1. What is a Pastel Authorised Training Centre (ATC) Pastel ATC’s are independent training centres that deliver a range of Pastel Accounting software, educational and vocational training on the Pastel product training range. The Pastel ATC programme is global in intent and is considered an important resource for training on Pastel Accounting and related business products.

2. Why choose to offer Pastel Training courses at your Training Centre Industry commentators regard Pastel as the ideal product for the SME market. With over 200,000 users worldwide and 585 ATC’s worldwide; Pastel is a leading global developer of accounting software, offering a comprehensive range of solutions for all types of small and medium sized businesses. 3. Benefits in training the Pastel products / courses at your Training Centre

The Students Benefits

Accounting is very much a life skills subject where training centres should not only be teaching students accounting, but also to give them basic skills to provide them the opportunity to take their place in the economy.

Within the business world it is essential that employees have the necessary computer skills as well. It is therefore become an important requirement that students are exposed to a computerised accounting programme, wherever possible. In doing so as an ATC you will end up giving each of your students the competitive edge when it comes to employment.

4. Training Centre Benefits Automatic Accreditation with FASSET

Pastel is a QAP of FASSET’s (QAP/585/008). For this reason any training centres that sign up with Pastel to be an ATC

will receive automatic accreditation with FASSET.

ATCs are able to use the Fasset logo, provided they go through Fasset’s marketing department. Fasset’s marketing department will regulate the use of the logo. All students who attend training with a Pastel ATC and pass their assessments will have their results uploaded to the Fasset database in order for them to obtain their credits for the course aligned to Unit Standards.

Pastel Training Material

Pastel ATC’s will enjoy exclusive access to Pastel Training Manuals. These manuals are designed to teach Pastel’s accounting products across a range of learner levels from basic processing to advanced functionality. All manuals are written to include practical tasks, clear explanations and wherever possible are aligned to unit standards. Each manual sold includes an assessment for the student to obtain a Competency Certificate on completion of the assessment.

Recognition and Logo

Pastel ATC’s are provided exclusive access to the Pastel ATC logo and a yearly accreditation certificate which can be used to market their training services. The logo and certificate emphasises the Pastel ATC credibility as a certified provider of Pastel training. The logos may be used in advertising, on business cards and in other communications.

Referrals & Lead Opportunities

Pastel ATC’s will be linked to our referral database. Students who visit our website in search of a training centre will select the area and the product they require training on. The referral system will forward the students’ details through to the first Pastel ATC on the list. The list works on a round robin basis, thus providing each ATC with a fair opportunity to contact the students. The Referral system is based on an ATC whose account is up to date and who has the latest PCI and PCT linked to their account. There must also be a valid email linked to the account.

Pastel Training Promotions Pastel regularly offers specials on our training material and assessments.

Technical Support The Pastel Technical Support Team provides e-mail support to the ATC training centre. This support does not extend to individual students at an ATC. The Pastel Training Team, are dedicated to supporting issues which include the application and renewal process, Pastel Certified Trainer requirements, advice on instruction, training requirements, courseware, and the Pastel ATC Programme requirements.

Training-use licenses As a Pastel ATC, your company will be able to take full advantage of the Pastel Educational Software provided exclusively to Pastel ATC’s. The software is licensed for the 12 months of the contract and is for the purpose of training students on Pastel products only. These training-use licenses are separate from your internal business licenses and protected by copy write guidelines. Copying or reproducing of the software is strictly prohibited. Please note: Software installed in Demonstration mode may not be used for training purposes. The educational licenses are campus specific not company specific. Each campus is required to have their own license.

Marketing Rebate Pastel ATC’s will receive a marketing rebate on certain advertisements and methods used. Please note: Please refer to the Pastel Marketing Guidelines for more information regarding marketing and rebates.

5. Pastel Training Courses a Pastel ATC may offer

Pastel ATC’s may only train the Pastel courses related to their Pastel qualification using Pastel approved training material.

Pastel ATC’s may not train the Pastel Partner Certified Installer (PCI) Module 4 to 6 or the Pastel Evolution Certified Installer

(PCI) module 5 to 10 technical training courses.

Pastel ATC’s may only train the Pastel Partner Certified Installer (PCI) Module 1 to 3 or the Pastel Evolution Certified Installer

(PCI) module 1 to 4 technical training courses provided their Pastel trainers have been certified in these courses.

6. Pastel Assessments

All Pastel training material is sold with a Pastel Assessment. Therefore all students are required to write a Pastel assessment after their course to obtain a certification. Benefits to students writing the Pastel assessment is as follows:

• A Pastel certification is a globally accepted means of assessing an essential set of abilities

• When employees are confident using Pastel, they will deliver a significant return on investment back to their employer

• A Pastel certificate is evidence that an employee is competent enough to perform the tasks assigned to him/her

• Certification shows the determination and ability of an employee to complete a task

• A Pastel certification allows employees to apply their skills immediately after completing accreditation training Please note: Pastel’s pass mark for all our courses is 75% Pastel will not credit any assessments that have been booked / invoice to an ATC.

