5.1. Umpires Co-ordinator No nominations for the position of Umpires Co-ordinator were received. The floor was opened up to take nominations from the floor or expressions of interest.

Discussion was held regarding the role of the Umpires Co-Ordinator.

[Junior Competition Coordinator]: As you know Tai has had a little baby boy, and on behalf of St George we would like to congratulate her. She would like to be at home with her baby, which we can totally understand. Tai has agreed to help us out though, she is prepared to meet with Clubs to discuss the rule changes along with Marlise Edmondston. Tai will also look after the payment summary each week.

Robyn Coppleman was thanked as she has stepped in to do the umpires for carnivals. We still need somebody to do the allocations at the start of day 1. If you do not have somebody to do the umpire’s allocations the Association is not going to run.

Diane Polychrone asked if there was an umpires committee.

Junior Competition Coordinator advised that there were only two nominations received.

[Coaching Coordinator]: So is that a no from the council then that we don’t want to progress because no one will put someone up for an umpire’s co-ordinator role, I’m not sure how we can progress with that?

[Junior Competition Coordinator]: Agreed that it is a major job and it also comes down to the grading of umpires etc but it’s not an easy job to do, but it’s a job that needs to be done. Whether it’s done by one person or two people, working closely together, in doing the allocations side of it there, how they want to run the roles, it’s up to them, in a way, last year I know Tai gave it back to some clubs and said OK you’ve got 5 time slots to fill at 9.00am, you do it. And I know one of them is Oatley that’s why I can talk about it and our umpires convener filled for our players, she knew who could umpire, she knew the levels, she did it, she did it properly, if one of us pulled out she went and found somebody else to substitute in for us and that’s what it is. If you don’t want an umpire’s convener on Saturday the matter is before all of us and we’ve got all heavy workloads up here, it will be no Saturday comp. Because you’ve got to have somebody there doing that job, depending on that role. I know it’s tough but that’s the way it is.

[Hurstville]: So can we put it as two people making it an Umpire’s Convenor and an assistant one? Would that be possible?

Junior Competition Coordinator confirmed that it doesn’t have to be one person and said that they would have to work very closely together. It could be somebody, just doing the juniors and another person for the seniors, but stated that they must talk because if you say put me on the juniors you need to know that I’m not going to be able to do seniors. You have to have that communication. But it means you’re not doing the whole day. The seniors is great, but it’s definitely the harder one to do. We’ve got to have a decision soon.

Diane Polychrone asked if it could still come back to this umpire’s committee. If somebody doesn’t put their hand up to do it or someone from that committee could be it. Could we have a mixture of something for example including umpire your own.

[Junior VP]: We need somebody to volunteer.

Diane Polychrone stated that even if somebody from that committee didn’t want to take on the whole job, maybe there is some way it could be broken down to parts and suggested that some of the top grades umpire their own.

[Junior Competition Coordinator]: We can’t ask those committee girls at the moment should be it because they’ve put their hands up to be on a committee on not the umpire’s convenor and two girls that have put up their hand are both quite young also.

[Junior Competition Coordinator]: It is a good question, that’s probably what I was speaking to Tai about in saying that where are all our national badges a lot of them get their badges and they seem to disappear on us.

[Diane Polychrone]: Even coming back to this committee point of view, if we can’t find somebody, we get that experience on to a committee and somehow from the committee they can organise something and you come back to umpire your own for some of it maybe rather than all of it, rather than not having a competition, I know you’re trying to get someone to put their hand up.

[President]: We’ll set a deadline of Sunday week.

Junior Competition Coordinator stated that we can’t force anybody. She suggested that the council members go back to clubs and talk about it. A nomination needs to be received by Saturday, 27 February.

[St.Ursula’s]: Does that person have to be a national umpire? If we approached our clubs to this position what is the pre-requisites of the position? Do they have to be badged?

[Tai]: It needs to be somebody that understands that whole process. There is also doing the badging side of things so maybe we could get somebody to do the badging and get somebody else to do the allocations but they do need to be there on Saturday.

5.2. Night Competition Co-Ordinator An application has been received for Night Competition Co-Ordinator, Raylene Bevan. Raylene Bevan has been appointed and the committee extended their congratulations. It was stated by the committee that’s it’s a great opportunity for us because there is some revenue to be made in the night competition, so we are excited about that.

Raylene Bevan (Arncliffe Scots) was appointed Night Comp Co-Ordinator.

5.3. Returning Officer No nominations for returning officer were received.

5.4. Registrar Junior Competition Coordinator and Tawhi Tua have agreed to share the registrar role. My Netball is basically registering everyone online, late registrations etc.

