In order to gain real practical experience and prepare
for work, you may be required to attend evening
and weekend client sessions (see page 15). As a
general guide this may include flexible attendance
at the campus once a fortnight. We will endeavour
to provide you with plenty of notice so that you can
prepare for this, as you may need to consider support
requirements to allow for these flexible hours e.g.
childcare arrangements.
Student induction
During the first week of study, all new students will
follow an induction programme. This will cover
general items including health and safety, policies and
procedures.
You will meet the team of staff who will be in charge of
your education while at Elite.
National Student Number (NSN)
Every tertiary student and NCEA candidate in New
Zealand is given a unique number. This national
student number (NSN) identifies students from each
other and provides the Ministry of Education (MoE)
with basic data needed to assess trends and develop
initiatives. The numbers allow the MoE to work with
the information in a way that protects student privacy.
Students who do not already have an NSN prior to
enrolment at Elite will be issued a number using a
secure MoE site. Your NSN is also used for your NZQA
Record of Learning on the NZQA website.

International exam options > International exams are assessed by external
examiners provided by the International
Examinations Bodies. Policies and fees for
International exams are governed by the
individual International Examining Boards.
> International exams normally take place twice
a year in June/July and November/December.
However examination arragements are subject
to minimum numbers and on occasion can only
be offered once a year. You must be registered
12 weeks prior to exams.
> Due to the stringent marking procedures of the
examination boards, international exam results
can take up to 3 months after the exams have
been sat to be released to the School by the
examining board. It is your responsibility to
contact Elite to find out your results.
> At Elite we have a choice of two international
exams (not all are available at all campuses),
all of which are highly recognised throughout
the Industry. Your Tutors and Campus Manager
are available to guide you as to the most
appropriate personal choice for you.
> All international exam fees must be paid in full
on registration for each examination module
and are not refundable once registration has
taken place. All exam fees must be paid in full
before you can sit the exam.
CIBTAC > Confederation of International Beauty
Therapy and Cosmetology. This is a UK based
qualification and an Examiner from CIBTAC
observes and assesses your practical exam and
invigilates all theory papers.
> The pass mark for CIBTAC is set at 60% and
all results are forwarded to the School within
12 weeks of the exam. Achievements of Pass,
Merit or Honours can be gained through
theory and practical exams. CIBTAC exams are
designed for individual therapists to enhance
their careers by gaining extra qualifications
within Beauty Therapy. These can range
from, Nail Technology, Spa Diplomas, Holistic
Therapies and a variety of Massage Diplomas.
> Costs for these exams are not included in your
fees and the amounts may differ according to
the currency rate at the time of payment.
> Please note that CIBTAC exams require
minimum enrolment numbers to proceed.
International certification
ELITE INTERNATIONAL SCHOOL OF BEAUTY AND SPA THERAPIES8
CIDESCO > Comite International D’esthetiques et de
Cosmetology; Swiss based. CIDESCO is
considered the oldest examination board. A
CIDESCO examiner will observe and assess all
practical and theory examinations alongside an
Elite examiner.
> The practical exam consists of Beautician
and Body components together in one day;
CIDESCO theory exam is taken on a separate
day. Results will be given immediately following
marking. CIDESCO pass mark is set at 70%. A
thesis on a subject of your choice is required
as is additional research and a demonstration
of a specialised treatment; these results will go
towards your final marks.
> An additional requirement of 600 hours is
to be completed in the Industry to enable
all candidates to obtain a full CIDESCO
Diploma. CIDESCO has additional Diplomas in
Electrolysis, Aromatherapy, and some Holistic
Therapies. These can be achieved with further
training to extend your CIDESCO qualification.
> Costs for these exams are not included in your
fees and the amounts may differ according to
the currency rate at the time of payment.
> Please note that CIDESCO exams require
minimum enrolment numbers to proceed.
ELITE INTERNATIONAL SCHOOL OF BEAUTY AND SPA THERAPIES 9
An assessment of competence can take many forms
such as observation of practical activities, assignments,
projects and closed-book tests.
> Elite recognises the right of students to
seek a re-consideration of their assessment
result, but this must be exercised in a timely
and responsible manner. Please follow the
procedure below if you would like to seek an
assessment review.
Assessment review and appeals procedure
> The student should request an assessment
review from the Tutor before taking any other
action.
> If you request a further review, put your appeal
in writing and hand it in to your Campus
Manager within 20 days of result notification.
You will get an acknowledgement email within 5
working days.
> The Campus Manager collects the relevant
evidence and considers the evidence and
makes a recommendation in 3 working days.
> If you are still not satisfied with the situation,
you can contact the NZQA.
Assessment results
Students undertake both practical and theory
assessments throughout their programme of study.
Each programme is made up of a number of modules
and your results will be reported as either achieved or
not yet achieved. Your results are reported to NZQA
within 3 months.
Re-assessment opportunities > If you fail to reach the pass standard in any
course assessment, you may be offered up to a
maximum of two further opportunities for a
re-assessment (i.e. a maximum of three
attempts in total).
> The re-assessment must be completed within
a 6-month period following the failure of the
original assessment.
> Students should seek advice and guidance from
teaching staff as to how to prepare for
re-assessment and how to increase the chance
of passing a re-assessment.
> It is the responsibility of the student to liaise
with the Campus Manager when they seek a
re-assessment.
> It is at the discretion of the Campus Manager
when times and dates are available for
re-assessments.
Assessment

