Chapter 1. Before You Start

1 Before You Start

Understanding ResultsPlus Installation There are three components to a ResultsPlus system:

A set of shared files containing things like mail merge letters, templates, and help files. You will install these in a location which will be known as the Primary Directory on your local workstation (in a single-user install) or on a network (in a multi-user network install).

The ResultsPlus program files. You will install these in a location which will be known as the Program Directory on your local workstation (in a single-user install) or on individual workstations (in a multi-user network install).

The database server, which manages all of the ResultsPlus data. You will install this on your local workstation (in a single-user install) or on a network (in a multi-user network install).

In any installation, you need all three components. However, in a single-user install, ResultsPlus takes care of loading both the Primary and Program directories in one step, making things easier.

Overview When you install ResultsPlus, you’ll do the following:

1. Run a Single-User or Network Master install. This will load the shared files and establish the location of your Primary Directory. (In a single-user install, this will also take care of the program files and establish the location of your Program Directory.)

2. Install one of the supported database programs. In a single-user install, you’ll install Microsoft® SQL Server® 2005 Express (which is free!). In network installs, you can choose between Microsoft SQL Server 2005 Express, another supported version of Microsoft SQL Server, or Sybase® SQL Anywhere®.

3. If you’re doing a multi-user network install, install the ResultsPlus program files on individual workstations. You’ll need to install the ResultsPlus program on every workstation from which you want to run ResultsPlus. The location into which you install these files will establish the location of each workstation’s Program Directory.

4. Install your license key.

Installing ResultsPlus 10

Pre-Install Checklist To ensure a successful install process, please do the following before going any further:

Make sure you’ve met the software and hardware requirements for the database you have chosen and the products you will be using. This may include:

o An email client (such as Microsoft Outlook) if you are going to be emailing constituents. o A barcode reader and font if you will be using barcodes on your mailings. o Fax software (if you will be sending faxes to constituents).

Requirements for each of these components are listed in Chapter 2, “Requirements”, starting on page 3.

Make sure you have at least 140 MB of hard drive space or network drive space available to complete the full installation. Additional hard drive space is required for the database, your word processing software (Word or WordPerfect®, and Crystal Reports® (if you install it).

Make sure you have the rights to install software on workstations as an Administrator. You’ll need this right on each workstation because ResultsPlus modifies the registry during installation.

If you’re installing ResultsPlus on a network for multiple users:

o Have a plan for where you will store the shared files (such as mail merge documents). This will become the location of the Primary Directory.

o Depending on which database you’re using, read either “Installing SQL Server” on page 17 or “Installing SQL Anywhere” on page 25.

o Plan to install ResultsPlus on each workstation, after completing the network and database installs.

Be prepared to provide the following information during the actual install:

o The type of installation: Single User, Network Master, or Workstation

o The location (drive letter and path) into which you want to install ResultsPlus. If you are installing a single-user system, Metafile recommends you take the defaults. This will make your install run more smoothly and make problem determination easier.

What’s Next? Once you have installed ResultsPlus, follow the directions in Setting Up ResultsPlus 10: A Guide for System Administrators in your Welcome package. (You will also find this book in PDF format in the integrated help system.)

Chapter 2. Requirements

2 Requirements

Understanding ResultsPlus Databases ResultsPlus runs on three different database platforms: Microsoft SQL Server®, Sybase® SQL Anywhere®, and Microsoft® JET (legacy customers only),

It is your responsibility to install, set up, and configure the database you choose. For information on installing ResultsPlus for a Microsoft SQL Server database, see “Installing SQL Server” on page 16. For information on installing ResultsPlus for a Sybase SQL Anywhere database, see “Installing SQL Anywhere” on page 25. If you are interested in migrating from an existing Microsoft Jet database to one of these SQL databases, contact Metafile Customer Support.

Important! The ResultsPlus database is designed to be opened only from the ResultsPlus application. Do not open your ResultsPlus database from other applications, including Microsoft Access. Doing so may create database corruption problems that neither you nor Metafile can repair.

Database Server Administration Metafile makes every effort to provide up-to-date information on the use of SQL Server and SQL Anywhere with ResultsPlus. However, support for performing database server administration tasks and troubleshooting database server problems is not covered in Annual Software Support. Depending on the needs of your organization you may want to consider one of the following:

Having your ResultsPlus system administrator become certified as a Database Administrator (DBA) for the database you are using.

Using ResultsPlus Extended Support Services for “first tier” database server administration support. This service is charged on an hourly basis. Contact Metafile Customer Support for more information on this option.

Database Server Requirements The database server is the machine on which the database will be stored. (It may or may not be the same machine on which the shared files are stored in the Primary Directory).

