We have designed this guide to help you understand the recent changes and updates to the
Helix Practice Manager / Helix Consultant System. We recommend you take the time to read
this guide after your upgrade is completed. Please contact our Customer Support

New Features
Cycle of Care Submissions In order to check Cycle of Care registration you will need to have a PCRS Certificate installed on your
machine. You need a Healthlink Certificate on the machine to send submissions and receive
submission responses. Note: PCRS are in the process of rolling out a new certificate (SHA2) to
customers which will require a username and password. If you are still using the old certificate they
will not require a username & password for authentication.
The Cycle of Care Protocol will be used for GMS / DVC patients who are under 6 or over 18.
To begin using the Cycle of Care, go to Protocols and from the drop down list select Cycle of Care.
Select Diabetes from Cycle of Care dropdown list and click Register to register the patient in HPM.

The PCRS Registration Date field will be populated (using PCRS Cert on machine) if the patient is
already registered.
If it is not populated, you can register the patient on the PCRS website by clicking the hyperlink ‘Click
Here’. When you return to HPM click Recheck to populate the Registration date. Select patients’
ethnicity and click Ok to continue.
Select Visit Type, enter the Visit Date and click Ok.

If the patient has one of the HPM created Exam (unmodified) in their chart, then an Import message
will be displayed for the user to import the details of the exam into the Visit.
Click Ok to import all the visits.
Complete the mandatory fields highlighted and click Save. At the bottom there are hyperlinks
available for information purposes. Click on the links to open these education links provided by HSE.

Once all mandatory fields are completed user will get a prompt to submit the visit.
Click Yes to submit.
Visit Status is updated in the patient’s chart.

Alternatively, the claim can be submitted from Tasks > Claim Tracker.
Select multiple Unsent claims and click Submit. If there is an issue with any of the claims
these will remain in the Claim Tracker. Select each claim individually and click Submit to view
the reason they failed to send.
There are filters for Dates, Status and HCP. The grid can be sorted by clicking on the column
in the grid. Hover over the status icon to view details of the claim e.g. view the reason for
the rejected claim.
To resend a rejected claim open the patients chart. Make any amendments required e.g. correct the
visit date by selecting the Visit and clicking Edit. Correct the Cycle of Care Registration Date by
selecting the Cycle of Care and clicking Edit.
Click Save. The claim status will return to Unsent and the Submit & Delete buttons will be enabled.

Click Submit to resend the rejected claim. Click Delete if the claim is not valid.

Submission Response Messages
PCRS Cycle of Care messages are downloaded during the normal process of downloading lab
messages. The updated claim status can be viewed from the patients’ chart and the Claim Tracker.
Enter the Visit Type and Visit Date and click ok to continue.

Periodic Assessment
The date of assessment cannot be prior to the date the child is registered for the Periodic
Cycle of Care.
For the age 2 assessment, the date of assessment must be made before the child’s 5th
birthday.

For the age 5 assessment, the date of assessment is within 1 year from when the child
reaches its 5th birthday.
Age 2 & Age 5 Assessments are completed in the same way as above, by selecting the one you wish
to complete from the drop down menu.

If no acknowledgement is received within 24 hours then we can assume the reimbursement/clinical
message has not been received. GP should be aware that no acknowledgement means the
submission has not been received.
For a six month period from the national go live of GP Data Returns, PCRS will accept all returns of
Diabetic Cycle of Care data without validation as to whether an Annual Review Consultation (first
visit) or/and Annual Follow up Consultation (second visit) is expected. After the six month period the
returns will be analysed and validation put in place to ensure the business rules are followed when
GP Data Returns are made.

Affidea: Additional fields Practice Details are now populated on the form – Practice name, address & phone number.
Click Next to continue.
Click Request Booking to send the request to Affidea.
You can print the booking reference number if you wish.

Numed Device Integration Numed Healthcare’s Intelligent Integration Interface (I3) software acts as middleware between Helix
Practice Manager and a range of diagnostic products supplied by Numed Healthcare.
Settings can be updated by going to Administration> Machine Configuration > External Devices. The
settings file ships prepopulated as follows. Customer needs to create the Drop off/Pick up folder as
below.
In the patient’s chart select External Devices > Numed from the Documents menu.
Select if you want the result to be reviewed by a HCP and click OK.

Select Numed Devices from the list which will launch the Numed Import window. Select the HCP to
review the documents imported and Click Start. Click Yes to confirm patient details.

Helix Practice Manager will wait for the results from the Numed I3 software. Click Send.

Once the user exports the reading(s) from the Numed I3 Software to HPM they will receive the
following confirmation message.
Imported results are saved into the relevant Tests in the patient’s chart.
PDF documents imported are stored in the patient’s documents. Select View Externally to view the
pdf document.
If the imported document was marked for review, it will be displayed in Tasks > Review.

Physical Health Mentoring Module A new Protocol has been added to record extra details on the patient.
Details entered in the Vital Signs exam (on same date) will be passed through to the Protocol module
& vice versa once a record is saved. If the Vitals exam is deleted the Protocol will also be deleted for
that date.
Click Save to create a new record.
Click Next or select a tab to move to the next section in the Protocol.
The last given date in the Immunisations tab is populated if the patient is given the Immunisations
(Flu Vaccine, Pneumococcal Vaccine, Pertussis) that are shipped with HPM.

Alcohol Risk in Physical Activity to health is automatically populated based on answers to the
previous 4 questions.
The Advice tab will display any appropriate advice for the patient based on their answers to
questions in the Protocol and Coded notes.
Click Update to save changes to an existing Protocol.

iPCRN: Enduring Mental Illness Audit (PHEMI)
Criteria for patients included in this upload:
1. Patient must be over 18 years old.
2. Patient must be coded with any of the following conditions:
ICPC code – P71, P72 P73, P76, P98 or ICD code F09, F20, F25, F29, F30, F31, F33 or F39
3. Patient must not be coded with any of the following conditions:
ICD code – F22, F23, F24, F28, F32, F34, F38
This report will upload medical data for the patients that match the criteria above. The list of these
patients is in the Enduring Mental Illness Register report.

Improvements
Templates: Facility to pull in specific patient identifiers into the clinic and theatre list
Additional patient identifiers have been added to the Clinic List merge field. When creating or
editing a letter template [Administration > Templates], select Clinic List > Clinic List.
Select the additional identifiers that you wish to include in the Clinic List table.
Templates: Add unit column to the Cardex dataset
Unit field has been added to the Cardex Medication merge field. When creating or editing a
letter template [Administration > Templates], select Medication > Cardex Medication.

Select the items that you wish to include in the Cardex Table i.e. Unit etc.
Bug fixes Confidential Notes are shown in Consultation History & when printed
Notes marked as confidential are not visible to other logged in users in Consultation History tab
and when printed from the Print Notes button.
Practice Formulary: Quantity field missing & tidy up form
When adding medication to a formulary, Quantity is now displayed on the Add medications
window. Administration > Practice Formulary

General & Extended Referral not filtering Hospital unit to supported message types
Hospital Unit is now filtered by the type of referral selected on the main window i.e. General
Referral / Extended referral.