7. Requirements for Accreditation as a Pastel ATC

Pastel ATC’s are required to maintain the highest of standards in a number of training areas, computer specifications, trainer qualifications, superior service and more.

Trainer Qualifications Requirements

All Pastel ATC’s are required to use only Pastel PCI and PCT qualified trainers for their Pastel training. All Pastel trainers need to ensure that they always have the latest Pastel PCI Product qualification. Pastel trainers will need to successfully complete the required Pastel training courses per product with Pastel in order to teach the training courses. The Pastel PCI training that a Pastel trainer must attend per product the Pastel ATC chooses to train is as follows:

ATC’s wishing to offer training on Pastel Add-On-Modules must complete the relevant Pastel training and assessments prior to advertising these courses. These courses are not trained in the above mandatory courses and will be additional. A Pastel trainer would be required to ensure that they always keep their PCI accreditation up to date with the latest product version of Pastel. This can be done by attending the Pastel Bridging courses provided that your accreditation is always on the previous version. Pastel trainers would also need to attend the Pastel PCT course. Any trainers, who have the Train the Trainer certification or a teaching certificate may be exempted from the PCT course, provided they produce a copy of the certificate with the ATC application form. Details of the Pastel Trainer must be included in the ATC application form and must be kept updated. The Pastel Trainer may be full or part-time trainers, employed or on contract. When applying for a Pastel ATC status for the first time, the training centre needs to ensure that all trainers must have completed the required training courses and passed the assessments prior to teaching any classes. If an ATC does not have a qualified up to date PCI and PCT linked to their account, their referral system will not be active. Should you be renewing your Pastel ATC status or still fulfilling your annual ATC contract and Pastel releases a new product version, Pastel Certified Trainers are required to successfully complete a refresher / bridging course to update their certification to the next product version. During your Pastel ATC contract with Pastel, should any of your Pastel trainers leave and you appoint new Pastel trainers, these trainers would need to successfully complete the required Pastel training courses per product.

Please note: All Pastel ATC’s have a maximum of 3 months to up skill their Pastel trainers on joining or renewing their ATC contract or when Pastel launches a new product version. Failure to adhere to any of the certification requirements requested will results in immediate termination

Customer Service Requirements

ATC’s are required to establish and publish quality control and general customer-satisfaction policies These policies need to be made available to every learner prior to learner enrolment and payment. The policies must include reasonable quality guarantees, instructor evaluations, possible options for retaking a class at no additional charge, and similar implementations. Pastel Accounting monitors and tracks customer complaints and expects each Pastel ATC to ensure that customers receive the best training experience. Continuous complaints can lead to probation or termination of ATC status.

ATC Complaints When Pastel receives a complaint, the ATC will be contacted by our ATC Account Manager who will investigate the matter. A written report of the incident will be sent through to the ATC in which a response will be expected within 48 hours. Failure to respond to the incident will result in temporary suspension of ATC status. Pastel will review the report from the ATC in question regarding the complaint, as well as the complainant’s report will be reviewed. If the ATC is found guilty of the complaints brought against them they will receive 1 demerit. The ATC will be given the opportunity to appeal and would then enter into a grievance procedure. Details of the grievance procedure can be found on the ATC zone. If an ATC has obtained a total of 10 demerits against them, their Pastel accreditation will be terminated with immediate effect. In cases of complaints Pastel will remain unbiased and will try to resolve the issue amicably. Please note: All complaints and responses must be dealt with in writing / email for documentation purposes.

Centre Operations and Training Management Requirements

Paying the annual Pastel ATC fee Pastel grants ATC’s status for one year. At the end of each year all ATC’s are required to renew status by paying the annual licence fee, accepting the then current agreement, and ensuring that all trainers hold the prerequisite certification. First time applicants are required to submit signed application forms, confirming agreement to the contractual information contained in this document, together with a business proposal, supporting documents and photos of the training centre. Only once the prospective ATC has been approved, will payment of the annual fee become due. This process takes two to four weeks from date of receipt of documentation provided that all documentations are in order. At time of application an ATC is required to pay for a minimum one year. The first renewal fee will be a pro-rata charge to take the ATC to the next 31 December renewal. Every year thereafter the full renewal fee will be due on 31 December for the period 1 January – 31 December being measured as the accredited year. Prior to programme renewal, ATC’s will receive a reminder that their annual Pastel ATC fee is due. An invoice is sent during November, to the main contact on your ATC account. Please note: All ATC’s are required to renew their ATC status during December each year. Payment needs to be made by the 31

st December each year.

