Dr Ajit Vaze President USI, Hon member of EAU

Dear Members,

I have great pleasure to release the last newsletter of not only of this year, but also of my tenure. One more supplement will come just before the USICON containing conference & AGM related news.

It was a satisfying experience to work as secretary & serve this prestigious society for 2 years. I tried to give to the society & in turn to all members, whatever maximum possible in my capacity. I was, I am & will continue to be overburdened by the faith you have put in me & elected as secretary. This burden kept on pushing me to do something good & something new to the society. I will write in detail in my secretary message which I will release in supplement. However, in this newsletter, I would like to give information of the upcoming events, scientific program & some of the projects.

Abstract presentations – As I stated earlier, it was mammoth task. I learned few lessons from my last years' experience & hence I advanced last date of submission to 31 July. As I promised, in 3 months, I completed assessing all the papers. List of reviewers was ready. & I had fixed plan how to get all papers assessed from reviewers. We had set of stand by reviewers & ultimately job was completed as per the target we had set. All papers were coded, sent to 5 reviewers & their marks were tabulated & averaging was done. For prize papers, I ensured that it is sent to senior reviewers spread across the country. All papers were coded so as not reveal their identity. Top & bottom score was omitted& then average was taken. This time council decided to reject the papers which scored below certain average. Just to understand the task I am putting some of the statistics which you may find interesting –

Total papers submitted in all categories – 610 Accepted all categories (including unmoderated) – 273 – 45% Rejected papers all categories – 337 – 55%Prize papers – CKP – 62 - Accepted – 9, rejected - 53Brij Kishore – 9 – accepted -6, rejected – 3

I must thank 130 reviewers who have participated in evaluation of abstracts. I request some reviewers to pardon me, as I kept on repeatedly reminding them by mails, sms & phone calls. It will be unfair if I do not mention tireless efforts of Mrs. Kiran Arora & Mr. Navneet Arora which helped me to complete the task in time. The whole list of accepted papers is already put up on USI web site. I request those members (whose papers are rejected) not to get disheartened. Let this serve as stimulus to do better next time.

Scientific program: I have realized that Scientific program is dynamic process. It will keep on evolving as per the need of members. Skeleton of the program was ready 6 months in advance & detail scientific program was ready 2 month in advance. I have already uploaded the program details on USI & USICON web site. Please go through it. However, some finer details will keep coming & I will keep program modifying on web sites. This time scientific program is made to ensure that all subspecialties are included & there is something to take home for all members. Most sessions are made interactive in nature rather than didactic lectures. Don't miss sub-plenary sessions – which are very focused & you will find them interesting.

USI AppUSI app is almost ready. Within few days, I will release it. Then you can download it from play store in android phones & app store in iphone. It will get better & better as days pass by. I want all members to download it. I am working on this app for last 3 months. It is designed with all future applications in mind. It has most features which are available on web site. Now you can search member, edit your profile, access “My USI” from the app itself. It is possible that USI programs in future can be transmitted live from USI app like web cast. So even if some membersare not attending conference – they can see it live from app on their smart phones. First such transmission I am planning to do is of “Urofinancecon”. You need to follow certain instructions, download flash player if it is not in your phone & then you are ready to watch USI program live. I am sure, USI app is going to open whole new world to members. In future, it can have video library, chat gallery, cases discussion, e voting, surveys, referendum, archives & many more things. Whole USI will be on your fingertips.

So, dear friends, welcome to whole new world of USI app. Be part of it.

Surveys – USI publication: We conducted many surveys in last 2 years. These were in various issue – academic & organizational. Surveys gave insight as to what members think & what needs to be changed. Some of the academic surveys were well received & results were eye opener. I am happy to inform you that 2 such survey analysis is now published in Indian journal of Urology – Lead was taken by Dr. Sanjay Sinha (Indian J Urol 2018;34:202-10)in one & Dr. Ashwin Tamhankar -(Indian J Urol_230_18 –to be published in Jan-March issue)in another. One more manuscript on BPH survey is sent to journal waiting for its reply. It is heartening to see that work done in society has resulted for publication in journal.

Forthcoming programs: All zonal conferences are now over. Urofinacecon, Healing the healers & USIOCN 2019 are our forthcoming programs.

Urofinancecon: After huge success of “urolegacon” last year, I thought of continuing tradition of non-urological CME this year as well. Subject chosen is financial issues in Urology practice. If you look at the program, you will agree

USI Newsletter

that most of us wish to have answers from the experts on the topics which are going to be discussed. I am pleasantly surprised that within few days of starting registration, we surpassed the expected number. Unfortunately, we had to stop registrations because of logistic reasons. There will not be any spot registrations. Unfortunately, there are many who are disappointed of stopping registrations. Hence we have decided to do live transmission of the whole event by web cast. You can watch that on USI web site as well in USI app (if possible). See detail program elsewhere.

