Navigating the Search ListClick on All Matters to list all matters.

Search My Matters List

1. Click on Search/Open.

2. Click on My Matters input a key search word in the Search Box provided i.e. part of the client name or matter description.

3. Click Go the results will appear. See the following example of a search for “Securities”.

4. Double click the required matter to open the full case diary for this matter.

Search Recent Matters

This is an easy way to find a matter you have recently worked on.

1. Click on Search/Open.

2. Click on Recent Matters.

3. Input a key search word in the Search Box provided for example part of the client name or matter description.

4. Click Go the results will appear. See the following is an example of a search for “Ireland”.

5. Double click the required matter to open the case diary for this matter.

Search My Contacts

1. Click on Search/Open.

2. Click on My Contacts a list of your clients will appear as you select a client the cases for that client are listed in the screen below.

3. To search the list input a key search word in the Search Box provided. For example part of the client name or address.

4. Click Go the results will appear in the list below. See the example above of a search for “Bank”.

5. To view further client details, double click the client required.

6. Otherwise select the client required. A list of cases will appear in the screen below. (Circled in Red Above)

7. To open the case diary double click the case required.

The Advanced Search

Note the advanced search can search for both open and closed matters.

1. Click on Search/Open Cases.

2. Click on Advanced Search. The following window will appear.

Search OptionsSimple Search

1. Input the key search words in the search box provided. (circled in red above)

2. Click Go.

3. The results will be returned in the matter list below.

4. Double click or click on the Select button to open the case diary.

5. To restart click Reset.

“OR” Search

This will refine the search to search for keywords in the specified columns only. E.g. A search for the client name or Matter Description.

1. Remove the ticks from the columns you do not want to search. (Circled in Red)

2. Input the key search words in the search box provided.

3. Click on Go. The results will be returned in the matter list below.

Sample Search: Search For: Green In fields: Client Name OR in Matter description

4. Double click or click on the Select button to open the case diary.

“And” Search

This will refine the search to search a combination of keywords in the specified columns. E.g. A search in the client name and matter description.

1. Input the key search words in any of the search boxes provided.

2. Click Go.

3. The results will be returned in the matter list below. See the following example:

Sample Search “And” Search for: “Abbot” in the client nameand Search for “Purchase” in the matter description Both criteria must be satisfied in this “And” search.

4. Double click or click on the Select button to open the case diary.

Searching using a Wildcard

A wildcard is useful when you are unsure of how exactly a word may have been entered. The % sign is used as a wildcard in Keyhouse systems. Note also the system will use the % for an apostrophe e.g. O’Connor will change to O%Connor.

1. Input the first part of the client’s address, then a % then the remaining part in the search box provided. E.g. Hatch%Dublin

2. Click Go.

3. The system will return any client addresses beginning with Hatch ending with Dublin. E.g. Hatch Street or Hatch Street Lower.

How to Filter Search Results by Fee earner or Department or Work Type

1. Perform the search as normal.

2. Then using the filter drop down arrows select a Fee Earner, Department or Work type from the drop down lists provided.

(Circled in red)

How to Search for Closed Cases

1. To search closed cases perform the search as outlined in the previous section.

2. Then click on the Closed Cases tab.

3. A list of closed cases matching the search criteria will be displayed. See the example above.

4. Double click on the case to view the closed matter details. See the following example

5. Click Archived Diary to see the diary for this case.

To view the document click on the action/task. Then double click on the document in the screen below. (Circled in red)

A document will open in Word for you to preview.

6. Click on Archived Ledger to view the ledger card for this case.

To print click on Print tool located in the bottom left hand corner of the screen.

Document SearchThe document search utility facilitates the searching of text in a document. It allows you to search through all documents on the system. A list of documents containing the search text is returned and each document can be previewed in the preview pane.

How to open the Document Search

1. Click on Search/Open.

2. Click on Document Search

3. A new Document Search screen will appear.

Document Search Toolbar

In the Search for field, enter the word(s) you want to search for.

Tick this Search Name only option to search the document name only.

Choose this Search button to begin your search.

Click the Clear button to erase your search entry.

Click Advanced for more advanced search settings.

The History button will open a new Search History window listing the 10 last searches.

Show Preview displays the preview pane for a document.

Hide Preview will remove the preview pane.

Searching for a Document and Viewing the Results

1. Input the keyword you want to search for, e.g. agreement.

2. Then click on Search.

3. Search results will be displayed.

The Document column displays information about the document, such as the document name and file location

If the document belongs to a Case, the Client Name, Case Reference and matter description will be displayed.

4. The Preview Pane displays a preview of the document the keywords are highlighted in red between blue arrows. Click the blue arrows to move to the next keyword within the document.

5. Right Click on a document to view a list of options.

Open Document This will open the document.

Open Case This will open the case diary.

Add document to case This will add the document to the current case.

Add original precedent This will add the original precedent to the current case.

NOTE: If a file is not attached to a Case you will not have the options to Open Case or Add original precedent.

6. To sort the results according to file type, click on the required file type tab. For example, to view Email results only, click on the E-Mails tab.

Amending Search Settings

1. Click on Advanced the following dialogue box will appear.

2. Input/Amend the following details as required.

Click on the required Operator use these to include/exclude words in your Search, e.g.

Keyhouse AND training Keyhouse AND NOT training Keyhouse OR training

Note you can simply type these words into the Search For field if preferred.

3. To specify a time period a document may have been modified in.

a. Click on the drop down arrow a list of time periods will appear.

b. Click on the required time period. E.g. If the document was modified in the last 2 months, select option 3 i.e. ‘.in the last 2 months’

4. To specify the Document Name, Track reference etc.

a. Input in the key search words in the Document Name, Track Ref, Title or Author input boxes and click on Add to Search.

5. To amend the Default Settings click on the following screen will appear.

a. To include or exclude folders tag the required folders.

b. To use any of the search features tick the required Search Feature.

Note: Hold your mouse over the option to get a description of what each is.

c. To save the changes click OK.
