When you choose to participate in CO-OP, you are choosing to be an Ambassador of the University of Ottawa, a professional representative involved in a diverse and exciting labour market, be it local, national or international. WHAT IS THE VALUE OF CO-OPERATIVE EDUCATION? The University of Ottawa Co-operative Education Programs is an educational strategy that directly impacts student engagement and learning (NSSE, 2011). From a practical perspective, CO-OP is important to student employability and success. By working in jobs related to their program of study, students gain valuable work experience—experience that enables them to develop a network of contacts, add marketable skills to their resumé, and offset the cost of higher education. From a pedagogical perspective, CO-OP is important to student learning and development. CO-OP students, at the undergraduate and graduate levels alike, alternate between periods of work and periods of study. This gives them the opportunity to reflect on their experiences in the academic and professional settings and, consequently, to integrate both theory and practice. This integration deepens and enriches the overall educational experience.

CO-OP is your gateway to professional development You will gain experience in your field and have opportunities to work in different environments and labour market sectors. This will give you a better idea of what you enjoy and what you don’t. Developing a professional network of people working in your field while in CO-OP will help you with your job search for future CO-OP work terms and for future jobs after graduation. Many students manage to pay off their student loans while enrolled in the CO-OP program.

Many students hold professional jobs when they graduate largely due to experience gained in CO-OP. A recent study showed that CO-OP students are more likely to earn higher salaries and to obtain prestigious positions after graduating than students who did not choose the CO-OP option.

Our programs are CAFCE accredited. What does that mean?

The University of Ottawa Co-operative Education Programs are accredited by the Canadian Association for Co-operative Education (CAFCE). To obtain accreditation, the teaching establishment must meet several quality standards and must firmly commit to the following:

Ensure quality program delivery; Evaluate and monitor programs; Put in place structural features that will facilitate the co-operative education learning process.

The CO-OP work-term report The work-term report is an important part of quality co-operative education programs and is an essential requirement to obtaining accreditation with CAFCE. The work-term report is much more than an opportunity to develop communication skills — it is a means for students to reflect on their experience with their CO-OP employer and on how the experience relates to their learning. Ideally, the report enables the integration of theory and practice. CO-OP IS A COURSE

CO-OP is an academic program that promotes learning both inside the classroom and beyond it, in a professional work environment.

Students have responsibilities: The work term must be successfully completed in order to continue in the CO-OP program.

You must observe key dates and deadlines, and follow the relevant procedures and guidelines.

NOTE: Your uOttawa financial account, including CO-OP participation fees, must be in good standing at all times in order for you to remain a CO-OP student.

THE ADMISSION AGREEMENT Read the “Admission Agreement” carefully and completely before accepting the offer – it is a KEY DOCUMENT to understanding the CO-OP requirements. For one thing, you must follow your work-study sequence.

This enables your faculty to plan courses so they are offered when you need to take them.

NOTE: Students in Arts and Social Sciences, and some Telfer School of Management programs, need to keep their electives available for summer study sessions. We offer opportunities for you to do your work terms during the summer, fall and winter sessions, providing you with different experiences that allow you to see the workplace at various times throughout the year.

For example, working during income tax season for accounting students is much different than working at other times of the year.

Working during the summer months, when regular employees take vacation, can pose some interesting challenges as well.

ACTIVE PARTICIPATION IN THE PLACEMENT PROCESS The study term preceding your work term is the time during which you:

Confirm your placement intentions: Participate in placement: Apply on SUFFICIENT NUMBER of jobs that are posted on the COOP

Navigator and IndEX (see Helpful Resources section) a database that CO-OP has launched for posting positions employers are wanting to fill, but that are open to all students looking for a job

Find your own job: Using your own contacts and also IndEX Or you may do both: See a Professional Development Specialist to discuss this option, as there are

guidelines to follow Can voluntarily withdraw from CO-OP: after a work term (if followed by a study term) - you must

nonetheless submit your work-term report and receive a grade

– **Note** If you are doing back-to-back work-terms you may not withdraw after the first one. You must complete both work-terms, submit your work-term reports and withdraw only during the following study term

Prepare and update your resumé after every work term Register for and attend all mandatory workshops (most before your first work term and one

immediately following it), and complete all online workshops and activities Attend appointments with your Professional Development Specialist Apply to a reasonable number of jobs Take note of, prepare for, and attend all interviews

Rank jobs and comply with the matching agreement

PROGRAM SEQUENCE AND ENROLLMENT STATUS

To receive the CO-OP mention, you need to remain a full-time student throughout your entire CO-OP sequence.

o You cannot fast-track the CO-OP process (students must complete a minimum of 12 credits per study term, including the last term).

o You cannot study part-time.

