Field Grabber
Field Grabber is a new tool that allows you to create a report by selecting fields
across multiple pages in ADP Workforce Now (example: Personal Profile,
Employment Profile)
You can create a report without leaving the page(s) you are working on and you
now have visibility to the source of data fields

Field Grabber – Getting Started
To start building your report:
1. Select the Field Grabber icon located in lower right corner of screen, we’ll built our sample report
today from the People > Personal Information > Personal Profile page
2. Click on the green icon to enable Field Grabber

Field Grabber Continued 3. Click + (add) next to the fields you would like to include. For our report today we'll pick Payroll Name and Position ID
from Personal Profile page
4. Next we'll navigate to People > Employment > Employment Profile and select Hire Date, Worker Category, and
Annual Salary

5. When done, it is optional to click on Preview Data
Note: Preview will display sample data without any filters or sorting applied
6. Select Done to continue

7. Click on Create Report
8. Once you have clicked on Create Report you will be transitioned
to a new screen for setting up a new report. The fields are already
selected. Just enter a Report Title and click on Select Fields

9. Click Save and Run. Note: changes can be made to the report on this page if necessary

10. You can make changes to the default runtime settings. Otherwise, just click Run

11. You now have your report output. You can perform other functions such as Grouping & Sorting the
data, Exporting the data, or Share the template with others!

How to Create your reports As we continue with today’s demonstration, you will note that at times we will navigate to the
Advanced Reporting tool to showcase advanced functions like complex Filters and Derived
Fields

Using Filters in Custom Reporting
When creating a custom report, by default, ALL records will be returned from the file sources you are
utilizing
Filter options allow you to exclude records from appearing in your report
Common Filter requests include:
Show only Active employees
Show only employees in a certain Department
Show only employees who are Enrolled in a particular benefit
Show only Pay Statement information for a single date or range of dates
Show only employees who had a specific earnings code for a date range. An example would
be showing only employees who received a bonus or commissions

Filter Example
1. Let’s start by creating a simple report named “Active Employees” showing Position ID, Payroll
Name, and Positions Status
2. After your fields are selected, click on the Filters button to restrict the records to be returned

3. Select the field or pick a field you wish to filter on, for our report let’s select Position
Status (Employment Profile)
4. Select Active clicking on the +
5. Next click Apply

6. Click Save + Run, note the filter selected is shown within the filter bar

Reporting Filter FAQ’s
Q - When including more than one filter in the report, what is the implied operator, And / OR ?
A – The basic rule is OR between different values of the same field and AND between different fields
Q – Can I filter on a field that isn't included on a report?
A – Yes, you can filter on any filed in the Reporting catalog
Q – What if I have a complex filter that I cannot complete in the Reporting tool?
A – No need to start over, you can easily transition to Advanced Filtering from the filter screen

and select Position Status (Employment Profile)

3. Now we need to select an Operator, for our report we'll choose Equal To since we only want to see
Active Employees
4. Once you have selected the operator, enter the value or select from the list (preferred if available)

Advanced Reporting Complex Filter Example
Using operator combinations of AND/OR is acceptable. Parenthetic statements may also be required.
This example would show employees who were Active as of the end of calendar year 2017.

Coded Fields – What are they?
Coded fields is a function that allows you to add a separate column to a report for fields that have
specific codes attached (i.e. deductions, earnings, hours, accumulators, timecard pay codes, etc)
Since every client is unique in their setup of these codes, coded fields are needed in order to identify
them. Your company specific codes can be found in Workforce Now under Setup > Validation Tables

Coded Fields – Adding to a report
Coded fields will be identified in reporting by the symbol
Examples of coded field names are:
Additional Earnings (Pay Statements)
Additional Hours (Pay Statements)
Other Deduction Amount (Pay Statements)
Amount-To-Date (To Date Accumulators)
Payroll Hours (as Numeric Timecard)
Allowed, Taken, Balance (To Date Accumulators or Time Off Transaction Summary)

1. Enter a name for the coded field
(i.e. Vacation Earnings)
2. Click on the + next to the code
or codes you wish to select
3. Click on Save

If your report requires advanced tools, you can also create Coded Fields in Advance Reporting
There are a few ways to add a coded field:
1. The first way to add a coded field is by clicking on Calculated Fields on Step 2
2. Then select Create Coded Fields

Here select the appropriate field name
from the correct File, for example
choose Additional Earnings from the
Pay Statement file to view coded
earnings from an employee’s pay stub

An alternate way to add coded fields in Advanced Reporting is by searching for the field by name on
Step 2 and double clicking on the field
Additionally you can select the field and click on the right arrow to move it to the Selected Fields

If you selected to save your coded fields to the Library you can now select this coded field on any
additional report on Step 2 under Coded Fields > Additional Earnings

Reports > Fields Library

Derived Field – What is it?
If you do not see the exact field you need to use in your report in the available fields list in Step 2 of the
report wizard, you can create a new field based (or derived) on another field. Derived fields can be
Numeric, Dates or Character Strings.
Modifications you can make to create a derived field include the following:
Pulling a section of a character or string field
Concatenating fields together into a single field
Performing mathematical functions on both numeric and date fields
Performing conditional logic on fields

You can extract the last four digits of the Business Phone field to create a phone extension list
You can project a three-percent pay increase for employees based on their current annual salaries
You can extract the month and day of the Birth Date field to create a birthday listing
You can calculate an employee's vacation balance by subtracting the employee's taken vacation time from the employee's allowed
vacation time

Derived Fields – How to begin
On Step 2 of the report wizard select the ‘Calculated Fields’ option. Then choose ‘Create Derived Fields’.

Derived Fields – Types of
Under the Field Type menu you will have an option to add a derived field type as Date, String, Numeric or Time. An option
is also available to Create a new conditional field

Select the menu Create In to save the derived field to the current report only or save to the Fields Library to be able to
re-use the derived field again on another report
Library options include saving it as Private to just your library or making it public for other practitioners to use. As a public
derived field other practitioners can use the derived field but not modify or delete it

1. Select Field Type as Date
2. Enter a Name for your derived field: Length of Service
3. Select your Create In option
4. Select From and choose Field

5. Under From type in Hire Date in the field search and select Hire Date (Employment Profile)
6. Under To select Variable
7. Then Report run date if you wish to see this as the current date
