2016 CREW HANDBOOK OUR STORY 

Shambhala Music Festival began in the summer of 1998 when approximately 500 people gathered at the Salmo River Ranch.  Over the years, the festival grew organically by word of mouth – friends bringing friends to create a community built upon Shambhalove.   

Shambhala is a family­run business and does not accept any corporate sponsorship thus retaining a true reflection of our people and their own vision.  Our attendees are our sponsors.  When not hosting the festival, the 500 acre Salmo River Ranch is a working farm. Cows roam, farm dogs, horses, pigs, chickens, miniature donkeys, gardens and hay fields are the normal business affairs.  There is also a small sawmill on the property that transforms into our main gate during show time.   

A dedicated crew of 2,200 workers and volunteers keep the bustling city of Shambhala operating during show time.  Combined with our 11,000 guests, this makes Shambhala the largest city in the West Kootenays for 5 days!  When we depart, the farm 

 

 

returns to its off grid existence.  Hay fields replace campgrounds and cows roam the forest trails.   

Shambhala is held annually in early August and boasts 6 uniquely themed stages, each managed by their own Stage Director.  Each of them books their talent, dreams the scene and delivers a cutting edge experience unlike any other.  Shambhala aims to book the best in up and coming electronic music talent from around the globe.   

             We believe in supporting our local community and strive to excel in the festival and events industry.  Above all, Shambhala is a celebration of music, art and life.  Your participation is so important – we set the stage, you bring the party.  We thank each and every one of you for sharing your spark of Shambhalove with each other, with us and our community of Shambhala.   

2016  IMPORTANT DATES AND TIMES 

Mon July 11:  Site opens for Pre­show work.  Preshow workers are welcome to arrive the day before their first scheduled shift. No one may arrive prior to July 11, even if you are scheduled that day. 

Mon Aug 1:    8am ­ Gates open to Showtime Crew.  

Tue, Aug 2:     9am ­ Shambhassador Orientation and Training at Basscamp 12pm ­ General Orientation ­ All crew not on shift ­meet at dining hall. 1pm ­ Team specific training at job location OPEN: General Store, Beatique and Blaze Burgers 

Wed, Aug 3:   8am ­ Gate Open to Public. OPEN: Night Owl Cafe, Farm Phresh Smoothies, Beverage Kiosks,  Food & Craft Vendors 

Thu,  Aug 4:    12pm ­ Amp and Living Room stages open Fri, Aug 5:    All stages open Sun, Aug 7:    8am to 9pm ­ Sunday only ticket sales ($160.00 CAD.  GST included). Mon, Aug 8:  12pm ­ Stages & Craft Vendors Close Tues, Aug 9:    2pm ­ Food Vendors Close 

12pm ­ Final Guest Departures: All Guests off site by Tuesday. Fri, Aug 12:    Crew Kitchen closes, last day of Post show. 

 

 

                On the road to Shambhala... 

  *Wristbands & Photo IDs are Mandatory Credentials!  If you have not yet uploaded your photo into shiftboard, please do it now, as it will help avoid waiting in line ups to get your photo taken. **Please note we open the driveway to the public on Tuesday Aug 2nd.  Any crew arriving after this time will wind up in the line up with the guest and incur a wait time. Please note that your guests, friends, hitchhikers, etc. will not be able to enter until the Gates open on Wednesday, August 3rd at 8:00 am PST.   

 

 

WHAT YOU NEED TO DO TO GET STARTED 

What should you bring?  Please see our packing list located at the back of the handbook for a detailed list. 

Please note that we are located in the mountains and temperatures can drop below 10°C (50°F)  or be as hot as 40°C (104°F) in August.  It can rain, shine and everything in between. BE PREPARED and layer, layer, layer!  Check for weather updates before your arrival on site.  

What should you not bring?  These items are prohibited to be in the possession of guests as well as festival Crew and will be confiscated upon entry. If you’re wondering why some of these things are banned, or you’re looking for more specifics, you can visit our Banned Items FAQ.:

CAMPING & PARKING 

Crew Camping:  The main crew camping is located in the forest along the river near Reception.  This is a quiet zone with many shaded forest spots and there is room for everyone.  There is a beach & crew only showers.   

Starlight Lot on the river side of the road is for Crew,  Artist camping, Vendor camping, Camp Clean Beats, and our Shambha­abled camping areas. We ask everyone’s co­operation in respecting these fenced in or otherwise marked areas.   This area is smaller and is typically filled by pre show workers, although all are welcome it is usually full before showtime crew arrive.  There is a fee to camp with your car or camper in Starlight lot, vehicles without the proper decal will be towed. There is an $80 fee to retrieve your vehicle in addition to what can be a long wait in the line up. 