Enabling User Access on a Network The network file share for ResultsPlus requires users to have full access to that directory, its subdirectories, and files. Access can be granted per user or per group if the users are members of the same group in Active Directory (and not also a member of a group with opposing security).

Authentication and Microsoft SQL Server ResultsPlus supports both Windows authentication and SQL Server authentication in Microsoft SQL Server. In Windows networking environments, Windows authentication (also known as integrated authentication) is the recommended option. In mixed environments (or multi-domain environments) SQL authentication may be more appropriate, depending on the environment and user access needs.

When using Windows authentication, it is easiest to maintain database security by adding the Active Directory group for the ResultsPlus users to the security, rather than adding each user log on individually. Using an Active Directory group enables administrators to manage the security to both the database and network share from a single point (Active Directory controller).

When implementing Windows authentication, the user will only be prompted for the ResultsPlus username and password.

When implementing SQL Server authentication, the user will be prompted to enter two sets of username/password combinations on the first logon.

Page 12: a guide for IT personnel€¦ · However, support for performing database server administration tasks and troubleshooting database server problems is not covered in Annual Software

After the initial logon, the user will only be prompted to enter his or her ResultsPlus username and password for subsequent logons.

Enabling Mail Merge with Microsoft Word For mail merge to work in a network environment, two things must be done. Both of these things are explicit to the user’s Windows profile (HKCU or ntuser.dat), not the machine’s settings (HKLM).

1. The server with the file share for ResultsPlus must be added to the workstation’s local intranet sites. This can be done via Control Panel - Internet options - Security Tab - Intranet. This sets up a trust relationship that enables mail merge to work from the word processing application (Microsoft Word) on the client to the actual word processing document on the file share.

2. The SQLSecurityCheck registry value must be set for each user’s profile on the workstation from which the user works. This can be done in one of two ways.

a. Follow the steps in the Microsoft KB article 825765, or

b. Run the ResultsPlus tool chest utility to set the registry value. To obtain the password to run the ResultsPlus tool chest utility, contact Metafile Customer Support. The tool chest utility is password protected because it may make registry changes requiring administrator-level security.

7 Installing SQL Anywhere

The following diagram may help you in understanding where and how the various ResultsPlus and SQL Anywhere components are installed.

To install and set up SQL Anywhere 2 Install SQL Anywhere on your server, following the directions that come with the product.

3 Decide whether you are going to keep the default database name of rpwinSQL.db or assign a new database name. This is entirely optional.

4 If you are going to use the default database name:

- Copy the default SQL database and log file which ships with ResultsPlus, rpwinSQL.db, onto your server. This database and log file are in the ResultsPlus installation in a directory named SqlAnywhereDatabase.

If you are going to rename the database:

- Follow the directions in “Renaming the SQL Anywhere Database” on page 27.

- Copy your renamed database and log file onto your server.

- In the remainder of these instructions, whenever you see the database name rpwinSQL.db, substitute your database name.

5 Install the client side of SQL Anywhere on all of the workstations on which you are going to be running ResultsPlus with SQL Anywhere, following the directions that come with SQL Anywhere.

6 Connect the server to the empty database rpwinSQL.db by starting dbsrv9.exe (on Windows) or dbsrv9.nlm (on Novell) with the appropriate database and switches. The server must be connected to the database before a successful connection can be made from the workstation.

To connect to the SQL Anywhere database from user workstations 1 Double-click the ResultsPlus program icon.

The “advanced settings” are defaulted based on the default SQL Anywhere installation. (You can override the defaults, if necessary.)

2 On the logon screen, enter the ResultsPlus User Name and corresponding Password.

3 In the Server Name field, enter the name of the machine on which the database server is installed.

4 Enter the Database name (the default is rpwinsql).

5 Click Log on.

Page 31: a guide for IT personnel€¦ · However, support for performing database server administration tasks and troubleshooting database server problems is not covered in Annual Software

27

Chapter 7. Installing SQL Anywhere

Renaming the SQL Anywhere Database Whether you keep the default name of the empty SQL Anywhere database or rename it is a matter of personal preference.

To rename the empty SQL Anywhere database 1 In the ResultsPlus installation directory, open the SqlDatabase directory and copy the database,

rpwinSQL.db, to the location from which you want to run it. Do not copy the rpwinsql.log file.

2 Rename the file to whatever you wish, but do not change the file extension of .db. Windows Explorer will ask you if you want to rename this read-only file. Click Yes.

3 Start Sybase Central. (Do not connect to any database.)

4 On the Sybase Central menu choose Tools – Adaptive Server Anywhere 9 – Change Log File Information. Sybase Central will start a wizard to change the log file.

5 On the first screen of the wizard, enter the directory and name of the database file, or use the browse button to select it. Then click Next.