Recognition of prior learning and credit transfer
If there are unit standards within the Elite qualifications
that you have successfully completed and been
awarded elsewhere they will be recognised by Elite as
completed.
If you have previously completed any other unit
standards, modules or papers relevant to your course
it may be possible to have these recognised. Please
discuss this with your tutor or Campus Manager.
You will need to have documented evidence of your
prior learning that will be reviewed by Elite’s qualified
assessors to gauge your competency against the
relevant performance criteria. Evidence may include
certificates, academic records, and/or record of
learning.

Policies, procedures and practices
Code of conduct
Elite treats all staff and students with honesty and
respect as individuals, and as members of other
cultures or groups. We will expect all staff and students
to treat each other with similar honesty and respect,
and to seek to understand the different perspectives
that all people have due to differences of life
experience and cultural background.

carried on the campus.
> Alcohol is not permitted on the premises.

result in immediate dismissal
> Breach of the drugs rules may further result in
referral to the police.
ELITE INTERNATIONAL SCHOOL OF BEAUTY AND SPA THERAPIES14

permitted in class unless by prior arrangement
with tutors. Use of a cell phone for incoming
or outgoing calls or messages may result in the
cell phone being confiscated by the tutor.
> Confiscated phones may be collected from the
tutor at the end of the day.
> No bags are permitted in any of the classrooms
due to fire safety precautions. Please use
lockers.
> No food or drink is to be consumed in practical/

Professional Image and Appearance
In accordance with our industry standards and
international bodies, it is important that you maintain
an immaculate and professional presentation at
all times. You are expected to self-manage your
appearance and personal hygiene as a matter of
professional practice.
Treatments
You are expected to have all treatments performed on
you by any member of your class or teaching staff. This
is imperative to everyone’s learning and is an important
part of your training.
If there are any circumstances preventing you
from receiving any particular treatment, you should
discuss this with your Campus Manager at the earliest
opportunity and this will be addressed on a case-by-
case basis.
Client sessions
During your training you will undertake client sessions
whereby you will be expected to treat the public as if
in employment. We expect no less than the utmost
respect for our clients and as such you are required
to be in full uniform with all the usual presentation
requirements. Clients form a valuable part of your
training and deserve the highest standards of
professional practice. They will provide feedback about
their treatment experience and this will be included in
your case studies.
You may be required to attend evening and weekend
client sessions, and as a general guide this could
include flexible attendance at the campus once a
fortnight. We will give you plenty of time to prepare
for this, as you may need to consider support
requirements to allow for these flexible hours e.g.
childcare arrangements.
Work experience
As part of the International Exams requirements
students are to complete 60 hours work experience,
which may be completed in scheduled client days or in
a salon environment. Work experience hours must be
logged in the client appointment book as per campus
guidelines.
Reception and staff offices
Reception is out of bounds due to the confidential
nature of the material being processed there. At
no time should you be standing or sitting around
the reception desk and there is absolutely no
admittance behind the desk for any reason unless
prior arrangements have been made for you to cover
reception on client days.
ELITE INTERNATIONAL SCHOOL OF BEAUTY AND SPA THERAPIES 15

your safe return of the key at the end of the course.

You are expected to provide your own crockery and
cutlery for hygiene reasons. It is your responsibility to
keep them clean and stored in your locker.

students and as such should be treated respectfully. If
you are behaving disruptively during a guest speaker
visit, you will be removed from the class.

times. If you are leaving the building, please sign out as
per campus procedure.