Crew can camp on the left side of the road through Metta, however there are large fenced areas for Stage crews that we ask you to respect.  No crew are permitted to set up camp on the mountain side of the road through the entire site.  You are most welcome to camp with your friends who are guests and are welcome to join then after they have set up camp.  Crew are not permitted to save campsites for guests. 

Crew in Trailers/RV’s: If you wish to camp with your RV, or trailer, you are welcome to camp in the crew camping area free of charge. If you wish to camp in Starlight lot (on the left/river side of the road) with your RV, trailer etc you will need to purchase the appropriate parking decal (regular size $80, oversized $160).   

Parking: Crew parking is free of charge in the crew parking lot.  Please refer to map.  Be prepared to park your car and leave it for the week. If crew parking is full you’ll be directed to Free Parking. 

Showers: There are 4 showers in the Crew Camping area which are open 24hrs. Crew shower times at the public showers are from 6am­9am & 8pm­11:30pm. (8­9pm Security). 

Crew Free­ride Shuttles: There will be shuttles running between crew camp and downtown.  A school bus and 2 Freeride buses will be doing loops around the farm transporting guests and crew and will pass by the entrance to crew camp as well as the entrance to downtown on their route.  Please leave ample time to arrive to your shift.  Taxis:  Taxis are intended for transporting managers and staff while on shift as part of their work.   Taxis are NOT intended for transporting individuals to and from their shifts or for any transport outside of work. Taxis are only to be requested by managers or supervisors.  The taxis will only operate in the downtown area this year and will not be making trips out to Reception, crew camping, or to the campgrounds.  Bikes:  We encourage you to bring your bikes!  Bring a bike lock too, the long kind so you can wrap it around something.  This will give you more flexibility and take you wherever you need to go! 

 

 

CREW KITCHEN   

The crew kitchen will be open from July 11th through August 12th.  Our Crew Kitchen is cafeteria style and for those working in remote locations we have a food truck that will deliver meals.  Our Showtime crew receive one meal per 8 hour shift or two meals per 12 hour shift while working. You must have your Shambhala Photo ID to confirm that you are scheduled to work and permitted a meal.  You will receive a coffee ticket at meal times when you scan in which you can pick up at the Night Owl on the right side, . If you have allergies, sensitivities or additional needs, we recommend that you plan to provide most meals for yourself. We can only accommodate standard meat or vegetarian meals without variation and our kitchen cannot guarantee vegan or wheat/gluten free meals. Make sure you eat regularly, especially before the start of a shift. Arrive to work fed and caffeinated with a full water bottle and snacks (ie­power­bars, nuts, fruit leather, etc). The farm is large and there won’t be enough time for you to go back to your camp, even when you’re on a break. 

Other than the meals mentioned above you will be responsible for providing all other meals. Make sure to pack camp friendly food and your cooking supplies for making meals or money to purchase meals from the vendors once they open on Tuesday Aug. 2nd. Please plan accordingly, ATMs will open Wednesday Aug. 3rd.  Remember: Propane & butane camp stoves are the only approved cook stoves.   We will have ice for sale for your cooler starting Tuesday Aug. 2nd. Above all, please think ahead to make sure you have the nourishment your body needs while you’re on shift. 

Stage Crews: May have separate arrangements as per stage agreements; Check in with Stage Managers to confirm meals.  

Pre and Post show workers: Those scheduled before Aug. 1st and after Aug. 9th receive 3 meals per day. 

DRINK LOTS OF WATER AT ALL TIMES!  There is a potable water tap in the HR yard for crew!  Please fill up your bottle before your shift and on your break.  For remote workers there will be water on the food truck, and the potable water truck will be doing rounds also.  Potential signs of dehydration include headaches (similar to a hangover), Dizziness or Fainting (when standing up).  If you have these symptoms, please speak to your Supervisor or report to the First Aid station. 

HAVE SNACKS AND ELECTROLYTES ON YOU  Bring trail mix, nuts, seeds, power bars, Emergen­C, Gatorade and/or other snacks and drinks that will help you to keep your body sustained and your mind alert.   

 

 

 

CREW EXPECTATIONS &  RESPONSIBILITIES 

Code of Conduct: As a representative of Shambhala Music Festival it is important to remember that your actions on site, both on and off duty, will be a reflection of the event. Conduct deemed inappropriate will not be tolerated and may result in immediate dismissal.  It is our goal to promote a safe, caring, and community­based atmosphere.  Crew are expected to be polite and informative and carry a positive attitude. We are a friendly community and an equal employment opportunity company.  People will approach you with all kinds of questions, be helpful whenever possible. If you don’t know the answer, direct people to BASScamp for up­to­date and accurate festival information. Remember how important a smile and a human connection can be!  Shambhala does not discriminate on the basis of race, colour, gender, religion, national origin, age, sexual orientation, marital status, disability or any other basis for discrimination and stereotyping.    Crew Expectations:     

● Review schedule and sign contract with HR before coming to farm.   ● Arrive to your shift on time, prepared for the weather/work situation, well rested, 

having eaten, sober, and with work and weather appropriate gear (recommended; sunscreen, shade hat, warm layers, hat, earplugs, jacket, bandana, work boots, large refillable water jug.)   