A penalty fee of R 500 will be charged for any late payments of renewals effect from the 1st January until 31

st January only

Please do not expect Pastel to remind you for this payment. ATC’s need to ensure they renew before the 31 December every year Notice of Termination/cancellation must be given in writing 60 days prior to the renewal date

Accepting the Pastel ATC Contract after renewal All Pastel ATC’s are required to accept a new Pastel ATC contract each year after the renewal. This is done by logging onto the Pastel ATC zone and accepting as well as updating any information regarding your Training Centre. Only after acceptance of the Pastel ATC contract will Pastel send the Pastel ATC their new certification and educational package for the year. Please note: All Pastel ATC contracts needs to be accepted by the 31

st January each year

Failure to do so will result in your ATC account being blocked and a penalty fee of R 200 will be charge for reactivation

Hold classes only at your Pastel Approved sites The use of non-authorised sites for public Pastel training is prohibited and may result in termination of ATC status.

Onsite training ATCs may offer and deliver training to a private company, organisation or individual on site provided they hold an onsite trainer ATC accreditation. ATCs may advertise private classes to individuals, either directly or through a third party.

Assessment and Certification for Students Requirements

Student Assessments and Training Zone All Pastel assessments are hosted on a Pastel online assessment programme. The cost for the assessment is automatically included in the training course / training material sold to the student / ATC. With ever course that a student attends, be it with Pastel or the ATC, the student is required to go onto the Training Zone and fill in all the details required by FASSET. This needs to be completed regardless whether the student decides to take the assessment or not. We do however encourage all students to take the assessments in order to obtain certification and be registered for credits with FASSETS. We expect that our ATC will do the same. From the date of the course / registration, the student will have 6 months in order to write their assessment and obtain their accreditation. Because all Pastel assessments are online, students can chose to write their assessments anytime and anyplace they see fit as long as they have internet access to do so. ATC are however allowed to host assessment session at their premises for students who do not have internet access at their home. ATC can then also charge the student for administration and PC / internet usage fees at their discretion Please note: It is the duty of the ATC to ensure that each student register their assessment serial number in order for the student to write their assessment.

Certificates Students will receive a certificate of competency from Pastel once they have completed and passed the Pastel assessment. Please will post their certificate directly to them. Only certificates issued by Pastel ourselves may carry the Pastel name, branding and certification. Any certificates issued by the training centre may not include the Pastel logo or name and may not contain text implying successfully completion of a Pastel course

Communication Requirements

Email The primary means of communication between Pastel and ATC’s is through email. It is essential that internet and email access is available. Pastel will distribute email newsletters to highlight new opportunities and announcements. The primary contact is required to ensure the information provided by email communication is immediately disseminated within your organisation. In the interest of keeping our records updated, please advise us of any changes to your contact details by emailing [email protected] or by logging onto the ATC Zone and updating them.

Internet In order for ATC’s to access the ATC Zone on the Pastel website internet connectivity is vital. Access to this zone provides trainers with additional training aids, course files, use of the knowledge base for error troubleshooting, the booking of delegate assessments and more.

Road shows Pastel hosts yearly ATC Road shows which brings all ATC’s up to date with regards to our products and training. ATC’s are required to at least send 1 representative to these road shows per year

Courseware

Pastel ATCs must abide by standards designed to prevent the piracy of Pastel courseware, and other intellectual property associated with the Pastel ATC Programme. Piracy/fraud in the context of the Pastel ATC Programme includes, but is not limited to the following: copying, merging, reproducing, reverse engineering and disassembling Pastel Authorised Material and certificates, illegally copying CDs/DVDs, and fraudulent reporting within the guidelines of the training initiatives or related campaigns. The re-use or resell of Pastel Authorised Material (PAM) is also prohibited and will result in immediate ATC status termination. Each new learner must be provided with a new copy of the training material. Please note: Pastel reserves the right to terminate Pastel ATC status if found in violation of piracy or fraud standards as they relate to the above-mentioned criteria.

Courseware Audits Pastel and/or its designees will conduct random audits whereupon a company's courseware use policies will be assessed to ensure that courseware has not been used or distributed illegally. The audit shall include but is not limited to the following:

• Documenting the Pastel ATC processes used to track purchase and sell PAM courseware

• Quantifying the type and volume of PAM courseware purchased and sold by the Pastel ATC

• Reconciling the Pastel ATC records with the Pastel Operations records

• Confirming that courseware completion certificates are being used correctly: one certificate for each learner trained using PAM courseware; no certificates issued for non-PAM courses.

