    Call for Coordinators and Committees 2013-14

    Call for IPSF Coordinator and Committee positions 2013-14

    Coordinators and Committees work under the IPSF Executive Committee and their work is more

    specific to certain activities. These positions require little travelling, but it is strongly recommended to

    attend the 60th

    IPSF World Congress 2014 in Porto, Portugal and that you attend your Committee

    meeting if one is programmed.

    You should be able to work on a daily basis throughout the year in your position and have regular

    internet access. Coordinator positions have different busy times or seasons, but you must be

    reachable throughout your entire term.

    If you are interested in a particular position listed here, you should contact the relevant IPSF Executive

    Committee member (contact below) before the deadline for applications. IPSF is looking for applicants

    for the following positions.

    1. Treasurer portfolio

    Development Fund (DF) Coordinator

    With the supervision of the Treasurer, the DF Coordinator coordinates the DF Committee and is

    responsible with the development of strategies for the promotion of donations and with ensuring the

    proper use of the DF. Therefore, it is essential to understand the aims and objectives of the DF.

    The DF Coordinator manages DF grant application forms, calls for applications, correspondence with

    applicants as well as the review of applications.

    The DF Coordinator must have regular internet access available and be able to read and reply to e-

    mails daily over the periods when the DF applications are submitted and reviewed. The Coordinator

    should preferably be from a developed and high-income country to prevent any conflict of interest with

    possible applicants.

    Development Fund Committee (3 members)

    The main task of the members is to review grant applications for DF congress grants, SEP grant and

    other DF grants. In addition, committee members will assist with promotion of donations.

    You should have a regular internet connection for this position. Time commitment varies depending on

    the time of the year - the period between January and April is the busiest.

    The DF Committee members should preferably come from high income countries to prevent any

    conflict of interest with DF applicants.

    2. Secretariat portfolio

    Constitutional Working Committee (CWC)

    The Constitutional Working Committee assists the Secretary General in reviewing and editing the

    IPSF Official Documents. CWC members should be familiar in general with the Official Documents

    and they should also have a sufficient knowledge of English to be able to edit the Official Documents.

    Furthermore, the Constitutional Working Committee helps the Secretary General to write and prepare

    the minutes of previous General Assembly.

    It is also required that applicants for the CWC have a deep and thorough understanding and

    knowledge of the Federation.

    3. Internal Relations portfolio

    Membership Promotion Committee (MPC)

    The Membership Promotion Committee (MPC) consists of the appointed members, the Regional

    Relations Officers and the Chairperson of Internal Relations.

    The main duties of this group would be to assist the Chairperson of Internal Relations in promoting

    IPSF to non-membership associations and to discuss together better ways of promoting or extending

    IPSF membership to non-membership countries.

    It is also the responsibility of the MPC to contact pharmacy and pharmaceutical students, encourage

    and guide them in the creation student leadership structures where such do not exist.

    Members to this committee should preferably speak a second language other than English. Possibilityto travel to neighbouring countries to preform presentations about IPSF is also advisable.

    Membership Coordinator

    The Membership Coordinator works under the direction of the Chairperson of Internal Relations, and isa co-opted member of the Membership Promotion Committee (MPC). They work fairly independentlyto assist the Chairperson of Internal Relations in directing the work of the MPC.

    Their main responsibility is to manage [email protected] account (to be developedduring the 2013-14 mandate) and field general IPSF questions. A good working knowledge of IPSF isrequired for this position to determine where to field questions regarding regional offices, membershipforms, Student Exchange Programme, internships, and professional events. The workload of thisposition may vary from 2 - 20 hours per week, depending on the time of year. Heavier workloads are

    required during the winter months to field questions about World Congress, Symposia, and theStudent Exchange Programme.

    The Membership Coordinator will also work closely with the Treasurer to process IndividualMembership and Friend of the Federation applications; ideally, this person would be able to developonline forms and expedite the membership application process. They may also verify membership forattendance to events by providing Confirmation Letters required for registration. They will alsomaintain contact databases for Individual Members, Friends of the Federation, Honorary Life

    Members, and Alumni.

    Depending on workload, this position would ideally begin a working Alumni Network for the Federation,with ways to connect our Alumni to IPSF through the years after their departure.