6 The next screen will display your new database name but the log file will still be named rpwinsql.log. Click Next.

7 On the next screen choose “Create new or rename existing log file” and enter the path and name, or browse for the path and enter the name.

Note: Metafile recommends that you use the same name for both the SQL Anywhere database and the log file (with extensions of .db and .log). Metafile also recommends that you store both files in the same directory.

8 Click Next. This opens a screen for mirroring the log file. Take all the defaults and click Finish.

9 Close Sybase Central.

When you start the server for your SQL database, you should see that the log file has been renamed. You can also verify the renaming by starting Windows Explorer and looking in the directory in which you stored both the database file and log file.

Configuring the SQL Anywhere Database ResultsPlus is designed to run with the SQL Anywhere defaults. For example, ResultsPlus relies on the following settings:

• The isolation level must be set to “1”. • Empty character fields must be “null” rather than “empty strings”.

Important! Some configuration changes may render the ResultsPlus application unusable or corrupt your database. Before adjusting any of the SQL Anywhere database default settings, please contact Metafile Customer Support.

Chapter 8. Installing Upgrades

8 Installing Upgrades

Upgrading from Version 9.x to 10.0 To ensure a successful upgrade process, please do the following before going any further:

• If you have a version of ResultsPlus earlier than Version 9, please contact Metafile Customer Support about upgrading to Version 10.0.

• Re-read “Requirements” on page 3 to ensure that you have met all of the software and hardware requirements.

• You may need up to 140 MB of hard drive or network space available to complete the full installation of upgrade software.

• Make sure you have enough room on your system to do the database upgrade. This is a separate process that you will run after upgrading the ResultsPlus application. You need two times the size of your database (your .mdf, .db, or .mdb file) to upgrade the database. If your database is 100 MB, then you will need at least 200 MB of free space.

• You must have rights to update your Windows registry to install ResultsPlus.

• Please read and understand each instruction before proceeding. You may be asked to provide the following information during the upgrade:

- The type of installation: Network Master, Workstation Installation, or Single User Installation

- The location (drive letter and path) where you want to install ResultsPlus

• You will be upgrading ResultsPlus in the following order:

1. Installing the new version of ResultsPlus

2. Setting up workstations (unless you are running a single-user installation)

3. Installing the license key

4. Running the Database Upgrade program.

1 Make a backup copy of your database (.mdf, .db, or .mdb) file.

2 Copy any ResultsPlus database files, reports, letters, labels, envelopes, and header files that you have customized into a backup location before you run the installation program so that they are not overwritten. Word processing documents are stored in the resultsplus\RpDocs directory under the appropriate word processor folder. Custom reports should be stored in the resultsplus\Reports\Jet\Custom directory if you are using Microsoft JET or resultsplus\Reports\ODBC\Custom if using SQL Server or SQL Anywhere.

3 Close all applications. No other applications should be running when you install ResultsPlus.

4 If you are installing in a single-user environment: Follow the instructions in “Installing the ResultsPlus Program” on page 9.

32

Installing ResultsPlus 10

The first upgraded workstation to log on to ResultsPlus will receive a message stating that the database needs to be upgraded. To upgrade the database, click the Windows Start button, select Programs, and select ResultsPlus 10.0 from the program files menu. Then select Database Upgrade. The database upgrade only needs to be done once per site. It does not need to be done on each workstation.

Installing the New License Key When you upgrade to a new version of ResultsPlus, you need to authorize your system for the correct number of users and constituent records. To do this, you need a license key. See “Installing the License Key” on page 15.

Upgrading from Microsoft JET to an SQL Database If you are running ResultsPlus on the Microsoft JET database platform and are interested in migrating to an SQL database, contact Metafile Customer Support about converting. (This does not apply to ResultsPlus Online customers who are already using an SQL database.)

Upgrading from a Single-User to a Multiple-User Version of ResultsPlus To upgrade from a single-user version of ResultsPlus to a multiple-user version, you need to install ResultsPlus on a network; run the workstation setup, and move any databases, word processing documents, and custom reports to your network location.

Metafile strongly recommends that you uninstall the current copy of ResultsPlus before installing the new copy to avoid problems with duplicate report files and system files that are stored in the resultsplus directory. This step is included in the following instructions.

To upgrade from single-user to multi-user version of ResultsPlus

1 Make backups of all data files (.mdf or .mdb files) and any custom mail merge and report files that you may be storing in your current (local) resultsplus directory.

2 Open the Windows Start menu, choose Settings (if available), choose Control Panel, then choose Add or Remove Programs.

3 Scroll down to select ResultsPlus and click Remove. This will remove your single-user copy of ResultsPlus.

4 On the machine that you want to use for your file server, following the instructions for installing ResultsPlus on a network that start on page 11.

5 Once you have installed the Network Master, installed and connected your database server, and installed ResultsPlus on workstations, install the License key following the instructions that start on page15.