5.5. Finance Committee No nominations have been received for the Finance Committee. Three places need to be filled. Places need to be filled for the Finance Committee and the Hearing Committee. The floor was opened up for nominations and expressions of interest.

[Kites]: What’s involved in that role?

[Secretary]: I was on the Finance Committee last year so we meet a couple of times a year, we discuss things like the fines, what we’ll charge people at the BBQ, those kind of things.

Patricia Hawe (Kites) and Kay Rudder (St Ursula’s) have been nominated and were appointed from the floor for the Finance Committee.

[Margaret Bensley]: I’m not nominating but I just have a question for the Finance Committee. In the past it has always been a Representative Co-Ordinator, that’s been part of that committee, has that been changed that it’s no longer required?

[Secretary]: Robyn Coppleman wasn’t on it last year, were you?

Robyn replied that she was not.

[President]: Thanks for bringing that to our attention.

[Coaching Coordinator]: I think the Vice President actually fills that role now so it’s not the Representative Co-Ordinator, I think it’s been like that for a little while so definitely the Junior Vice President is that person now.

[Coaching Coordinator]: So we still need two more nominations.

It was explained that after a hearing and you are given the outcome, if you disagree, you can submit an appeal. We need nominations for this Appeals Tribunal.

The floor was asked if anybody had any correspondence and business arising that they would like read out.

Ramsgate RSL commenced a discussion around outstanding invoices that were sent to them in December 2015.

[Ramsgate]: Ramsgate RSL requested the reading of their correspondence was questioning outstanding invoices and whether correspondence had actually been sent to them in December.

[President]: That’s correct, unfortunately with the new team that came in after receiving, I actually contacted our auditor and asked for a report and we had discovered that there were outstanding invoices that had not been sent to the clubs.

[Margaret Bensley]: Questions need to be asked

[President]: I agree.

[Margaret Bensley]: You’re a committee, we’re a committee as well, we have to also account for what we spend after our season has finished

[President]: There were other clubs but its confidential, the information is confidential and we need to consider that.

[Secretary]: I don’t think the auditor audited the accounts in compliance with the Association policy, I may be wrong.

[Margaret Bensley]: The auditor has always been given a copy of all of the accounts, spreadsheets and everything prior to the AGM. The question of whether these invoices were raised as outstanding invoices as the Treasurer had a copy of the MYOB file, he should have clearly seen that they were amounts outstanding still owed to the Assocation.

[Secretary]: He did provide us with that report, but that was only once Liz had met with him in early December.

[Margaret Bensley]: His job is to supply an audited report for the Executive and Council at the AGM, that report was tabled and accepted. If the auditor was given the MYOB file then he clearly should have been able to see that not only were Ramsgate outstanding but others were outstanding too. The questions need to be raised. Was he given the MYOB file? Is he the right person for the job? I know he’s been doing it for a long time but that’s clearly an issue that hasn’t been picked up.

[Secretary]: Maybe that’s something we need to look at.

[President]: Definitely, what I’ll do is send some correspondence and ask that question and I’ll respond to that for you.

[Margaret Bensley]: That’s something that he should have been aware of.

[Coaching Coordinator]: Just another comment on that, at our AGM we had our Treasurer sit here and we had also the auditor’s report and at that time both of those reports were different so that was at our AGM for those of you that were here, it was explained on that night the auditor had a different number to what our Treasurer had and we didn’t get an explanation on that night from our Treasurer as to why that number was different. So I understand what we’re saying but I think rather than picking up where they left off we already knew in November that there was a

discrepancy with those numbers so I guess we get the information and a box of goodies and the invoices and Ramsgate was in that collection or other clubs that had outstanding invoices, as soon as we were available to and able to give you that information we did and that was in December when Liz went in to all the bank accounts and checked.

[Margaret Bensley]: Regardless of where those invoices were, in a box or whatever, the auditor should have had access to the file and the information to be able to make his report.

[Coaching Coordinator]: I think he did because it was in his report.

[Margaret Bensley]: No it wasn’t.

It was stated that the detail wasn’t in the report and it was agreed that it is a serious issue and contact will be made to find out more about why it has happened.

The Executive Team are not in a position to comment on whether other clubs were also un-financial. There are confidentiality and privacy factors involved. There is no further money outstanding, it has all been cleared.

Recently we request that the use of the courts for grading purposes, we have been charged for the use of courts for grading and we have always conducted the short grading sessions in daylight hours and have been requested the use of lights. We have not been advised by the association that this policy has changed and if it has we respectfully request a copy of the minutes, confirming the discussion and its approval. We have attached a cheque for $5,586 which is the final payment of funds owed by our club for 2015.

We have had a discussion with the Executive Team about the uses of toilets, about the uses of chairs, control room etc, we feel that if clubs are only using the courts and not the facilities then we are ok with no charges, but if the facilities are being used then we feel that there should be some kind of charge because we need to be able to…

[President]: No, we are just putting it out there and saying as a general rule across the board this is what we need to look at doing just so we can manage the state of the toilets and what have you.

[Secretary]: We did actually arrange for the toilets to be opened on the three dates.

[Ramsgate] Did we request that?

[Secretary] A toilet key was requested and rather than give out a toilet key which we don’t have very many of as it is, and because they are actually locksmith keys, it’s very expensive to order more, we arranged between us that the toilets would be open for you on those three dates.

[Margaret Bensley]: We’ve never been invoiced, we’ve used them over the years and never been charged, we get an email saying yes, you can have the toilets, for grading and here’s your invoice. That’s just the first time in 20 years that we’ve been charged.

[Secretary]: I suppose that the thing that has changed in terms of the association is that we are now responsible for keeping the toilets clean, the license agreement that’s been signed with Rockdale Council now actually shifts that from their responsibility to ours so in terms of us either having to pay someone to do that or look after the facilities ourselves, that’s something that we are now conscious of.

[Coaching Coordinator]: Can I just comment on that, I think if you come down to the courts and you don’t want to use facilities I think that’s fine, use the courts etc, if you ask us to provide you with the key and you’d like the toilets open and all those sorts of things then, I think it’s only fair that you do contribute to those costs. I understand that you’re saying that you’ve never actually received that charge before this facilities booking form that was issued out, we are only new, we’ve got the form that says that there’s a charge involved. I think, in good faith, there was a form that said a charge and that’s why we issued it out to you especially when you asked for a toilet key.

[Ramsgate]: Well that’s what we’re saying, we’ve never been charged. We’ve used a toilet key before and never been charged.

[Coaching Coordinator]: Ok well have a look at a policy then.

[St.Ursula’s]: Can I ask how much it was, what’s the charge?

[Secretary]: Its $10 per hour per court for a weekday, and $15 for the weekend, so it’s probably minimal in comparison to what you’d pay if you went somewhere else.

[Speaker]: Sure but it’s the principle of it.

[Secretary]: That’s probably my fault, I don’t know that we did it any other way.

Outcome: Ramsgate will not be asked to pay the invoices issued for grading days. Executive to review for Policy Meeting.

7. REPORTS 7.1. Treasurer Tamlyn Holtz gave a brief summary on the Treasurer’s Report

[Secretary]: I am not the treasurer, I am the secretary, but the treasurer resigned in early December, so I’ve picked up where she left off. I’ll just give you the current balances to start with:

Lighting Grant

As you probably all know we did apply for a grant for additional lighting. When I took over the role as secretary, I had to look up the terms of that grant and find out where we were at and it was reported last year that there was a development application that was required through Rockdale Council. The terms of the grant required that the work be completed by 31 March 2016 considering we didn’t have development application, that wasn’t going to happen, so we applied for an extension to the grant conditions and in early February 2016 we received an extension to 31 July 2016. We have gone to Council and started discussion in regards to what we need to submit as part of the Development Application, including plans that have the elevation, north point, boundaries and show the existing lighting that we have, a soil contamination report, a heritage impact statement and we have to apply to the general manager for consent to proceed because the Council owns the land so technically she is the person that signs the Development Application. We are looking into expenses for all of those things so we can get the Development Application submitted. The soil contamination report quote is just under $5,000. The cost of the lighting as a whole is approximately $90,000 and $45,000 of that we would have to find ourselves. So I’m happy to talk about if we’d like to have a discussion as to how to proceed.

Discussion was then held regarding the lighting grant and funding.

The lighting currently covers up to court 8.

In summer night comp you could make $30,000 so with a couple of summers you can pay for the lights.

[St.Ursula’s]: Do we get charged by the Council to use the courts?

[Secretary]: Yes, We did sign an agreement and I think that it was around $800 that we pay per year, it’s not a large amount of money, it’s a license fee.

[Arncliffe]: Before we spend $5,000 on the soil testing are we guaranteed to get the grant anyway?

Tamlyn Holtz advised that the grant has been successful but we need to have a Development Application approved before funds will be released to us. We have to spend more money to get the Development Application approved. Then once that’s approved we can then get our 50% of the cost and then we move to starting the works which do need to be completed by 31 July. It is still a tight timeframe.

[Secretary]: I have contacted the company that quoted us previously, they said the price hasn’t increased by much but the quote they did was a couple of years old now and they have said to allow at least (it will now be while we are playing as well) so they would have to factor in our days of play. I think the intention as well was for this to be done in our off season. If it was then they wouldn’t have that issue.

[St.Ursula’s]: When it was initially applied for, was it known that you would have to put in that much money as well?

[Secretary]: Yes, in terms of the costs of lighting, the grant is only for 50% of the costs.

Robyn Coppleman thinks it goes up to 13, yes, 9, 10, 11, 12 and 13.

[Margaret Bensley]: We did it all for about $22,000 to do the three courts. To take it from 8 to 12.

[Secretary]: I think the plan actually is that a light would shine back on to 9, because they’ve got some from 8 so coming back the other way.

[Margaret Bensley]: Yes, so we got 3 courts for $22,000 so if we are doing all courts, that’s good.

[Junior Competition Coordinator]: I think we need to get those lights there for summer comp. Summer comp is your big money spinner and we can only light up to summer court 8 and we have more teams than we can place and we’re knocking back a lot of money. If we can extend that out we can increase that summer comp even further and that’s where all the money is, something like $30 - $35,000 came in just from last year’s comp. That’s the major money spinner for us, so don’t think winter comp, we’ve got to think summer comp.

[St.Ursula’s]: The $90,000 is just to do the courts 9 to 13, it’s a lot of money. Maybe we request through Council to get another extension to prove professional conduct rather than in the middle of works so I think in that sense we should be ok, but it’s whether or not we start the whole process.

[Secretary]: That’s really I suppose the issue is, we will have to outlay more money initially.

[Margaret Bensley]: Bare in mind we only have $66,000 in the bank. I’d probably like to see a plan of attack which includes going back to council say that it’s not feasible to do it through the playing season and ask for another extension.

[Secretary]: It’s not through Council, the grant is through Community Partnerships, and they are the ones saying it needs to be done on time. We asked for the extension for up to six months and they gave us to 31 July. The issue that they have now is that they have approved grants from last year, our grants from 2014 and they have to put a limit on when they give out the funds. I think it’s also a lot of money to not make use of, in terms of us receiving the grant money. As a group we need to proceed or decide that we don’t go any further.

Say we go ahead and we do it, we need $45,000 do we have that to spend? How do we survive the rest of the season?

[Secretary]: I don’t know. In terms of our $45,000, we could look into grants to make up that money, we don’t have anything in the wings though.

[Craig Noble]: We need the money in the bank, with the income coming in this year for this competition, you can’t really gauge it so, let’s look at other options from organisations, I’ve got a few in mind that we can look at and I’ve dealt with the community grants before, I might be able to look for another extension. Let’s not push it away because we do need it.

[Secretary]: Our other concern is that if we don’t actually follow through on this that we’ll never get another grant from them.

[Craig Noble]: How about we search around to try and get some more options and we take it from there.

[Margaret Bensley]: I think we need to look at the front of the auditor’s report of last year competition which ran a loss of $71,000, so I think we need to look at that as to whether that is a true reflection of what happened. Are we going to lose another $71,000?

[Secretary]: A few things have already been implemented.

[Margaret Bensley]: It just a very tight situation, we’ve only got $66,000 we’re talking about spending $45,000 and we ran a loss of $71,000.

[Diane Polychrone]: We’ve got the money there for the lights, we’ve got registrations coming in which should, if you manage your expenditure very tightly, registrations coming in should be paying for what you are going to be doing through the year or you’ll have to cut back on expenditure. How do you pay for your expenditure if you haven’t got the money coming in from the people playing so that money should come in and we should be able to find an umpire co-ordinator or everyone umpires their own. You already have the money there for the lights but you will have to watch your expenditure but you shouldn’t be paying out more than what’s coming in. We know that there was a problem with the Treasurer in regards to looking after things and the auditor etc, it has been documented and said the thing is we are paying for what’s going to happen in netball this year and we have to make it pay. We’ve got the money there now for the lights and we’ve said that night comp brings in some money.

[Secretary]: I think that the issue there is that the fees are already determined for the year so we can’t get any more money even though we may need it and this happened before we knew what was happening with the lights.

[Diane Polychrone]: But what’s your expenditure? If you haven’t got the money to pay for things then you really shouldn’t be going out.

[President]: We understand that but the other issue is the expense with the uniforms was extreme, that’s something that I’m personally working with because we need another negotiation, I’m talking about rep uniforms, an association our size shouldn’t be dealing with prices of this nature, we’re a small association and we need someone that’s going to mould to what our needs are, not a corporate need. We’ve identified quite a few loop holes that have set us back but we are determined to sit down and get a result and come up with solutions that are going to mix in with our association, I’m not worried about any other association but our own and we’re all working extremely hard to reach that point. We’re very mindful of what we are spending.

[Diane Polychrone]: My thought is thought is that you should be able to do it. With registrations coming in, what’s your expenditure out?

[Senior VP]: You get those lights up then night comp makes a fortune.

[Diane Polychrone]: I’m just saying $71,000 went out the window last year. Looking forward to registrations coming in.

[Secretary]: The major expenses that we’ve had to date is $9,874.70 for new goal posts for the grass courts and $3,281.90 for new goal post covers for the grass courts as well. The previous Secretary and Junior Vice President applied for a grant for the new posts at the end of 2015, we’re still waiting to hear the outcome of the application so we are hoping to receive 50% of the expenses back. However, the decision was made that those goal posts are required over on the grass courts, particularly with us moving the 9s back to the grass to free up the asphalt courts at 9.00am. We received a quote for the removal of the existing posts and installation of the new posts for $20,000 so we’ll be doing it in stages with the help of people from the association, husbands, dads, brothers, anyone that’s willing to come down and help, not this Sunday, the following Sunday, 28th at 8.00am. We’ll start with the 6 sets of courts which have adjustable heights between 2.4m and full height. I have a list of all of the outgoing payments that us as a Committee have approved since coming on board, so if anyone wants a look at those I’m happy to show you after the meeting.

Website

Tamlyn Holtz advised that more information has been added to the website and links have been created for umpiring and coaching. Any ideas or suggestions or things to add should be advised to Tamlyn and she will try and do this.

7.2. Coaching Co-Ordinator

Coaching Courses

Coaching Coordinator discussed the coaching courses for this year.

We’ve got foundation course details have been posted on our Facebook page and SDNA page, development course, intermediate and advance and elite course details have been posted on Netball NSW page, the calendar links have been uploaded to SDNA and Facebook page. Information on these are located on the Coaching tab on our SDNA page. So please do have a look, you’ve got your young coaches coming through. You want to encourage them to do the foundation course and the coaches that have been coaching for a while might want to progress to development or intermediate. The development and intermediate course costs are $130 and our advanced course is $350. There is a link under coaching on the SDNA website that will take you to the month by month courses. They are going to be run at Netball Central because we are not going to be able to run one at St George, and I think it’s been attempted in the past and we’ve never got the numbers to run a development or intermediate. If you want to go to a different association than Netball Central then you can do that as well.

Representative Coaches Meeting

Robyn Coppleman and Coaching Coordinator conducted a Representative Coaches Meeting on 9 December. At this meeting there were discussions on expectations, accreditations, player welfare and the selection process.

Senior Representative Coaches Meeting

A Senior Representative Coaches meeting was held with the Metro League coaches on 30 January. Barbara Hay and Coaching Coordinator are in the early stages of developing a mentoring program with our Metro League players and junior rep players. They will be working together assisting our Net Set Go teams starting with the Dragonettes as well as having presence in the association, helping out in the canteen, umpire mentoring, coming to rep carnivals and assisting with clinics for the association. We are hoping that this will form a better awareness of who these players are, discussions on metro league and how this new competition works and also metro league’s selections and how we can do this better moving forward. For me as a junior rep coach I didn’t really know much about the senior side of things

and I think there is a bit of grey area there and a link that’s missing for us if we want to know who they are and have it on young ones trying to aspire to be those players.

12s Development Team

There was a question mark as to whether or not we could have one, there were a lot of girls that trialled out for that, more than 40. A 12s team was selected and those girls that weren’t selected we weren’t going to be able to do anything about. However, today I contacted Michelle Harris from Rockdale Netball and I asked her if she would take on the role of Development Coach. She’s very excited, and so are we because we’ve never had someone of that calibre, who is very passionate and will commit to the role.

Grants

Coaching Coordinator applied for a Net Air grant on 19 November. This is a coaching and umpiring development course, run through Netball NSW. There are coaching workshops which they’ll cover, space awareness, timing reading the ball, footwork skills, lots of different Netball things, and I hope that we will get it because I think that we should. We are not out there within the Netball NSW community, we don’t really get involved in that sort of stuff, not that I see, so I think this will bring us and Netball NSW together, it’ll be good for our coaches and umpires.

Coaching Coordinator also applied for a local sporting grant, through the NSW Sport and Recreations, under sport club development. The project notices coaches and champions and I applied on 11 February and this is for volunteer coaches, officials and other administrators, requiring education and accreditation. It could cover our development of intermediate courses. It would be good to get at least 10 of our coaches through that program.

Net Set Go

Once registrations are complete for Net Set Go Coaching Coordinator would like to organise an information night at the club, failing that, information will be distributed about the program. Information is already on our SDNA page if there are any questions, ask Ana or Tamlyn.

St.Ursula’s: I have a question about Net Set Go. I know we are calling it Net Set Go but we’ve gone back to… because we’re playing the 4 ten minute game.

[Coaching Coordinator]: That’s in tier 1 or tier 2. So there’s actually a 5 and 6 year old age group.

Coaching Resources and Information

Coaching link is on the website and Ana does want to put a lot more information on there, but the basis of our foundation and development and accreditation courses are already there and they are most important. [St.Ursula’s]: I just wanted to say that in regards to the website and the Facebook page that I think it’s fantastic at the moment just the stuff that has been going on there, like the coaching and umpiring, all that sort of stuff has been really, really good and it’s nice to see people proactively doing that so thank you very much for that, it’s great.

Representative Team Report

Development 12s, 13s, 14s and 15s all in pre-season training, doing their fitness for some time, all working on their defences, mid-court, prevention of injuries, knee, ankles, that’s all inclusive in their training and they are all volunteer coaches, not getting paid to do this but they are and they are doing it for the passion they have for the sport and we really need to encourage our coaches and try and push them through the accreditation so that we can retain them.

Bill Bird

Bill is a coach for the under 15s and unfortunately he suffered a heart attack three or four weeks ago so I don’t know if people were aware or not but we did reach out and he’s doing well and in recovery. He’s been in hospital for over a month now and are expecting to be there till he is well enough to go home, so that was some sad news and he’s put a lot of time and effort into Netball, everyone knows him as Mr Happy, so I just thought I’d share that we’d organised a bottle of champagne and chocolates for when he gets better.

7.3. Senior Competition Co-Ordinator [Senior Competition Coordinator]: Our games will be 15 minute halves depending on how many teams are in each grade depends on how many games you will play on that day. Whether that interferes with our junior grading day, we’re just going to go, first half will be one game for a senior grade and the second half will be the second game. Depending on numbers, a team may end up playing one full game and then a half game. We don’t have any grades that have 8 teams, the most we have is 6 or 7, so you’re either going to play 3 or 4, so that’s two games, depending on how many teams we have for grades. We may start at 12.00pm, just fit them into the 1.30pm and 3.00pm time slots, but we just won’t know until we have the confirmed teams at the end of the week.

[St.Ursula’s]: You are going to have some sort of provisional grading, and then they’ll play that and then two weeks later the proper grading will start?

[Co-Ordinator]: Yes.

7.4. Junior Competition Co-Ordinator

Registrations

[Junior Competition Coordinator]: A reminder that online registrations close this Friday night at midnight and for all your teams to be confirmed. When you allocate players into the teams there is a section there that says managers/coaches do not put anything in there because it appears on the scoresheet. As we don’t have a registrar at the moment I am learning to do that job as well so I apologise if anything gets mucked up but I’m learning there.

Most of you have checked but we are going back to composite grades of 11/12s, 13/14s and 15/16s and remember you are only allowed to play with one player down into the age group below, so you can play a 15 year old girl in the 13/14 grade but it can only be one player.

Be realistic about what grades you want your teams to go into because we do print out the player history from the last two years and all these teams that want to go into D grade and they’ve won B grade, it’s not going to happen.

Requests for time slots

Junior Competition Coordinator advised the requests for time slots need to be in to her because we don’t have an umpire’s convener and need to be submitted by 28 February. If you have any special time slots we will endeavour to set aside a request but with all the rep teams etc playing it’s not going to be easy to do the fixtures.

Grading Dates

[Junior Competition Coordinator]: Grading on 27th, they are on the calendar, provisional will be released by Tamlyn on 29th February. Appeals close to the respective conveners by 4 March and the fixtures come out on 11 March. We are working on a really tight time frame ourselves.

Photo ID

Discussion was held regarding photo ID for the 2016 season.

[Junior Competition Coordinator]: We are going to wallet sized photo ID, here is a version of what they will look like, and we’re going to put your team name in it. They will be laminate them, each player will have one. You will be looking after your own cards this year, we will not have any photo albums in the control room. We will keep a copy on a sheet so you can come to us if you lose do forget them there will be a copy here. Photos are to be a head shot, no side on, no Facebook photos, whatever file number you have on your photo file you have to write that number on the spreadsheet, the two have got to match. I know it’s a lot of work but if you think about the photo cards when we first started, they were a lot of work too.

[St.Ursula’s]: Can we put the grading on the ID?

[Junior Competition Coordinator]: That’s going to delay in getting it out, we’d have to wait until after final grading is done. If grading appeals close 4 March and we have to meet for appeals we are pushing it very close as we have to get a first batch done before Justin goes away. It’s like everything this year, let’s see how it goes and then evaluate it.

[St.Ursula’s]: Can I ask you Justin, about the spreadsheet, it’s got all that information on it with the same code and then I’ve got the photo in the jpeg file, do I put that on a USB? Do I give that to you?

[Justin Bevan]: Just put them all in a folder and zip the folder and send it to me, using any file sharing software. The photos need to be about 500kb would be ideal, 300dpi if anyone knows about that.

[St.Ursula’s]: With the old playing cards, when they played up you wrote on the back, are you going to do that anymore?

[Junior Competition Coordinator]: I never write on the back, it was hardly ever used. It comes back to the coach. They check and if a player has played up two games you’ll get a notification from me that day. I will do that. Unfortunately, Netball NSW say this is one of their things they’re not really worried about, photo IDs, this is at the bottom of their list of things to do at the moment so, hopefully we’ll be able to get it off MyNetball next year or the one after.

[Senior VP]: Any questions, anyone either email me or give me a call.

[Ramsgate]: Just so you know we have no hope of getting you these photos by Friday.

[Secretary]: That’s ok, we’ll do another run so if you can just send it through, if they are late Justin will be printing them.

[St.Ursula’s]: so next year we’ll be doing the same thing again?

[Junior Competition Coordinator]: Once you’ve those photos there, you don’t need to get another one for a few years, if you keep the same photo you should be able to re-use the spreadsheet. Just take the names off for the people not coming back and add the new ones, you can adjust that. It will become easier the following year. A lot of associations like football and cricket all use that system. The number of times teams come in and tell me that I’ve taken their photo albums that they’re not there etc or players come looking for their albums, if we use the wallets sized ID then it’s their responsibility. The coach may look after it.

9s Back to Grass

Discussion was held regarding the 9s going back to the grass courts for the 2016 season.

[Junior Competition Coordinator]: 9s are going back to grass courts this year mainly to reduce their young bodies, freeing up the hard courts etc, we desperately needed new goal posts over the other side, they were either rusted all the way through and have broken or they were sitting at angles etc, they were about 20 years old. Please understand that we did have to do it. We had 3 Net Set Go grades last year and it could be growing even further this year, we’ve got to have those courts and it’s good to have them. We’ve got new colours for those and a new set, so we now have covers for everybody.

[St.Ursula’s]: If the 9s play on the grass we will be at two different time slots then?

We shouldn’t have to, there is 15 courts so it should be alright but we’ll have to see what we get, the Net Set Go Red Dragons, they should be on the big posts, the blacks and the whites should be on the little posts because they’re our babies. Then we just need enough for the 9s, depending on how many 9s. We don’t know until we look at it.

City of Sydney

City of Sydney have been welcomed to St George, they have agreed to join our competition this year and will be supplying their rep teams from 11s through to 17s to play on Saturday. They won’t be part of the finals series system and they will play up above their age group.

7.5. Senior Representative Co-Ordinator Barbara Hay gave the Senior Representative Co-Ordinator report.

[Barbara Hay]: It’s been pretty busy with the seniors I think the last trials were on the 8th of November after that was the selection process. Working with the selectors and sending out letters of offer. That took quite some time. We worked from team 1 down to team 4. Then we had Netball NSW called for expressions of interest and basically told our selectors who spoke with Netball NSW and in the rules it all said that every association would have up to 4 teams with the possibility of a 5th. When on the 18th of December they were closing the office, they sent out a provisional grading where all associations lost their 4th team and apparently from what I’ve heard, Randwick actually lost their 3rd team so there may have been more that lost their 3rd team as well. So that was very disappointing and then not long after that happened the coaches that we had for those teams decided to withdraw and after that we had to source coaches. Moira from Sparks and ex-Waratah Cup coach, Drew, our Metro League coach number 1 tried everything. I sourced every person that I could think of but we couldn’t come up with a coach so in the end, even though NSW had said that no one had their 4th team there was still a possibility to actually submit that team. Some of the ones that put in an expression of interest may not end up submitting a team because they were outsiders like Kiama and places like that so we were thinking if we could manage to get a coach we could submit a team and hopefully they may have got a place in there but we that wasn’t guaranteed.

We have also been working on getting the umpires sourced for Metro League and Tamlyn, I have just about got that list ready for you to submit those umpires. We are

well and truly covered for what we need. We need to submit 3 umpires and I think we have 7 umpires that we are submitting, we usually do cover quite a few.

There has also been a lot of time spent on uniform fittings and everything to get our Metro League teams ready for the season.

Division 1 & 2 have been training for a couple of weeks and the 3rd team starts on the 26th. They start on the first week of April and we will have Premier League on Wednesday night, Division 1 & 2 on Thursday night, Division 3 & 4 on Monday and Division 5 & 6 on Tuesday night.

NID

Our NID teams that played in the NID comp ending last December we had our Division 1 team came in first, they were winners and our Division 7 & 8 teams both came in runners up. A pretty successful comp and with 4 teams we did pretty well and the other team came in 4th or 5th they had a successful team. There was an issue with outstanding NID fees but we now have all bar one and only because they were away. When she comes back from overseas she has guaranteed that she will pay that.

7.6. Junior Representative Co-Ordinator

State Age

Robyn Coppleman gave the Junior Representative report and there was some discussion around State Age.

[Robyn Coppleman]: We have been getting everything organised for the Junior Reps, mainly for State Age. The accommodation is all booked, we will be staying at the Mecure in Liverpool. The coaches are all booked and we will be leaving the courts on Friday 1st July at 2pm. The dinners are all organised, menus are done. The cost per player for accommodation, breakfast and dinner over the 3 days will be approximately $300. The hotel have given us quite a good discount off the rooms so it was a bit more expensive last year plus add $20 for the cost of their laundry as well so it will be approximately $320.

The 12s all had to buy uniforms this year so they have had to pay out for that as well.

[Ramsgate]: A question was asked about the accommodation for State Age, is that going to include umpires?

Robyn Coppleman advised that it doesn’t.

[Ramsgate]: Can I ask why that is?

It was advised that this is only when State Age is within the State, not in Sydney as there is no need for it.

Carnivals

Carnivals are all booked and paid for. All teams are going to approximately 5 carnivals. They were all organised in November last year so we will be in Championship division for all of those carnivals.

11s Development Team

Final selection will be on Tuesday 23rd February and there was a squad of 26 selected and we are cutting that down to two teams of 10.

8. GENERAL BUSINESS

Fines

Justin Bevan advised that the fines for 2016 are the same as 2015 except for the introduction of forfeiting a game in the final series, which will be $100 and also fines for Net Set Go for forfeits after 6pm on a Friday.

Junior Competition Coordinator advised why these fines were being introduced.

[Junior Competition Coordinator]: The reason for the introduction of the Net Set Go fine is because the most forfeits I receive in juniors are for Net Set Go and it’s on the day and that isn’t fair to the other team who have turned up. It is only fair that they receive the same fine as the rest of the juniors.

The same for the forfeiting a game in the final series, a team forfeited a game in the grand final two years ago and the fine was only $20 or $40 back then so if we make it a bit steeper then teams will think twice, not that this happens often, before forfeiting a semi final or grand final is $100 fine.

The new fines were voted on and it were unanimously approved.

Umpiring

Tairua Ben Vavia discussed the opportunity for clubs to be involved in a rules discussion night to cover the new rules.

[Tairua Ben-Vavia]: Marlise Edmondston and I are offering a rules discussion night to all clubs leading up to day 1 on a Wednesday, Thursday or Friday night. This will help with the transition to the new rules for clubs. We would prefer not to have everyone bombard us, as in players, coaches and umpires. Basically club executives, coaches and umpires and then we can have a discussion about the rules that they need to question and we will go over the videos from Netball Australia. We can discuss those new rules. Contact Junior Competition Coordinator and let her know what dates you are interested in then we can come up to the clubs.

Diane Polychrone suggested that we could set up a night at Arncliffe Scots Club and use one of their function rooms that will hold more people. Arncliffe Scots will let other clubs know this will be held.

Junior Competition Coordinator would like clubs to advise her of their preferred date by Monday 22 February so that she can put the list together.

BBQ Roster

The 2016 BBQ roster is up for all clubs. A copy was on the table for people to view and take note of dates.
