Who approves changes to an existing programme? Some programme changes must be approved by the relevant University Board while other programme changes may be made within Schools in consultation with or with the approval of the relevant Programme/Graduate Board. You may contact [email protected] at any point for clarification and advice. Timelines for University Board approval: For undergraduate programmes, in order to meet CAO deadlines, it is necessary for certain programme change proposals to be submitted at least 18 months prior to the implementation of such changes to these programmes (e.g. change to entry requirements). In a given academic session, there are four submission dates (cycles) for programme change proposals, two in the autumn semester and two in the spring semester – see information here for further details. Support in making your changes – Where you would like to make changes to an existing programme, information and support, including information on whether your proposed change needs University Board approval, is available on slides 2/3. University Board Approval – In the first instance your proposal, as per the completed Form B, must be reviewed and approved by your Programme/Graduate Board. Derogation approval for a programme change

۰ In certain circumstances, changes in total overall credits for programme, major or stage, change in total overall elective credits (undergraduate only), change to progression requirements or transfer arrangements or change to calculation of Honours for degree award may require approval as a derogation from Academic Regulations.

۰ Further information on derogations can be obtained from Academic Secretariat ([email protected]) and the application form for programme derogation approval is Form C.2: Programme Derogation Request.

* These programme changes may require a request for derogation from the Academic Regulations. Please ensure you are familiar with the type of derogations that may be applicable to these programme changes. † In instances where an inter-institutional exchange or collaboration is being introduced to an existing programme, Appendix A.4: Collaborative Programme Supplement (available at http://www.ucd.ie/registry/academicsecretariat/progsn.htm) must also be completed and submitted together with Form B.

In instances where the proposed programme change includes 1/ an increase/decrease in projected student numbers/fee rate/total fee income, 2/ additional teaching resources, 3/ additional support resources (e.g. additional space and particular teaching requirements including lecture theatre, clinical rooms, lab space, library space and holdings (including the purchase of new e-journals, etc.)), Appendix B.1: Financial Impact & Academic Structure must also be completed and is available at the link below.

There are a number of changes to programmes, majors, minors and modules that do not require approval by the University Undergraduate Programmes Board (UUPB) or the University Graduate Programmes Board (UGPB) before they can be implemented. Such changes, which may be undertaken within Schools in consultation with the relevant Programme/Graduate Board, include the following:

Module Changes:۰ Creation of new modules۰ Change in titles for existing modules۰ De-activating modules

Programme Structure changes:۰ Replacement of modules۰ Change in ratio of core:option۰ Change in descriptive text informing students about module choices۰ Introduction of full-time or part-time option for existing programme, or online delivery of programme (i.e. change in mode of delivery)۰ Creation of a stream (or streams) within a major (i.e. structuring optional module choices) 

FOCUS ON: PROGRAMME REPORTS TO THE DEPARTMENT OF EDUCATION AND SCIENCE

On an annual basis, UCD must report its programme offerings to the Department of Education and Science. Academic Secretariat is responsible for communicating this information to the Department. While the introduction of full-time or part-time options for existing programmes, or change in the mode of delivery, do not need University Board approval, all such changes must be communicated to Academic Secretariat to ensure the accuracy of this report (it is important to note that this report informs decisions around student visas). This information is normally communicated by your Programme School Liaison to Academic Secretariat.
