Why should my organization participate?

Utilize KY Gives on #GivingTuesday to launch or boost your organization’s online fundraising efforts. Data consistently shows continued growth in online giving.

Media efforts to promote KY Gives will drive Kentuckians from all across the Commonwealth to the kygives.org site. To take advantage of this giving event, your organization will want to be sure your page on the site tells your unique story.

KY Gives allows nonprofits of all sizes to reach thousands of new potential donors through the search function on kygives.org. The event provides outstanding visibility that only a statewide effort of this magnitude could generate. The audience is now global because of our new #GivingTuesday event date.

Raising $1 online typically costs 8 cents, as opposed to 20 cents for grant proposal writing or up to $1.25 to acquire donors through direct mail.

Fun and compelling giving opportunities can engage new givers and inspire current givers to donate more!

We can participate in #GivingTuesday in others ways – why KY Gives? Nonprofits can participate in #GivingTuesday as part of other campaigns or simply on their own without an online platform. Registering for KY Gives on #GivingTuesday is a special opportunity because:

Nonprofits registered to participate will be searchable on kygives.org – the website where traffic is being driven from radio and TV spots broadcast all across Kentucky. This is an important tool for reaching new donors.

Nonprofits registered to participate are eligible for prizes specific to KY Gives – Over $16,000 in prizes will be awarded to nonprofits registered to participate in KY Gives, including prizes for most dollars raised and lots of “Golden Ticket” prizes throughout the day. Your nonprofit will also be eligible for #GivingTuesday prize incentives from our platform host, Razoo.

How much does it cost to participate? Participation is FREE for current members of Kentucky Nonprofit Network. Organizations who are not members may pay a $250 one-time registration fee to participate. KNN members will need to enter their members-only code at the time of registration (contact KNN if you have not yet received your code).

What if our organization is not a KNN member? Nonprofits interested in joining KNN to take advantage of this FREE member benefit may become a member online at the time of registration. KNN membership dues are set on a sliding fee scale based on an organization’s annual operating budget. If you have any questions about KNN membership or this and other benefits that exist to strengthen your nonprofit and advance our sector, please visit kynonprofits.org or [email protected]. If you choose not to join KNN at this time, your nonprofit may pay a one-time $250 registration fee to participate in KY Gives 2015 (payment due at the time of registration).

What is the last day I can register my organization to participate in KY Gives on #GivingTuesday? The deadline for registration to be guaranteed inclusion in KY Gives is Monday, November 2, 2015.

How much of the donation will go to our organization? It is the Razoo Foundation’s normal practice to retain 6.9% plus $0.30 per transaction to cover credit card processing, customer service, online platform maintenance and event management. NEW this year, donors have the option to cover these fees during the checkout process, allowing 100% of the advised donation to go toward the nonprofit. 100% of the donation will be tax-deductible for the donor, as is applicable by law. Charities will receive all donations, less this 6.9% plus $0.30 processing fee, within 30 days of the Kentucky Gives event. Charities will have immediate and ongoing access to donor information for acknowledgement and download.

Can more than one person claim administrative access on our organization’s page? Yes! It is possible for more than one person to claim administrative access so they may change and edit the organization's KY Gives Day page. To do this each person must complete the same process as the original administrator and be verified by Razoo. Every person who has claimed administrative access will receive e-mails about updates to their page.

How can our nonprofit be most successful with the KY Gives on #GivingTuesday?

Register to participate and make your organization’s page sparkle! Edit your organization’s page on the KY Gives site – add photos and/or a video to help tell your story.

Use KY Gives and #GivingTuesday marketing tools and resources. KNN has created an online toolkit to help your organization succeed. Because KY Gives is being held on #GivingTuesday, your nonprofit has access to even more amazing resources! KNN will be emailing participants regular information about resources and opportunities to prepare.

Engage supporters. Engage your staff, board, volunteers and community to donate to your charity on December 1. Encourage these friends to encourage their friends – utilize email and social media. Check out our tips in the Nonprofit Toolkit.

Find a match and offer a matching grant. Any nonprofit can list and promote a matching grant. You will want to set the matching grant total, the effective dates and list who is providing the match.

Create lasting donor relationships. Use the online toolkit to create relationships with your new and existing KY Gives donors beyond December 1, 2015. KY Gives is just the beginning!

Does a nonprofit that receives grants from Razoo Foundation need to issue tax receipts to its donors for kygives.org donations?

