Survey Data Interpolation
Survey Importing
SURVEY IMPORTING
Survey importing is: A process by which independent survey vendor data is formatted and uploaded for storage and
use in REWARD
It allows users to: Have an electronic warehouse of survey data Easily and effectively search for survey data for market matching
335© 2011 Towers Watson. All rights reserved. Proprietary and Confidential. For Towers Watson and Towers Watson client use only.
Survey Importing — Getting Started
SURVEY IMPORTING
What do I need to get started? Formatting guidelines and checklists Survey data in a “raw” format that can be converted to an Excel filey
— Access, Excel or Text Access to your REWARD database Access to your FTP site
An organized approach to survey loading: Facilitates year-over-year matching Improves searching
Develop a list of surveys to be loaded with the following information on each survey: Release date Effective date Survey file name Survey name for display in REWARD Person responsible for formatting and for importing
It’s important to be organized in your approach

Formatting Guidelines
SURVEY IMPORTING
There are formatting guidelines to follow when preparing survey data for import: Naming column headers Formatting scope cutsg p Setting search 1/2/3 categories Cleaning the data set Inserting survey job and level descriptions Saving the import file to an FTP site

Preparing Data — Naming Column Headers
SURVEY IMPORTING
Column header formatting requirements One row of header data without any duplicate values No spaces in the header column titlesp
— Use_an_underbar— UseInitialCapitalLetters
No hidden or blank columns in the file No symbols (%, $, &,*)
— The only allowed characters in header names are abcdefghijklmnopqrstuvwxyz1234567890 and underbar (_)
C l h d t b i ith b Column headers cannot begin with a number— Use Base50 instead of 50Base
Column headers cannot exceed 50 characters
F d t l h d h ld i di t b th th t d t For data columns, header names should indicate both the pay type and comparator Example: Base50 or TgtTotalCash75

Preparing Data — Formatting Scope Cuts
SURVEY IMPORTING
Although survey vendors may present scope detail in multiple columns on their survey files, scope must be imported into REWARD as a single column
Use the concatenation formula to combine scope fields into a single column
Example: Combining scope data from cells C2 and D2 requires the Excel formula of:=Concatenate (C2,D2)or=C2&D2
During the import process REWARD provides the option of choosing which scopes to import into the database, however, it may be more efficient to remove scopes that will never be used Example: If your organization will never match to industry scopes in the Food Service sector,
d ith thi b d l t d f th d h trecords with this scope can be deleted from the spreadsheet

Preparing Data — Creating Search 1/2/3 Fields
SURVEY IMPORTING
Setting one or more search fields allows for the creation of custom search categories that can be applied across all surveys to align the data for easier searching
If used, these fields are added to each survey file based on predetermined categories to align data across surveys Example: An organization wants an easy way to identify the survey scopes that encompass their
annual revenues of $4 billion They use three surveys that report the following applicable scopes: They use three surveys that report the following applicable scopes:
— Revenue: $3B to $5B— Rev from $3,500,000 to $5,000,000— Annual Revenues Greater than $3.5B$
Before importing the survey, this organization can identify each of these scopes in the Search 1 column as being in the same category such as— Revenues = $4B or— FY12 Corp. Revenue Category

Preparing Data — Cleaning the Data Set
SURVEY IMPORTING
No hidden rows in the file
No symbols (%, $, “”) in numeric fields
No commas in numeric data fields (e g 1 000 should read 1000) No commas in numeric data fields (e.g., 1,000 should read 1000)
Annual data should be represented in units If data is provided in 000’s, then it must be converted
— Example: An annual salary of 85 124 needs to be multiplied by 1000 to generate a value ofExample: An annual salary of 85.124 needs to be multiplied by 1000 to generate a value of 85124
Percent data should be represented as a numeric value 10% should be entered as 0.10
No formulas in cells In Excel, use the Paste Special function to paste values where equations exist
No duplicate rows or columns of data

Preparing Data — Filler Column
SURVEY IMPORTING
In the process of converting an .xls file to a .txt file, there must be a value in the last file column for each row
Add Filler data as your final column to achieve this without modifying survey data Populate each row with “0”, “x” or the initials of the survey formatter in each row of survey data

Preparing Data — Inserting Survey Job and Level Descriptors
SURVEY IMPORTING
Typically, survey job and level descriptions exist in a separate file and will need to be added to the import file Use the lookup formula in Excel to add job descriptions to your file Ensure there are not embedded carriage returns in the descriptions Save the descriptions as values (using the paste special function) in the file to remove the
formulas

