Indexing Terms

Database producers also add indexing terms that highlight the key concepts covered in the document.

Indexing terms typically are controlled terminology.

Assignment of uniform indexing terms to records within a database allows searchers to accurately locate documents on a particular topic.

•Specify how terms will be associated in the answers using

– AND– OR– NOT

Associate terms with logic operators

22

ANDAND - Associating two or more terms with AND retrieves answers (records) containing all of the terms

For example: A search of DOG AND CAT in the CAplus file results in the STN response:

36871 DOG27943 CAT 1874 DOG AND CAT The response from STN tells you that:

36871 records contain the term DOG

27943 records contain the term CAT

1874 records contain both terms

DOG AND CAT

The response from STN tells you that:

36871 records contain the term DOG

27943 records contain the term CAT

1874 records contain both terms

DOG AND CAT

Associate terms with logic operators

23

OROR - Associating two or more terms with OR retrieves answers containing at least one of the terms

For example: A search of DOG OR CAT in the CAplus file results in the STN response:

36871 DOG27943 CAT62940 DOG OR CAT

The response from STN tells you that: 62940 records contain either DOG, CAT, or both.

The response from STN tells you that: 62940 records contain either DOG, CAT, or both.

NOTENOTE: Use OR to associate synonyms. Enclose terms connected by OR in parentheses.

Associate terms with logic operators

24

NOTNOT - Associating two or more terms with NOT retrieves answers containing the first term, but not the second.

For example: A search of DOG NOT CAT in the CAplus file results in the STN response:

36871 DOG27943 CAT34997 DOG NOT CAT

ALERTALERT: The NOT operator should be used with caution to avoid eliminating valid answers.

The response from STN tells you that:

34997 records contain the term DOG but not the term CAT.

Truncation Symbols

Truncation symbols (“wild cards”) allow for retrieval of:

• Various word endings• Singular and plural word forms• Spelling variations within a word (e.g., British/American spellings)

65

Truncation Symbol

Definition Example Retrieval Possibilities

? Zero to any number of characters at the end of a term

GROW? GROW GROWS GROWING GROWTH

# Zero or one character at the end of a term

GROW# GROW GROWS

! Exactly one character within a term or at the end of a term

T!!TH

AMIN!

TEETH TOOTH TRUTH

AMINE AMINO

Truncation symbols may be combined within the same term. Multiple uses of # and ! are allowed.

The response from STN tells you that 1613 records contain both concepts. Records are placed in an answer set labeled L1. They are arranged from newest to oldest.

68

Use the DISPLAY (D) command.

– A no cost option is available in most files. – Lets you view a portion of the record for free. – The fields displayed are specific to the file. – Generally, shows

Sharpen Your Search Strategy

Narrow the Search Strategy - Make It More Precise

• Choose more specific terms• Add another concept

Which Direction Should You Take?

Broaden the Search Strategy - Make It More Comprehensive

• Apply truncation to terms• Use more alternate terms

73

Which Direction Should You Take?

Aspects to consider now:

Are the answers you see in the evaluation step the kinds of answers you want?

Are a large proportion of the answers relevant? Is the number of answers acceptable?

Sharpen Your Search Strategy

74

Broadening an Online Search

Broaden to increase the number of answers retrieved: Apply truncation to search terms Use more alternate terms for the concepts

When choosing alternate terms, look for: Synonyms File-specific indexing terms Variations in spelling Acronyms File-specific abbreviations

75

D RANK displays a list of the files with hits in descending order.

Each file is assigned an F-number that can be used in place of the file name when the files are entered for searching.

Based on the high number of hits, EMBASE may be a good starting point for developing the query.

=> HELP CONTENT FILE=EMBASE You are currently in the EMBASE File. EMBASE, the Excerpta Medica database, covers worldwide literature on biomedical and pharmaceutical fields. It is produced by Elsevier Science, the world's largest publisher of scientific and technical information.

EMBASE contains more than 8,772,090 citations (11/01) for the time period 1974-present and is updated weekly.

Records contain bibliographic information; controlled terms (EMTREE drug and medical descriptors, EMTREE codes); drug trade names and manufacturers; and medical device trade names and manufacturers (1998-present). Approximately 80% of the records include abstracts, and many include CAS Registry Numbers (R).

To view information about the content of a specific file while in the INDEX environment, type: HELP CONTENT FILE=FILENAME

Simultaneous Multifile Searching

All information is searchable. The Basic Index contains single words from the document titles (TI), controlled term (CT), chemical names (drug and medical devices trade names) (CN), gene number (GEN), company (manufacturer) names (CO), names of product (NP), and abstract (AB) fields, as well as CAS Registry Numbers. The only words that are not indexed are the stopwords, AN, AND, AS, AT, BY, FOR, FROM, IN, NOT, OF, ON, OR, THE, TO, and WITH. Other information, such as author names, is searched by using field qualifiers, e.g., S JONES, E A/AU.

Using SET CommandsThere are several different commands available for customizing an STN

session or account. Many of these will be demonstrated throughout the course of this workshop.

The following table is a summary of some of the more common SET commands.

Any settings that are changed during the course of a session will revert to the default when the session ends.

To preserve your settings past the duration of the session, type PERM after the SET command.
