Jee-Young ParkKorean CatalogerColumbia University Today I would like to introduce two assistive technological devices to improve everyday cataloging productivity.

Maybe it is just a small idea what I present today, but I hope that this presentation can give another idea for you and your library, especially in the situation of budget cut and manpower shortage.

2Two assistive technical devices I am going to talk about are and .

Basically, the concept of using the pen scanner is to scan the text line by line and does OCR, so texts are entered Instantly in to the file. The speed of scanning becomes many times faster than actual typing.

And using dual monitor can produce clean and well organized screen and this set up can make catalogers who sits all day in front of the computer monitor more comfortable and minimal distraction from their working environment.

Currently Columbia Starr East Asian library has 7 pen scanner for the cataloging staff and requested the dual monitor set up to Columbia IT team. Our East Asian library staff is waiting for the dual monitor set up, but our main library cataloging staff are already using dual monitor for their work.

From the next slide, I explain the use of pen scanner and dual monitor separately.

Pen Scanner

3Heres what pen scanner looks like.

Our library tested two selected products from many other pen scanners and we chose this one.

It has simpler function, but works in the similar with the other one. Because of installation authorization with Columbia IT department, we thought that this one fits our library well.

So when selecting the pen scanner in your own library, it is better to consider your purpose and the specific selected pen scanner function.

The size of scanner is 5 inch wide and 5 inches long. Pen Scanner

If you compared to the pen scanner with regular bar code scanner, the pen scanner is much handy and light.

Then lets see the function of the pen scanner.

Pen scanner works like a highlight pen.

First highlight the information you need then automatically the information is instantly retyped on any application

Benefits for using the scanner are

30 timesfaster typing than manually. It captures words, from any printed material such as book, article, magazine, catalog into your computer. At the same time. you can use the pen scanner on many applications Especially it has extensive foreign language support

To give a better understanding of using pen scanner, I made a short self testing video clip.

When making this tape, I more concentrated on the CJK language scanning.

Then lets watch this video for 40 second.

Up to now, you saw how the scanner is functioned and next is how it workswhen performing cataloging activity.

When you have to search other language such as foreign authors, uniform title in OCLC, using this scanner is easier to search. In my case,if I have to search old Chinese characters which I do not know in OCLC,scanning is much faster than using on-line dictionary.

2) Also, if requiring extensive transcription such as 500 General note, 520 summary note or 505 contents note, It will save much time by scanning.

I would like to add that since these activities were found on my scanningexperience, and you can utilize more functions when using this little machine by yourself.

3) And the last one, those who performs Korean original cataloging, using Scanning and Korean Romanization macro as combination, it will savea lot of your time and energy. Next slide, I will show a detailed explain of how the scanner is used in OCLCwith a transliteration macro for the Korean language.

8Most of you already know that Korean Romanization macro was created by Joel Hahn who is middle school Media specialist with other fellow Korean librarians support. The final update of this macro content was July 2010.

Basically, this macro transliterates Korean Hangul to Latin characters and it can be easily installed on OCLCAnd make a user tool or keystroke of this macro.Pen scannerwith Korean Romanization macro in OCLC

When you see this OCLC screen shot, there is 100 personal name and the Korean Romanization macro is installed in user tool # 4.

So lets suppose I scanned 100 personal name, then press user tool #4, Automatically, Romanization pair will be filled.

Please note that you will have to double-check the results of the macro. You have to make some correction for certain irregular cases.

--1) The macro will not insert spaces between lexical units2) will not insert hyphens in names, will not handle consonant changes related to parts of speech or place in a sentence3) will not properly handle most other such special cases,

Here is another similar example.

First, I can finish 505 content note using the pen scanner. Then press #4 user tool, then pair of this Romanization field is done.

This example is only for those who do the Korean original cataloging and many of us are also excited that Princeton University Staff developed Chinese pinyin conversion tool. If you use these macros with the scanner, the efficiency of original cataloging will be increased.

Dual Monitor

Next I would also introduce the dual monitor and will talk about briefly about the efficiency benefits of having to monitors attached to your computer.

Until the couple years ago, people thought that a dual screen set up is essential for graphic designer or architect. Also, flat-panel display were expensive, so having a dual monitor was not one of good options in the working environment.

2) Situation is so much better now. Also, even, researchers at University of Utah found that people who used two monitors were 44 percent moreproductive than people using a single monitor.

3) System set up mention. For the system requirement, ---- (It is relatively easy to set up if you have graphic card. Please Google search for the installation or consult with your your institution IT department.)

Then lets what kind of benefits we can have for using the dual monitor.

Since technical service staff often sit in front of computer all the time, concentration with less distraction is very important.

1)We can have more usable desk space if we have dual monitor

2) It is easy to go back and forth between windows and spaces at the same time and move the cursor from screen to screen with only one mouse.

Greater focus with minimal distraction and improved productivity using two separate screens For cataloging purpose, we can have well screen from multiple cataloging related reference tools and less traction for using two separated screen.

For example, you can open all the cataloging related websites such as catalogers desk top, classification website or LC catalog in one screen,

And right screen, you can only open OCLC connextion and performing original cataloging.Dual Monitor

Or you could keep your institution ILS (Integrated library system) open one screen while the OCLC connection run on another.

So, you do not need to go back to previous screen all the time and will increase your cataloging efficiency.

ConclusionThe pen scanner and dual monitor can be helpful as assistive technological tools once the user fully adjusts to these devices

These devices have some limitations, but improve cataloging performance and make in-house cataloging more efficient and convenient. I just went over two assistive technological devices.

One thing you can make sure that since these are machines, so there will be some limitation or it take a little bit of time for you to adjust these devices. So please give yourself some time to practice these devices.

Lastly, if you can utilize the pen scanner and the dual monitor well, I am sure these will help your performing cataloging activity and can make in-house cataloging more efficient and convenient.