The phone at reception is available during your break
and only for short non-toll calls. Toll calls are charged
at 50 cents per minute and need prior consent by a

time. Messages will be passed on to you but you will
only be pulled out of class for emergency calls.

be signed out and back in by a staff member. You can

to you at replacement value.

white copy only (double sided 40 cents), colour copies
are 40 cents per copy or 80 cents double sided.
Administration staff can only carry out photocopying.
Photocopiers have key code entry and so are not

progression, achievement and employability at the end
of the course.
Attendance monitoring provides an indication of
student commitment, motivation, and any difficulties
that need to be addressed; it is an essential element to
help students learn.
Unexplained absence will result in action being taken in
the context of academic support, pastoral care, or the
Code of Practice for the Pastoral Care of International
Students. As part of this, individual student attendance
data may be provided to parents/guardians/sponsors/
scholarship providers and StudyLink.

explain your absence.
> A student who has not attended class is
expected to catch up on the work missed as
teachers will not re-teach work in subsequent
classes. It is the student’s responsibility to make
arrangements to catch up on any work missed
during absence.
> Holidays are to be taken in course holiday times
only – these will be confirmed during induction.
> The day finishes at 3.30 pm, so it is essential
that all doctor/dentist and other types of
appointments are made after this time.
> Lateness to class or early departure may result
in the student being marked absent for that
morning or afternoon session.
Attendance
ELITE INTERNATIONAL SCHOOL OF BEAUTY AND SPA THERAPIES 17
Monitoring attendance
Attendance is monitored on a daily and weekly basis.
Any unexplained non-attendance will be treated with
utmost urgency and Elite staff will attempt to contact

any attendance issues.
> The administration staff will record all attempts
to make contact with you to discuss your
unauthorised non-attendance.
> The administration staff will generate weekly
class attendance reports detailing your
attendance.
> The attendance report will be shared with the
class dean so that she can meet with you to
discuss any attendance issues or concerns.
> If your unauthorised absence continues this
will result in a formal written warning letter. You
will have 10 working days from the date of the
letter to agree on an action plan to catch up on
classes missed.
> Failure to agree on a plan within this time
period and failure to adhere to the agreed
plan agreed plan will result in further formal

> During an emergency the building warden has
absolute authority until emergency services
arrive.
> Important: If in a fire, or other emergency
requiring evacuation you are aware of the
absence of a warden or wardens, please take all
practical steps to facilitate the safe evacuation
of building occupants. If appropriate carry out
the role of the fire warden.
> People requiring assistance should be taken

fire door in such a manner as to not obstruct
others leaving the building. If a disability
prevents them from immediate evacuation after
other occupiers have left a person or persons
capable of helping them from the building
should stay with them and assist. If they are
still unable to be safely evacuated, the building
warden must be told that help is needed and
their location given to the fire service on arrival.

regarding changes to the legislation and review
performance.

You must wear the appropriate uniform at all times
when on campus. The uniform to be worn for
training is:
Supplied as part of the course costs
> Corporate top – it is advised not to wash in
warm or hot water and do not tumble-dry.
> Jacket.
> T-shirt.
Supplied by students
> Black closed-in flat shoes – these should be
rubber-soled and closed both in the front and
back.
> Black straight leg dress trousers (no hip riders,
flares, leggings or jeans/denims).
Your Campus Manager will be able to give you further
guidance.
This full uniform is worn at all times unless stated
otherwise by the Tutors. If t-shirts or thermal wear are
to be worn under tops, it must have short sleeves and
should not be seen.
Your Campus Manager may permit a black long-sleeved
top under the uniform in particularly cold weather, or
for cultural or religious purposes, but in all other cases
it must be short-sleeved and not visible.
If your uniform becomes unhygienic or marked and
the problem cannot be rectified, it is essential that you
purchase a new one at your own cost.
When you are in the campus, please remove caps,
hats, scarfs or any kind of headgear unless previously
arranged for cultural or religious reasons. When
wearing headdress for cultural or religious purposes it
must be either black or white in colour. Please remove
sunglasses when you are inside the campus building.
Hair
Your hair must always be neatly tied back and off your
face and shoulders. Long hair should be secured, not
loose in a ponytail. A short fringe is acceptable. All
hair accessories should be discreet black or cream
coloured.
Makeup
A light day makeup must be worn every day, as per
campus guidelines on makeup. Eyelash extensions are
not to be worn during the Beautician module.