    4. External Relations portfolio

    Corporate Relations Committee

    The Corporate Relations Committee supports the Chairperson of External Relations and the Corporate

    Relations Coordinator in providing the resources for the international management of IPSF. The

    specific duties shall include:

    Keeping continuous contact with existing IPSF corporate partners, and seeking new partnerships;

    Improving the availability and quality of both interns and work sites, in collaboration with the Internship

    Coordinator;Assist the Corporate Relations Coordinator in building tailored sponsorship packages for partners;

    The Regional Relations Officers work as co-opted members of the Corporate Relations Committee

    and are responsible for corporate relations with partners of the IPSF Regional Offices. The President

    is also co-opted with a supervisory role.

    5. Professional Development portfolio

    Clinical Skills Events (CSE) Coordinator

    The CSE Coordinator is responsible for multiple tasks throughout the year.

    The CSE Coordinator is required to have good communication skills, organization skills, and most

    Structured Clinical Examination (OSCE) framework, from which the 3 different sets of CSE events:

    CSE individual competition (beginners and advance), CSE team competition, and CSE Jeopardy, are

    based on.

    The CSE Coordinator must attend World Congress, as all of the above CSE competitions will be held,

    it is also advisable for the CSE Coordinator to be present for Regional Symposia where possible as

    CSE individual events are organized. The CSE Coordinator is responsible to be in contact with the

    respective reception committees starting at the beginning of the term to setup workshop time, rooms

    and logistics, invitation for suitable speakers for the workshop, arrange for winners certificates, and

    prizes. During the IPSF CSE competitions, the CSE Coordinator is responsible for all logistical matter

    whether the CSE Coordinator is physically present or not. The CSE Coordinator will also be

    responsible together with the Professional Development Committee, the Chairperson of Professional

    Development to create cases of CSE and to submit them for professional review.

    Throughout the year, the CSE Coordinator must keep the CSE email account checked to assist

    member organizations who wish to initiate CSE at the national & local levels. Furthermore, it is the

    duty of the CSE Coordinator to ensure that a structured CSE report and along the cases used be

    submitted to IPSF to maintain a CSE database and for annual report and data collecting purposes,

    and to maintain the Professional Development Star System Accreditation database through the

    year. In addition, for associations that are not running CSE, the coordinator shall contact member

    associations and offer IPSF workshop and cases material to aid with the process.

    Lastly, CSE Coordinator is to submit quarterly reports updates and newsletter articles, and a final

    Annual Report to inform the Executive Committee and the General Assembly of the progress of the

    year.

    Patient Counselling Event (PCE) Coordinator

    The PCE Coordinator is responsible for multiple tasks throughout the year.

    The PCE Coordinator is required to have good communication skills, organization skills, and most

    Pharmacy Profession Awareness Campaign (PPAC) Coordinator

    The PPAC Coordinator is responsible for multiple tasks throughout the year.

    The PPAC Coordinator is required to have good communication skills, organization skills, and is

    strongly advisable to have organized PPAC before.

    The PPAC Coordinator is strongly advised to attend World Congress and the Regional Symposia, to

    run PPAC workshops. The PPAC Coordinator is responsible to be in contact with the respectivereception committees starting at the beginning of the term to setup workshop time, campaigns, and

    invite any potential speakers for workshops.

    The PPAC Coordinator is also responsible to organizing and promoting World Pharmacist Day in

    social media, and campaign material. Other campaigns that the PPAC Coordinator should be well

    versed in are Teddy Bear Hospital and Pharmacist Awareness Week. The PPAC Coordinator is in

    charged of updated the materials along with Professional Development Committee, the Chairperson of

    Professional Development.

    Throughout the year, the PPAC Coordinator must keep the PPAC email account checked to assist

    member organizations who wish to initiate PPAC at the national & local levels. Furthermore, it is the

    duty of the PPAC Coordinator to ensure that a structured PPAC report and along the cases used be

    submitted to IPSF to maintain a PPAC database and for annual report and data collecting purposes,

    and to maintain the Professional Development Star System Accreditation database through the

    year. In addition, for associations that are not running PPAC, the coordinator shall contact member

    associations and offer IPSF workshop and cases material to aid with the process.

    Also, the PPAC Coordinator is responsible to promoting the regional PPAC Award each year, thus is

    required to collect the above stated reports for the purpose of adjudication, setup the adjudication

    criteria, be responsible for adjudication of such reports, and also to award the winner of each region

    during the Regional Symposia or at World Congress, wherever convenient.

    Lastly, PPAC Coordinator is to submit quarterly report updates and any requested newsletter articles,and a final Annual Report to inform the Executive Committee and the General Assembly of the

    progress of the year.