9 Applying Revisions

From time to time, Metafile will release minor revisions (also known as patches) to ResultsPlus. These consist of fixes and minor product enhancements. You can download these revisions from the Metafile Support Web site to update your copy of ResultsPlus.

How will you know if revisions or updates are available?

To check for updates 1 Click the ResultsPlus application button (in the top left corner of the ResultsPlus screen).

2 Click the Program Settings button.

3 Choose Resources.

4 Click the button that reads Check for updates. ResultsPlus will display a message telling you what the most current version of the product is. (If you want ResultsPlus to do this automatically each time you log on, click the Yes button.)

5 Compare the version of ResultsPlus displayed in the message with the version you are using. This is displayed in the same area on the Program Settings screen – Resources - under Version information. If the version numbers are different, you can apply any available revisions.

Chapter 9. Applying Revisions

Page 38: a guide for IT personnel€¦ · However, support for performing database server administration tasks and troubleshooting database server problems is not covered in Annual Software

34

Installing ResultsPlus 10

To download a revision from the ResultsPlus web site 1 Connect to Metafile’s Support Web site at www.ResultsplusSoftware.com. A quick way to

access Metafile’s Web site is to click the Support page button on the ribbon of the HowTo tab in ResultsPlus 10.0.

2 Click the Login link along the top of the page. You will need your email address and password to log in.

3 If you experience problems logging in or downloading files, this means that your email address is not in our customer database for some reason. If you experience problems in either of these areas, contact Metafile Support by sending an email to [email protected].

4 When you log in to the Support site, you will see a table containing download options similar to the following:

5 In the download table, double-click ResultsPlus Revised Executable (RPREV.msi).

6 Make note of the version of the file you are downloading.

7 Download the Readme file to learn more about the version you are downloading, and the fixes and enhancements it contains.

8 After clicking Download, select either:

• Run this program from its current location. This option will prompt you to install the file in the location you choose.

• Save this program to disk. This option will copy the file to the location you choose on your computer. After you have copied the file (downloaded it), you will need to run it.

9 Download the revision file into the ResultsPlus directory on your network drive or to your local drive if you are a single user.

Page 39: a guide for IT personnel€¦ · However, support for performing database server administration tasks and troubleshooting database server problems is not covered in Annual Software

35

Chapter 9. Applying Revisions

10 In Windows Explorer, go to the directory where the revision (RPREV.msi) was downloaded. Double-click on the program to run it. Follow the instructions on the screen.

11 Log out of the Web site.

After you run the revision program, when someone logs into ResultsPlus from a workstation for the first time, ResultsPlus will display a message on that workstation saying that a new revision was put on the network. ResultsPlus will then prompt the user to install the revision.

Applying Revisions to Workstations Note: The RPREV10.msi program described in this section is used to update workstations for revisions. To

upgrade workstations for a major upgrade or new release, see ”Upgrading Workstations” on page 31.

ResultsPlus has an automatic revision update feature for workstations. Once you download a revision, ResultsPlus workstations will upgrade themselves. This is done with the ResultsPlus revision program, RPREV10.msi.

When you download the revision onto your network, it will update your network copy of the RPREV10.msi program. The next time a user logs into ResultsPlus, ResultsPlus checks the revision program to see if an update is required. If it is, ResultsPlus will display a message to the user saying that an updated version is available and asking if the user wants to install the updated version. If they click Yes, ResultsPlus will update the workstation.

Chapter 10. Updating the Zip Code Database

10 Updating Zip Code Data

ResultsPlus maintains zip code information that enables users of ResultsPlus to enter a zip code and have ResultsPlus fill in the corresponding City, County, and State values. You can also use this information to run a maintenance utility that updates county and state values across the database, based on zip code.

Because the U.S. Postal Service adds or changes zip codes periodically, Metafile makes updates available on the Support web site. When an update is available, there will be an announcement in The Connection (the ResultsPlus customer newsletter available on the How To tab). If you have notifications turned on in your ResultsPlus session, you’ll also see an announcement there. (To turn on notifications, open Program Settings, choose Resources, click Check for updates, then click Yes.)

Updating the zip code information used by ResultsPlus is as easy as downloading the update and importing the data from the Maintenance tab.

To update your zip code data 1 Go to ResultsPlusSoftware.com and open the How To tab.

2 Click login to log into the Support site.

3 Find the Updated Zipcode Data entry in the download table and download it.

4 In ResultsPlus, open the Maintenance tab, then click the Run zip code rules button on the ribbon.

5 Click the Import New Zip Codes button.

6 Confirm that you have a current backup of your database, then click Continue.

7 Navigate to the location where you downloaded the update file.

8 Follow the prompts to complete the procedure.