While on a work term, you must be enrolled as a full-time student at the university; this ensures your continued access to student discounts for public transportation, the uOttawa library, including the Virtual Career Library available at http://uOttawa.ca.libguides.com/vcl.

You can continue to access the uOttawa gym as well while on a work-term but you will have to pay part-time fees (check with Sports Services about this).

o However, you are not recognized as a full-time student by Revenue Canada; therefore, you must pay all required taxes.

NOTE: While participation in the CO-OP program does not affect scholarship holders per se, it may affect when holders receive their funds – contact the Financial Aid and Awards Service for more information:

CO-OP FEES

CO-OP fees are due during the session before your first work term and subsequently for every work term, up to and including the final one.

The fee for the upcoming academic year is $695 (for 2015 - 2016 University year). CO-OP fees are participation fees paid throughout your active involvement in the CO-OP program.

NOTE: The busiest CO-OP period is during the study term prior to a work term.

CO-OP fees are due no later than the date your tuition fees are due. Please check the list of

important dates and deadlines on the University’s website to confirm this date http://www.registrar.uottawa.ca/Default.aspx?tabid=2671.

NOTE: If you are matched in the second round, after the date fees are due, you should pay your fees on the day you are matched to avoid incurring any late fees.

Fees are set by the Registrar’s Office and are reviewed annually. You can also check your statement of account to see when your fees are due or call the CO-OP

Office at 613-562-5741 during office hours if you have questions.

IF YOU RECEIVE OSAP

While on work terms in the winter or fall sessions, or in school summer terms, Financial Aid [and thus the National Student Loans Service Centre (NSLC)] may not have you listed accurately, since you are not following the typical fall/winter schedule.

THE U-PASS

Typically, everyone at uOttawa has to pay for this regardless of use.

STO students are an exception – make sure you have not been charged by mistake. Check your account statement and let the U-PASS Office know if you have been charged for the pass before the exemption deadline.

Students sent abroad or elsewhere in Canada will be charged as well, but the Student Federation receives a list, created in consultation with our office, indicating who is on a work term, out of the area or the country, so that they can be reimbursed.

YOUR ACADEMIC STANDING You must maintain satisfactory academic performance (CGPA).

Be admitted to CO-OP. Maintain a Cumulative Grade Point Average (CGPA) of 6.0.

The first academic semester is critical for CEGEP and transfer students.

ONCE YOU ARE OFFICIALLY ADMITTED For undergraduates only:

If your CGPA drops below the accepted minimum after admission, you have two study terms to bring it back up to the required level.

To receive the CO-OP Mention, you must maintain your CGPA throughout the length of the program, even during your last study term.

WHAT IS EXPECTED OF YOU

Complete your work terms (generally last 15-17 weeks). For each work term, complete a work-term report that is:

o similar to an end-of-term essay or exam o graded by the CO-OP academic coordinator in your faculty as PASS/FAIL only

NOTE: A pass does not affect your CGPA; however, a failing grade will not only affect your CGPA but also lead to your dismissal from the CO-OP program.

CO-OP credits are accumulated to obtain the CO-OP Mention.

LABOUR MARKET REALITIES

Government jobs are the norm in Ottawa-Gatineau.

Security clearances are required to work for the government and these can be difficult to obtain, particularly if you have lived or travelled outside of Canada, or if you are a permanent resident, international or Visa student.

