Materials• All LEAs will receive initial materials for the LEAP and GEE summer retests based on

student eligibility and for the LAA 2 summer retest based on Spring 2014 enrollment verification counts.

Text-to-Speech - Kurzweil• Text-to-speech accommodated forms of the LEAP, GEE, and/or LAA 2 summer retest are

available upon request by the local school district for students with a documented instructional and assessment accommodation of assistive technology on the IEP or 504 IAP.

Test Administrator System

• The Test Administrator System (part of LEAPweb) is refreshed for summer testing, which means that all previous names and numbers have been removed.

• From Tuesday, June 10, through Monday, June 30, School Test Coordinators must enter and assign TA numbers to all LEAP and GEE test administrators via the Test Administrator System.

• Test administrators must use their assigned number for all LEAP and GEE tests they administer.

• The summer administration of LAA 2 will not use TA numbers.

General Alerts

• School Test Coordinators (STCs) must assign TA numbers Tuesday, June 10– Monday, June 30, and verify that all LEAP and GEE used documents have a TA number coded in field H2. Failure to code the TA number could result in a testing irregularity.

• Security checklists must be used to track materials. Electronic copies are available on www.LEAPweb.org. Be sure to indicate on the checklists which unused answer documents received Test Not Taken labels. Put student names on the checklist.

• STCs must use the provided resealable plastic bags for the return of LEAP and GEE approved home study program and LEAP nonpublic school students’ answer documents to the District Test Coordinator (DTC). Nonpreidentified bar-code labels from testing sites must not be affixed to answer documents for these students; the DTC will affix nonpreidentified labels with site code 998 or 999 after testing as needed.

• STCs must return district office documents (security checklist copies, testing irregularities documentation, the Oath of Security and Confidentiality Statement) in the provided envelope. The DTC should return the envelope for subsequent pickups as needed. Scan required paperwork whenever possible.

• STCs must provide test administrators a list of students approved for accommodations, as well as the accommodations the students are to receive.

• When testing students approved for accommodations, test administrators must make sure they provide the assigned accommodations and code the provided accommodations on the students’ answer documents.

• When packaging materials for return, stack secure materials according to security numbers. This will aid in verifying materials against security checklists.

– Returns 1 and 2: Used answer documents for more than one grade or content area may be boxed together but must be stacked by grade and by content area.

– Returns 2 and 3: The School Test Coordinator at a testing site may box LEAP and GEE materials together, but LAA 2 materials must be boxed separately.

– Return 3: Test booklets must be boxed separately from unused answer documents, but materials for more than one grade and content area may be boxed together. Return large-print and braille test booklets in their original shipping boxes. Make sure to return braille instructions.

DRC Return Bags for Scorable Materials• For LEAP and GEE:

– Districts and schools are provided large, gusseted bags to protect scorable materials from water or other potential damage during transit.

– Make sure the School Test Coordinator used a DRC return bag in each school box containing LEAP and/or GEE scorable materials.

– LEAP and GEE test materials should be returned in boxes provided by DRC.

• For LAA 2:– Districts are also provided one large, gusseted bag to protect LAA 2

scorable materials.– After verifying scorable materials from each testing site, package scorable

materials for the entire district by placing them into a DRC return bag in box 1. Seal the bag with one of the provided plastic ties.

– LAA 2 test materials should be returned in boxes provided by DRC.

Preidentified LEAP/GEE Barcode

For the summer test only, preidentified labels should be affixed to answer documents only for students who are expected to test.Unused bar-code labels must be returned with return 3 materials.

Students who have been identified as needing to retest will receive a preidentifiedlabel. The District Test Coordinator will distribute all preidentified labels to summer testing sites before testing begins.

If a student took no part of a test, the student’s unused answer document should be returned with all other unused answer documents. The School Test Coordinator must affix Test Not Taken Labels to unused answer documents that have bar-code labels and/or hand-coded student information.

A nonpreidentified bar-code label must be affixed to any hand-coded answer document.

When hand coding student identification information, follow the directions in the LEAP and GEE Test Administration Manual. Remember, the fields must be coded exactly the same on all answer documents for a student.

Approved Home Study Program and LEAP Nonpublic School Student Labels• The District Test Coordinator (DTC) will affix preidentified labels for LEAP

and GEE approved home study program and LEAP nonpublic school students as appropriate.

• If LEAP and GEE approved home study program or LEAP nonpublic school students do not receive preidentified labels, student information on their answer documents must be hand coded, but labels from the summer testing site must not be affixed to these answer documents. The DTC will affix nonpreidentified labels to these answer documents after testing.

• School Test Coordinators will place all answer documents for LEAP and GEE approved home study program students and LEAP nonpublic school students in the provided plastic bags and give them directly to the DTC.

LAA 2 Barcode Labels

There are no preidentified labels or preidentified answer documents for LAA 2 summer retesters. Before testing begins, a bar-code label must be affixed to all LAA 2 answer documents and student identification information must be hand coded according to directions in the LAA 2 Test Administration Manual.

If a student is testing using more than one answer document, bar-code labels must be affixed to each and the fields must be coded exactly the same.

If a student took no part of a test, return the student’s unused answer document with all other unused answer documents. The School Test Coordinator must affix Test Not Taken labels to unused answer documents that have bar-code labels and/or hand-coded student information. The District Test Coordinator will distribute Test Not Taken labels to schools upon request by the school.

Registration Alerts• DTCs must schedule schools for testing before STCs can begin cleaning

up class rosters and registering students.

• Registering during the two-week window gives your schools the opportunity to plan ahead.

• Student enrollment data will be uploaded into the EOC Tests system from a file provided by the LDOE.

• Retest students who may need to pass EOC tests for graduation will be uploaded into Retester classes.

• For collapsed summer school testing sites, secondary STC assignments should be provided to the primary STC designated for summer retest administration

Registration AlertsStudent enrollment data does not include the assignment of testing accommodations.

• Before student testing begins, accommodations must be entered for all students with special education, section 504, or LEP status.

Note: If accommodations are not assigned to students before testing begins, students will not receive the accommodations Large Print or Tests Read Aloud and the correct form will not be assigned for students using braille. This could result in an administrative error.