● You are responsible for ensuring you maintain enough sleep (minimum 8 hrs. horizontal), food, water and shade in order to perform all shifts.   

● Work in a SAFE manner and abide by WCB and Shambhala specific safety protocols that will be provided to you at orientation.   

● Maintain FRIENDLY, appropriate, thoughtful, professional, timely and RESPECTFUL behaviour and environment. 

● Clock IN and OUT at the beginning and end of each shift with your Supervisor. Ensure the accurate recording of your hours and any extended breaks on the Roll Call form. You are required to take a half hour meal break which will be deducted from time sheets in compliance with federal employment standards. 

● Attend mandatory daily tailgate meeting which will outline potential hazards of the day, details of the work shift, and all other information related to your work environment  

● Wear appropriate Personal Protective Equipment (PPE), including high visibility vests, hard hats in construction zones, ear protection, safety goggles, etc.  

● Wear tops and bottoms while working, this goes for everyone, a high vis vest is not considered at top. 

   

 

 

 Safe Work Procedures ­ Individual Job Responsibility 

 Shambhala Music Festival adheres to the Canada Occupational Health and Safety Regulations.  Each person is responsible for ensuring that:   

1.  Licenses/HR contracts/waivers/orientation and training are current and valid (e.g., Driver’s License, Lift tickets, First Aid, Food Safe, etc.)   

2.  Responsibilities and tasks are clearly understood.  Ask questions when needed. 3.  Correct Personal Protective Equipment (PPE) is worn when needed. 4.  Tools and equipment are inspected and known to be in safe condition before the 

job is started. 5.  Work is carried out according to job description and training and will be modified 

appropriately as conditions change. 6.  Work is conducted in a safe manner to increase the safety of self and co­workers. 7.  Work is stopped and procedures are clarified if here is safety issue or concern. 8.  Identify any potential hazards and take action to correct the situation. 9. All injuries are reported immediately to Supervisor. 

   Vehicle Use:  All motorized vehicles must remain in the campsites unless entering or exiting the site and there will be no vehicle movement from dusk until dawn.  We recommend servicing your vehicle prior to the event as well as filling up your gas tank before you arrive on site.  

Smoking Policy:  No smoking permitted within approximately 10 feet of any buildings. Please ensure all cigarette butts are fully extinguished and disposed of in an ashtray.   Health:  Notify HR when you arrive on the farm about any health conditions you have that may interfere with your ability to work.  This is confidential and critical.  If at any time you are feeling unwell on the site, please inform your Supervisor and they will direct you to the Medical building for an assessment.   Bring any necessary medication you may require.   

 

 

 

 

 COMPLIANCE 

  Non­Disclosure & Confidentiality:  As a recipient of information regarding Shambhala Music Festival, you will not use that information for any purpose other than what has been intended, as outlined in your contract/waiver and Job Description.    Media Contact:  In the event of an incident, no one is to communicate with the press in any manner. If you are contacted by a member of the media please direct them to  your Supervisor. 

Electronic Policies:  Computers provided by Shambhala are only to be used for Shambhala related work. The use of personal laptops and/or cell phones is prohibited during work hours. 

Absenteeism:  If you have not completed your shifts you forfeit your deposit. You will not be paid for any shifts not worked.  Not showing up for a shift or leaving your post prior to being released by your Supervisor is considered an offense that may lead to dismissal.   Shifts missed due to medical conditions that are communicated to HR and confirmed by your Supervisor, will not result in holding one’s deposit.  Company Assets:  Consuming, taking or giving away of any company property is prohibited and will lead to dismissal.  Prohibited Behaviour:  Violent actions in the workplace are grounds for immediate dismissal. Physical or sexual harassment, belittling, bullying, theft, damage of property, insubordination, malicious gossip, possession of illegal substances and intoxication are all considered grounds for disciplinary action.    Dispute and Grievance Procedures:   Crew who wish to file a formal complaint should report either to their Supervisor/Manager or to Human Resources (HR), where they will be assisted in filling out the appropriate form.   Photos during Set­Up:  As crew we have the advantage of seeing the site before our guests do.  We ask that you refrain from posting photos on social media so that the magic of the festival can be experienced first hand by our guests when they arrive.         

 

 

 

RADIO PROTOCOL  Radios will be assigned to Managers and Supervisors who will then distribute them to their teams.  New batteries can be found at charging docks.  If you are going to be assigned a radio, you will receive full training on radio usage when you arrive on the farm.   

