This internship report is consisted about the details of the company name MAXON Chemical

Products Pvt Ltd. MAXON is the UK Base company working in the industrial water sector of

Pakistan and supplying the chemicals and services. Maxon is well noted as a Suppliers of

specialty chemicals for, Boilers , Cooling Towers, Descalants, and Fuel oil treatment and

industrial scale solutions . MAXON’s customers receive high quality products and excellent

service at competitive prices. Maxon is one of the largest Suppliers of water Treatment

chemicals in Pakistan.

In this report all the company details along with the industry information is reported, I have

Industrial Water treatment Industry

Introduction:

Water treatment industry is very unique industry deal in the water treatment for domestic and

commercial sector. This industry is very active in Europe and other developed countries that

seem to be more conscious regarding water. But now days this industry gaining more

attraction in the Asian countries India, Pakistan and surroundings.

There are 3 major type of water treatments that operate by different sectors of industry:

Drinking Water Treatment

Waste Water treatment

Industrial Water Treatment

Ways of Water Treatment:

Basically there are main ways to treat the water and get the beneficial results by changing in

the parameters of the water.

Treatment through Machinery / Plant;

There are many plants that are using nationally and internationally to treat the water, this

process includes the removal and addition of specific particles. Example, for Drinking water

treatment RO system is well known , This reverse osmosis plant remove all the TDS from

the water and with that we can add our own required Total Dissolved salts.

Treatment through Chemical:

All types of water treatment can handle through chemical process, by adding and removing of

some amount of specific salt in the water. Dosed chemical react with the salts of water and

unnecessary sales would be appear as non-soluble salts and can easily withdraw from the

water.

Maxon chemicals is the UK limited company working in many countries in field of

industrial water treatment chemicals and services. In Pakistan Maxon registered as the

Private limited company consisting of 3 directors and a CEO . MAXON have largest

marketing network in Pakistan than other competitor. Recently MAXON launched the

consumer products for hue hold include the cleaners,

mosquito repellents and much more with approx. 17

products. Bu in this report I majorly studied on the

MAXON water treatment section and some amount of

data is considered from the other department of MAXON

that is house hold.

cleaning products. These products are supplied to commercial, institutional, governmental

and industrial users by Water Treatment Descaling/ Cleaning Sales and Services. We has

testing equipment and highly organized analytical laboratory support structure produces

recommendations for products, testing, application, dosage and control, which results in cost

effective solutions for any water treatment program Our extensive laboratory and research

capability has been focused designing new and innovative water treatment technologies to

solve industry problems.

and Chemist) Richard poul (Business Executive) and a team of technical engineers , experts,

with under sport and formulations of( USDA). The Company has since expanded and

diversified its businesses and earned its share of the worldwide market

Maxon professionally managed organization, established 1998 as a authorized Distributor

suppler importer for Pakistan and Singapore with a teem of qualified chemicals

engineers , highly experienced professionals sales staff and technical experts . by water

treatment chemicals application and service provider Now Maxon is the one of the largest

Water Treatment Chemicals company in Pakistan.

CSR:

MAXON Play their role in Pakistan to fulfill the Corporate Social responsibility, MAXON

play vital role for the relief of the people caused by the flood in Sindh and some area of

Punjab. According to MAXON executives they have supplied much amount of food,

medicine, water and other necessary products of the daily Life.

MAXON also start awakened campaign about the dengue in Punjab and arrange many events

in Lahore and surroundings. One of the most known campaigns is the Family health festival

that arrange for the families. All products have been distributed for the visitors mostly to

prevent from dengue.

Company also participate awareness campaign about the dengue with the participation of

Lahore Traffic Police, also some other campaigns about to prevent from accidents, usage of

phone with same trend with interval of time.

Delivery can be made by Maxon transport’s parcel carrier for smaller deliveries or via a

dedicated chemical carrier for longer distances products can be delivered throughout the

country, which helps ensure fast, on-time product delivery. All drivers are licensed to carry

hazardous goods.

Business operations:

Company deals in the chemical products that regularly use in the industrial machines that

contained water circulation. So company has to arrange the water test service at site of

customer once or twice in a month. And also company has to get new business according to

their marketing strategy. So company allocated staff at different cities of the Pakistan that

considered to be the industrial hub or where company feels the density of the customer is

high.

Company’s head office is in Lahore, and the chemical store also available in the same city.

All the orders noted in the head office of every customer and delivery made by the head

office by the transport company or company owned vehicle made supplies in local area or to

city in case of bulk order. Zonal office of Karachi has also separate store to maintain the

minimum level of inventory for regular supplies to customers.

Procedure of ordering:

Marketing staff visit regularly with set schedule in their region, every office in charge guide

marketing staff to visit the client who most need the water test service. During test report

submission ask them about the next order if chemical quantity going down. Some clients

regularly send their purchase orders via email or post.

