SET UP DAY - Tuesday, October 27, 2020 from 8:00a.m. to 5:00 p.m.. Indoor display Equipment, Trucks andForklifted items need to be parked and in place by 5:00p.m. on set up day. Small carry in items may be broughtin anytime throughout the day or at 7:00 a.m. the day ofthe show as long as they are in place before the doorsopen for attendees at 8:00 a.m.

THE DAY OF THE EXPO - Wednesday, October 28,2020. Doors open to exhibitors at 7:00 a.m. for finaltouches on displays and free coffee & donuts compli-ments of Profile Publications. Doors open at 8:00 a.m.to at tend ees. All exhibits must be staffed during expohours, 8:00 a.m. to 3:00 p.m. Food service will beopen. Doors will close at 3:00 p.m. Bar-B-Q lunch will beserved at noon.

TEAR DOWN - Wednesday October 28th, 2020 - ONLY Exhibitors may dismantle their displays. Allexhibits must be removed by 8:00 p.m. after the show.

HOTEL ARRANGEMENTS - Profile Publications hasreserved a block of rooms at the nearby Holiday InnExpress, available to exhibitors on a first come bestserved basis at a discounted rate of $89 per night.Reservations should be made directly with Holiday InnExpress by calling 315-701-5000. Be sure to ask for the“NYS Highway & Public Works Expo rate.” Rates helduntil 9/28/20 so reserve your rooms early!

1. Full payment is due with contract for 10x10booths, a 50% deposit is due with your contractfor floor displays. All information on the spacereservation contract must be completed online,and it must be submitted with deposit payment.(Make a copy for your records). Any balancesowed after initial deposits are made must bepaid in full no later than September 18th, 2020.Checks should be made payable to PROFILEPUB LI CA TIONS. Reservation acknowledg-ments will be emailed upon receipt of complet-ed contract and deposit payment. A supply ofpromotional posters and tickets for your staff tohand out will be mailed in August.

2. Proof of insurance must be provided. Ageneral liability policy for no less than$1,000,000.00, naming Profile Publicationsas additionally insured, for the time periodencompassing setup day, show day, and teardown day, must be submitted with or beforefinal payment. 3. All steel grouser tracked equipment must beplanked in and out to avoid any damage to theconcrete floor. Ignition keys should be removedfrom machines, batteries disconnected, fuelcaps secured in place, and hydraulic cylinders

properly braced if they are extended.4. All Space is assigned on a "first come, bestserved basis." Please be sure to register early forbest selection and to ensure availability of space.

5. Show management reserves the right to alterdisplay setups to ensure the overall effective andfair use of space in the best interest of allexhibitors concerned.

6. Note the "SETUP - SHOW TIMES &TEAR DOWN" section on page 3 of this pack.All tear down must be complete, and thebuilding vacated by 8 p.m. on Wednesday,October 28th, 2020 at the latest.

7. All information contained on this list ofExhibitor Responsibilities, must be thoroughlyunderstood by the party signing the SpaceReservation Contract. Full compliance with allexhibitor responsibilities will be strictly enforcedto ensure a smooth expo.

8. Cancellations must be made in writing no laterthan July 31, 2020. Written can cel la tionsreceived by that date will be entitled to a refundof monies paid, less a 25% cancellation fee.Cancellations made after July 31, 2020 will notbe entitled to any refund.

9. Profile Publications reserves the right to usethe names and or photographs of all ex hib i torssub mit ting a space res er va tion contract in pro mo tion al and editorial cov er age of the Expo.

10. Fork lift service, electrical service, pressurewashing equipment, food and beverage and otherservices provided for the smooth operation of theexpo are sub con tract ed. Profile Publications isnot responsible for the potential non per for manceof subcontracted employees or vendors.

11. All arrangements for shipments of exhibitorma te ri als to and from the expo are the soleresponsibility of the ex hib i tor as are any receiv-ing and storage costs at The Exposition Center.Ar range ments can be made by calling the Em pireExpo Center at 315/487-7711.

12. Arrangements for special decorating needssuch as car pet ing, lights, additional tables, etc.can be made by calling the contracted decoratorNortheast Decorating at 315-471-9989. Paymentfor additional dec o rat ing items requested by ex hib i tors will be made directly to the decoratingfirm by the exhibitor.
