Introduction

Applicant Access to ATS Taleo, our new applicant tracking system (ATS), went live on Friday, Jan. 15, 2016. This system is used to hold the information entered when you fill out your application. For positions you’ve applied to, recruiters and hiring managers are then able to retrieve your information through the system and review your resume. If you’ve applied with us previously, your application will be considered in the old system. Unfortunately, application information, which includes your applicant profile and resume didn’t move from the old system to the new system. Please use this document to familiarize yourself with the application process in Taleo.

Chapter 1: Internet and Intranet Sites

Note: Be sure to disable your pop up blocker while navigating on the careers site. Employees can search our current openings by viewing our intranet website: http://mdanderson.referrals.selectminds.com/?sso_oif=true To log in: Use your MD Anderson computer username and password. If you have Single Sign-On (SSO), you will bypass the login screen. Your information from PeopleSoft has been preloaded into a profile. Click on “Go to Profile” to verify and update your information. You can search for positions by keyword at the top of the Careers page.

Chapter 2: Logging In Please follow login instructions based on your user status below:

• External Applicants: External applicants can create a new user account or login by clicking on “Go to Profile.”

• Employees: Internal applicants should search our current openings by viewing job postings from the intranet site. Employees will automatically be logged in once signed into the network.

For remote access into the network, please contact 4-INFO.

• Contingent Workers at MD Anderson: Contingent workers should apply

following the external applicant instructions and use a personal e-mail address such as Gmail, Yahoo, Hotmail, etc. when creating a profile.

Fill in the required information as shown below then click “register.”

To upload a resume, click “Browse” and select the relevant file. The system uploads the file and extracts some data included in the resume. Once the uploading process is complete, you must verify the fields containing values automatically extracted from the resume. You may have to manually correct or fill out some of them.

Fill in the required fields to complete the Personal Information page. This information will be used to build your general profile. As you navigate through each screen, the tab will turn blue indicating the step you are currently completing. It is important your contact information is accurate and current.

Fill in the required fields to complete the Education page.

Fill in the required fields to complete the Employment History page. It is encouraged to begin with your most recent or current employer. To add additional work experience, click “add work experience.” A new section will appear.

Fill in the required fields to complete the Certifications page. Include any relevant licenses and certifications.

Fill in the required fields to complete the Preferences page. The preferences section can be used to help identify positions of interest.

Please feel free to skip the File Attachments section.

The Review and Submit section allows you to review all of the required information you have entered on the previous forms and make edits at a glance. Upon completion, click ‘submit’.

Forgot Your Password? Employees: If you forget your network password, please contact 4-INFO (713-794-4636). External Applicant: When an external candidate needs to reset their password, all they have to do is click on the “Forgot your password?” link beneath the login area. Please follow the instructions below for resetting your password. Click “Go to Profile.”

From the login screen, click the “Forgot my Password” link.

Candidates will be prompted to enter their user name and email address and click “OK”.

Once this has been done the candidate will receive an email. The email will contain instructions on how to continue resetting a password. All emails will be sent to the primary email address associated with the account.

Should you still continue to experience issues with logging in and have attempted to reset your password, please contact 713-745-6947. As a reminder, you’ll need to create a new account after January 15th 2016.

Chapter 3: Searching for Jobs

Once logged in, applicants can search using key words related to that position, or by job location such as Bastrop or Houston. Once they have entered key words or information, applicants should click “Search”. Applicants can also search all of our posted positions by leaving all fields blank before selecting “Search.”

External applicants may review job details by clicking on the job title which is a link.

Chapter 4: Completing Application Information

If you have already created a general profile, some fields may contain previously entered content. To complete your application, you will need to follow the steps below. Please be sure to review all fields for accuracy prior to submission. Please review Personal Information page.

Please complete General Questions page.

Please review Education page.

Please review the Employment History page. It is encouraged to begin with your most recent or current employer. To add additional work experience, click “add work experience.” A new section will appear.

Please review the Certifications page. Include any relevant licenses and certifications.

Please complete the Self Identification page.

If an assessment is required, you will be prompted to the assessment page. You have seven days to complete the required assessment as part of the application process. If you choose to complete the assessment now, a separate window will appear to let you begin.

Completing the assessment Before a candidate can continue, they must agree to the Data Protection Notice.

Once the box has been checked, please click “continue.” Enter first name and last name and then click “continue.”

Please click on “Take Assessment” to access the required assessments.

If you choose to complete the assessment at a later time, you will receive an email with information on how to login and complete the assessment. Be mindful, you will have seven days from the date of application to complete the assessment.

Once the assessment is complete, please be sure to return to your application to review and submit.

This is the final step. Please review and submit your application.

Chapter 5: Applicant Jobpage

While you are logged in, you can access “My Jobpage” to review current and previous submissions.

• View the status of application(s) or withdraw an application • Edit profile by clicking on “Access my Profile” • View any jobs placed in job cart

To check the status of an application, go to the “submission status
