OGT Steps

1. Open Ops Manager in GTIMS.

2. Under the Other Tools in the Toolbox, select ARMS Requirements Tracker.

3. The Parameters popup will appear. Select your organization and select all crew positions. Under Options, check View a Historical Cycle and input the year and cycle concerned. Do not check Include Go/No Go Status.

4. Click on Create Pending NMR Letters once the ARMS Requirements Tracker loads.

5. Select the McConnell AFB, both KC-135 platforms, and highlight your organization, then click OK.

Squadron DOT’s

6. Back in Ops Manager, select NMR Letter under Other Tools.

6. You will receive these messages:

” Select “OK”.

7. NMR Letter Creation….

Squadron Training Offices (DOT) are responsible for: - Creation, verification, and recommend for approval of all pending NMR letters created in GTIMS -In the event pending NMR letters do not populate correctly you will be notified by OGT and will need to create individual NMR letters to each individual in GTIMS

Step 1. To get to the NMR Module-- Go to “Ops Manager”, scroll down to “Other Tools”, and Select --NMR Letter

Step 2. The NMR Letter popup will appear. Click the “Find Letters by Unit” tab. - Select: Organization, and appropriate Cycle Year, Cycle End, and Status (State) – “Pending”. - Click: Find.

Note: You cannot select a cycle end date that is in the future.

Step 3. The “Pending” NMR letter candidates will now populate. Select: All of the candidates that you wish to be in your group letter – Click: Open.

Note: All NMR Letters are assigned by individual and must be individually reviewed before the group letter can be signed. You must ensure that all data displayed is verified.

Step 4. All of the selected NMR candidates will appear in a tabulated format (See above image) Review the tasks listed for accuracy. If any changes are required, “Select Edit” and make appropriate changes.

To add requirements as needed using the “Add” button in the lower right hand corner. a. You can only do this while the letter is in “PENDING” status … b. You only “Uncheck“ the “Only Show Not Prior Complete” when you are building from

scratch or you want to add in items that the Commander deems necessary. c. You can SELECT MULTIPLE ITEMS by holding the CTRL KEY when selecting an item d. Press OK when done.

Remember to always save your work!!

If an Audit Comment is required, please enter explanation so that the next person may understand.

Audit your work!! Check the items that are displayed for their relevance, and “# Rem” for accuracy.

**Here is where you make any adjustments to items on the letter and their requirements….

This is your LAST CHANCE to change anything; You will not be able to make changes once the letter has progressed beyond the “Pending Status.”

Check….

** If the item needs adjustment…Highlight and Select Edit to make appropriate changes.

-In the event pending NMR letters do not populate correctly you will be notified by OGT and will need to create individual NMR letters for each individual in GTIMS

To do this, type in the name of the individual you wish to create an NMR Letter for under the “Find/Create letter” tab, along with organization. Then click “Find”. Select the Individual and click “Add Letter”.

To Add requirements, use the same process as disucssed above in Step 4.

Follow the above processes for all the individual tabs saving your work.

Once this is completed and verified; Close each candidates file…

Step 5. When ALL of the candidates are ready for Group Letter generation… • Enter the NMR module • Go To “Find Letters By Unit”

o Confirm: Organization, “Cycle Year”, “Cycle End”, and “State = Pending” o Select/Highlight the candidates that you want for this letter

• Select “Manage Status”

Step 6. The Manage State popup will appear, click “Recommend Approval” or “Reject Letter”

The Recommend Letter Approval popup will appear. o Insert Audit Comments in plain English, then click OK.

Close the NMR Module…

Once all pending NMR letters have been verified and recommended for approval by DOTs in GTIMS, the Sq/CC can now generate and sign the group letter following the steps below… Step 7. Open a new instance of the NMR Letter and “Find Letters by Unit”

o Confirm: Organization, “Cycle Year”, “Cycle End”, and “State” = Recommend Approval” Select All the candidates that you’re recommending and Select “Manage Status”.

The Recommend Approval popup will appear. o Select All the candidates that you’re recommending and Select “Approve Letter”

After selecting “Approve Letter” this popup will appear, Select OK.

Woo Hoo!!! You will now see your “Draft” Group NMR Letter….

Once you close the draft; the CC/DO the opportunity to sign the letter.

ALL Done !!!!

Reference Material… Step 5 and 6 must be accomplished at each level of the process to ensure

NMR Letter creation.

Recommended Steps: o Training Office: Creation, Validation (Pending State) o Stan Eval/Training Office: Review (Recommend Letter Approval) o Commander/Dir. Ops: Approve/Reject Letter

I. Finding letters after creation…

To PRINT a signed letter, letters filed by their “Approval Date”. o Confirm: Organization, “Cycle Year”, “Cycle End”, and Select “Find” o Highlight a date until you find the one you are looking for.

- Select “Open Signed Letter” for signed letter - Select “Open Dynamic View” for the Draft/Working copy -

Once the NMR letter is approved, it will show up on both the ARMS Requirements Tracker and Go/No-Go Status until cleared.

To sign off completed of NMR events as an instructor or DOT:

o Select: The PDF icon in either the ARMS Requirement Tracker or GoNoGo Status. This will take you to the area for signoff. Edit the item and Save.

Currencies: Hover over an item and refer to the legend within the ARMS Requirement Tracker for easy reference. You may also refer to the “Currency Report” in the Reports section (GTIMS Browser – GTIMS Reports) to view currencies that will become overdue at a certain date.

Once all beans have been signed off by an instructor, the complete column will have the check boxes checked for all items. Now it is time to close out the NMR letter and return the individual to mission ready status. Click the Manage Status button.

ARMS Requirement Tracker Go No Go Status

In the Manage State, Click: Recommend Closeout.

Note: If you try to recommend close-out prior to all events being completed, the system will not allow it and it will give you the following error.

Fill out the Recommend Letter Closeout audit comments, then click OK.

The status of the NMR Letter will now read Status – Recommend Closeout.

The CC or DO will now need to click the Manage Status button and approve the closeout to remove the NMR status.

You are done! The ARMS Requirements Tracker and Go/No-Go Status will have the NMR status removed.