Preparing Data — Multi-Survey Formatting
SURVEY IMPORTING
Formatting data for a multi-survey import requires: Addition of nine columns to the single-survey worksheet
The new columns identify the survey for each row of data and represent the same questions that are The new columns identify the survey for each row of data and represent the same questions that are asked on the screen when importing a single survey Data must be completed for each row of data
The same formatting rules used for a single survey format also apply to multi-survey formats
REWARD allows users to load more than one survey at a time, however, the import files must be formatted differently.p y

REWARD can also import regression-based surveys Regression formulas are imported instead of the resulting values Note: formatting does not require a calculated formula in Excel, but rather creating the formula as g q , g
text in SQL format
To import regression formulas, the following regression formula information for each survey pay type are required:
I t t Intercept Slope Standard Error R2 values are useful and can be added to the scope field for additional information about the R2 values are useful and can be added to the scope field for additional information about the
reliability of each regression formula, but are not required
Type of regression formula, i.e., Base-10 or Natural Log Typically provided in the survey’s methodology sectionyp y p y gy
Some survey vendors create their regression formulas to deliver results in thousands (‘000s); others deliver the full value $564.345 versus $565,345 The formula in your excel file may need to be adjusted to return the value in whole units

SURVEY IMPORTING
In the regression formula, X represents the scope value which drives the regression formula Typically this is a revenue value
When matching a regression survey job to a job REWARD will require the user to input the value of When matching a regression survey job to a job, REWARD will require the user to input the value of “X” in the scope field
For the revenue regression value of X, some surveys require this value to be in millions; others require the value be in full units This type of detail is typically provided in the survey’s methodology section

Note: you may need to multiple the final value by 1000 to generate values in units— EXP((0.179*LOG(X))+12.2683)*100
Surveys using a natural log regression formula will typically provide an example equation in the survey methodology that is similar to: In (pay) = [slope * In (revenue)] + intercept, or
P [Slope*In(revenue)]+intercept Pay = e [Slope In(revenue)]+intercept

Common Loading Errors — Bad Data
SURVEY IMPORTING
Fields Too Long Can Cause Load Failure
Typical offenders are Level (max 10), Title (max 100) and Job Desc (max 3000)
To Fix: To Fix: Review field length limits in the Preparing Data — Cleaning the Data Set section of this document Use function = Left (cell, len) and then do a Copy and Paste Special>Values
Duplicate JobsDuplicate Jobs
The import will fail if REWARD finds duplication of the survey key There must be a unique record for each combination of survey job code, survey title, survey level
and survey scope
To Fix: Run a pivot table to count the instances of code, title, level, scopeOR Use the “Unique Records” option via Advanced Filtering to identify duplicates If necessary, add a level (if there isn’t one), or delineate the scopes in order to make the key
unique

Re-Importing Survey Data
SURVEY IMPORTING
When re-importing surveys, remember the following: REWARD saves the survey vendor and survey information in steps 1 and 2 of the single importing
wizard— Do not input the detail a second time, otherwise a duplicate survey vendor or survey title will
be created— Instead, select the survey name from the drop-downWhen re importing data REWARD uses an Update and Append action based on the survey When re-importing data, REWARD uses an Update and Append action based on the survey record’s unique identifier— Job Code, Job Title, Level and Scope
If the values for any of these fields are different, REWARD will ADD datay If the values for these fields are identical, REWARD will UPDATE data

Survey Data Interpolation — Determine Factor
SURVEY IMPORTING
To calculate the interpolation factor, simply apply the following formula: (Needed value – first known value) divided by (second known value – first known value)
Example: Survey provided values at the 50th and 75th percentiles and the 65th percentile is needed Example: Survey provided values at the 50th and 75th percentiles, and the 65 percentile is needed Applying the formula above with the example values yields the interpolation value:
— (65-50) / (75-50) = 15 / 25 = 0.60— 0.60 is the value we would enter as the interpolation factor on the previous pagep p p g
Note that the survey comparator must already exist before trying to interpolate
If it doesn’t exist, contact a Tech Lead to have it created
Alternatively, the interpolation can be calculated in Excel before importing to the FTP siteAlternatively, the interpolation can be calculated in Excel before importing to the FTP site
REWARD allows the interpolation to be applied: To singular or multiple pay types and/or surveys at one time Every time a survey is importedy y p
