Overview
What is IDT Scheduler?
A web based IDT reschedule system that allows reserve component members to request drill period
modifications that align with their needs in the event of scheduling conflicts.
Why move to an online system?
To improve efficiency, execution, oversight, and payment accuracy and timeliness of drills performed
outside of normally scheduled drill periods.
Is this change necessary?
Change of longstanding business practices may be uncomfortable; however technological capabilities
are now available that can and will greatly improve work processes when utilized. As users become
familiar with the system, sustained improvement is anticipated.
What are some of the benefits of IDT Scheduler?
Implements structure and consistency in the IDT reschedule process.
Enables support staff to prepare necessary documentation in advance of drill execution.
Initiate and expedite payments within or before established time frames.
Conforms with DON policy regarding use of DoD email accounts for official business.
Allows IDT reschedule request via a secure CAC enabled web site from home.
Automates notification of Approved/Rejected/Modified status via email or SMS messaging.
Builds individual member profiles to manage and track drill performance history.
Reduce or eliminate lost or wasted communication.
What are some potential downsides of IDT Scheduler?
Limited user access to CAC enable computers.
Email alert notifications send only to DoD email accounts by default.

Accessing IDT Scheduler Online
Navigate to the Navy Reserve Homeport: https://www.navyreserve.navy.mil/Pages/default.aspx Sign In (1) at the upper right hand corner. You must select your DoD Email Certificate to prevent the browser from timing out.

Select IDT Scheduler under the Lists column
Your list database view may show as being empty depending on your permissions level settings, once a request is submitting it will show as Pending.

Creating a Reschedule request
Under the Lists Tools ribbon select “Items” then New Item, Submit IDT Reschedule Request. Add new item will always display at the bottom of the database list as an alternate to generate the request.

Creating a Reschedule request
Complete the request by populating all mandatory fields (*) and then selecting: 1) The original drill date(s) you wish to reschedule. If only requesting one period/day only fill the top half of the request with First Drill Date (1) and corresponding fields. Leave Second Drill Date (2) and subsequent optional cells empty. 2) Indicate if you are requesting only one drill period or an entire day (1 drill period = 4 hours). 3) Use the calendar function to choose your new date(s). 4) Save (3) to finalize the request or Cancel (3) to delete or start over. Each new IDT reschedule request allows for the reschedule of one complete drill weekend. To reschedule additional originally scheduled drill dates you must initiate a new request. Attaching Items
Sometimes it may be necessary to attach supporting file documents to substantiate you request or verify off-site IDT performance for payment purposes. You may attach files using the Attach File feature and then browse your computer to retrieve documents.

Managing Email Notification Alerts
You can initiate email alert notifications with the Alert Me function to receive status updates as your IDT reschedule request is modified, approved, or rejected by your chain of command hierarchy of approvers. Alert notifications are optional.
Browse for your name in the Users (1) function When Someone else changes an item created by me (2) is the ONLY recommended option.

Managing Email Notification Alerts

An email alert will be sent to your DoD email account only. Personal email and SMS text alerts are not available at this time. By clicking the appropriate link (1), the IDT request will open in a direct link without the need to navigate the Navy Reserve HomePort site. The email generated is not currently calibrated to list fields sequentially as they are listed on the request form, a solution will be pursued to fix this issue. However the Approval Status (2) and Last Modified (3) are important features of the alert. This notifies the user of who approved/rejected the request and when. Justification will be provided in the Approver Comments (4) field. Users may choose to keep email notifications for future reference.

View Pending Requests
Your IDT Reschedule request will default to a pending status until Approved or Rejected by a Unit Approver.
Your IDT Reschedule will move into the Approved or Rejected by a Unit Approver.

Editing IDT Requests
You may edit your request to adjust dates, attach items, delete the request etc. by using the Edit Item function. Your original request will populate the browser and can then be modified. Unit Approvers may also edit your request.

Unit Approver Actions
Access your unit member ’s request and Approve/Reject the item.

Expand the unit to view Approved/Rejected/Pending request.