All evidence must be in English only
Nails
These must be short and unpolished for the safety of
you and your clients. If you can feel your nail over the
top of your finger, they are too long. Acrylic nails and
any other type of nail extension are not permitted.
There are no exceptions.
Jewellery > Only 1 pair of small stud earrings (no dangly
earrings or sleepers) in the ears and 1 wedding
ring if you are married. Name badges must be
worn on your uniform and professional badges
are acceptable in moderation. Wristwatches
will have to be removed during practical classes
for safety and hygiene reasons.
> Body and facial piercing of any kind are not
permitted at any time. Plastic retainers must
be worn for health and safety reasons but must
be removed for all practical sessions. Due to
the unfortunate occasional occurrence of theft
please do not bring valuables into the school.

or damage to property due to non-compliance
with this ruling.
Personal hygiene > It is recommended that you maintain a supply
of the following in your locker at all times: A
good reliable antiperspirant, foot spray, breath
freshener/mints, toothbrush and paste, sanitary
protection, Band-Aids, hair spray/gel. If you
may require pain killers you must provide your
own, as the school is not permitted to provide
even non-prescription medications.

at all times – this includes body, hands and
breath.

Discipline > A productive learning environment is the
result of well-disciplined teamwork from both
students and tutors. However, this environment
can be spoiled when someone chooses to cheat
or ignore the behaviours expected within the
school.
> Making any false declarations or statements on
any enrolment forms or documentation may
be considered as gross misconduct and may
result in dismissal from the School. This is at
the discretion of Elite and does not terminate
any financial obligations by the student to Elite;
therefore all outstanding fees to date will be
due and payable unless dismissal occurs within
the first two weeks.
> Gross misconduct may result in dismissal from
the School.
Student disciplinary procedures
Disciplinary process > A verbal warning from the Campus Manager
is the first formal step. This warning will be
recorded on the student’s file.
> A formal written warning is the second step. If
you are unable to receive a warning because
you are absent from the course, then the
warning is considered to have been received if
sent by email.
> The third stage is the final written warning.
> The final stage is being expelled from
the course and from Elite. If you are an
international student, Elite will notify
Immigration New Zealand of your situation
and status. If you are a domestic student,
Elite will notify StudyLink, if you have a student
allowance. No refund will be offered.
> Serious/Gross misconduct may include verbal
and/or physical abuse or threats to other
students or staff, theft or damage to property,
sexual harassment, bringing alcohol or drugs
on to the premises or arriving at school under
the influence of alcohol or drugs.
> Serious/Gross misconduct may incur instant
expulsion. No refund of fees will be available
for students who have been expelled.

Plagiarism
Plagiarism is a form of cheating. Neville (2007)
describes plagiarism as “a practice that involves
knowingly taking and using another person’s work and
claiming it, directly or indirectly as your own”.
It is the responsibility of all students and staff to
ensure that student work submitted for purposes of
assessment, is in fact their own work. The following
details the specific responsibilities of students and
members of staff.
It is the responsibility of students
> To make sure that work submitted for purposes
of assessment is their own.
> To make sure that the works and arguments of
others are appropriately cited and referenced
using the A.P.A referencing system.
> Students must not copy materials from other
students, past or present, or from written
sources, from the Internet or from any other
source whether this is through cutting and
pasting, re-writing or by any other means.
Changing a few words within a copied piece
of text does not render this original and still
counts as plagiarism. All work submitted
by students must be their own unless it is
specifically indicated within the text through
appropriate referencing.
It is the responsibility of the teaching staff
> To stress to their students the unethical nature
of plagiarism.
> To make clear to students the school’s policy on
plagiarism and the consequences if they fail to
comply.
> To ensure that students have the knowledge
and skills required enabling them to cite and
reference appropriately.
Consequences
If it is proved that any student has plagiarised, the
piece of work will not be accepted but depending
on the circumstances the student may be given the
opportunity to re-submit the work.