After collection of the sales orders customer relation officer make report of these orders every

day at 3pm and forward to the director for the approval and then proceed to the delivery

challan for approved orders. Delivery challan forward to the store to dispatch the noted

quantity of the chemicals. Delivery van collects all the required chemicals and submits at

Transport Company for the customer's city if product should deliver out of Lahore. Store

incharge forward report every day at 10 pm about all the chemicals delivered with transport

company slip to the accounts department for procedure of the invoice.

At next step accounts department maintain the customer ledger and sales department is

responsible for the collection of recovery from clients.

Purchasing:

Company is affiliated partner of the MAXON UK, so mostly chemicals are imported from

UK with the actual formulation and sealed packed. So company arranges all the materials in

bulk from the principle office and maintained the minimum inventory of 3 months.

MAXON also renowned in the cleaning service that term known as Descaling. For this

service company has arrange the special task team to done the specific project in the industry,

to do like that projects customers submit the necessary information like shut down period of

production plant , convenient time and day to MAXON for arrangement of the required

equipment’s , teams or chemicals. So in other words we can say that this type of service is

ordered as advance and company have a time to arrange the team that mostly performs duty

under operational manager.

Time Schedule:

Official office timing is 9 am to 5 pm, with 1-2pm launch/namaz break. Cleaning staff

available at 8 and confirm the cleaning of the office.

Human Resource Department

These departments have their own specialty as described by their names but the detail

discussion of every department is as follows.

Sales and services:

Introduction:

This departments is more active departments in the whole company that deals with the

current customer and provide them the services as committed by the company. Maxon

provide the regular water testing service that compile of the water test of the system in which

company's chemical is properly dosing oj daily basis or as described the technical staff.

This department is head by the Madam Azra Kanwal who performing duties as Director

Sales and Services.

Director figure head all the sales point offices that located in different areas of Pakistan. Head

office is located in Lahore control all the operations for this department. Company has

appointed service staff in all the branch offices and their duty is to provide water testing

services and make amendments in chemicals in sense of changes required for their water

system.

Head of technical staff is Mr. Muhammad Aamir who

plays his role as the chief engineer in the company. All

the test reports forward to chief engineer for the re

checking. There is mandatory for technical staff to report

all the customer reports and comments that seems to be in

favor for technical staff to Mr. Aamir who is eligible to

make amendments in the regular dose of chemical use by

chemical.

Duties:

Whole departments have the main duty to expand the business with adding up the clients to,

existing business and work out for the next possible businesses that can help out the whole

company. Also work on the industrial projects related to existing business products. E.g.

work on the Gull Ahmad power energy Karachi for the contract of maintenance and cleaning

by chemicals.

Coordinate with the sales staff and collect feedback.

Submit quotation with best possible prices.

Negotiate with customers on quotation on technical and financial issue.

Participate in the governments and private sector tenders with collections and

submission of required documents.

Research work for the product development with coordination of service staff.

Install new office setup in different cities of Pakistan and outside Pakistan with

effective survey of market potential.

Work as cross functional teams in different departments and located offices for

business development.

Accounts and finance:

Department handle the accounts of customers and all the regular expense is driven by this

department. This department is responsible for the all financial transaction with customers,

suppliers and other.

All reports of this department will submit to Managing Director. And she play role as the

finance director.

Duties:

Manage running finance and build reporting of cash flows.

Report of customer aging balance, ledger reporting and other transactions related to

customer in software.

Scheduling of payments to suppliers and issuance of purchase order.

Issue payroll slip of every employee, and forward to MD for finalization.

Reporting regarding sales tax and be in contact with the legal advisor.

Administration:

Every department head send the written inquiry about the hiring of new employee or ,

filling the vacant space , this department perform its duty to do so. And provide the

service for add publishing and collect cvs or search cv from company database and

choose appropriate one.

Departments also manage the tours an trip of the company, offices that achieve their

targets all staff of that office is invited for the tour to specific areas of the hill station

or any one chosen commonly.

Department handle the journey trips of the executives to manage the air tickets , visa

permission from appropriate authorized authority and stay of the company executive

for that tour.

Arrangements for the foreign visitors include residence, post arrival of the guest and

manage the necessities for the stay. Mostly principle office UK’s International

coordinator departments visit for the general visit and reporting etc.

This department is also manage the whole company meetings that usually held after

six weeks ,in which all staff from the Pakistan is gathered and discussion mad on the

future planning. also training seminars hold for all the junior technical staff to refine

their skills.

If employee is deal in the marketing of company in specific office administration

department made clearance from marketing and then forward to the company higher

executive of each department so that they can make decision accordingly in case of

fraudulent act done by any member.