DO: *Listen to your radio and know your location *Stay on your department’s channel *Key the mike, wait 3 seconds, then speak. Give people time to answer. *Always state your name and who you are calling  ie. “Lori for Nicole”   * When responding say, “Go for Nicole” *Remember that other people can hear what you say on radio *Be brief, professional and to the point  *Replace the battery at beginning of shift *Take care of the radio equipment  *Turn in your radio at the end of the shift unless cleared otherwise  

DON’T: *Swear on the radio ­ this is a Federal violation *Discuss sensitive issues or financial matters *Shout or speak over other conversations, wait until they’ve finished *Borrow or move radios and equipment without permission *Take your radio to the bathroom with you as you risk it being dropped in the toilet  *Lose your radio ­ keep it in a safe place  

 

 

 

 

 

 

 

 

 

 

 

ONSITE SERVICES 

The following list of services is included for your information if you are in need of using them yourself or for you to provide information to Guests.  Please familiarize yourself with the locations of these services on the map so you can point people in 

the right direction.    

Showers ­ Located downtown and open for guests from 9am­8pm. Crew shower times are 6­9am and 8­11:30pm (Security 8­9pm).  There are 4 crew only showers in Crew Camp. 

Lost & Found ­ Located downtown beside the crew kitchen.  24 hr drop off.  Open 9­5 for pick­up. 

Phone Charging ­ Is available at the General Store for a fee. We do not charge phones at the HR office. 

BASScamp ­ Art Gallery, Information Booth and home of the Shambhassadors. 

Green River Collective ­ Education about and protection of the Salmo River.  Pocket Ashtray distribution. 

ShambhaLodging ­  A reserved camping area for guests that have pre­purchased one of the lodging packages online which includes express lane entry at the front gate. Essentially it is the outdoor hotel of Shambhala. 

Internet ­  There is a portable cell tower brought in by Telus which gives access to data for Telus & Koodo customers.  Some other providers will work in certain areas, but it is not guaranteed. There is no wireless internet for personal use.  

ATMs ­ Located downtown beside the water tree. 

Water ­ Guests can refill water containers at the water tree in the heart of downtown, adjacent to our ornamental gardens.  Crew can refill in the HR yard! 

 

PUBLIC SAFETY SERVICES 

Medical ­ 24 hours a day ­ Located downtown Shambhala, in the heart of the “Health & Well Being Zone”, the medical building is staffed by trained medical professionals that are able to deal with any medical emergency that should arise. A limited number of medications including Plan B are available for purchase, and prescription orders and delivery can be arranged. 

Security ­ 24 hours a day ­ Located all over site and identified by their bright green t­shirts.  Security keeps the peace and enforces the policies of the festival. If anyone requires security any crew member with a radio can reach them on channel 1. 

 

 

 

Shambhala Music Festival provides a ‘Health & Well Being Zone’ that aims to lessen the impact of risky behaviors by providing education and support services to festival guests in a centralized location. “Just say Know” is about educating yourself on the resources that are available to you. Because fun IS number one but 'Safety first!' 

The Sanctuary – 24 hours a day ­ Provides non­judgmental service to people who find themselves unable to cope with the stimulation of the festival. They welcome all people and provides support to those who feel they need a safe, quiet place to rest at any time. 

ANKORS  ­ Provides information on the risks associated with many different drugs and offers free pill testing.  ANKORS also provides free condoms, lubricants, and safer sex information.  Hours of operation are posted at their tent. 

Camp Clean Beats ­  A sober camping area that facilitates three meetings a day for those in recovery. 

The Options for Sexual Health ­ Provides non­judgmental, accurate sexual education and provides safe sex supplies. They will be roaming the grounds and will also have hours with the 'ask a sex­pert' available at the ANKORS booth. 

The Women’s Safe Space ­ 24 hours a day ­ A safe space created for women that feel vulnerable or women that have disclosed that they have been assaulted in some way. The volunteers are trained in crisis intervention and can support women in need, connect them to resources and refer them to follow up support in their own community. 

Outreach Team – 24 hours a day ­ Outreach volunteers are easily identified by their purple bandanas. They are roaming at the gate, campgrounds and stages, providing safer party information, resources, referrals and support.

Litter free, Cow friendly.  Remember, our Shambhala nation shares its space with farm animals and hay fields.   We are all RESPONSE­ABLE to keep the farm lookin’ good.  Pick up the litter, leave your campsite without a trace and when we have all departed, the cows return to good vibes not glow sticks.  

       And don’t shit in the woods.  Seriously.  

6. BE READY:   

Drink LOTS of water. Lots.  Shambhala provides free mountain drinking water in our downtown zone and there is a tap for CREW in the HR YARD. Bring water with you everywhere.  STAY HYDRATED.  

7. BE GENEROUS:   

Give your best to each other.  “Sometimes when we are generous in small, barely detectable ways it can change someone else’s life forever.” Margaret Cho.
