FIRST EVANGELICAL LUTHERAN CHURCH, HECTOR Returning to in-person, OUTDOOR worship

“WHAT TO EXPECT” --Adopted by Church Council on June 24, 2020--

Our goal, as your church leadership, is to conduct worship and special services in a safe manner, that strives to protect the health of all who attend. We are looking forward to being back together, but you need to know that it will look different for some time. These procedures will be evaluated and updated as new information arises.

While we look to gather for in-person worship once again, we ask the following: • If anyone has had within the past two (2) weeks any symptoms of COVID-19, including

cough, fever, shortness of breath, chills, headache, muscle pain, sore throat, or loss of taste or smell: please worship at home and do not come to worship in-person.

• If you are older than 65 and have any underlying health condition that pre-disposes you to illness or if you have or have been treated for an illness that causes a decreased immune response, please consider your risks as you decide whether to attend in person or online.

As we gather for worship in-person, our online worship will continue indefinitely. You always have the choice to stay home and we understand that may be the case for some time for some of our members.

Our goal as we gather is to protect each other from contracting the COVID-19 virus and we are willing to take precautions to protect ourselves, each other and the community. To this end, please expect the following as you return to in-person outdoor worship at First Lutheran:

1. We will worship on the south lawn and parking area. Please bring your own chairs or blankets.

2. Hand sanitizer will be available for all to use as you enter the worship space. 3. Wearing masks is strongly encouraged, but not required. Disposable masks will be

available for those who would like one but don’t have them. 4. Use no-touch greetings. Ushers will hand out bulletins. Please take them with you as you

go. 5. You may choose to sit on the grass or sidewalk, or remain in your vehicle. 6. We will try to transmit the service onto a radio station, so that if you are in your vehicle, you

may hear it on the radio. 7. We will mark off parking for those who wish to remain in their vehicle. You may contact the

church office if you would like a parking spot reserved for you ahead of time. 8. For those who are on the lawn, please space yourselves out at least 6 feet from another

household and maintain that distance throughout our worship time. 9. We know that younger kids will run. We will not be able to control that, and parents, we

understand that this may be the case. We’ll all do our best in this regard. 10. We ask that you use the restroom at home, but if someone needs to go inside, we will use

the handicapped (main floor) restroom only. Otherwise, the building will be closed. 11. Expect no singing. Music will be played, and a musician or two may sing. 12. Expect no speaking in unison. You are invited to say the words silently. 13. Offering plates will not be passed. Offerings may be placed in the container as you enter

or exit. 14. Holy Communion practices will be “no-touch” delivery, and instructions will be given as we

gather. If we are moving during worship, please continue to maintain the six feet of distance and follow the ushers’ directions.

15. There will be no coffee time, meals or use of the kitchen. 16. Worshippers are asked to exit to your vehicles directly after worship.

Worship volunteers will be trained on these procedures. Ushers will take note of who attends in

case of a need for contact tracing. If you attend worship, and then test positive for COVID-19, please contact the church right away.

As we enter into July, we enter into the fourth month of life where COVID-19 has been a reality, and we find ourselves a little over 5 weeks from the death of George Floyd, which sparked nationwide protests and marches against institutional and insidious racism and for equality and equal treatment. These pieces of our life right now are not going away any time soon…they are a part of our world and our new reality.

I’m sure you, as the gathered and scattered people of God, the community of First Evangelical Lutheran have been awash with stress, challenges, frustrations, anger, depression, as well as joy, solitude, family time, enjoying creation and moments of peace and reflection. At least this has been some of my reality. I’ve sometimes said it feels like a really long rollercoaster ride with all these ups and downs along the way! And at the same time, in and through it all, the time that we are living in is an eye-opening life experience of the Greatest Commandment from scripture. In the Gospel of Matthew, chapter 22, beginning at verse 34, it says “When the Pharisees heard that [Jesus] had silenced the Sadducees, they gathered together, and one of them, a lawyer, asked him a question to test him. “Teacher, which commandment in the law is the greatest?” He said to him, “’You shall love the Lord your God with all your heart and with all your soul, and with all your mind.’ This is the greatest and first commandment. And a second is like it: ‘You shall love your neighbor as yourself.’ On these two commandments hang all the law and prophets.” In our faith tradition, we tend to talk about that quite a bit. Love God. Love others. Period. That’s the short version. It’s like Jesus, when asked to name the top ONE, couldn’t leave it at just one. Love God. Most definitely…and a second is like it: Love others. When we think of COVID-19, this has been asked of us again and again: love others by staying home, by adjusting work and school schedules, by closing up businesses, by completely changing what you do and how you do it…and then love others by really thinking through how to keep people safe as your business or church begins to welcome people back physically, or as your school figures out what fall will look like. Love others by keeping your distance, by not traveling as much, by staying home when sick, by wearing masks, by adhering to specific protocols at work to keep people safe. When we think of the inhumane way in which George Floyd’s life ended, it has been asked of us again and again as well: love others by treating people equally, no matter their skin color. Love others by standing up for justice. Love others by entering into hard conversations with people you might not agree with. Love others by listening to stories of people’s experiences that you might not understand. Love others by supporting all the good cops, who serve and protect to the best of their abilities, despite the things they cannot control. Love others by recognizing that we are all a part of a broken system that needs radical changing. Through this time, we have sought to love others in various ways of our own choosing and of the recommendations and guidelines from official public health organizations and governmental officials. This month, we get to practice loving others as we gather back together again for in-person worship. I have certainly missed seeing you, dear church! And I know that you have missed each other’s company and presence together as well. So as we gather, and worship and celebrate and reunite physically as our church family, we are called to continue to love one another. At the same time, know that for some, drive-in worship will be the preferred avenue, and for some it is just not yet the right time to gather, and we understand that…which is why we commit to remain online as well. Your leadership has been working hard to get things figured out so that we can gather together in person for worship and do so as safely as we can at this time. We will rely on everyone doing their best to adhere to our guidelines as we gather, and follow the instructions of the ushers. We look forward to gathering inside in the future, although knowing that outside is safer than inside, we chose this for now, in order to best love one another and care for our community. We will let you know when it is time to be inside, but for now, we gather for worship in the beauty of the Minnesota summer, enjoying God’s creation, and our church family, as we continue to love God and love others. Peace and Blessings to you all. --Pastor Amy

Finance Helper: Paulette Johnson

Secretary’s Report:

M/S/C by Michael/Stacie to approve the May minutes as written.

Pastor’s Report:

Worship and Fellowship:

May 17, 24, 31 and June 7, we have continued online worship. On May 24th, we included Senior Recognition and on May 31st, I moved to going live from the sanctuary, and we shared in online (and at home) Holy Communion. June 7th was a pre-recorded worship in order to include Bishop Eaton’s message.

We have continued our Zoom Coffee Time following worship, and while it’s a smaller group, we have had some good discussions and check-in times.

Mission and Community:

May 12th and 26th were the final two Back-the-Pack Delivery dates. Thanks to Jill, Craig and Rachel Carlson for helping with those deliveries.

Green Lake Lutheran Ministries has officially cancelled all remaining in-person summer programming (July 5-31), as of June 3rd. Staff has put out a Day Camp at home curriculum for kids and families, and beginning Monday, June 8, they will be hosting morning worships on their YouTube Channel.

Our BLHS Ministerial is working on a combined, pre-recorded worship service that we share on Sunday, July 5th.

Communication and Connection, Pastoral Care

Regular Tuesday at 2 PM Zoom check-in’s with our Bishop, synod staff and pastors continue each week. In the past two weeks, there has been a good amount of discussion and sharing of resources around digging into our own bias and privilege, and what work we can do for ourselves and in our congregations and communities around anti-racism conversations and training. Our MN Valley Conference is also working on some things in this regard. Continuous Growth Pathway has been nimble and worked quickly to add workshop topics in Strategies for Navigating Warp Speed Change and Intercultural Competence assessments (the IDI).

When we sent out the letter and information regarding online Holy Communion on May 31st, I included a personal note written to each of those approximately 40 households.

I have made one home pastoral care visit now, and am open to home visits and bringing communion to those who would like that. I am still not able to go into our care centers at this time.

Discipleship & Education

The Zoom Bible Studies continue at 12:30 PM and 8:45 PM. As we enter into summer, for the month of June, the 12:30 PM study will continue each week, and the 8:45 PM study will move to the 1st and 3rd Wednesdays only.

Thank You’s

To Todd and Stacie Kramer for helping behind the scenes for worship on Sunday, May 31st.

To the Carlson Family for helping with Back-the Pack deliveries in May.

To Gail Johnson and Katie Rudeen for changing the paraments as needed.

Page 5: Sunday Morning In Person Worship Sunday Morning Online … · 2020-07-07 · 1. We will worship on the south lawn and parking area. Please bring your own chairs or blankets. 2. Hand

To Ryan Johnson for the extra research of technology and work around property and space he’s put in.

Finance Committee:

Payroll Protection Program (PPP) program – finance committee members have heard that there will likely be updated adjustments to this loan/grant, with possible longer time to utilize the funds, easier process for rolling it into a grant, and extended time to payback any loan funds. We will watch for those in official form.

Checks and Balances: We are $2100.00 under budget for the month. Expenses are also down. We are about $10,000 behind budget year to date.

Synod Benevolence will be paid at $700/month (Jan-Nov) with the remainder in December

$38,000+ bequest – At our annual meeting, we had talked about a suggestion box in the narthex but with how things are now with COVID-19, this is not the best plan at this time. Ultimately, it is a council decision on how to spend the money and suggestions from any congregation members are appreciated. Discussion was held about putting the money towards scholarships or to new technology for Facebook Live services. Discussion on what to do with the bequest was tabled.

Youth and Ed (Met Monday night)

Discussion held on the Sunday School Superintendent position as no one has stepped up to take on this role. Duties may be split up amongst the Youth and Ed group and “special event teams” to plan for Rally, Christmas Program and VBS.

VBS: first two Sundays in August – 6-8 PM. Possible Hay Ride and Pool Party.

Green Lake has cancelled all of their programming for Summer 2020.

Rally Sunday Planning Committee being formed to plan for this year. If interested, come to a planning meeting on July 13th at 6:30pm. Hopefully getting members of the congregation involved. We are trying to navigate through this new adventure of COVID-19 restrictions as a congregation.

Pastor Amy updated the council that First Lutheran had 21 campers signed up for camp at GLLM. $8800 total from our church would have been going to camp. Our Youth Fund account right now is over $12,000. Pastor Amy asked if the council would want to give a certain dollar amount to GLLM to help with their expenses during this difficult time. Pastor Amy will gather more information from the Camp Director at GLLM about what their needs are. Discussion was tabled.

Worship and Music:

We are asking for videos of individuals or families to participating in special music.

There are some things we need to figure out when it comes to streaming live from church, including:

What device works best to record?

What kind of sound amplification works best?

Who should all be a part of leading worship now?

What extra licenses do we need for music copyright?

What kind of precautions and/or cleaning needs to take place?

As we look ahead, what do we need to think about for streaming outdoor worship?

Longer term: what kinds of commitments do we want to make going into fall and winter around online worship?

If we continue to stream live, what research needs to be done to determine any additional equipment and volunteer needs?

Pastor Amy Update: There may be some things we need to purchase as well – a tripod that can hold a camera, tablet or phone; a wireless microphone that can plug into a camera, tablet or phone, and perhaps a recording device (tablet or camera). At the moment, I have tried recording on my own phone (which has worked out best), the church’s laptop computer from 2014, and now a new church laptop. I have had difficulties with both computers, but I cannot record horizontally on the phone.

Property Committee:

Cleaning up around the church, pulling spraying weeds was discussed as our landscaping needs to be tidied up. Ryan plans to get in and spray the rock. Aaron will send his daughters over to assist with weeding.

Pastor’s step off the patio needs to be cleaned. Dane and Carter Macik have been contacted to talk pricing. Pastor will connect with them to look into this project.

Options for camera streaming were discussed.

Page 6: Sunday Morning In Person Worship Sunday Morning Online … · 2020-07-07 · 1. We will worship on the south lawn and parking area. Please bring your own chairs or blankets. 2. Hand

Personnel Committee:

Nothing at this time.

Mission and Outreach:

July recommendations:

Local: Green Lake Lutheran Ministries

Global: Go Serve Global

M/S/C Steve/Aaron to accept the missions recommendations.

Old and New Business:

Chad has bi-monthly meetings with the Bishop and the Synod via Zoom. Some of the highlights that have been discussed include:

There is not a guidebook on how to go forward as a church in a pandemic.

Be responsible to our neighbors.

When we have difficult discussions, don’t feel afraid to say what you believe. We will be tolerant of others and their opinions.

It is for us as a council to discuss and to plan and don’t feel like you need to rush through it. Some things will work and some things won’t.

Don’t be afraid to check and adjust.

Outdoor services were discussed. Chad talked about a worship service that was discussed with the Bishop where the Pastor was in the Crow’s Nest at a Football Field. The Bishop encouraged the group to try not to get too down. Also, the Governor’s dial could go backwards and we should learn from what we have done in the past as we go forward.

Pastor Amy talked about managing tensions in this time, as issues of racism are front and center. It is good to talk about these things, and listen to one another and others’ experiences. Church should be a place where we can and do talk about tough stuff, even if people disagree. There may be some opportunities for us in the months ahead to share and learn from one another.

Recommendations from Planning and Response Team meeting on May 27th – Topics include Drive Thru Holy Communion and Outdoor Worship.

To work towards an outdoor option for in-person worship, when we decide it is time to gather - on the south lawn, with people bringing their own chairs, and some could opt to just drive up facing the church, and remain in their vehicle.

It is not yet time…possibly working towards July 12th.

Other worship plans are in place for dates before that.

We need to create a Preparedness Plan before that.

We need to get the logistics of sound and space and music worked out first, and possibly purchase some equipment and test it out.

In the meantime, we would like to do Drive-Thru Holy Communion on Sunday, June 14th, from 10:30-11:30am in our parking lot, taking necessary precautions for safety and sanitation.

M/S/C Aaron/Stacie to accept the Recommendations of the Planning & Response Team as written.

Drive Thru Holy Communion: M/S/C Aaron/Stacie to approve the drive through communion preparedness plan as written.

Updates on Sound and Technology Equipment: Ryan purchased a portable sound system for outside and an AM Radio transmitter. FM transmitters are not able to be purchased at this time due to high demand. As long as we have a FCC qualified or certified device, a FCC license to transmit isn’t required. Ryan should submit his bills for reimbursement.

Planning session next week for COVID-19.

M/S/C by Michael/Steve to adjourn the meeting.

Respectfully submitted,

Michelle Paulson

Council Secretary

Here is a glance at our Financial Health for May. We, the finance committee and council, are doing our best to save money and make wise financial decisions. Thank you to everyone for your generous donations so far this year, we are very appreciative of all your support. It is because of you, our generous and dedicated donors, that we are able to successfully continue the ministry of our church. Any and all giving is always appreciated and we are grateful for all that we receive.

Regarding offering, there are a couple of options for you during this time when we are worshipping online. We know that this is a stressful time. If you are not able to give an offering at this time, we understand, and keep you and your family in our prayers. For those of you who are still able to give, we ask that you would prayerfully consider sending in your offering, even when we are meeting online. Our church still has bills to pay, and like everyone, we are concerned that our offering will be down because of moving church online. There are a couple options for sending in your offering: you can mail it to the church office, PO Box 336, Hector, MN 55342; another easy way to give anywhere and anytime is to give an offering through our secure online giving portal on our webpage: https://www.firstlutheranhector.org/give/ ...or think about setting up automated monthly or quarterly gifts...or download the Tithe.ly app to your smartphone.

Local Mission for July is Green Lake Bible Camp. Green Lake Lutheran Ministries presents the life-changing love of Jesus in the vibrant setting of camps and retreats. For many years our young members have benefited from the camps and services that Green Lake Lutheran Ministries provides. Unfortunately, due to COVID-19, all of their summer camps have been canceled for this year. However, the GLLM team is providing daily summer camp activities and day camp materials online for families to use. Our mission dollars will help them continue this important ministry. Visit their website to learn more: www.gllm.org.