Donations made through kygives.org will receive an email receipt from Razoo Foundation. However, nonprofits should also promptly send an acknowledgement (not a receipt) to donors letting them know how much you appreciate their gift. This is also the most important opportunity to begin or continue donor relationship building and cultivation. If ever needed, Razoo's Customer Support Team can issue duplicate receipts for all donations made through kygives.org. Donors should email [email protected] with their full name, date of donation, designated nonprofit, and donation amount. How can we access information about our KY Gives donors? Nonprofits have real time access to all donor information (unless the donor makes the gift anonymously). You can download the data for merger into your own donor database.

This checklist will guide you through planning a successful giving day campaign. It will take 15-30 hours of staff time for your organization to prepare well and following this plan will help you effectively use that time and make it worth the investment.

Mark Your Calendar Mark all calendars with December 1, 2015 and start a project plan schedule. Select a staff member or volunteer as point person with strong leadership and organizational skills who

can commit to the entire campaign timeline and process. Establish success metrics that include more than winning prizes. For example, treat the giving day as a

capacity building exercise; use it to highlight a program, or to cultivate new donors. Develop and build a communication plan around clear goals.

If you are not currently using social media as a marketing tool, start now! Social media enables you to reach and engage with people across channels and starts the peer-to-peer word of mouth campaign. In addition, Facebook is one of the top traffic sources to online giving days. Information on guides and resources for successful use of Twitter and Facebook will be shared with participants.

Getting Started Click the “register” button on the kygives.org page.

*Note: If your nonprofit is not listed on Razoo, please e-mail [email protected] or fax 866-322-1722 a copy of your EIN issuance letter from the IRS, and the IRS letter declaring your public charity status under section 501(c)3.

Register to attend/participate in training opportunities that will walk you through creating, sharing, and utilizing your page. Kentucky Nonprofit Network will regularly share resources available with nonprofits registered to participate.

Once approval of your administrative access request is received (approximately 1-2 business days after you apply, you will receive an email from [email protected] notifying you that you have been granted administrative access), log-in to your account and click “My Organization” on the right side of the website’s header.

Now/As Early As Possible Focus on building your email list and social media friends and followers. KNN will share tips with

participants. Approach corporations, local businesses, board members and major donors who are strong supporters

of your organization to provide a matching grant incentive. Secure big gifts up front from your regular donors to give on KY Gives to start your momentum

early. Your donors might be used to giving at a particular time of year, so you’ll want them to put the day on their calendar now and be ready to give. Explain why giving on December 1 matters and how their donation specifically on that date can make an exponential impact.

Take advantage of the resources shared regularly by KNN, including How-To’s for email communications,

press outreach, social media and more! Decide on your goals (dollars, number of donors, and what that means for your organization) and

communicate. Promote the event in your newsletter, enewsletter, emails and on your website. Be clear that December

1 is THE day to give in Kentucky. Update your e-mail signature to include a “coming soon” announcement with the date of the giving day.

Encourage supporters to ‘like’ KY Gives on Facebook (www.facebook.com/kygives) and Twitter (www.twitter.com/kygives). Social media presence will be a major traffic-driver, so start conversations now and provide information that your followers can spread across their networks.

Start telling engaging stories on your nonprofit’s blog. Interview volunteers and beneficiaries of the work of your nonprofit. Post the videos on your Razoo page and nonprofit’s blog. Giving is an emotional activity and stories help people engage and see how they can play a part in making a difference.

Consider hosting and begin to plan an offline event during KY Gives. This can be a simple open-house at your office or meet up at a local coffee shop or restaurant. Print out half sheets with a QR code to your nonprofit’s page so people can give in person on their smart phone at your event.

Use tools in the Nonprofit Toolkit and those shared regularly by KNN.

1 Month Before KY Gives on #Giving Tuesday Personally call or email your most generous and loyal donors to remind them about KY Gives and your

need for their support in funds and promotion. Find your organization’s “super fans,” highly connected and socially active members of your network,

and encourage them to help push out your messaging around KY Gives as personal fundraisers (share language with them!).

Add the KY Gives logo to your website and hyperlink it with the unique URL for your profile. Also include in enewsletters, email blasts and social media posts.

Set up matching gifts on your profile and use the asset to motivate donors to give on December 1 in Kentucky to increase the impact of their gifts.

