The capital of Spain, with its 3 million inhabitants, is oneof the most cosmopolitan, open, cultured and entertaining
cities in Europe. It is also the second greenest capital in the world.
The most famous areas of the city are all located in the center,within walking distance of each other. From the Plaza Mayor youcan walk to the famous Puerta del Sol and then down to the Pradomuseum, which houses works by El Greco, Velazquez,Rembrandt, Ribera, Goya and many more. THE VENUE IN THE HEART OF MADRID
The Palacio de Congresos de Madrid is instantly identifiable from the large mosaic composition on itsfaçade created by the Spanish Catalan painter, sculptor and ceramist, Joan Miró i Ferrà.
The centre is close to several of the best hotels, restaurants and shops in Madrid, with the Santiago Bernabéufootball stadium nearby (home of the Real Madrid Football Club). This superb venue is one of the main conferencecentres in the capital and regularly hosts international and national events.
A large range of services is offered by the Palacio de Congresos ensuring that the 23rd World LP Gas Forum andthe 2010 AEGPL Congress will be the greatest LP Gas event ever seen in Europe! The Palacio de Congresos is locatedclose to the Santiago Bernabeu Metro station and from there to Barajas International Airport – about 20 minutes
away. Bus and short distance train links are alsoconveniently accessible, with the Chamartin stationlocated just 10 minutes away, and the Atocha stationat around 20 minutes ride by bus.
This convention centre is also relatively close tothe Parque Empresarial Cuatro Torres, Madrid’slatest business district which includes the capital’stallest skyscrapers and the impressive MadridTower hotel.
LP Gas in Spain is a crucial source of energy to many households. There are almost 10 million bottled gasusers in Spain. Total tonnes consumed in 2008 were close to 2 million and Autogas use is on the rise with
growth by 2015 predicted to be at almost 10% of total LP Gas volume.

■ DISCOUNTED RATE TO WLPGA / AEGPLMEMBERS
A discount of 20% will be offered on the totalexhibition rental fee to World LP Gas Association andEuropean LPG Association members. Please, do notforget to indicate it on the booth reservation form.
■ BUILDING HEIGHTThe maximum building height is 2.20 meters in thefollowing exhibition areas :
• Blue areas• Purple area (Level C)
and 2.50 meters in all other exhibition areas:• Yellow areas• Purple areas (Level A and B).
BOOTH SPECIFICATIONSExhibitors can rent either SPACE ONLY or a SHELLSCHEME booth.

■ SERVICES• Information and coordination services during the
set-up and dismantling of booths, and during theexhibition
• Caretaking of public areas, excluding the boothswhich are under your responsibility
• Watchmanship of the exhibition premises (boothsare not covered individually)

■ APPLICATIONSIn order to be valid, the booth reservation is to bemade on the Booth Reservation Form enclosed andsent to MCI by MAIL with copy by FAX, along with a50% deposit of the rental fee.The signing of the Booth Reservation Form and thedeposit paid constitute a firm hire commitment andcompel the subscriber to accept both the generalconditions and the exhibition rules and regulations.
No verbal nor telephone agreement will commit MCI northe Organisers unless confirmed in writing.
The remaining rental fee is to be settled by 1st July2010 at the latest. Non-payment by this stateddeadline will lead to the cancellation of the right to usethe booth, without reimbursement of the deposit paid.
Site allocations will be made according to the orderof arrival of booth reservation forms and are subjectto the full payment and the agreement of WLPGA –AEGPL / MCI.
Once locations have been attributed, no change oflocation will be possible without MCI’s writtenagreement.
The Exhibition floor plan presented in this document isnon contractual and is subject to acceptance by theMadrid Fire department. However, MCI reserves theright to change if deemed advisable, the location, sizeand layout of the surfaces requested by the exhibitor.
In the event of litigation, jurisdiction falls underMadrid Law Courts only.
■ PAYMENTWorld LP Gas Communication SARL (VAT N° FR90421213893, headquartered at 9 rue Anatole de laForge - 75017 Paris, France) has given mandate to MCIfor the organisation of the 23rd World LP Gas Forumand the 2010 AEGPL Congress and therefore to actand receive the fees on its behalf.
Payment of the deposit has to be made in Euros, bythe following means:• By cheque to the order of:
WLPGA - AEGPL 2010 / MCI and sent to:WLPGA - AEGPL 2010 / MCI24, Rue Chauchat - 75009 Paris, France
• By credit card (VISA / MASTER CARD /EUROCARD / AMERICAN EXPRESS)