    Compounding Event (CE) Coordinator:

    The CE Coordinator must attend World Congress as this event is only held at World Congress. The

    CE Coordinator is responsible to the logistic consideration, suitable compounding and workshop room

    and supply booking, working with sponsorship committee to contact pharmaceutical/compounding

    company to sponsorship and speaker potentials.

    For this new event, the CE Coordinator is task at writing an guideline on how to organized this event

    and to use said guideline to promote it. The cases used for CE should be developed with the

    pharmaceutical/compounding company to ensure quality.

    The CE Coordinator should have good communication and organizational skills; keep regular contact

    with the Chairperson of Professional Development, and preferably have knowledge on

    compounding Furthermore, it is the duty of the CE Coordinator to ensure that a structured CE report

    and along the cases used be submitted to IPSF to maintain a CE database and for annual report and

    data collecting purposes, and to maintain the Professional Development Star System Accreditation

    database through the year if any member associations runs CE.

    Lastly, CE Coordinator is to submit quarterly report updates and any requested newsletter articles,

    and a final Annual Report to inform the Executive Committee and the General Assembly of the

    progress of the year.

    Professional Development Committee

    This Committee are for those who are interested in the project of Professional Development

    Projects. Tasks involved in the Professional Development Committee include, testing the cases

    developed for Clinical Skills Event, Patient Counselling Event, and the Compounding

    Event. Furthermore, they are to review any materials as requested and delegated by the Professional

    Development Coordinators. The Committee member also responsible to collecting Professional

    Development reports and updating the Star System Database.

    6. Public Health portfolio

    The Public Health Coordinators work under the direction of the Chairperson of Public Health to

    promote their determined area of Public Health and encourage and support IPSF members around the

    world to undertake successful Public Health campaigns.

    Public Health Advocacy Coordinator

    The Public Health Advocacy Coordinator works under the direction of the Chairperson of Public

    Health, and serves as the third focal point to the World Health Organisation, after the Chairperson of

    Public Health and the President. They are a co-opted member of the Policy Committee, and work

    closely with the Policy Coordinator to facilitate IPSF policy statement development related to public

    health. As such, they hold many of the responsibilities of the Policy Committee.

    The majority of work will include research to provide background statements and wording to any

    proposed public health policy statements provided by IPSF members, Regional Offices, or the

    Executive. These will be presented to the General Assembly for approval and adoption by IPSF. Also,

    these policy statements will be the foundation for any joint statements with partners at the World

    Health Organisation and other applicable entities.

    They may also work with the Policy Committee to implement a body of work relevant to public health

    advocacy statements. This is under the direction of the Chairperson of Public Health, and may include

    advocacy directed toward the public, partnering with patient advocate and health organization groups,

    and proposals for IPSF projects on a regional or global level.

    It is highly recommended the Public Health Advocacy Coordinator attend the World Health Assembly

    (WHA) in Geneva, Switzerland every May in order to assist the Chairperson of Public Health with

    organization of the IPSF delegation and/or Pre-WHA events, joint statements with partners such as

    the World Healthcare Students' Alliance, and submission of interventions for presentation.

    It is highly advantageous to this position to be familiar with IPSF Public Health work and the work

    needed to have a successful delegation at the World Health Assembly.

    Public Health Awareness Coordinator:

    The Public Health Awareness coordinator works under the direction of the Chairperson of Public

    Health and is in charge of the promotion of the different Public Health campaigns and the World Health

    Organisation official events.

    They are responsible for supporting IPSF member organisations year-round in organizing Public

    Health campaigns and activities.

    They are required to disseminate updated information, distribute the different campaign kits and

    establish and update the online public health database periodically.

    The Public Health Awareness Coordinator will also help the Chairperson of Public Health with the

    organization of the Public Health Campaign to be run at the IPSF World Congress and IPSF Regional

    Symposia.

    The main role is to ensure the good running of different campaigns and the collection of the reports

    from IPSF Members.

    The Coordinator is supported by the Public Health Committee members.

    Medicines Awareness Coordinator

    The Medicines Awareness Coordinator works under the direction of the Chairperson of Public Health

    and is in charge of the promotion of the Anti Counterfeit Drugs Campaign (ACDC), the Medicine

    Awareness Campaign (MAC), (dealing e.g. with rational use of drugs, anti-microbial resistance) and

    other Medicine Awareness related campaigns.

    The Medicines Awareness Coordinator is responsible for supporting IPSF Members year-round in

    organizing related campaigns and activities.

    They are required to disseminate updated information, distribute the campaign kits and establish and

    update the online public health database periodically.