Maintenance of vehicles and other equipment’s is handled by this departments to

insure the availability on time . Department member will inspect all the company

owned vehicles weekly and submit report to CEO.

Human Resource :

MAXON’s HR department deals in the reporting of the employees considering their

performance and duties performed in specific course of time.

HR Planning and Policy:In the respective organization of MAXON Chemicals, the

HR policies are planned in the way to get the maximum

strategies and functions. Department detailed information is

written below will needed aspects.

Human Resource Planning:

Forecasting is the major part of a HR planning , this part of function is done with the

procedure in which line manager of the department enable the HR manager for the need

analysis of the company’s requirement. Their forecasting is also approved by the head of that

department .

HR department also follows the trend analysis method by analysing the past needs that will

predict the future needs.

Analyzing the job in (MAXON) is done by the Human Resource Department. They

develop the job description related to different departments regarding their duties,

responsibilities, reporting relationships, working conditions and supervisory

responsibilities. Once the job description is prepared, restructuring in the job is done

based on the observations of the seniors.

Recruitment and Selection:

The recruitment and selection made as per the required position specification, First of all the

Human Resource department analyze the requirements for the new entrants, and other

departments forward the request to HRM for new man power. There are some procedures

which must be obeyed regarding the recruitment process. That will be

department . The supervisory authority of new entrants will always have a look of it.

Job requirement add will be published to different newspapers and other online job websites.

Resumes / Cvs are collected via email and postal addresses .

After Analyzing the resumes ,they store all the data to Company software , a confirmatory

sms will be delivered to all the applicants ,then Interviewer panel decide the interview date

and announce to all the applicants.

Interview held by the panel and the results will be announce later , and there is also second

interview with the higher grade to applicant ,,

And the 3rd interview with the director of MAXON Chemicals.

Training &Development:

Employees get developed under the company figure Head, Company principle office

overviewed all the staff, and train them according to market position, MAXON’s Pakistan

management evaluate and train the employees with the collaboration of the principle office.

Best Trainers from the UK office visit the branch and held workshops here to train the

employees.

Employees visit Principle office(England) periodically and also for the work of special

assignments .New technologies in water treatment also introduced to Chemical engineers to

Appraisal Criteria:

There are different stations in different cities of Pakistan. Every office has charge over their

unit and responsible for the work of their peers and they send the performance report to head

office monthly.

Their appraisal is being tested on every monthly statement , and they will be rewarded at the

last of year according to their performances .Most of the staff is related to sales and services,

so according to the achievements of their targets they gain the increment.

Performance based Increment:

Increment is based on the actual performance of the members; the performance is evaluated

on every appraisal done by supervisor of employees and head of Human resource.

The appraisal is calculated on the final month performance,, which is forward to head office

for record. Increment is 10 % to salary after the one year, and the 1 holiday is allow to all the

staff for month . After the performance evaluation it may be get job enrichment according to

the performance, Some of the employees also get transfer according to the need of service,

because company is dealing in the services of chemicals to industries. Excellent services are

Most of the staff is responsible for the sales and development, and they have to attain the

target on monthly basis, Company have the development department which assign tasks to

every person to get in touch with new customers, and mature the deal. They have to get the 5

% of sales from new customers.

Salary increments on the basis of education and experience:

MAXON have most of the staff regarding the chemical line and bachelor in chemicals.

Company also increase the salary package according to education and seniority in company

Biannually at end of June and at the end of December of every year. There is final overview

Identification of Plausible Problems:

I have studied out the company operations and their way of working. Company actually deals

in the supplying of industrial chemicals in which company need to provide water testing

service for the client that using chemicals on regular bass in their machines that contained

water circulation.

Some reasonable problems identified that discussed below with appropriate

recommendations.

Problem 1

According to the Business Development Manager, Mr Asim Faooq.

Meeting held on weekly basis at head office where the top management discusses the

progress by every figure head. Every department head also deliver reports of their working

out put and forward to the seniors. And the final reports forwarded to the head office Lahore.

The actual problem arises that every strategy that the higher management develop after day to

day reports. The Chief Executive Officer and other directors also perform their duties in the

head office and get reports from the marketing offices and the other sales office located at

different areas and act as the virtual offices for the same organization.

There are some of the instructions and strategies develop by the head office figure head

personalities , and transferred to the middle management that are the head of offices/ Office

In charge. Problem is in insight that there is communication gap between the strategies maker

and the work force like the Marketing staff, technical staff who visits clients. etc.

Relation with Management concepts:

This problem is related to the individual level problem and the following concepts clear this

issue and make the recommendations accordingly:

This problem indicating that there is communication gap between the actual work force that

would be the line manager and the middle management. So that the Line authority is disturb

in this situation and it creating problem for the organization. If the line of authority would be

accurate then the line staff would be clear about their instruction.

