1. Introduction The scope of this document is to instruct / teach an end user on how to associate the existing
lesson learnt to affected work items by using search function; and how to create & register a
new lesson learnt using eLMS tool.
2. Lesson Learnt (LL) process Workflow

3. Creating Lessons Learnt by all E&E stakeholders
1. User can access Lessons Learnt project by clicking the Lessons Learnt icon from the
Dashboard.
2. Click on Lesson Learnt link from the Project Dashboard
3. The Lesson Learnt project dashboard is display as shown below.

4. Click on Create a Lessons Learnt icon from the project dashboard, the following page
is display. The same page can be access by clicking on the LL icon present in E&E
eLMS Dashboard.
5. Enter a brief description of the Lesson Learnt in the Summary field. It will be beneficial
in future for running a query to search an existing lesson learnt. Save the work item,
status changes to CREATED.

6. This is a draft state where a user can add and save the data before it is submit to COE
lead. Once all the data is collect, select the action Initiate Submit; fill all the
mandatory fields in Overview and Details tab, select the COE lead in Assigned To
field and save the LL.
7. The state changes to SUBMITTED and a mail is send to COE lead.

8. COE lead will get a mail notification; he will select the action Review Started and save
the work item.
9. The state changes to UNDER REVIEW, lead will go through the Lessons Learnt.

10. Lead will analyze the LL and if it is accurate and applicable to him, then he will select
the action Approve and save the work item.
11. The state changes to REGISTERED and no further action can be perform.

12. While analyzing if LL is not accurate then he will select the action, Reject and save the
work item.
13. The state changes to REJECTED and no further action can be perform.

14. While analyzing if LL is not accurate and more information is require then he will select
the action Need Info, select the creator’s name in Assigned To field and save the
work item.
15. The state changes to INFO REQUESTED and a mail is send to the creator.

16. The creator will provide the info requested, select the action Initiate Review, and
select the lead name in the Assigned To field and save the work item.
17. The state changes to UNDER REVIEW and a mail is send to the lead for review.

18. Lead will analyze the LL and if it is accurate, he will select the action Approve and save
the work item.
19. The state changes to REGISTERED and no further action can be perform.

20. While analyzing if COE Lead finds the LL is not responsible to him, he will select the
action Re-assign, either sent it back to the creator or select the responsible lead name
in the Assigned To field and save the work item.
21. The state changes to RE-ASSIGNED and a mail is push to the re-assigned lead.
22. The LL is now re-assign to the respective COE Lead and he will analyze the Lessons
Learnt.
23. If it is accurate then he will approve the LL and the LL is REGISTERED.

24. If it is not accurate then he will reject the LL and the LL is REJECTED.
25. If the LL is created by COE lead then he will assign the LL to his peer lead for review
and based on his inputs the LL gets register or reject.
4. Generate Traceability Links with existing Defect 1. A user can add an existing Defect to the created Lessons Learnt by clicking on Details
tab from the Lessons Learnt page.
2. Click on Related link from the Generate Traceability Links column.

3. Add Link: Related dialog is display as show below.
4. Select the project where the Defect exist from the Project Area drop down.

5. Select the Type as Defect as shown below.
6. If the user knows the defect id or the defect phrase, he/she can type in the search field
as shown below.

7. Select the required defect from the list and click on OK button.
8. The defect gets added to the LL as Related.