    The Public Health Awareness Coordinator will also help the Chairperson of Public Health with the

    organization of the workshop to be run at the IPSF World Congress and Regional Symposia.

    The main role is to ensure the good running of different Medicine Awareness Campaigns and the

    collection of the reports from IPSF Members.

    The Coordinator is supported by the Public Health Committee members.

    Humanitarian Coordinator:

    The Humanitarian Coordinator works under the direction of the Chairperson of Public Health and is in

    charge of the promotion of IPSFs humanitarian campaigns as the Vampire Cup competition.

    The Humanitarian Coordinator is responsible for supporting IPSF Members year-round in organizing

    the Vampire Cup Competition and different humanitarian events.

    The Humanitarian Coordinator is required to disseminate updated information, distribute the campaign

    kits and establish and update the online public health database periodically regarding the humanitarian

    campaigns.

    The main role is to ensure the good running of different Humanitarian Campaigns and the collection of

    the reports from IPSF Members.

    The Coordinator is supported by the Public Health Committee members.

    Public Health Committee (10 members)

    The Public Health Committee members work under the direction of the Chairperson of Public Health

    and assist the Public Health coordinators in their different tasks all year-round:

    To promote the different campaigns and encourage and support IPSF members to undertake

    successful Public Health campaigns.

    To update the online Public Health database with the necessary information

    To write articles for the 2 issues of the Public Health Spot. To disseminate the Public Health related surveys and collect the results.

    To help the coordinators with the collection and compilation of the activities reports from IPSF

    Members.

    7. Pharmacy Education portfolio

    Pharmacy Education Research Coordinator

    The position was created to assist the Chairperson of Pharmacy Education with the research projects

    related to Pharmacy Education.

    The coordinator shall work with the Chairperson of Pharmacy Education in the planning,

    implementation and promotion of the research projects. The duties of the coordinator shall include

    maintaining the database of responses generated, promoting the research projects among all

    members, and following up with participating associations to ensure the implementation of the

    projects.

    Design and implementation of research projects

    Based on suggestions from Pharmacy Education Committee, surveyed member associations

    and the IPSF partners, the coordinator should discuss the implementation of research

    projects. The project should preferably be centered on pharmacy education, and learningexperience of students from all around the world.

    Recruitment of collaborators

    Once the project accepted and the budget (if applicable) is fixed, the coordinator should

    ensure that all the conditions to conduct a successful research are met. All details from

    logistics to ethical approval by the appropriate authority should be taken care of as in the

    research design. The coordinator should also consider recruiting volunteers to help with the

    data collection and analysis. A call for positions can be done with the approval of the

    Chairperson of Pharmacy Education.

    Promoting research projects

    The promotion of the project is done in cooperation with the Chairperson of Media and

    Publications, as well as Chairperson of Internal Relations. The promotion can be donethrough social networks, pharmacy education website and IPSF official publications. The

    announcement should reach a maximum of pharmacy students and get a maximum visibility.

    Analysis of results and publication of the findings

    The data collected should be analyzed and the results published either in Phuture or any

    appropriate publication.

    Using the research projects to advance pharmacy education and advocate for

    pharmacy profession.

    The findings of the research should be used as proofs and arguments to advance pharmacy

    education. Guaranteeing a high quality education for future pharmacists stays one of the maingoals of IPSF. Using these data to support the standardization of pharmacy education and

    ensure the access to a better education is the finality of the project.

    Initiating and maintaining contact with research partners looking for collaboration

    opportunities in the field of pharmacy research

    The IPSF built partnerships with several partners in research fields. FIP education is a very

    important partner. The involvement of IPSF in FIPed project is growing from year to year. The

    coordinator should maintain and develop the relations with the partners.

    Internship Coordinator

    The Internship Coordinator will be in charge of following up on new internship contacts made as well

    as keeping in touch with the existing contacts.

    Additionally, the Internship Coordinator will work with the Chairperson of Public Health and

    Chairperson of Pharmacy Education (ChPs) to develop new internship opportunities for IPSF

    members. This includes reaching out to organisations/schools/etc. to assist the ChPs in the

    development of these new opportunities, which will be done only upon approval by the ChPs.

    The Internship Coordinator is also the primary contact for questions regarding interships and

    application submissions. This includes organising all the applications before sending the applications

    to the ChP's for the selection process.

    The Internship Coordinator may be included in the selection process at the discretion of the ChP's;

    however, the final decision lies with the ChPs and/or the institution where the internship will be held.