Healing the healers – This has also generated good response among the members. Here also we surpassed the numbers shortly after announcement. We have discussed with Brahmakumari's organizers & they have kindly agreed to increase the rooms allotted to us. So, we will continue to accept registrations. This will be residential spiritual meet. With complimentary registrations, meals & accommodation (on twin sharing basis). This is program we strongly recommend you to come with spouse. I have no doubt it will change the way we see the world & the way we react to many things. See detail program elsewhere.

Nursing update – OT nursing update is now added feature of USICON 2019. You must send your OT technician, nurses to attend this program. Apart from lectures we shall show videos on how to clean instruments, how sterilizations is done in correct way, OT fumigation – what are the pit faults, trouble shooting of C arm, cautery, harmonic….etc not working, In short, nursing update is being done with objective of training OT technicians to make your life easy. So, register your nurses/technicians at earliest.

I am putting all zonal conferences report. I must say, all zonal conferences have not only becoming bigger & bigger but better & better as well.

E votingLast year we had huge task to complete registration with charity commissioner's office. We successfully completed that. This year we have taken challenge of doing e voting for the first time in the history of USI. Preparations for this are going on since beginning of this year. All pros & cons, all legalities, all problems of e voting are discussed in huge details. All concerns about malpractices in e voting like – hacking, maintenance of secrecy & privacy, multilayer security, sharing passwords, voting on behalf of someone – are all discussed in great details with the e voting provider company & satisfactory solutions are obtained. About 1000 members have registered for e voting. We shall put the list shortly on web site & app. There will be mock e voting in December. I request you to participate in it. Read the details in this newsletter itself.

My USIThis is one of the ambitions project we have undertaken. It is launched now. It is strongest tool in your hand. This feature will make USI secretary, USI office responsible & accountable. I keep getting lot of mails from members about various issues, to which I respond as promptly as possible. However sometimes, I may miss some mails. I request all of you to put questions through My USI feature. Your question will be answered immediately. If not answered, it will be seen, Also, every member can see what questions were raised & what & when answers were given. You can put comments & suggestions also. unforgettable experience, came true in more ways than one.

India, nominations were invited for USI Elections 2019 via July 2019 newsletter and e- notifications. The final list of

nominations after final scrutiny, after completion of the last date of withdrawal, 31st October 2018, is attached

herewith, along with a brief bio-data/write-up from each candidate.

Commissioner (who also officiates as Registrar of societies in state of Maharashtra) , USI election this year onwards

Conference of USI, as well as 'on-site' voting during the USICON 2019 at Bhubaneswar.

The Election schedule is as follows:Event Date and time'On-line' Voting Dates 1st January 00.00 hrs to 10th January 2019 midnight'On-site' Voting Date during USICON 2019 25th January 2019 10 AM to 2 PMDeclaration of Result 25th January 2019 (during GBM)

register with USI with a valid Photo ID, mobile number and e-mail ID with the last date of 31st October 2018. All

eligible voters who have registered successfully before the due date are eligible to vote online in the USI Elections

2019 from 1st January to 10th January 2019. The final corrected voters list eligible for voting will be uploaded on USI

website (members' area) shortly.

'On-site' Voting:This year, there will be a provision for on-site voting as well at the venue of the conference in Bhubaneswar. The

date and time for on-site voting will be: 25th January 2019, from 10.00 am to 2.00 pm. Members who had not

registered for e-voting, and those who had registered but were not able to vote online from 1st to 10th January

2019, can exercise their franchise at the venue. Please remember, during 'on-site' voting at the venue, production

of a valid photo ID proof is mandatory.

Mock Voting / Dummy Voting:

A round of Dummy voting will be conducted prior to the actual polling, to allow the members to get familiarized of

been tentatively planned from 1st to 10th December 2018, which will be confirmed in due course.

All full members of USI who are registered for e-voting will be eligible for dummy voting.

10 minutes with only 3 chances to regenerate.

USI Newsletter

Once a valid OTP is entered, the ballot paper is opened for voting. Member has to select respective candidate from

the digital ballot paper and submit choice in each category to exercise the vote.

Once vote is cast, no new OTP can be generated for that member. OTP generation will be embedded to validate not

only the voter's VPIN/OTP conformance but also, validate and monitor IP of the voter and that voting executed

(VPIN/OTP validation) are from same place and IP (for excluding forged/ simultaneous logins from multiple

locations).

The digital Ballot paper validates invalid votes and alerts members to rectify before submitting. On submission, a

confirmation is taken. Once successfully submitted, a confirmation message is sent to the member who has cast the

vote.

The entire process of e-voting is completely digitalized, with multiple levels of encryption and without any human

interference from beginning till end. The external agency chosen to conduct e-voting for USI has highest credentials

in this field, and has experience of conducting elections for several national medical specialty organizations ten

times the size of USI for last many years with complete transparency and integrity.