Upon completion of the audit, should a Pastel ATC be found to have sold more PAM courseware than purchased from Pastel, the Pastel ATC will be required to match Pastel records when discrepancies are greater than 5%. In such situations, the Pastel ATC will be required to pay a sum equal to the cost of the discrepancy in PAM as well as pay for the audit process. Upon notification of the discrepancy, the Pastel ATC will have 30 days to resolve the matter. Failure to resolve the matter within 30 days may result in removal from the Pastel ATC Programme and additional legal action.

Facility Requirements Any ATC that offers public classroom instruction should have access to facilities that meet the following minimum guidelines:

• Adjustable ventilation system installed (cooling and/or heating according to regional requirements)

• PC per student (with correct specs and DVD player)

• Data Projector

• Projection screen with a diagonal measurement of at least 1.5 meters. Ability to darken the room for display purposes

• Whiteboard of at least 1.5 square meters. Markers, and cloth - preferably this should be separate from the projector (it is distracting when you have to pull up the projector screen every time you want to write on the board - and also sometimes you want the learners to see both the screen, and what you're writing on the board, at the same time)

• Printer or access to a printer

• Flip-chart

• A 15-minute Tea Break in the morning and later in the afternoon, serving coffee, tea and biscuits, should be arranged for the learners and lecturer, for each day that the course is running.

• An hour lunch, including a meal, should also be arranged for both the learners and lecturer for each day that the course is running

• Clean and properly serviced toilet facilities

• Dedicated smoking area

Site inspections and audits Pastel and/or its designees may conduct site inspections and Programme audits of the Pastel ATC. Prior to the onsite inspection and/or audit, the Pastel ATC will be given reasonable notification of such events. Onsite inspections and/or audits will be conducted during normal business hours. The Pastel ATC should maintain all learner, class, PCT and related records for a period of one year from course completion date. The Pastel ATC will submit these records and any other Pastel ATC Programme information requested, in a Pastel standardised format, within 30 days of notification of such event.

The site inspection and Programme audit shall include, but is not limited to the following:

• Courseware Audit

• Inspection of all classrooms used for training

• Interview of Pastel ATC primary contact

• Software Inspection

System Requirements

Enrolled learners must have access to a computer in order to practice what they are taught during the course via the practical tasks supplied. Computers must have the minimum system requirements in order to run Pastel efficiently.

Performance Requirements

All Pastel training centres are required to order a minimum of 25 x Pastel training manuals per year in order to maintain their Pastel ATC status with Pastel. Pastel will conduct a bi-annual audit to ensure ATC’s are purchasing manuals from Pastel.

8. Additional Information

Ordering Pastel Training Material

ATC are required to place their training material orders through the ATC webstore which can be found on the ATC Zone. Pastel will not accept any orders not placed through the ATC webstore

Orders can be collected within 5 working days of order date, alternatively at the request of the ATC, and for a nominal fee, they will be delivered directly to the training centre. A minimum quantity of 5 sets of training material is required and proof of payment must be provided before we will process any ordered.

Training material will not be supplied to Training centres where trainers have not successfully completed assessments for that course. If an ATC’s account is not up to date, Pastel will not sell courseware and assessments until the account has been settled. Certain of our training material are order on demand. It takes Pastel 7 working days to obtain this manual and we will only place the printing order for this manual once the Pastel ATC has paid for these training materials up front. Please note: All Pastel training material is sold with a Pastel Assessment Pastel will not accept returns of Pastel training material if ordered incorrectly or if you have too many in stocks All suggestions regarding our training manuals needs to be emailed it [email protected]

Ordering Pastel Assessments for Rewrites

ATC are required to place their assessments orders through the ATC webstore which can be found on the ATC Zone. Pastel will not accept any orders not placed through the ATC webstore

Once payment has been made Pastel will email the Pastel assessment serial number to the Pastel ATC for the student

Customisation and Dual Branding of our Training Material

Pastel is willing to customise our current training material to suit your training requirement needs. This customisation is limited as Pastel is required to deliver the correct amount of information per course. Pastel will also add your training centres logo onto the front cover of the training manual. Please note: A minimum order of 100 x manuals needs to be place per year per training centre at one time in order for Pastel to customise our manuals for you

Multi Site Training Centres

To provide a price break benefit to large groups, special discounts have been determined for training centres that have franchises and/or branches. The number of sites requiring ATC status will determine the prices charged per site. See Pricing Schedule for cost details.

Training of the Latest Pastel products

Pastel training centres may only train Pastel courseware that is 1 version back to the latest.

10. Steps to follow to sign-up as a Pastel ATC with Pastel To become a Pastel ATC all you need to do is follow the following steps: STEP 1: Read through the ATC programme contract. STEP 2: Select the Pastel product/s you would like to train STEP 3: Book to attend the require certification courses in order to train Pastel. STEP 4: Complete the application form and submit to Pastel STEP 5: Accept your contract online and fill in Fasset required details once you ATC application has been approved
