2021 Marching Jayhawks Summer Information Packet Welcome to the Marching Jayhawks and the KU Bands! We’re looking forward to a great season as we welcome our new and returning members. The Marching Jayhawks are a diverse group of students, representing over 80 majors on campus. There is a place for you! This packet contains everything you need to know for band camp and our fall season. We have included early move-in information for band members, detailed band camp and season schedules, and information on the other bands within the KU Band program. Note that you will receive updated schedules at band camp, as we still have some events to finalize for that week. As we prepare for the fall, we are approaching the upcoming season as if it will be a pre- pandemic environment. We will continue to monitor recommended and required COVID-19 protocols, and will adjust our procedures as necessary to ensure the safety of our band members. Despite the unique situation that we face, we want YOU to be a part of our outstanding KU Band program. For those of you who are new to KU, the bands are a great place to continue your music making in a welcoming environment, make lasting friendships, and be an integral part of the KU community. 3 EASY STEPS TO JOIN THE MARCHING JAYHAWKS!

1. If you are an undergraduate, register for BAND 410. If you are a graduate student, register for BAND 710. The official meeting time for band is MWF from 3:45-5:45 p.m. If you have a class conflict, we cover that later in this packet.

2. Fill out the online 2021 BAND CAMP REGISTRATION FORM. Please do this no

later than FRIDAY, JULY 23. The form is also available on the “How to Join” page of the Marching Jayhawks website, marchingjayhawks.com

3. Complete the 2021 BAND EXPENSE FORM; mail it, with your check, to the Band

Office or bring to band camp registration (we are unable to process credit/debit cards). The form is the last page of the SUMMER INFORMATION PACKET.

SCHEDULES AND MOVE-IN INFORMATION You will receive updated band camp and season schedules at band camp, but the attached schedules are fairly accurate. Read the band camp schedule very carefully! EXPENSES AND EARLY MOVE-IN New Members: there is a Band Activity Fee ($200 for new members, $175 for returning members), payable by check only. This fee helps to offset many costs, including dry cleaning at the end of the season, lots of Adidas apparel, instrument and equipment maintenance, and other expenses. New members will need to purchase shoes as well. For those of you living in university housing: we will make arrangements for you to move into the residence halls, scholarship halls, and Jayhawker Towers beginning at 8:00 a.m. on the following dates. Note that this is before the scheduled move-in for the rest of the campus.

• Tuesday, August 10: Drum majors, student staff, and drumline move-in and begin camp • Wednesday, August 11: Colorguard move-in and begin camp • Friday, August 13: Leadership move-in and begin camp • Sunday, August 15: All other new and returning members will move-in and begin camp

We collect your housing information from you via the online 2021 BAND CAMP REGISTRATION FORM. The band will not collect early move-in fees; these fees will appear directly on your university account. If you live in KU student housing (residence halls, scholarship halls, Stouffer Place Apartments, Jayhawker Towers, etc.), the band will contribute a portion of these expenses ($10 per night); these are reimbursed later in the fall semester. If you wish to move in on a day other than your assigned day, you must make those arrangements directly with KU Housing. The band will not reimburse additional nights prior to your assigned move-in date listed above. If you have any other questions related to early move-in for band members, please contact Dr. Smith or the KU Band office FIRST, and we will let you know if you need to contact KU Housing. Additional information regarding move-in and meals is listed in the 2021 Band Camp Schedule later in this packet.

2021 BAND CAMP REGISTRATION FORM

COURSE REGISTRATION and CLASS CONFLICTS All marching band members are REQUIRED to register for BAND 410 or 710 for the fall semester. Please register prior to your arrival on campus if you have not done so already. If you have a special circumstance that does not permit you to register for the marching band, please contact Dr. Smith. We do allow minor class conflicts for unavoidable, required class conflicts only (if your conflicted class is an elective, or offered in another semester, this does not qualify). Work, clubs, fraternity/sorority conflicts, etc. are not permitted for band conflicts. Course conflicts must be addressed in three ways:

• Notify Dr. Smith with the nature of the conflict (class, days, and times) and get approval. • Complete the Request for Time Conflict Approval Form through the Office of the

Registrar. • During band camp, there will be a separate online “Band Class Conflict Form” that we’ll

need you to fill out for our own records; we’ll explain it at one of our meetings during band camp.

