About the Donor Database

The Donor Database is a simple tool.

It helps you to follow the development of your monthly donors’ donations and optionally compare them with their yearly pledge.

The Donor Database has been developed using Excel and uses only a few simple functions. So if you understand spreadsheets, then you will be able to work with the database! This presentation shows you how to get started.

About the Donor Database

The Donor Database was developed in 2008 by ”Københavns Frimenighed” (a Danish church), RO Regnskab (a recommended accountant) and Greenbrook (a soon-to-be social entrepreneur).

Besides the actual database you will find a few other tools that can help you manage your finances in your club, union, charity, church or other volunteer project.

About the Donor Database

The Donor Database and the other tools are released by Greenbrook under a Creative Commons Licence which means that the tools are free and can be copied, developed even further and distributed, as long as the same licence is applied.

Use the Donor Database

Start by filling in the relevant information on your donors.

As the year goes on, fill in the donors’ donations month by month.

Compare the donations with the total pledge of your donor.

As time goes by, compare the running total of donations with the yearly pledge pro rata.

Green = above pledge

Yellow = same as pledge

Red = bellow pledge

Print letters of thanks to your donors with details on their donations.

If the donor is a tax-payer, just print this one page letter showing the needed information on your donors and their donations.

Manage your Liquidity

Problems with liquidity always hurt and especially in areas that rely on volunteer donations and support!

As an extra feature to the Donor Database you can therefore find another simple tool. This tool displays your past cashflow and enables you to see whether or not you will meet problems with your liquidity in the near future. To get started you just need your budget and access to your bank account.

Manage your Liquidity

To check your liquidity you will need to fill in the amount of money in your accounts twice a month.

To estimate your liquidity one year ahead, you will need to fill in your annual budget and break it down into months.

As a result this simple tool will show you a graphic display on the state of your liquidity and enable you to act prior to an eventual problem.

Financial management in projects or at home

Every good initiative can be killed by the wrong financial management. Therefore you will find two additional spreadsheets with the Donor Database.

They are almost identical, but can separately be used to manage your finances at home or in your club, union or other social initiative.

With these tools you can get an overview on your finances by comparing your income and expenses with the amount in your bank account.

The two tools can also be used to form a liquidity estimate.

Automatic file-sharing with Dropbox

When working with our finances we often need to report to our team or board. If you save the Donor Database in Dropbox, and this is shared with the right people, the financial status will be shared instantly!

It is advisable though that you save your confidential document with a password and check the legal requirements on shared personal data.
