Using this Configuration Guide This Guide is for administrators at companies using Global Relay services who are responsible for user management as well as the day-to-day management of Global Relay Archive.

This Guide provides step-by-step instructions for configuring a Zimbra account in Microsoft Outlook 2003 using an IMAP connection.

Optionally, you can change the behavior of Outlook to make a rule to copy sent items to the IMAP server.

NOTE: We recommend you configure your account with an IMAP connection.

An IMAP connection syncs email data between devices, because all data is kept on the Zimbra server. When you read or delete an email, information is synced across all devices where you access your email account.

A POP connection downloads messages off the server, and multiple connections are not synced. When you read or delete an email, this action might not be reflected across other devices. For example, if all devices are set up to “leave a copy of messages on the server,” multiple devices download and store the same data independently, so deleting a message on one device (e.g. a smartphone) will not be reflected on other devices (e.g. a computer).

Configuring Zimbra for Outlook 2003 - IMAP 1. Open Outlook.

2. From the Tools drop-down menu, select E-mail Accounts.

3. Select Add a new email account and click Next.

4. Select IMAP and click Next.

5. In the Internet E-mail Settings (IMAP) dialog that displays, set up the following:

• Under User Information, type in your name and full email address.

• Under Logon Information, type in your full email address and your password.

• Under Server Information, in the Incoming and Outgoing mail server fields, enter mail2.globalrelay.com.

• If you do not want to re-enter your password every time you log into your email in Outlook, select the Remember password checkbox.

6. Click the More Settings button.

7. On the General tab, in the Mail Account field, enter a name for your mail account. This will be the name that displays in a list of all email accounts that are accessible by Outlook (on your computer only).

8. On the Outgoing Server tab, select the My outgoing server (SMTP) requires authentication checkbox, and then select the Use same settings as my incoming mail server radio button.

9. On the Advanced tab, set up the following information:

• For Incoming server (IMAP), enter 993 and select the This server requires an ecrypted connection (SSL) checkbox.

• For Outgoing server (SMTP), enter 465 and select the This server requires an ecrypted connection (SSL) checkbox.

10. Click OK, then click Next, and then click Finish.

11. Right-click on the newly created email name and select IMAP Folders.

12. Click Query, then select Sent Items, and then click Subscribe.

Optional: Making a Rule to Copy Sent Items to the IMAP Server By default, Outlook will place a copy of sent messages in the local Sent Items folder and will not copy messages to the IMAP server. To change this behaviour you will need to create a rule to place messages on the IMAP server.

1. From the Tools menu, select Options, and then click the Email Options button.

2. Deselect the Save copies of messages in Sent Items folder checkbox.

3. Click OK until you are back at the main Outlook screen.

4. On the main Outlook screen, from the Tools menu, click Rules and Alerts, and then select New Rule.

5. At the top of the page, click Start from a blank rule, then under Step 1, select Check messages after sending, and then click Next.

6. Select the through the specified account checkbox, then under Step 2, click Specified (underlined in blue) to select your Global Relay Account.

7. Select your new account and click OK.

8. Under Step 1, at the bottom of the list, check the on this machine only checkbox and click Next.

9. Under Step 1, select the mark it as read checkbox, then select the move a copy to the specified folder checkbox.

10. Under Step 2, click on the word specified (in blue), then select the appropriate Sent items folder, and then click OK.

11. Click Next until Finish rule setup displays.

12. Enter a name for the rule (e.g. ‘Copy Sent Items to Server’)

13. Click Finish.