If you are not pursuing a degree at KU (i.e., attending community college, Haskell Indian Nations University, etc.) you can still participate in the Marching Jayhawks! You must be admitted to KU as a “non-degree seeking student” and then enroll in BAND 410/710. To apply as a non-degree seeking student, please visit the following link: https://admissions.ku.edu/freshman-requirements-deadlines/applying-to-ku-/readmits-nondegree-seekers FALL SORORITY RECRUITMENT Formal sorority recruitment takes place at the same time as band camp in August. Due to the time required of each activity, it is not possible to do both in August. We recommend that you join the Marching Jayhawks, and then go through continuous sorority recruitment later in the school year.

INFORMATION FOR FIRST-YEAR STUDENTS There will be a meeting for all first-year band members on Monday morning of band camp (listed on the band camp schedule). A representative from KU's Office of First Year Experience will share information regarding Hawk Week and essential information for band members. New first-year members who did not attend a summer orientation session may need to attend a one-day orientation session on the Tuesday of band camp. Indicate if you will attend the Tuesday orientation date on the 2021 BAND CAMP REGISTRATION FORM. MUSIC AND CORDS Our traditional music for woodwind and brass players is available on our website. Please take the time to download and begin to learn them. To access the music, please visit the “Members Only” page of http://music.ku.edu/marchingjayhawks and enter the following password:

Marching2021 It is important to have the music memorized as quickly as possible. We have a tradition of handing out uniform cords to new members once they have “checked off” their memorization. In addition, your pregame music must be checked off to audition for the basketball bands and to receive your free pass for men’s basketball games (see the season calendar for deadlines). For those of you who may have difficulty memorizing music, do not worry. We have found that memorization takes care of itself as you become more familiar with playing the music in a group setting over a number of repetitions. Returning members – note that we will have a new version of The Star-Spangled Banner this year, and you will need to pass off this memorization to receive your cord. WOODWIND & BRASS PLAYERS The Marching Jayhawks provide all instruments and equipment. If you are a brass player, you have the option to use your own instrument, as long as it is silver. Woodwinds may use their own instrument if they prefer as well (though saxophones must be silver). Please note the following related to your instrument:

• Clarinets, Alto and Tenor Saxophones: students must provide their own mouthpiece, ligature, and reeds

• Trumpets, Trombones, Baritones: students must provide their own mouthpiece • Mellophones and Sousaphones: we will provide a mouthpiece

Please bring any accessories (mouthpiece caps, valve oil, slide grease, polishing clothes, etc.). Students who use their own instrument are responsible for their own repairs, as are any repairs to school instruments that are the fault of the student or negligence. Instruments will be distributed at band camp. Woodwind and brass players have no audition for membership into the Marching Jayhawks! However, we do hold part assignment auditions for piccolo, clarinet, alto saxophone, trumpet, mellophone, trombone, and baritone. Auditions will consist of two major scales of your choice (two octaves), a chromatic scale (your full range), and

sight-reading. You are welcome to use your own instrument for the auditions if you prefer. Instrument storage lockers are available to rent in Murphy Hall. There is no cost, however many marching band members do not rent one as we are rarely in Murphy Hall outside of band camp, and most students store their instruments in their rooms. Drumline and sousaphone members have other storage available. If you are a music major, you will want to check out a locker. GOING PAPERLESS As we began last year, we will not use traditional flip folders and sheet music this year, and we are going to plan on using an app for drill charts. We will discuss procedures during band camp. Special lyres (eFlips) that can accommodate smart phones will be provided. If you do not have a smart phone, please contact Dr. Smith and we will provide you with printed copies of music and drill. It is IMPERATIVE that you show up to rehearsals and performances with a charged phone. Be sure to purchase a portable charger if you do not already own one. COLORGUARD Given the current situation with the COVID-19 virus, we will not hold in-person colorguard auditions for the upcoming season. If you are interested in joining our colorguard for the 2021 season, please email Dr. Smith ([email protected]) if you have not done so already. Colorguard members will move in on Wednesday, August 11. DRUMLINE The 2021 University of Kansas Drumline Audition process has been changed due to the COVID-19 pandemic. Please visit our drumline website for full information: http://music.ku.edu/marchingjayhawks/drumline Drumline members move in on Tuesday, August 10, begin camp full-time that evening, and continue to the end of band camp. Please refer to the band camp schedule for details. DCI MEMBERS We have a number of students who march with Drum Corps International during the summer. If you are in DCI then you will be expected to begin camp on Tuesday, August 17. There is a place on our BAND CAMP REGISTRATION FORM to indicate if you are in drum corps and need to move into your dorm after August 14. PEP BANDS Our pep bands are comprised of members from the marching band. We have an enthusiastic volunteer Volleyball Band that is active during the fall semester for the home games for the KU Women’s Volleyball team. Audition dates and signups for the Men’s and Women’s Basketball Band auditions are announced in September. Ms. Toulouse conducts the Men’s Basketball Band, and our graduate teaching assistants (GTAs) conduct the Women's Basketball and Volleyball Bands.