Global Mission for July is GoServe Global. GoServe Global shares God’s love by responding to disaster, empowering sustainable community development and creating word change through hands-on involvement. “Empowering those we serve and serve alongside to be world changers t ransformed through Jesus.” To learn more about how GoServ Global helps around the world and how our mission dollars are used, please visit their website: https://goservglobal.org.

Special Council Meeting Wednesday, June 24, 2020 at 7:00pm

via Zoom Present via Zoom: Michael Melberg, Ryan Johnson, Steve Novotny, Katie Rudeen, Paulette Johnson, Stacie Kramer, Jessica Novotny, Chad Pauslon, Heather VanderVoort, Dan Rettmann. Pastor Amy was also present. Absent: Tammy Radloff, Molly Kramer, Aaron Markgraf, Jaxon Watkins.

Chad called the meeting to order. Pastor Amy opened in prayer.

Council had been emailed two documents regarding to in-person worship, which were discussed. M/S/C by Stacie and Mike to approve the documents that outline our guidelines and expectations for returning to in-person worship.

Other Business: 1. The entire COVID-19 Preparedness Plan will

be presented and discussed at our July 8th council meeting.

2. We have had a death, but the family has decided to do a service at the cemetery only. No need to discuss building usage.

3. Red Cross has asked if we want to schedule a blood drive for August. Since our building isn’t opened yet, and we are not inside for worship, it was decided to tell them no for now, but possibly consider scheduling one in the months to come. In the meantime, to advertise area blood drives on our Facebook page.

4. As of today, we have a member of our town who has tested positive for COVID-19. We’ll keep an eye on infection numbers but that doesn’t change our plans for in-person worship as of now.

5. Pastor Amy will be gone on vacation July 2-4. Pastor Dave Drager will cover pastoral emergencies.

6. Our second Drive-Thru Holy Communion time will be this Sunday, June 28 from 10:00-11:30am, and we need volunteers to help. Katie, Michael, and Heather volunteered. Amy Klawitter will also help.

Meeting was adjourned. Minutes taken by Pastor Amy

Rally Sunday Planning: July 13th, 6:30pm Since we have not had anyone volunteer to be our Sunday School superintendent, the Youth & Education Committee is taking on these responsibilities for this coming year. One new thing we’re trying is to ask the congregation for short-term, one-time event teams of volunteers, specifically for VBS, Rally Sunday and Christmas Program, and possibly more. If you are wanting to help make Rally Sunday special and fun this year, come to the 6:30pm meeting on Monday, July 13th. The commitment is that night, possibly one or two more planning sessions, and coordinating the day of September 13th – Rally Sunday. That’s it! If you can help, please contact Katie Rudeen, Pastor Amy or Youth & Education Chair Molly Kramer.

The Day Camp at Home materials are now live and ready for you on the Green Lake Lutheran Ministries website. This Day Camp curriculum can be utilized in place of day camps or vacation bible schools, at no cost to you! Families are welcome to use this!

This curriculum is built to encourage and remind us that we are the church, together and apart, and we have the opportunity to share God's love with those around us. We are so excited to share this with you!

Zoom Bible Study

We'll look at the upcoming Gospel for the week, using the resource "Daily Discipleship", which offers summaries and questions to discuss. All are welcome--it's fun to have a variety of ages involved!

Every Wednesday: 12:30pm-1:00pm and

Wednesday July 1, 15, & 29: 8:45pm-9:15pm. The study groups will open 15 minutes ahead of time, so you can log in for conversation and check-in.

Then we'll begin the Bible study at 12:30pm and at 8:45pm. Bring your own Bible and beverage/snacks!

Green Lake Lutheran Ministries 2020 Quilt Auction

The Quilt Auction has served as the largest fundraiser or over 35 years, provided an incredible amount of support and opportunities for this ministry to grove and thrive, and created countless fun memories.

The Quilt Auction will still happen this year but in a different format than previously planned in order to follow guidelines from the state, the CDC, and local health officials, and maintain healthy habits to protect us all.

• Quilts, Silent Auction items, and cash donations will still be accepted. Items should be delivered to the camp by July 17, 2020.

• Quilt Auction & Silent Auction will be held entirely online. • Quilt & Silent Auction Information Forms can be found on the website: www.gllm.org