Solution /recommendation:

Upper manager should have to arrange the short meeting s with the all levels of the

management neither only with the middle management. Because the line staff is not clear

about the objectives of the company. If the goals and objectives will be clear to every

employee he/she will be in position to get enrolled for the duty to achieve the benchmark.

With the meetings and proper implementation of the orders the productivity will increase and

in fact all the results will be in positive position. Strong communication is very beneficial for

this organization to cover their minor or major problems.

Every manager should have to assign the short term task and in that way the communication

would be stronger and the problem will be solved and the every employee will be in touch to

his/her authorized personality in a chain to approach the higher management .

Turnover rate of the MAXON is high that creating problem for the company to manage their

marketing level. Because in technical team they hire the employees and trained them as

according to expertise required to test the water and guide customer for proper dose.

Manager discuss about the turnover rate by explaining the recent example held at the Position

of the Senior Service Engineer. According to M we have trained the employee name “Mr.

Ayaz Latif” and he was doing his job efficiently and giving the best results by manage the

market and customers. But now he left the organization and moved towards the other

company deal in same kind of chemicals and services with some extra benefits and salary

package.

Manager inform me that with simple this turn of employee we get loss in the production

because the new entrant is not much trained with position prospects, and even little

percentage variation of parameters effect the machine of customers and cause major incident

in production unit of customers’ site.

Cause to problem:

According to my analysis this problem get caused due to the benefits for the employee are not

much, and increment is not done on permanent basis. Because this is not the sales/business

development job that person gets as his work for the department. Technical persons in charge

personalities are fixed salary persons and they want increment yearly.

Also the comfortable environment is not much good for the employees because it’s all done

due to the line authority problem and proper reporting method. Staff managers also interrupt

at some level.

Managerial Concepts:

This problem is related to the individual level problem and the following concepts clear this

issue and make the recommendations accordingly:

In organizational behavior the EVLN Model is clearing this problem. That is Exit-Voice-

Loyalty-Neglect.

In this situation if employee is disturb by the work environmental like in this problem then

company chose other alternative and switch over to the better option. Reason can be the

salary, or any other environmental issue at that position.

Voice:

Voice refers to any attempt to change, rather than escape from, the dissatisfying situation.

Voice can be constructive response, such as recommending ways for management to improve

the situation, or it can be more confrontational, such as by filing formal grievances. In the

extreme, some employees might engage in counterproductive behaviors to get attention and

force changes in the organization.

In this situation if the effected employee discuss with the management and accept the change

in this current situation then it would refer to the Voice. This is better option for the employee

to at least discuss with the management to solve the problem. These are the positive active

employees of the organization.

Loyalty:

Loyalty would be characterized as passively waiting for conditions to improve. Loyal

employees that are working for the company from long period be loyal to the company and

remain silent for the own right and wait to get change automatically by the company official

management.

These are positive non active employees of the organization that show the positive behavior

to the company to remain in the company and not switch to other option

Neglect:

Neglect includes reducing work efforts, paying less attention to quality, and increasing

absenteeism and lateness. It is generally considered a passive activity that has negative

consequences for the organization. The Neglect response is passively allowing for conditions

to worsen.

These are the negative non active employees of the companies that only neglect to the work

and other particulars and also these employees are not good for the organization because they

always wait to worsen the condition.

Solution recommendation:

MAXON should have to increase the concentration on the employees at every level.

Every employee would be appraise and make increment as according to appraisal

reports.

Company needs to loyal their existing employees by engage with the higher

management and be aware bout the goals and objectives of the company.

There should be the salary package as the competitors offer to the employees. And

also there is recommendation that at the responsible and critical position they have to

hire the expert personal and also have an alternative option (Like assistant to the

technical head of region. etc.).

Overall Recommendations:

There are following recommendations that suits to be applicable on whole company to get

more beneficial results.

Increase usage of technology (Use SAP, ERP or other software for handle every

operation)

Company should increase concentration on every employee. Much employees are

related to sales so there is chance of neglect any employee who work in a team.

Company can assign short term task to every employee of marketing department for

Increase number of meetings among all staff, low level to high level. To clear

understanding of short term and long term goals

Conclusion:

After all studied we can conclude that company is doing well job in the market of the

Pakistan and so due to that MAXON become of the largest supplier in Pakistan. Industrial

Water Treatment sector is very vast sector in the Pakistan because most of the production

industries need these type of services for their units. MAXON succeed due to its largest

marketing network. All departments functions their role properly as discussed in keen interest

of my research work. Company doing well job but if company consider some

recommendations as I discussed for over all company and individual problems then it would

be more beneficial of the company.
