A Word About Victoria Yudin from Amber Bell of Training Dynamo Victoria Yudin is a Microsoft Dynamics MVP. If you haven’t visited her website, you are in for a treat! She has

some AMAZING resources! She also has written some great books for implementing Microsoft Dynamics GP!

SmartList Builder. (The only times that I don’t are when I rely on something I have memorized from her site in the

past.)

Copying SQL Views You can download SQL Views from www.victoriayudin.com. You can also work with your Microsoft Dynamics GP

Partner to have them create custom views for your specific reporting needs. Once the views are created, they

can be deployed for your Microsoft Dynamics GP companies by following these steps:

1. Copy ALL lines of the SQL View. (on Victoria Yudin’s site, just copy all the numbered lines. Make sure you

get the bottom line, this updates security to the view):

2. Use Ctrl+C or right-click and copy

3. Open Microsoft SQL. If you do not have access, just send a link to the View you want to load to your

System Administrator or Microsoft Dynamics GP Partner.

Loading SQL Views 1. Open SQL

2. Click on the company database folder.

3. Click New Query

4. Paste the SQL View:

Using SQL Views in SmartList Designer If you do not have security to SmartList Designer, talk to your Microsoft Dynamics GP Partner or System

Administrator. They can add the “ADMIN_SYSTEM_SL06*” task to your security role. They will need to test to see

if you require any other tasks to access the tables you are trying to use and if you require any security changes in

SQL to Publish.

1. Open Microsoft Dynamics GP.

2. Open SmartList (If you don’t have a shortcut in your Toolbar, click: Microsoft Dynamics GP > SmartList)

3. Click on the Folder of the Module for the new report.

4. Click New

5. Type in a “List Name” (Tip: Start the name with an underscore to make it standout and to show that it is

not a Default list. You can also add your initials or “SLD” to the name to show you created it in SmartList

Designer.

6. Confirm that the Product = Microsoft Dynamics GP and that the Series is correct.

7. Scroll down to “Views”. The views from Victoria Yudin will have “view_” at the beginning of the name:

8. If you check the box by the view’s name, all columns will be added in the order shown. You can skip

columns or reorder the columns if you manually select the columns you want to show in the order you

want them to appear.

9. Click Execute Query to preview the results:

11. The SmartList Designer report will not show up until users are granted security.

Granting Access to SmartList Designer Reports By default, only users that are setup as “POWERUSER” will see any new SmartList Designer reports. It is not

recommended to setup any user as a POWERUSER!! Therefore, you will need to follow the instructions below to

enable anyone to see the report created using SmartList Designer.

Step 1: Create Task:

1. Administration>>Setup>>System>>Security Tasks

2. Enter Task ID (This is up to you. I always start with an “*” to flag them as custom tasks. Below I used:

“*SLD_AP REPORTS”)

3. Enter Task Name (This is up to you. I always start with an “*” to flag them as custom tasks. Below I used:

“*SLD_AP REPORTS”)

4. Select the Category (Example: If it is only SLD reports for Payables, choose Purchasing).

5. Product: SmartList

6. Type: SmartList Object

7. Series: SmartList Object

8. Check the box next to the reports you want to grant access to.

Step 2: Create New Role

Tip: If you want to assign to a “Pre-Defined Role”, it is recommended that you create a New Role that is a copy

of the pre-defined role.

1. Administration>>Setup>>System>>Security Roles.

2. Enter a new Role ID.

3. Click “Copy”.

4. Select role you want to copy.

5. Click Select

6. Click OK

7. Edit the Role Name (Example below: *AP Clerk – With SmartList Designer Reports)

9. Check the box next to the new “Task” you created:

10. Open User Security and assign the new role to the users that you want to give access to the report.

Uncheck the box by the old role if it is not needed.

Publishing SmartList Designer Reports to “Live” Excel Reports SmartList Designer reports can be published. This creates a custom “Live” Excel Report. Here are some of the

prerequisites to keep in mind:

• Excel Reports and SQL Security for Excel Reports must be done first.

• User needs security to the folder used for Excel Reports.

• SmartList Designer reports can only be published for reports based on SQL Views.

• Click here for more information.

1. Open SmartList

2. Open the SmartList Designer Report

3. Click Publish

Tip: I had included an asterisk in the name to sort this to the top of the list. Because this creates a SQL View, you

cannot have an asterisk so I had to click Modify and change to an underscore. If you do not have permission to

Publish, talk to your Microsoft Dynamics GP Partner or System Administrator.

Accessing SmartList Designer “Excel Reports” via Navigation Lists The reports that you publish will now be listed in the Navigation list for the series:
