Before you take advantage of any of our services, here are some things you need to take into

consideration:

Do you have travel insurance?

It is highly recommended to have yourself insured as you travel. You’ll never know when you

might get hospitalised or be in an accident. It’s best to have an insurance prepared as you can

never predict what situation you can get yourself into.

Do you have a passport? Do you need a visa?

When travelling to another country, you need to make sure that you have a passport and a visa.

Though there are some countries that may not need a visa, you still need to ask the immigration

office of the country you’re residing at to ensure that you have the requirements ready.

In applying for a visa, you also need to make sure that your passport is still valid for at least 6

months before you travel. The validity of your passport can affect the approval of your visa. Even

if a visa is granted, there’s a chance that you might be refused to enter the country.

Make sure that the details you’ve entered in our booking forms match with the details in your

passport and your visa.

Before you complete your booking, make sure you have read and understood the terms and

conditions.

To book for your trip, follow these steps:

1. Complete the forms online.

a. If you will travel by yourself or if you are the main representative for the group you’re

travelling with, fill out the Principal Traveller Booking Form.

b. For your companions, enter their details in the Additional Traveller(s) Booking Form.

2. Make sure you’ve entered the correct details. Click the ‘Submit Form’ button afterwards.

3. Payment will be asked from you after your booking is accepted. If your trip starts in not less

than 60 days, a £250 non-refundable deposit must be made. If the trip begins in less than 60

days, you will be asked to pay for the full amount. For those who’ll book international flights

with us, you need to include the cost of your international flight when you pay. This is done

to secure the price of your ticket.

You can pay in any or in a combination of any of these methods:

a. Bank Transfer – Bank transfers to our UK bank account is accepted. The bank transfer

details will be sent to you once you’re booking is confirmed. Remember that you’ll be the

one to pay for ALL transfer fees especially for international transfers. You will receive a

receipt detailing your payment once the bank transfer has been confirmed.

b. Credit Card/Debit Card – We accept online card payments as long as your card is from

Visa, MasterCard, or American Express. If you will pay using a credit card, kindly include

an additional 2% surcharge as you pay. This will cover up for the fees that your card

company will charge to us. For debit card payments, there’s no need for you to add a

surcharge. An invoice will be sent to you indicating the payment details.

NOTE: Credit card and debit card payments will redirect you to our parent website,

HeadsEast.com.

c. Cheque – We accept check payment in UK Pound Sterling. Send your cheque payment to:

Cheque payments will be cleared up to 10 days. We will notify you once we’ve received

your cheque payments at our office. A receipt will also be sent to you once the cheque is

cleared.

4. Those who have a remaining balance, the balance is due 60 days before your trip will start.

5. 4 or 6 weeks before your trip starts, you will be receiving a username and password to our

Client Only page. In this page, you will be able to:

a. Download an invoice containing the details of your payment.

b. Download your itinerary.

c. Get a PDF copy of a travel guidebook.

During this period, you will also receive a hard copy of the guidebook, your itinerary and the

receipt.

6. If you encounter issues during your trip, you can contact the emergency numbers that has

been provided to you. You can also find these numbers in the guidebook. You can contact

these numbers anytime as it is available 24 hours.

7. After the trip, you will get an invite to complete our Client Feedback Form. It will help us to

make our services better and to help others evaluate the quality of our services.
