Community/public areas are spaces intended for use by either a group of residents (such as suitemates) or by the general population of the hall.

Examples include lobbies, hallways, lounges, recreation rooms, bathrooms, kitchens, elevators, etc.

Coordinators are responsible for investigating any damage reported by maintenance or housekeeping.

Pictures should be taken of damage.If the Coordinator determines the damage is from

vandalism they are responsible for completing the work ticket on line to initiate the repair.

The work ticket must start with the words “Intentional Damage.”

An incident report must be completed and the work ticket number should be reported in the report.

The Coordinator will work with the students and staff in an effort to determine who is responsible.

The Coordinator will post signs describing the damage.

Students will have one week from the time of the posting to provide any germane information.

If a responsible party cannot be identified, the cost to repair the damage is evenly distributed among all students who share the space.

Residents will be charged when the cost to correct the damage is at least $2.00 per resident deemed responsible. For example, if the total cost to repair the damage is $20.00, but 11 students were involved, the students would not be charged because 11 x $2 = $22, which would be the minimum threshold. However, the Coordinator should keep a record of the charges, so if the same students have charges later the first charge can be added.

The Coordinator will send an email to all students being charged telling them the amount of the charge and why they are being charged.

The charges are posted to student accounts by the Assignment area. The Coordinator is responsible for sending information to the Coordinator for Assignments and Assignments staff. Each student’s full name and student ID number must be included in the email.

Excessive housekeeping is any situation requiring housekeeping services that are not considered normal or routine custodial duties.

Coordinators determine if a situation qualifies as an excessive housekeeping occurrence.

Charges can be assessed to individuals or to groups in the same manner as damage charges, as determined by the Coordinator.

Appeals of billing charges incurred during the 2010/2011 academic year must be received by the last business day in July 2011.

Community damage charges at the end of the year are not shown on the room inventory form.

Community charges are billed separately.