Prepare promotional materials – print mailings, draft and schedule emails, hang flyers, etc. Update your Facebook status with a link to the KY Gives landing page: http://www.kygives.org. Encourage your staff and volunteers to do one-on-one outreach to their friends and networks. Word-

of-mouth is crucial –most people donate because they are asked by a friend or family. Consider doing a countdown on Facebook and Twitter by posting a new image each day. If donors will be away on 12/1/15, they can give in advance and it will still count for KY Gives. Send

them a link to your nonprofit’s page on the KY Gives brand and have them click to donate. They will enter their donation information, the gift will be processed at that time and will count as part of KY Gives.

Prepare communication pieces you plan to send during KY Gives. Leave open spots for real-time information, but creating a template ahead of time will give you more time to think and be clear about what you are saying in the midst of a busy day.

A Few Days Before KY Gives on #Giving Tuesday

Send out email reminders to supporters and ask them to spread the word throughout their circles of influence. Many build on the concept of #GivingTuesday (Thanksgiving, Black Friday, Small Business Saturday, Cyber Monday and then, #GivingTuesday).

Post 2-3 times a day on your social media channels. Don’t just ask for money, but stir up excitement by pointing out why your nonprofit is worth investing in on KY Gives.

Continue posting stories on you blog, social media and Razoo page. Help people understand the unique way your nonprofit is equipped to serve the community. Show them how you make a difference in their neighborhood and how their donation enables you to do even more.

KY Gives on #Giving Tuesday! Send at least three timely e-mails throughout the day. Include specific actions of what they can do,

(ex: donate now, like your nonprofit page on Facebook, tell 5 friends to donate, tweet a link to our nonprofit page, etc.).

Update them on fundraising progress.

Remind them of your overall goal.

Provide a reason for them to give again, like the challenge grant, prizes, or golden ticket awards

Let them know if any prizes have been won Utilize Facebook and Twitter to:

A matching gift from a corporation or major donor(s) is a great way to boost your fundraising success with KY Gives on #GivingTuesday! A KY Gives matching gift is when a funder will match a certain amount of money raised online on December 1, 2015, on the condition that the same amount also be raised in online donations that day. A matching gift can help you double your dollars raised – donors responding to KNN surveys after previous KY Gives events note that they are more motivated to give if they know their donation will have twice the impact! Below are some tips for securing a matching gift:

Check in with board members to brainstorm a list of potential local corporations, businesses or individuals who are friends of your organization and would be a good match prospect. Don’t forget the board – sometimes the board will come together to provide your match!

Consider tying the match to a specific use for the money. Matching gifts work really well on projects where you are raising money toward something that is tangible and visible (ex: a new piece of equipment, renovation of facilities). Donors tend to respond to matches if they can see that their donation is actually carrying more value.

Market your matching gift – this is the key to your success! Spread the word to donors and supporters by publicizing your matching gift both before and on KY Gives. Put the information on your website, printed materials, in your e-communications and on social media.

Don’t forget to utilize the press – pitch a story about your organization’s participation in KY Gives and spotlight your match. Focusing on meeting the match can create a buzz around your KY Gives fundraising efforts.

Promote your matching gift on your organization’s KY Gives page. Nonprofits who secure matching funds for KY Gives will be highlighted so donors will have the opportunity to double their dollars.

Remember to mention the match in your donor acknowledgement after KY Gives. This is a great way for your KY Gives donors to feel great about helping you double the dollars raised for your mission, and if your match was provided by a business interested in the visibility, this can be a great way to say thank you.

*Any matching gift(s) is listed and promoted on your organization’s KY Gives Day page and is counted toward the Day’s statewide totals for all dollars raised. Nonprofits are responsible for securing their own matching gift(s), as well as for collecting and acknowledging these gifts. Matching gifts are not processed through the www.kygives.org website unless the matching gift donor makes the matching gift via credit card.

Set a Goal - Commit to a fundraising goal and promote it across your social media channels and encourage your supporters to take action and help you reach that goal. Tell your supporters exactly how donating on December 1 will help your organization achieve its mission in a tangible way (ex: If we raise $500, we can spay/neuter six animals, which prevents thousands of homeless pets!) Post Your Progress - Use social media to update your supporters about your progress throughout the day and post as you hit fundraising milestones throughout the day! Engage Your Supporters - Inspire donors, followers and fans to like, share and RT your messages to raise awareness (Ex.
