Running a Report in SPARRA Online

PC Specification

SPARRA Online is a web-based system so there is no requirement for additional software

or set up in order to run SPARRA Online on your personal computer other than Internet

Explorer (version 6 or later). There is, however, a minimum specification that needs to be

met in order for the system to function correctly. Most computers running Windows XP will

be able to open SPARRA Online however you may have to alter some of your Internet

Explorer settings. If you have any questions about the compatibility of your PC or the

Internet Explorer setting required, please email our helpline on

[email protected] and we can send you a list of PC requirements.

Logging On

1. To access SPARRA Online, open Internet Explorer and type the following URL into the

address bar:

https://www.bi.nhsnss.scot.nhs.uk/

2. Click on the Login link.

3. Enter your username and password and ensure that the Authentication is set to LDAP.

Please ensure that your username and password are kept secure and are for your own personal use only.

Navigating to a Report

1. Once you have logged in, Web Intelligence will launch and will open up Infoview. To

navigate to the SPARRA standard reports firstly click on Document List then:

2. Now select the Standard Reports folder within SPARRA.

3. You will now see the contents of the Standard Reports folder in the Workspace Panel, as shown below. Figure 6

Running a Report

1. The 3 reports of interest are: a. CSV Report for Boards (for Healthboards who disseminate lists). b. CSV Report for CHPs. c. QOF QP006 (for GP practices to run their lists).

2. In this example we will run the QOF QP006, but the same steps and procedures are

used to run any report.

3. The first step is to Open the report. To do this, click on the document name, in this example, QOF QP006.

4. When the document opens (please note that this may take a few moments) a dialogue box will appear which contains a number of prompts. These prompts allow you to filter on the patients in your GP practice and set an upper limit for the SPARRA score (the lower limit is set to 20% by default).

The options are (for the 3 reports above):

5 digit GP Practice code – GPs enter their practice number. (QOF QP006 only)

Maximum Risk Score – This allows you to select an upper risk score for the patients you want to look at. Note that SPARRA Online contains details of patients with a risk score of 20% or higher (QOF QP006 only).

CHP – If you are a NHS Board user you can select patients from any CHP in your NHS Board area (CSV Report for CHPs only).

HB – This allows you to select patients from a particular Healthboard (CSV Report for Boards only).

5. So to search for patients in practice 12097 (use your own practice code) with a maximum risk score of 60:

Enter 12097 in the search line and click on the binocular icon. Figure 8

Click on SPARRA risk score prompt, enter 60 in the search line and click to search (or scroll down and manually select 60). Click on the score and then the right arrow to enter the selection.

You will only see details of patients for the area you have access to in the report

Please note:

It is not possible to run the report until all prompts have been responded to (you will notice that the Run Query button is not activated when you first open the report). A red arrow to the left of a prompt indicates that values have still to be selected for this prompt - this will change to a green tick once the values have been selected.

You may have to click on the Refresh Values symbol in order to display a full list of values available for a prompt. Note that the CHP and GP practice prompts will display a list of all CHPs/GP practices in Scotland; however you will only be able to see data for the NHS Board/CHP/GP practice you have access to.

You can double click on values to select or deselect them instead of using the forward and backward arrow icons.

6. The report runs (this may take a couple of minutes) and opens on the Patient List Page.

To view the data, please click on the relevant report tab. The report contains the following tabs:

General Notes – provides general notes on the data and a description of the contents of each report tab.

Patient List – contains the patient’s SPARRA risk score, provides demographic information, and highlights Long-term Conditions (LTCs) as well as providing information around emergency admissions and additional clinical information.

Notes on Data Fields – provides notes on the specific data items contained in each report.

Saving a Report

1. There are two Save options, both of which are described here. 2. The first is saving the report within Business Objects.

a. First click on Document and then Save as.

b. The Save Document window opens. By default the document retains the same name. You can change or amend the title, description and keywords to suit your own needs.

c. Next, select a folder into which you want to save the document. Note that it must be in the My Folders area as you do not have permission to save to Public Folders. My Folders is your own storage area. In this example we will save it to the Favorites folder, so click on the + to the left of My Folders and then click on the Favourites folder.

d. To complete the save, click OK.

3. The second option for saving is to save the results to Microsoft Excel or PDF (Adobe

Reader). In this example we will save it as an Excel File. a. First click on Document, then Save to my computer as, then on Excel.

b. The File Download window appears – click on the Save option.

c. The Save As window appears – amend the file name as required and select the location to save it to. Once you have made these selections, click on Save.

d. The Download Complete window appears – you can choose to Open your file or Close the window.

e. You can now use this file like any other Microsoft Excel file.

Printing a Report

1. The first step is to click on the printer icon.

3. Adobe Reader Opens – click on the printer icon on the Adobe Reader toolbar.

4. The Print Window opens – you now make your selections and print the document in the

normal way.

Closing the Report and Logging Off

1. To close the report, click on the red or black cross towards the top right of your screen, as

shown below (if the report is opened within the same tab (infoview) in the viewing pane then click on the dark blue cross below logout):

2. Next, click on the Log Out button to Log Off.

3. Finally, click the red or black cross at the top right of your screen to close Internet

Explorer.