■ REFUND OF VATAccording to the European Tax Legislation, organizersof international exhibitions and service companies haveto invoice all services with Value Added Tax (VAT).Foreign companies (EU or non-EU) are, under certainconditions, entitled to a refund of VAT paid. More detailswill be available in the Exhibitor Technical Manual.
■ RULES & REGULATIONSMCI has been entrusted with the general logistics andorganisation of the Exhibition and Conference of the23rd World LP Gas Forum and the 2010 AEGPLCongress. It will be referred to as “the organisers”below. Details about the terms and conditions ofexhibiting will be included in the Exhibitor Manualwhich will be sent a few months prior to the Event. Norunning water or compressed air will be available.

■ LOCAL AND SITE REGULATIONSExhibitors shall abide by the local and site regulationswith respect to law and order, safety and security.The organisers will take appropriate action againstthose who do not comply with the regulations.The organisers have the authority to demandremoval/change or cancel participation of any structurewhich is not in accordance with the Event rules.The decision of the organisers will be final andbinding.
■ CANCELLATION CONDITIONSAll cancellations must be made in writing to MCI. Theorganiser shall retain:• 25% of the agreed amount due if the cancellation
is made before 15th May 2010• 50% of the agreed amount due if the cancellation
is made between 15th May and 1st July 2010• 100% of the agreed amount due if the cancellation
is made after 1st July 2010.A reduction in exhibition space is considered as acancellation and will be governed by the abovecancellation policy.
■ ENTRY TO THE EXHIBITIONAccess to the exhibition will be possible for regularlyregistered conference participants and visitors withinvitations. Other visitors can obtain passes on-site,giving access to the exhibition only, free of charge.
■ INSURANCEThe signatory renounces to take recourse against theorganisers or against the owners of the premises andundertakes to underwrite insurance policies coveringall the risks incurred by the material exhibited (theft,damage, etc...) along with public liability coveringthe permanent or occasional staff employed by the
company, present at the Event. In any case,insurance protection will NOT be given to theexhibitors by the organisers.
■ FORCE MAJEUREIn the event of force majeure, the exhibition dates maybe changed or the latter may be purely and simplycancelled. If we are forced to cancel, the disposablefunds after payment of expenses will be sharedbetween exhibitors in proportion to their paymentswithout it being possible to take recourse against theorganiser or the producer.
■ INTERPRETATION OF THE REGULATIONSAND AMENDMENTS
MCI is the sole competent authority as to problemsarising from the interpretation of above regulationsand their enforcement. Any expenses resulting fromthe nonobservance of the enclosed regulations willbe chargeable to the exhibitor.
■ DOCUMENTATION REQUIRED TO TRAVELTO SPAIN
All exhibitors, participants, visitors are reminded thata visa may be required for foreign citizens enteringSpain and that they should apply for a visa at theirlocal Spanish Consulate or Embassy.

Should you need an official invitation letter for visaapplication purposes, you may contact the OrganisingSecretariat who will be able to assist you with it.
No exhibition and registration fee refunds will beissued for cancellation or non-attendance due tofailure to obtain a visa.

LOGISTICAL TOOLS• The Exhibitor Manual will help you and guide you in preparing your booth
through to the event on-site and will also be available online. It contains veryuseful information regarding exhibition rules, safety regulations, setting up of abooth and arrangement conditions, booth description, specification documentsand maps along with order forms and prices for all necessary services(furniture, decoration, electricity, transport, storage, catering, cleaning, security,accommodation etc).
• Your company will be able to submit the information regarding your exhibitors’badges online.
• You will also be able to submit your contact details and profile online for theexhibition directory listing.
PROMOTIONAL TOOLS• The event logo and banner will be available for download.
• You will also be able to download the invitations for your guests. Send them outto all your suppliers, prospects and clients to welcome them to your booth!
• 1st announcement, conference brochure and exhibition directory will beavailable online.
PRACTICAL INFORMATION• You will find the hotel list online along with the rates and conditions and a
booking form for groups.

LOYALTY PROGRAM
Every participant and visitor will receive an electronic badge and exhibitorswill be able to rent badge scanners.
WHY SHOULD YOU BE EQUIPPED WITH A BADGE SCANNER ON YOUR EXHIBITION BOOTH?• To collect full contact details contained in the electronic badges of the participants
who visit your booth during the event and retrieve all the information collected directlyon your computer.