CONCERT AND JAZZ BANDS In addition to the marching and pep bands, KU has outstanding concert bands and jazz ensembles. Many of our students choose to participate in other bands during the school year in addition to the Marching Jayhawks.

Wind Ensemble (BAND 402/702) – Dr. Paul Popiel, Director of Bands, conductor Fall Semester Rehearsals: MWF 1:00-2:50; Spring Semester: MWF 2:00-3:50 Symphonic Band (BAND 404/704) – Dr. Matthew Smith, conductor Fall Semester Rehearsals: TTh 3:30-5:20; Spring Semester: MWF 2:00-3:50 University Band (Music 406/706) – Ms. Sharon Toulouse, conductor Fall Semester Rehearsals: Th 6:00-7:20; Spring Semester: TTh 4:00-5:20)

Detailed information on joining the Wind Ensemble, Symphonic Band, and University Band is available on www.kuband.org. All ensembles are courses within the School of Music, and registration is required. The Wind Ensemble and Symphonic Band are auditioned groups. Auditions are held during the first few days of the semester, and sign-up sheets for audition times are posted on the band office windows in August. Audition music will be available on www.kuband.org this summer. There is no audition required for the University Band, simply register and attend the first rehearsal. Information on joining the jazz ensembles and jazz combos can be found on music.ku.edu/jazz or by contacting Professor Dan Gailey, Director of Jazz Studies, at [email protected]. Audition information should be posted by August 1 on the website. KAPPA KAPPA PSI and TAU BETA SIGMA KU has fantastic chapters of these two service organizations, which are dedicated to supporting college bands. Students in these organizations contribute countless hours through a variety of projects, and have a great time while doing them. We don’t know what we would do without these organizations! They are a great group of people to become involved with, both from a service and a social perspective. FREE ENTRY FOR KU MEN’S BASKETBALL Kansas Athletics is very supportive of the Marching Jayhawks. To show their appreciation, all members of the Marching Jayhawks who are in good standing (and have checked off their pregame music by the announced date) are placed on a pass list for free admission to home KU Men’s Basketball games in Allen Fieldhouse for the upcoming season!

APPAREL…aka GEAR! Membership in the Marching Jayhawks is not without its privileges! Band members will receive an Adidas KU hoodie, polo, TWO band t-shirts, a stadium hat for the stands (required for football games), athletic shorts (for all members – new color this year), and a winter cap. These items are often used as alternate uniforms for pep bands, pep rallies, and other appearances. ADDITIONAL NEEDS Since we perform at a variety of events during the fall, we do not always use the assigned marching band uniform. We often use our Adidas apparel to play at pep rallies and other non-football events. To accompany your gear, please be sure to have the following:

• White ankle socks (the kind that someone can see from a distance with your shoes on, but not all the way up your calf).

• Tall white socks to be worn with our uniform; Colorguard will need black socks. • Basketball Band members will need to have a pair of black pants or slacks (no

leggings/black jeans/yoga pants, etc.).

Band Camp Schedule & Move-In Information Tuesday, August 10 – Monday, August 23

• Band Camp is REQUIRED. Contact Dr. Smith if there are any KU-related conflicts. While there are sometimes academic-related conflicts with band camp, any non-KU-related conflicts will not be permitted. Any KU conflicts should be approved in advance by Dr. Smith ([email protected]).

• Come prepared – hats, water JUG (don’t bring a bottle, you will need to refill it too often, and we are not providing coolers due to COVID-19), sunglasses, sunscreen, insect repellent, etc.

• You MUST have the proper footwear (if you don’t jog in them, then don’t wear them!) • Have all of the accessories that you need for your instrument (reeds, flip folders, lyres,

valve/slide oil, etc.). There is no music store in Lawrence for band/orchestra instruments. • Dress for the weather (t-shirts and shorts) – jeans are NEVER a good idea for band camp!

MOVE-IN INFORMATION FOR UNIVERSITY HOUSING Our band camp begins before the normal move-in dates for university housing. For university housing, we will make arrangements for you to move into the residence halls, scholarship halls, Jayhawker Towers, and Stouffer Place Apartments beginning at 8:00 a.m. on the following dates:

BAND CAMP PARKING INFORMATION

• Our practice field is on the west side of campus, near the Lied Center. Almost all band members drive or carpool to rehearsals. There is parking at the practice field (grass lot).