    IPSF internships are the area that IPSF has the biggest opportunity for growth. Right now, it is

    extremely underutilized. When we have 350,000 potential applicants but are only placing one to ten of

    these potential applicants in the thousands of possible internships available for pharmacy students,

    there is an enormous disconnect between what we can do and what we are doing. In order to grow the

    internships, we need someone dedicated to internships; someone whose sole job in IPSF is thegrowth of opportunities for our members. When properly utilized, this position has a wonderful

    opportunity to increase IPSF's impact globally by improving our relationships with established contacts

    as well as providing helping hands to new contacts.

    Phuture, is IPSF's scientific publication which is compiled by the Chairperson of Pharmacy Education

    and published annually. Educational and Scientific Publications Coordinator should help the

    Chairperson of Pharmacy Education with the compilation of the articles. The duties of the Coordinator

    shall include editing and screening of the articles received for publication in Phuture, identifying

    authors and requesting them for articles on topics of interest, liaison with the Chairperson of

    Publications and designated members of the Editorial Board for designing, printing and publication of

    the magazine.

    Pharmacy Education Newsletter (PEN) is the bi-monthly newsletter of pharmacy education and is

    compiled by the Chairperson of Pharmacy Education assisted by the ESP Coordinator. The newsletter

    is meant to give space for students to express themselves and give their opinions about the latest

    scientific findings. The purpose is to increase the scientific writing skills, encourage students to debate

    about pharmacy and health related issues. The updates of the research projects can be published in

    the newsletter as well as the IPSF internship reports and HLM articles.

    The ESP Coordinator should work on choosing a theme for publications based on discussions with

    Pharmacy Education Committee and surveyed IPSF members, releasing calls for articles and

    collecting the entries. The ESP Coordinator should initiate contact with researchers from the industryand the academia or with IPSF partners (e.g. FIPed) to help for article writing and review.

    Pharmacy Education Committee (PEC)

    PEC shall assist the Chairperson of Pharmacy Education, and Coordinators under the portfolio with

    their duties. They shall be involved in planning and implementation of the research projects related to

    Pharmacy Education and assist in the editing and screening of Phuture and PEN. Additionally, the

    committee will get involed with the planning and development of other projects related to the portfolio.

    8. Media and Publications portfolio

    Editorial Committee (EC)

    This Committee is chaired by the appointed Editorial Committee Coordinator, and is responsible for

    proofreading all documents intended for distribution within or outside the Federation.

    Design Coordinator (DC)

    The Design Coordinator is the chair of the DCC and is in charge of task delegation, working as a

    contact person between the Chairperson of Media and Publications and the DCC.

    The DC is the implementer of the communication and branding strategies of the Chairperson. For

    instance, he can be responsible with inserting the publication articles in the templates provided by the

    Chairperson or design materials based on the branding created by the Chairperson.

    Applicants should have extensive experience in using common graphic design tools such as Adobe

    Photoshop, Adobe Illustrator and most importantly Adobe InDesign. IPSF does not have licenses

    Since this is a new position, it is hard to calculate the workload. Although, you should consider this to

    be a quite heavy workload position, since you will be working very closely with the Chairperson of

    Media and Publications. It can be managed with your studies, but probably not if youre counting on

    having a busy academic year (research project, thesis or other).

    Design and Creativity Committee (DCC)

    The DCC is chaired by the Design Coordinator (new position) and is responsible with completing

    design and media tasks. Although this is a Committee, work is usually carried out in individual tasks

    based on the members aptitudes and skills in different kinds of media. For instance, people with video

    editing skills are chosen to edit videos (that can be requested from any portfolio of the Federation) and

    people who are better at web design will be chosen to help with website management.

    Applicants should have extensive experience in using common graphic design tools such as Adobe

    Photoshop, Adobe Illustrator and most importantly Adobe InDesign and/or video editing tools.

    IPSF does not have licenses to any design software.

    The Regional Media and Publications Officers are also members of the DCC and are supposed to help

    with regional projects as well as others in case they are so requested.

    Marketing Coordinator (MaC)

    The IPSF Marketing Coordinator is in charge with defining digital marketing strategies to promote IPSF

    activities to pharmacy students and to market IPSF to new members, external partners and sponsors.

    In practical terms, this will means managing all the Social Media accounts, as well as analysing the

    statistics and being informed in the latest trends in digital marketing. The MaC is responsible with

    implementing the IPSF branding strategy created by the Chairperson of Media and Publications in the

    marketing channels.

    The MaC is also responsible with making sure the Regional Offices maintain their Social Media

    channels updated and in order with regional strategies to which the MC should contribute.

    In general, the MaC works quite closely with the Chairperson of Media and Publications throughout the

    year, helping with all necessary tasks related to the portfolio, including social media campaigns for

    Public Health, Pharmacy Education, Pharmacy Awareness, Student Exchange, or even Internal and

    External Relations. The IPSF events are also excellent opportunities for digital marketing, so the MaC

    should coordinate activities related to these events.

    The MaC should help the Chairperson of Media and Publications in regulating the use of Social Media

    within the Federation, for instance by regulating the Facebook Groups or by helping the Executive

    Committee members make a better use of these tools when attending events or advocating for a

    cause.

    The IPSF Marketing Coordinator should be creative and motivated person with high communication

    skills and solid understanding of all IPSF aspects and activities. It is preferred to have a passion about

    marketing and technology, with previous experience in managing Social Networks and good

    knowledge of Social Media management tools. It is advantageous to have past experience with

    sponsorship roles.

    The time commitment for this position can become quite intense at some times (usually about 1 hour

    every day but it can be heavier during campaigns). It is quite possible to manage it with University or

    work.

    Blog Coordinator (BC)

    The Blog Coordinator is in charge with managing and promoting the IPSF Blog, making sure new

    creative content is created. The BC can hold writing contests (in collaboration with the Editorial

    Committee) or other types of campaigns to promote writing creativity.

    The IPSF Blog works with Wordpress, which is a quite easy platform to work with, so no experience is

    required (although general aptitude for digital platforms is advisable).

    This is quite a simple position that does not require a lot of time commitment, but it needs periodical

    reminders to authors and a good organizational capacity.

    Merchandise Coordinator (MeC)

    The Merchandise Coordinator is a newly created position. This person will be in charge with creating

    and managing the IPSF Online Store. The website will be quite easy to create since it will use a pre-

    existing online tool only basic web managing skills required.

    The Merchandise Coordinator will be in charge with updating the database with all the merchandise

    materials, mark their prices, check shipping prices to different areas of the world and finally ship (in

    case the coordinator is in the Netherlands) or coordinate shipment of the orders.

    The Merchandise Coordinator also has the responsibility of ordering new materials, in coordination

    with the Chairperson of Media and Publications and the IPSF Treasurer. The design of such materials

    must follow the IPSF branding strategy and are at the responsibility of the Design Coordinator and

    subject to approval by the Chairperson of Media and Publications.

    Since this position requires working with shipments from the Netherlands (at least at an early stage of

    development), it is advisable for the Merchandise Coordinator to be someone who lives in the

    Netherlands.

    This position might require some time commitment in setting up the store, and depending on the

    amount of orders it might be more or less time consuming. Still, even with a lot of popularity, about 3

    weekly hours should be enough to fulfil the overall duties (except close to the events, when it will be

    necessary to make more orders).

    9. Student Exchange portfolio

    Student Exchange Committee (SEC)

    The Student Exchange Committee (SEC) consists of ten members appointed by the IPSF General

    Assembly: five SEP Regional Coordinators and five ordinary members. SEC members have to beformer Student Exchange Officers (SEOs). The main duty of this committee is to provide guidance and

    ensure the smooth and fair running of the IPSF Student Exchange Programme (SEP).

    As a SEC member you are required to be in constant communication with the Chairperson of Student

    Exchange and assist them with work in the following areas:

    Help IPSF member organisations, especially new organisations, in establishing or improving their

    exchange programmes in a scheme known as the Big Sister Project.

    Work on improving the SEP Domestic Rules and Training Manual for Student Exchange Officers.

    Create promotional and support materials for Student Exchange Officers.

    Oversee the Student Exchange Database and aid in resolving disciplinary issues arising in theprogramme.

    Decide together with the Chairperson of Student Exchange, Treasurer, DF Coordinator and DF

    Committee the DF SEP Grant recipients.

    Promote and investigate the implementation of SEP in IPSF Member associations who are not part of

    the project yet, as well as in all non-IPSF Member countries, as part of the Helping Hand Project.

    The Chairperson of Student Exchange and SEC members gather for a meeting once a year, where

    important issues pertaining to SEP are discussed. It is usually held after the second IPSF Executive

    meeting (usually March-April) but when and where it is held is up to the Chairperson and SEC

    members of the particular work year.

    SEC members are required to be contactable regularly via email and need to be able to respond

    promptly to messages. Hence good and regular email access is required. A time commitment of about

    15 hours per week can be expected.
