Three step writing process
• Planning• Identify your general and specific purpose of writing a message
• Gather information about your audience and anticipate their reaction to your message
• Select a suitable medium for taking down your message. It should be appropriate for your audience
• Create an outline of your message and organize information to be included in the message. Define main idea, limit scope, choose approach (direct or indirect).

• Understand audience needs and write accordingly
• Maintain polite and considerate tone and use appropriate writing style
• Use short sentences and emphasize important information
• Use bias-free language
• Paragraphs must be coherent

• Perform checks for use of correct and appropriate language, proofreading
• Perform modifications for achieving clarity and conciseness
• Use suitable layout and design when producing the message after review
• Transmit message through appropriate medium and ensure that it reaches the target audience.
Direct and indirect approach• Direct approach:
• Adopt when you expect your audience to be neutral or positive towards your message
• The approach employs use of deductive argument• The main idea or conclusions are mentioned at the start of the message and
explanations, descriptions and evidences come later
• Indirect approach:• Adopt when you expect your audience to be resistant or be negative towards your
message.• The approach employs use of the inductive argument• The main idea and conclusions are presented at the end of the message.
Explanations, descriptions and evidences come earlier in the message and build up to the main idea.
• It is better to keep the length of a message employing indirect approach short
