AIESEC offices and searching an online database

Keeping close contact with the companies that wish to receive foreign trainees

Arranging formalities to ensure that a foreign trainee can come to the Netherlands

Organizing social activities for AIESEC trainees in Leiden Being part of the ICX team offers you a two sided glance of being an AIESEC’er. On the one hand you get to implement your commercial skills when getting in contact with companies and convincing them an international intern is of added value to their company; you will get accustomed to the professional environment, with keywords like network events, business cards and suits. On the other hand you will get in touch with the international aspects of AIESEC because you are responsible for the reception of the foreign interns.

As Accountmanager in the Incoming Exchange Team I am responsible for matching a company with a suitable trainee, and arranging everything from the moment the company employs them until the moment they leave. This means that you have a lot of contact with international students, as well as professional contact with companies. It is a great way to get to know people from different cultures and being able to show them our culture: on top of that, the professional experience which you gain by the interaction with companies is very valuable. I would say that as a student there’s no better way to develop yourself on a personal

Outgoing Exchange team As a member of the OGX team you are responsible for the outgoing exchange program. Together with both your coordinator and the other OGX team members you select, support and prepare students who wish to go abroad with AIESEC. Main responsibilities:

Setting up and executing an effective marketing plan to promote the AIESEC brand and recruit students for international internships

Selecting suitable students for the programs and executing the interviews

Coach students who go abroad with AIESEC by guiding, supporting and preparing them for their internship

Organizing a preparation or reintegration seminar for the students going abroad or that have been abroad

Keeping contact with AIESEC offices abroad and students that have been sent abroad The best part of being member of the OGX team is being able to guide a person in going abroad and to realize you have made this happen. Also, you will learn how to select suitable students and it will be a challenge to continuously find an appropriate internship for these students. Furthermore, you get the opportunity to contact people from Kenya, India, Finland, Ghana, Peru or any other of the 125 countries in which AIESEC is situated. In January I joined AIESEC and it has been a spectacular ride ever since. I was assigned the position Marketing Manager in the OGX team (Outgoing Exchange). AIESEC gave me the space and freedom to set up a new promotion stunt. At first, the idea of having such a huge responsibility made me rather anxious. Fortunately AIESEC has always

been very supportive and gave me the guidance I needed. I think this is what a board position is all about. Stepping out of your comfort zone is scary and unfamiliar, but you'll forget any of that when you realize how many opportunities it will allow you to explore. As a GIP (Global Internship Program) Manager I am part of the Outgoing Exchange Team of AIESEC Leiden and responsible for the internship program within AIESEC Leiden. For the past seven months my job was to support people finding the perfect internship abroad. My tasks mainly consisted of contacting my GIP colleagues from all over the world. Helping people finding and preparing for a live changing experience was one of the most satisfying things I did last year! Next to that I find myself surrounded by the most awesome group of people whom I probably never would have met if it wasn't for AIESEC Leiden!

NOUR The Nour project is one of the four national programmes of AIESEC the Netherlands. The project aims

at bridging the gap between the Arab and Western world by sending 30 students from all

Dutch universities to do a summer project in the Arab world. The unique part of this project

is that the students will be prepared intensively before going abroad. While abroad they

challenge their prejudices about the Arab world; the results will be presented during the

Reintegration Programme.

Main responsibilities:

External Relations Manager

Role: The External Relations Manager is responsible for the financial sustainability of the

Nour Project. It is an extremely important function within Nour, to maintain the relationship

with the current Head Sponsor and find other financial resources as well.