International students’ appeal process
If an international student does not feel their concerns
have been resolved by our internal complaint process,
the student can make a complaint to the International
Education Appeal Authority (IEAA).
How is a complaint made to the IEAA?
> The IEAA is an independent body established
to deal with complaints from international
students about pastoral care aspects of advice
and services received from their education
provider.
> If a student’s concerns have not been resolved
by your provider’s internal complaint process,
students can go to the IEAA website to find out
how to make a complaint and to download a
complaint form.
> The IEAA complaint form asks complainants to
‘explain why you believe the institute or school
has breached its obligation(s) to you under
the Code of Practice for the Pastoral Care of
International Students?’ You can download a
copy of the Code of Practice (PDF, 310KB) for
reference.

person’s ability to work or study in a positive
and successful manner and which fails to
respect the dignity of an individual.
> This includes sexual harassment, any form of
unwanted sexual attention, action or statement
and harassment based on age, ethnicity,
nationality, marital status, religious or political
belief, sexual orientation, or disability.
For the purpose of this Code of Practice, sexual
harassment includes:
> Requests for sexual favours, including implied
or overt promises or preferential treatment
or threats concerning present or future
employment status. Sex-orientated jibes or
verbal abuse, jokes, teasing or abuse about
sexual matters.
Discrimination
Discrimination occurs when a person is treated
differently from another person in the same or similar
circumstances. It is relevant to each area of public life
described and includes:
> Not being given an employment opportunity;
> Not being given access to a place or service;
> Not being treated as favourably as others.

Equal opportunities policy > It is the policy of Elite to ensure that no
prospective student or staff member is
discriminated against or disadvantaged in
any aspect of training and delivery. This
policy extends to all staff and students and is
expected to be upheld by all staff and students.
> The policy shall cover age, disability, learning
difficulties of any sort (medical/educational/
personal) employment status, ethnic or national
origins, family status, marital status, political
opinion, race, religious or ethnic belief, gender
and sexual orientation.
> The only exception will be in cases where there
is a high and unreasonable risk of harm to a
person with a disability, or to others.
> As the final successful examination is
dependent upon being at an International
standard, all students will be given fair and
equal opportunities.
> Elite is committed to equal opportunities for
everyone.
Confidentiality of information > The Privacy Act 1993 sets standards for
collection, storage and use of personal
information. Information that you have been
asked to provide is required to enable us to
enrol you, to monitor progress and to confer
your certification at the conclusion of your
course.
> Statistical information is reported to the MoE as
required under the Education Amendment Act
1990. If we want to make any other use of your

purposes and we will ask for your permission
before this happens.
> All those within the School who have access
to your personal information are bound by
the terms of their employment to keep the
information confidential.
> Personal information you supply is held
securely and permanently on database and
you will be asked to regularly update that
information.
Complaints procedure including harassment complaints
Any student who considers he or she has grounds for
concern should submit their complaint as follows:
> All complaints (student or client) should be
brought to the tutor’s attention in the first
instance.
> If your subject tutor cannot resolve the issue
you will be referred to the Campus Manager.
> If the Campus Manager cannot resolve the issue
you must put it in writing within 14 days of the
occurrence and send it to the Campus Director.
They will respond in writing within 14 days.
> If you are not satisfied with the resolution
offered you must reply in writing (within 7 days
of receiving the response) outlining what you
require as a solution to the issue.
> It may be necessary to hold a meeting and
you will be invited to attend. You may bring a
support person. Your complaint will be heard
by the Management Team who will contact you
by letter with their response.

The New Zealand Qualifications Authority (NZQA) was
established in 1990 to provide an overarching role
in quality assured qualifications and to coordinate
national qualifications in New Zealand. The
Qualifications Authority deals with the provision and
quality of qualifications. It works in partnership with all
education providers and national groups representing
education and training in industry and business.
> NZQA is a Crown Entity established under the
Education Act 1989. The Authority is appointed
by the Ministry of Education, and is accountable
through the Minister to Parliament. For more
information please refer to www.nzqa.govt.nz.
> NZQA has established a new framework of
qualifications from July 2010. The development
of this new framework is currently a work in
progress.
> The New Zealand Qualifications Framework
(NZQF) is a comprehensive list of all quality
assured qualifications in New Zealand. The
NZQF is the definitive source for accurate
and current information on qualifications.
Framework qualifications are quality assured
and nationally recognised.
> When you have mastered all the elements
and will have been assessed as achieving the
standard, you will be awarded with the credit
value. The credit value for each unit or module
counts towards the number of credits required
to complete and achieve the qualification.
> The number of credits reflects the duration for
an “average student” to achieve the standard.
One credit equals 10 notional hours of learning.
These hours are a combination of classroom
hours, self-directed learning and work
experience.