***Canadian Citizens who’ve lived/studied/worked abroad for 6 months or more should try to get a Police Certificate from the country they resided in as soon as possible to speed up Canadian Security Clearance process in the event that they are offered a position with the Federal Government”.***

Get mobile!! Great opportunities await you! Moving about within this country or moving to another one will enrich your CO-OP experience and make you more marketable. Enhance yourself by being open to these opportunities. Labour market realities are important: for instance, if you are a science or engineering student, moving to Montreal or Toronto where there may be more opportunities in your field, may be an important career option for you to keep open.

Moving to do a placement in another country can benefit you in your career-many employers now look for international experience.

You may need a car for some work positions, even in the Ottawa-Gatineau area.

We are currently developing more positions in the private sector for students who have greater

difficulty accessing work in the government (i.e. international students or permanent residents).

Knowing the labour market can help you better succeed! Your CO-OP Program Coordinator as well as our “Realities of the Job Market” online workshop (Virtual Campus) can be of help to you. We want to help you better understand the labour market before you accept your offer.

KNOWING THE LABOUR MARKET AND WHAT IT MEANS FOR YOU

IS KEY TO YOUR SUCCESS!

Make an appointment with CO-OP staff if you wish to discuss the labour market in greater detail after you have completed the online session “Realities of the Job Market.” Start thinking about specific employment barriers that you face, as well as your areas of strength: can you easily obtain a security clearance? Are you bilingual? Do you have experience in your field? Think about these questions and meet with us to discuss further. Communication skills are essential. If you (or we) feel that language courses would be a benefit

to you, we will point you in the right direction.

YOUR TIME COMMITMENT

At the start of the CO-OP program, you must attend all mandatory workshops (most before your first work term and one immediately following it). NOTE: Check the location of workshops as not all are given in the same location.

Some CO-OP activities and workshops are given online (Blackboard Learn available in English and in French).

You must prepare a resumé, which then needs to be approved by a Professional Development Specialist (PDS).

You might need to meet individually with your PDS – most students will have at least two appointments with a PDS.

You will need to reserve some time for submitting job applications and for researching potential employers, as students who do this have more success than those who do not show this initiative.

ACCEPTING THE CO-OP OFFER

Go to “uoZone” and select “COOP Navigator” from the applications menu Read the “Conditions of admission and details”

REMEMBER: Before accepting the offer, make sure you read the entire “Admission Agreement.”

THE CO-OP ADMISSION AGREEMENT (simplified version) As a CO-OP student I am an ambassador of the program and of the University of Ottawa. I will deal in a professional way with any issues that may arise. By accepting the CO-OP Admission Offer and Agreement, I agree to the following conditions and understand that my admission is conditional on my CGPA being above the minimum requirement for my program by the end of this session: I agree:

ACADEMIC:

That I cannot change my work-study sequence. That I will be either studying or working full-time throughout my degree. To maintain my CGPA above the minimum required. That I am entitled to take one night class during a work term, as long as it does not prevent me

from registering full-time for subsequent academic sessions. To hand in my work-term report on time to the CO-OP Office and to follow the guidelines.

PLACEMENT: That it is my responsibility to check the CO-OP website (www.coop.uOttawa.ca) for all deadlines. That it is my responsibility to meet all deadlines. To attend all mandatory workshops and individual meetings. That I must attend all scheduled interviews and accept the position that has been offered to me. To authorize the investigation of all statements contained in my resumé.

That the CO-OP Office will submit my resumé and my academic transcript to potential CO-OP employers.

If a job requires a security clearance, I agree to allow the CO-OP Office to send information to the employer.

That I will check on the Web every day, during the placement process and interview periods, for any new information sessions or interviews that may have been scheduled.

That I will be available during the entire process and will attend all scheduled information sessions and interviews.

That I will maintain a satisfactory job performance and follow the policies of my employer; I will notify the CO-OP Office before dealing with any problem that may arise.

That during a work term, scheduled university break periods do not apply.

POLICIES:

Agree to pay CO-OP fees set every spring by the Registrar If I decide to withdraw from the program, I will do so according to the deadlines indicated in the

CO-OP activity calendar. Agree to comply with all the CO-OP policies and procedures as outlined in the document entitled

Regulations and Procedures Governing Co-operative Education Programs..