• When we rehearse in Murphy Hall during band camp, you may park in the yellow (not gold) lots. The closest ones to Murphy Hall are Lot 90 (across from Allen Fieldhouse and next to the Robinson Center and Business school) and surrounding the baseball stadium. This only applies during band camp through Sunday, August 22. Be sure to check the signs!

• Follow the normal parking rules and parking pass procedures if you plan on having a car

on campus.

MEAL INFORMATION FOR BAND CAMP KU Band will help to supplement the meals for those band members who live in the residence halls/scholarship halls/Jayhawker Towers and move in on Tuesday, August 10 (drumline, student staff, and drum majors), Wednesday, August 11 (colorguard) or Friday, August 13 (leadership). Those student will receive a dining card at their first meeting in Murphy Hall that will cover breakfast and dinner from their arrival date through dinner on Saturday, August 14. Meals will only be available at the Ekdahl Dining Commons (aka Mrs. E’s) on Daisy Hill on those days. KU Dining service at all dining halls begins on Sunday, August 15 for those students with a meal plan. Students who live off-campus are on their own for meals. Scholarship hall residents will have access to their kitchens during band camp, but will be responsible for storing their food, preparing meals, and cleaning up until their regular dining service starts on Friday, August 20. Please note that kitchen access may be limited, please contact your scholarship hall/KU Housing for more information. Students should bring money to cover other meals. The band students generally travel together for lunch off-campus. We’ll provide a map of local restaurants at registration. The dining halls will also be available for lunch should you choose to eat there on your own.

UNIFORM CHECK-OUT Uniforms will be distributed during band camp; specific hours will be announced that week.

in for all drum majors and student staff 9:30 Drum Majors, GTAs report (Band Conference Room) 1:15 Student Staff, Drum Majors, and GTA meeting (Band Conference Room) 6:00 Drumline Meeting and camp begins (130 Murphy Hall) GTAs, drum majors, and student staff should plan to be involved with band rehearsals/activities all morning/afternoon/early evening between Tuesday and Saturday this week. Clear your schedule! Drumline camp will begin at 6:00 p.m. on Tuesday, August 10 and will run until 9:00 p.m. that evening. From Wednesday, August 11 through Saturday, August 14, drumline camp will run from 9:00 a.m. until 9:00 p.m., with breaks for lunch and dinner. The drumline instructors will amend the schedule as necessary. Drumline members will follow the same band camp hours as the rest of the band camp schedule beginning on Sunday, August 15, unless amended by the drumline instructors. Wednesday, August 11 8:00 Residence/Scholarship Halls, Jayhawker Towers, and Stouffer Place Apartments open for move-

in for all colorguard members 6:30 Colorguard Meeting and camp begins (118 Murphy Hall) Colorguard camp will begin at 6:30 p.m. on Wednesday, August 11 and will run until 9:00 p.m. that evening. From Thursday, August 12 through Saturday, August 14, colorguard camp will run from 9:00 a.m. until 9:00 p.m., with breaks for lunch and dinner. The colorguard instructor/leadership will amend the schedule as necessary. Colorguard members will follow the same band camp hours as the rest of the band camp schedule beginning on Sunday, August 15, unless amended by the instructor/leadership. Friday, August 13 – Saturday, August 14 8:00 Residence/Scholarship Halls, Jayhawker Towers, and Stouffer Place Apartments open for move-

in for all leadership

Leadership should plan on being busy for the remainder of Friday and all day on Saturday. A detailed schedule will be emailed to leadership soon.

Sunday, August 15 Colorguard and Drumline may have an amended schedule on Sunday, at the discretion of the instructors. 8:00 Residence/Scholarship Halls, Jayhawker Towers, and Stouffer Place Apartments open for

move-in for all other new and returning members 11:00-2:00 Registration/instrument check-out is open for all band members (130 Murphy Hall).

Registration will take approximately 15-20 minutes. Be sure to have filled out the 2021 BAND CAMP REGISTRATION FORM on www.marchingjayhawks.com prior to registration! Please bring your checkbook and 2021 BAND EXPENSE FORM if you have not already turned in your form and payment. Sousaphones will meet at 2:00 to handle instrument checkout for your section.

12:00-2:30 Auditions for Piccolo, Clarinet, Alto Saxophone, Trumpet, Mellophone, Trombone, and

Baritone part assignments. You may use room 118 as a warm-up room. Please go to the assigned room at any time during this time period. You will be asked to play a scale of your choice, a chromatic scale on your instrument (full range), and sight-read. It should only last about 5 minutes. Please audition as early as you can.
