SPEAKING RULES & REGULATIONSAll speakers must provide quality content for the majority of their sessions. Long sales pitches and speaker biographies are prohibited. Sessions must be at least 90% content rich. Sessions are monitored for content and attendees are surveyed afterward. Failure to adhere to this rule could result in being prohibited to attend future REI Expos. While selling is not allowed in standard sessions, it is allowed in the Expo. A short 3 to 5-minute pitch at the end of the session, and an invitation to visit the speaker’s booth, is allowed.

ASSIGNMENT OF SPACE: Exhibit booths in optimal locations are first assigned to major sponsors of the REI Expo. Assignment of other booth spaces will be honored on a “first pay, first serve” basis. The Expo reserves the right to make such changes to the floor plan of exhibit booths as may be deemed necessary. Requests submitted afterwards may not be accommodated.

MARKETING: Exhibitors may only market from their booth. Please do not walk around passing out flyers or distribute on tables throughout the event vicinity. Please be respectful of other exhibitors and do not stand in front of other booths with any type of marketing material.

EXHIBIT FEES AND PAYMENT: Agreements will not be processed or space assigned without the required payments and signature. All agreements must be accompanied by full payment, either by credit card or in the form of a check. Please make checks payable to: REI Expo, LLC, and mail to: 7509 NW Tiffany Springs Parkway, Suite 200, Kansas City, MO 64153. Receipt of payment does not obligate the Expo to accept a contract as binding.

EXHIBITS: The tradeshow will be comprised of 10’x10’ exhibit booths. All booths will include (1) 6’ skirt table, (2) side chairs, and a one-line identification sign.

INSTALLATION AND DISMANTLING: Exhibitor Installation and Dismantling will vary based on individual event timeline.

Exhibitors who are unable to check in by the designated time above, are asked to give advance written notice to show management of their situation. Unavoidable delay may result in risk of booth space being relocated to a space less visible. Dismantling of exhibit booths may not begin until the designated time above. on Sunday. Exhibitors that do not abide by this policy are subject to not being allowed to return to upcoming REI Expos. Exact times are subject to changes upon written notice by the REI Expo.

SHIPPING: REI Expo will provide shipping information to each exhibitor which will provide shipping instructions and forms for all services needing during installation, show period, handling fees, and

removal of exhibit booths.

EXHIBITOR REGISTRATION: Participation in the trade show for up to 2 representatives are included with each exhibitor booth. Meals and snack breaks are not included. Exhibitors must register their representatives online ahead of time through the sponsor registration form provided.

USE OF SPACE: Exhibitors shall not assign, sublet, or share any space without written consent of the Expo. All exhibitors and displays must remain within the confined area of booth space. Displays may not extend more than 8’ above the floor, obstructing the view / display of other exhibitors. Noticeable noise produced from operation of any equipment or apparatus is not permitted.

FOOD & BEVERAGE POLICY: Due to hotel policies, no outside food or beverage may be served from an exhibit booth or anywhere in the trade show.

LIABILITY: The REI Expo will not be held responsible for the safety of exhibitor property from theft, fire, damage, accidents or any other causes. Exhibitors agree to protect, save and hold the Expo and all agents, contractors, and employees thereof (hereafter collectively called “indemnities”) forever harmless for any damages or charges imposed as violations of any law or ordinance, whether occasioned by the negligence of the exhibitor or those operating under the exhibitor. Further, exhibitor shall at all times protect, indemnify, save and hold harmless the indemnities against and from any and all losses, costs (including attorney’s fees), damages, liability or expense arising from or out of or by reason of any accident of bodily injury or other occurrence to any person or persons, including the exhibitor, its agents, employees and business invitee which arises from or out of by reason of said exhibitor’s occupancy and use of the trade show premises or a part thereof.

SAFETY REGULATIONS: Exhibitors must adhere to all municipal and state laws, rules and regulations. No combustible decorations may be used at any time. All drapes, table coverings and other materials must comply with fire department regulations. The REI Expo recommends removing valuable materials when not at your booth.

PROFESSIONAL CONDUCT: All Speakers, Exhibitors and Attendees are expected to conduct themselves in a professional and ethical manner while participating in the REI Expo. Any misconduct will result in being escorted out of the event. Misconduct is determined at the discretion of REI Expo staff.

FAILURE TO OCCUPY SPACE: Space not occupied by the close of the exhibit installation period as specified in these rules and regulations will be forfeited by the exhibitor. This space may be resold, reassigned or used by the trade show manager. Contractual obligations still apply.

OUTSIDE ACTIVITIES: The exhibitor shall not foster or conduct outside activities which would take qualified attendees from official Expo functions or trade show during scheduled hours. Use of meeting facilities or REI Expo contracted hotels by exhibitors or companies or sales or business meetings during the expo dates must be approved in advance by the Expo. Hospitality suites shall not be open during Expo hours. Any violation by the exhibitor of the trade show rules and regulations herein may, in the Expo’s sole determination, constitute a breach of the agreement resulting in termination, forfeiture of any monies paid on account, and removal from the event.

SHOW CANCELLATION: If the REI Expo is canceled due to circumstances beyond the control of the Expo, it shall not be held liable for any expenses incurred by the exhibitor beyond the rental cost of the booth space.

SELECTION OF EXHIBITORS: Only forms and companies whose services and products are appropriately related to the purpose of the REI Expo shall be permitted to exhibit. The Expo reserves the right to decline or prohibit any exhibit which, in its sole judgment is inappropriate, this reservation being all inclusive as to person, things, printed matter, products and conduct.

CANCELLATION POLICY: Cancellations must be received in writing or email, no later than 30 days out from an event in order to qualify for a refund prorated at our full retail rate for completed events. There will be no refunds for Expo no-shows and will be charged according to their signed agreement.

MEDIA RELEASE: REI Expo reserves the right to use pictures, video footage and electronic sound recordings taken during the duration of the event to be used for educational and other public media purposes.
