    A report is a communication from someonewho has some information to someone who

    wants to use that information. It is an organized and factual account of the

    work done by a person, group or anorganization

    It contains conclusions along with theprocedure followed for collection andinterpretation of data.

    It is written for some specific purpose.

    Functions of a report.

    A) To communicate ideas or information by describing orrecording.

    B) To Facilitate decision making or to initiate action.

    Types of Report

    1. Oral and Written reports .

    2.Statutory and Non-statutory reports.

    3. Informational and Interpretative reports .4. Informal and Formal reports.

    5. Routine and Special reports .

    6.Business report

    7 Press report.

    Every Report should contain four basic units:

    1.Heading

    2.Introduction

    3.Discussion

    4.Conclusion or recommendations.

    1. Heading: It contains Date, Name of person

    and subject of the report.2.Introduction :It provides the overview of the

    report along with purpose .

    3.Discusssion:The discussion of the reportsummarizes your activity and problem this islargest section of the report.

    4. Conclusion or recommendations :Theconclusion will helps you to sum up or state

    the what decisions you have made regardingthe activities reported. The recommendationsallow you to suggest future action regardingthe problem.

    As desired by you in your letterNo.HFL/30/01,dated December 15th,2007,I

    have investigated the decline in the sales of ourcompany during the last year. I wish to reportas under:

    Findings :

    1)The sales of our readymade shirts have declined from60,000 to 40,000 in 2007.

    2)During the last year there has been a spurt of newbrands of readymade shirts in the market .Highly

    reputed companies like Reliance, Grasim, BombayDying, Raymond, etc.,have introduce readymadeshirts. These companies have made a considerable dentinto our sales.

    3) Our competitors have better marketing distribution networkand advertising system.

    4)These competitors produce shirts with greater variety of designs

    and colures.5) The competition is growing rapidly and one must take

    immediate remedial steps to prevent further decline in sales.

    Recommendations:

    The following steps may be taken to improve our sales:1) We should introduce new designs in plain, strips and checks.

    2) Our packing also needs improvements keeping in view themodern packing systems.

    3) We should undertake a regular advertising campaign on radioand television. At present we have no publicity except anoccasional advertisement in the local news paper.

    4) We should increase the number of our dealersparticularly in the suburbs.
