How to use this workbook

This workbook will take you through the process of using the Site Waste Management Plan (SWMP) Tracker (the

Tracker) to help you analyse multiple SWMPs. You will be taken through the process of registering and

navigating through the Tracker, uploading data and analysing performance.

You can use your own project data and set up your own SWMP, or you can use the example data provided on the

Tracker login screen. Simply work through the instructions provided.

1.0 Registering to use the SWMP Tracker

Task 1.1 Access the Tracker at www.wrap.org.uk/swmp

Information

The SWMP Tracker is an online tool. To use the SWMP Tracker you upload completed (or partially completed)

Excel based Site Waste Management Plans. Uploaded SWMPs must be either i) WRAP SWMP v2 or ii) WRAP

Compliant (download available – see Task 2.1 Option 3).

Once uploaded the tool aggregates all data automatically. You can then select to download all data, or just a

selection of the data e.g. only projects for a particular client. The SWMP Tracker then generates an Excel SWMP

Report you can download. This spreadsheet automatically compares data from the projects you selected. Very

useful analysis is already completed for you e.g. average cost of waste destinations, average cost of

waste carriers and waste generation over time.

Task 1.3 Click Login to progress to the login / registration form page

Task 1.4 Click on the ‘Register’ button and complete the simple form to create an account. Use your registered email address and password to login.

2.0 My SWMP Projects page

Task 2.1 Click on the Upload SWMP Templates button at the top left of the screen

Information

The My SWMP Projects” page is the first screen you will arrive at. This is where you can click on a button to

upload SWMP templates, and review those projects you have already loaded. It is also where you can start to

filter uploaded data, in preparation for the SWMP Tracker Analysis Tool (a downloaded data report, comparing all

of the selected projects).

Tasks in section 2 below take you through the process of uploading a SWMP. It also tells you where you can find

three example SWMPs if you don‟t have any to use.

You now have three options:

Option 1 Use your own WRAP SWMP Templates Use your own WRAP SWMP Templates to upload to the SWMP Tracker. Clicking on the Upload SWMP templates

button will open a box where you can select Templates to upload (Task 2.2).

Option 2 Use example WRAP SWMP Templates If you don‟t have a SWMP to use, you can use the examples project SWMP templates we have set up for you.

Simply go to the SWMP Tracker login screen and click on ”Example SWMP Templates”.

Option 3 Download data template (to use your own SWMP) If you have an excel based SWMP, but it is not a WRAP SWMP, no problem. Just go to the SWMP Tracker

homepage and click on the “Download data template” button.

Task 2.2 Select SWMP templates for upload Click on „Browse for SWMP templates‟ to upload your Site Waste Management Plans.

- Upload single template

Navigate to where you have saved your SWMP and click on the file to upload.

- Upload multiple templates

Holding down CRTL on your keyboard will allow you to select multiple templates for upload (see

screenshot below).

- Upload zipped templates To upload many templates at once, select the zipped folder containing the individual SWMPs and the

SWMP Tracker will automatically uncompress the files online. For advice on how to zip files, read the

advice in the yellow Help box on screen.

Task 2.3 Wait for upload SWMP Tracker will show you a progress bar, illustrating how fast your upload speed is and how long there is left.

3.0 Filtering your data

Task 3.1 Review your uploaded projects You will now see your uploaded SWMPs on the „My SWMP projects‟ page. Click on the Filter database button.

Information

The SWMP Tracker produces a downloaded report that compares your projects. Before you download this report,

you can filter the data that goes into it. For example, you may just want to compare all projects with a certain

client or in a certain postcode.

The tasks in Section 3.0 below will take you through the process of applying this filter. Alternatively, you can

select to include all projects in the downloaded report, so you can compare all projects at once.

Note

You can also filter data once you are in the downloaded excel report. We take you through this process in Section

4.0 Tasks.

Task 3.2 Filter your data To download all data ensure the „select all projects‟ checkbox is ticked, then click on „Filter data‟.

Note

This is where you can filter your data. You need to deselect the „all projects‟ checkbox to access the right side of

the screen. If you wish you can filter by location, postcode, project value, client, contractor, project title,

construction type, region, time frame, complete-incomplete or any keyword (“additional label”) you may think of.

You can also save a specific filter including a combination of filters. First, make a selection of filters and then click

Save Filter. This will then save the filter for you to use another time.

Task 3.3 Chose what data to include in the SWMP Report

Select the data to download Ensure all checkboxes are ticked (this should happen by default)

Click on „Generate Report‟ to start downloading the SWMP Report.

When you are asked ‘Do you want to open or save this file?’ ensure you click ‘Save’. When you open

the downloaded excel file, click ‘Enable Macros’

Information - Link to the Reporting Portal

Organisations that have signed the Construction Commitments: Halving Waste to Landfill have a duty to report on

their progress in reducing waste to landfill. The SWMP Tracker is aligned with WRAP‟s Waste to Landfill Reporting

Portal. (the Portal). Once you have registered to use the Portal (click on link highlightedbelow), you can upload

data directly to the portal from SWMP Tracker. Uploading data in this manner allows you to report at the

“Detailed” level. The SWMP Tracker will automatically upload data at the List of Waste level, which will not only

save you a significant amount of data entry time, but it will also allow for more accurate benchmarking against

your peers.

4.0 Downloaded SWMP Report

Task 4.1 Review your downloaded report The downloaded Excel-based report is called a SWMP Tracker Analysis Tool. When opening the file ensure you

click on the Enable Macros button that pops up. You will arrive on the homepage.

Familiarise yourself with the sections contained on the homepage.

To start looking at waste analysis data, move on to Task 4.2

Task 4.2 Review main analysis page From the homepage click on the Waste Analysis box. This is the main page for analysis, showing headline results

of all the data you selected to download.

Look at the Headline Results (rows 8 – 14) to view results for all waste movements

See Task 4.3 for more information on Applying Filters

Task 4.3 Optional - review raw data

Information

This task is optional and will walk you through the stages involved with reviewing raw data in the report. It will

also show you how to easily set filters within the report.

Task A

While still on the Waste Analysis tab, click on the „Go To Data‟ button on Row 21.

This will take you to the Waste Data tab. This is the page where all of the raw data from your individual SWMPs

has been aggregated and stored.

Task B

Click on the drop-down button in the bottom right hand corner of cell B10. Click on Construction. This will auto-

filter to show only construction-related waste.

Task C

Click on the blue „Back to Waste Analysis‟ button (see Task B screenshot above), and observe how the graphs in

the Waste Analysis tab have changed to just show only Construction waste.

Task D

Click on „Go To Data‟ again (as you did in Task A), and use the drop down menu in cell B10 to select „(All)‟ from

the dropdown menu to restore the data set (un-doing Task B).

Take some time to review the other worksheet tabs in the Report, but having read through this workbook, you

now know the essentials. For further information, read the SWMP Tracker User Guide that can be downloaded

from the front page (see screenshot in Task 1.3).
