Dataviewer is a tool used to create spreadsheet style reports exportable to Excel, HTML and XML

This program allows the user to filter, format and manipulate data

•There are two basic functions of Dataviewer in NextGen

•Dataview Wizard is used to create demand reports

•Dataview is where created reports are viewed

Dataview Types

In this example, a Revenue and Expense Report is created. Choose the type of report you want to create by clicking the title then selecting next on the bottom right corner of the screen

The Dataviewer Select Column selection requires some explanation to what GLAccountSegment

Segment Description represent:

  GLAccountSegment1 – fund

SegmentDescription1 – description of fund

GLAccountSegment2 – sub-fund

SegmentDescription2 – description of sub-fund

Add All - button will add the entire list of Select Column(s) to the Selected Column(s). Remove - removes the columns selected from underneath the Selected Column(s). Remove All - button removes all from the Selected Column(s).Move Up – button moves Selected Column(s) items up.Move Down – button moves Selected Column(s) items down.

Options for Adding and Moving Report Columns

Select the columns desired and click once on “Add” to add to the Selected Column(s).

Changing Column Names

• Click inside the cell of the column names to manually edit

• Click Next

Name the report and give it a description.

Click Next and FinishThe newly created revenue and expense report titled “Budget Status Analysis” is now ready to be used in Dataview.

Locating Dataviews in NextGen Select: 1. Financial Management 2. Reporting 3. Dataviews

• Select Budget Status Analysis Report •Populate General tab information• For this example, click on the 101 General fund box.• If you see a red shield icon, it is a required field and must be filled in. Hover over the shield with your mouse to view the relevant message

Click the Advanced tab.

For this example, select Expenditures

Click Next to produce the report

Right click % Used column header to choose Format, then select Percentage

• Click Filter Panel to on the ribbon bar• Select Click here to add filter criteria

• Select % Used, Greater than, and enter .1667• These selections will filter to show only data greater than

16.67% of the yearly budget (two months)

Use the Automatic Formatting dialog box found in the View Settings dropdown on the ribbon bar to customize data presentation. Observe the selections below:

The formatting selections create a more clearly presented set of data:

• The export functionality in Dataviewer, and NextGen as a whole, is a valuable resource

• Export to Excel, Text File, HTML or XML from the ribbon bar

Manually Grouping a Report by Object Code

• Return to DataViewer• Drag the object column header to Drag a

column header here to group by that column

On the ribbon bar, select Hide Detail and Show Totals

• Expand an object selection by clicking the button• To get a total for a column, right-click the column heading

and select Summary then Sum

Add the Following Columns:

Click Next (skip the two following grouping option screens)

• Using the dropdown from the Function column,Sum the Debit_Amount and Credit_Amount fields

• Sort the data by clicking the heading of any column; in this example, the data has been sorted by Debit Amount highest to lowest• Group the data by dragging any column heading to the area. In this example, the data is grouped by Transaction Description

Use the + button to expand the appropriate data:
