Introduction

The Sixth Session of the Africa Regional Forum on Sustainable Development (ARFSD), will be held

at the Elephant Hills Resort in Victoria Falls, Zimbabwe from 24–27 February 2020. Please

find below general information on meeting arrangements that may be helpful in planning your

travel to Victoria Falls and for your participation at the Forum.

To keep costs down and in the interest of safeguarding our environment, this document will only

be availed in electronic format. Additional information regarding the 2020 ARFSD can be found

on the ECA web page for the Forum (www.uneca.org/arfsd2020).

Forum overview

The theme of the 6th ARFSD is “2020-2030: A Decade to Deliver a Transformed and Prosperous

Africa through the 2030 Agenda and Agenda 2063”

Pre-events and the United Nations Regional Collaborative Platform will take place on 24 February

2020, while the Forum will commence on 25 February 2020 with a high-level panel discussion

and end on 27 February 2020. Side events will be organized in tandem with the Forum on 25 and

26 February 2020 at the same venue.

Conference venue and hotel accommodation

Some of the Forum participants will be accommodated at the venue (Elephant hills hotel and

resort), which is situated on a small hill overlooking the Zambezi River, 4km upstream from the

Victoria Falls. The resort is equipped with advanced conferencing amenities suitable for large

conferences, which will be supplemented by conference tents due to the large number of

participants expected.

All participants are kindly requested to contact designated hotels (listed in Appendix II) directly

to arrange, confirm and guarantee their bookings. Participants will be responsible for bearing all

the costs associated with their accommodation. Special United Nations rates are available to

participants for rooms booked at the hotels. Additional accommodation options available in the

area are provided in Appendix III, but note that there are no negotiated rates for accommodation

in these options and neither will transport be provided from these premises.

All participants are kindly requested to note that the Forum organizers will not be in a position

to provide hotel accommodation to those who fail to arrange their hotel accommodation directly

with the recommended hotels.

Visa and immigration requirements

All participants must have a passport that is valid for at least three months and should check the

visa requirements to enter Zimbabwe.

All participants attending the meeting can obtain business visas on arrival in Harare or Victoria

Falls Airports, where they will be required to produce and present their invitation letter to the

immigration authorities. Thus, kindly ensure you print and bring with you the invitation letter.

Visas and entry permits, where required, shall be granted free of charge, as speedily as possible

and no later than two weeks before the date of the opening of the Forum, provided that

applications for visas are made at least three weeks before the opening of the Forum; if an

application is made later, the visa shall be granted no later than three days from the receipt of the

application. Arrangements shall also be made to ensure that visas for the duration of the Forum

are delivered at the port of entry to participants who were unable to obtain them before their

arrival. Exit permits, where required, shall be granted free of charge, as speedily as possible, and

in any case no later than three days before the closing of the Forum.

Participants requiring an entry visa must ensure that they apply for their visa no later than three

weeks before the opening of the session.

The application of an entry visa to the Republic of Zimbabwe is the responsibility of each

participant. Zimbabwe has three (3) Visa categories, namely A, B and C. Category A participants

do not need visas to enter Zimbabwe, while Category B nationals can obtain a visa on arrival upon

paying visa fees. Category C nationals are required to obtain a visa prior to travel using an online

application form. Countries in the three categories are provided in Appendix I.

The online visa application for entry into Zimbabwe can be made via the e-visa website at

www.evisa.gov.zw. Note that on average, it takes 2-3 days to obtain an online visa.

Airport reception and transportation

The host government will provide a meet and greet service at Victoria Falls airport where the

Forum banner will be visible.

The host government will also provide airport transfers in Victoria Falls for all participants, and

daily transport to and from designated hotels to the event venue. Kindly note that participants

who will not stay at the venue or designated hotels (provided in Appendix II) will be responsible

for their own daily transportation to and from the venue.

Accreditation

Government delegations are kindly requested to submit to the Economic Commission for Africa

their letters of nomination, duly signed by the appropriate authorities of their respective

Governments, at their earliest convenience but no later than 31 January 2020. The letter, which

must indicate the names, titles and contact details of the representative nominated to attend the

meeting, can be sent via an online form accessible using the link provided in the invitation letters.

Registration and identification badges

Online registration

All participants are encouraged to use the online registration form provided in the invitation

letters well in advance but no later than Wednesday, 05 February 2020 to accelerate the

accreditation process and the coordination of the visa processing and issuance of badges. This

online system facilitates the encoding of required information from participants and the logistical

preparations. All registered participants will be issued with a confirmation letter that can also be

used to facilitate visa processing requirements.

Badges

Access to the meeting venue is subject to the presentation of a valid Forum badge. The host

government will be issuing the Forum badges to participants on arrival at the airport (both

Harare and Victoria Falls). Participants must therefore upload their passport size photo using the

online registration form.

For security reasons, the display of Forum badges is mandatory at all times to gain access to the

Forum venue and meeting rooms. Any loss of a Forum badge should be reported immediately to

the registration counter.

Forum languages

The working languages of the Forum are English and French.

Language

The official languages of Zimbabwe are English, Shona, and Ndebele.

Currency

Zimbabwean operates a multi-currency system. United States Dollars (USD), South African Rand

(ZAR), British Pound Sterling, Euro and Botswana Pula are legal tender, although most

transactions are in US Dollars. Credit and debit cards such as American Express, Diners Club,

MasterCard and Visa are accepted in Zimbabwe. ATMs are widely available.

Participants are advised to bring an adequate supply of hard currency or travellers-cheques.

Bank working Hours:

8.00am- 4.00pm Monday to Friday.

8.00am – 12,00noon Saturday.

Closed Sundays and public holidays

Electricity supply and voltage

Electricity supply in Zimbabwe is 220-240 volts, 50 cycles AC accessible via 13-amp, three square

pin (United Kingdom) socket. An image of this socket type is included below.

Mobile phone service

Econet, Telecel and Netone are the main mobile Telecommunication Companies in Zimbabwe

which offer SIM cards with pre-charged airtime. The cost of a 3G SIM card is 2 USD. Participants

will require their passport when purchasing a SIM card from authorized stores.

Immigration requirements

To comply with the import customs regulations of the Government of Zimbabwe, conference

participants should declare laptops and conference equipment they may carry with them when

entering the country.

Health care

The medical facilities within the Forum premises will be free but only adequate first aid will be

provided. Below is the list of a few clinics in Victoria Falls:

All participants are requested to ensure that their vaccines are up-to-date at least four to six

weeks prior to their travel to Zimbabwe.

Procedures for media accreditation

All media will require accreditation by the Host Government and the Forum secretariat.

Note for media attending the Forum from outside of Zimbabwe

All invited sponsored and self-sponsored media representatives travelling to Zimbabwe will be

requested to register online at http://www.uneca.org/arfsd2020. Once your registration is

approved by the organizing team, an official invitation letter will be sent to each individual to

facilitate the visa process. Media residing in countries without a Zimbabwe Embassy or High

Commission will be advised on attendance modalities once registration is approved.

Invited media will be required to submit to [email protected], a letter of assignment, one

form of valid identification (for example, press card, work identification, driver’s licence or

passport) as proof of media affiliation. These items should also be presented on arrival at the

registration desk in Victoria Falls.

A media centre will be set up at the Forum venue to facilitate media coverage of the Forum. More

information on this will be communicated directly to registered media.

Media equipment: Media travelling to attend the Forum from outside Zimbabwe will be required

to fill out an equipment form to facilitate customs clearance. The form will be sent to invited

media together with the official invitation letter.

Onsite registration: Zimbabwe-based media can apply for onsite registration. You will need to

present your letter of assignment and passport at the designated media desk, which will be

located at the site of accreditation, starting 24 February 2019. Please contact

[email protected] closer to the time for more information on the exact venue.

Facilities and services

Internet

During the 6th AFRSD, ECA will pilot a paper-smart event organization model which will promote

the use of electronic media and minimize the need for printed materials. The Forum will therefore

be served by high density wireless connectivity (at least 1200 concurrent devices) with dedicated

Internet access.

Security advisory

The Government of Zimbabwe will provide 24-hour security for all the VIPs. All hotels and

conference venues will be manned by the police. Like any other tourist resort town around the

world, visitors are discouraged from venturing into unlit areas. Please read the security

information provided by your hotel for your personal safety. Note also that Victoria Falls is a

resort town located in a National Park with wildlife.

While you are at the conference center, please ensure that you:

Wear your conference badge visibly and show it to any authorized person who asks to see it.

Do not leave bags and parcels unattended, as they may be confiscated or destroyed.

Do not bring unauthorized persons and children into the Conference Centre.

Look after your valuable property.

Check that you have all your documents and personal items before you leave conference halls and meeting rooms.

Inform the Security and Safety Service or the nearest Security Officer if you lose anything

valuable.

When you are in your hotel, please follow the safety advice below.

Upon entering or leaving your room, make it a habit to lock the door.

Before leaving, inspect your room to make sure that no money, jewellery, cameras or

other valuables are visible.

Deposit valuables or portable items at the reception desk and obtain a receipt or leave

your valuables in the safe in your hotel room before going out.

Should you observe anything suspicious or out of the ordinary, please contact the Security

and Safety Service.

General Information on Victoria Falls

Victoria Falls is a town in the province of Matabeleland North, Zimbabwe. It lies on the southern

bank of the Zambezi River at the western end of the Victoria Falls themselves. It is connected by

road and railway to Hwange (109 km away) and Bulawayo (440 km away), both to the south-east.

According to the 2012 Population Census, the town had a population of 33,060. Victoria Falls

Airport is located 18 km south of the town and has international services to numerous cities in

the region.

Victoria Falls town is a short distance from Mosi-oa-Tunya - 'The Smoke Which Thunders', known

worldwide as Victoria Falls on the Zambezi River. The river forms the border between Zambia

and Zimbabwe, thus the falls are shared by the two countries

Climate

Zimbabwe has a tropical climate with many local variations. The southern areas are known for

their heat and aridity, parts of the central plateau receive frost in winter, the Zambezi valley is

also known for its extreme heat and the Eastern Highlands usually experience cool temperatures

and the highest rainfall in the country. The country's rainy season generally runs from late

October to March and the hot climate is moderated by increasing altitude.
