Best Practices (Finance) A term used to identify a set of standard practices or procedures that have

proved to be highly effective in similar situations.

Business Area (Finance) An organizational unit or entity that requires audited financial statements for

external use. Examples: Northern Kentucky University, Northern Kentucky University Foundation, Inc.

Business Blueprint (Finance) The second phase of the ASAP Roadmap. It focuses on documenting the

business process requirements of the institution and combining them with the SAP functionality in order to prepare a Business Blueprint document. In short, Business Blueprint translates As Is to To Be .

Business Process (Finance) A group or series of activities by which inputs are turned to outputs that

provide a benefit.

Business Process Procedure (BPP) (Finance) A detailed, step-by-step description of an SAP transaction. It should indicate

all significant options and may include screen images and icons.

Business Warehouse (BW) (Finance) Business Information Warehouse. BW is a reporting database in SAP that

enables business users to generate queries and reports.

C Chart of Accounts

(Finance) A classification scheme for general ledger accounts. A chart of accounts provides a framework for the recording of values to ensure an orderly rendering of accounting data. SAP examples: 200001 - Accounts Payable, 462430 - Recycling Proceeds, 550005 - Supplies - Office

City (Finance) The specified city for the mailing address.

CO (Finance) The Controlling Application/Module within the SAP.

Commitment Item (Finance) Commitment Items represent budget classifications of revenues and

expenditures in the Funds Management (FM) Module. Commitment items are linked to the G/L account in FI and cost elements in CO and sponsored classes in the Grants Management (GM) Module. With this link, transactions posted to the G/L account or revenue or cost elements are automatically posted to FM. Commitment items can also be arranged in a multi-level hierarchy where the top nodes are defined for reporting and/or controlling levels. SAP Examples: 460020 - Late Registration Fee, 550000 - Operating Pool, 550005 - Supplies Office

Company Code (Finance) The highest organizational unit of financial accounting for which a complete

self-contained set of accounts can be drawn up for purposes of external reporting. All NKU entities will fall under one company code (NK01).

Configuration (Finance) The way a computer or network is set up, including both hardware and

software. Also refers to the process of customizing built-in SAP features, options, tables, edit rules, screen layouts and messages to meet the requirements of NKU.

Controlling Area (Finance) An organizational unit within a company, used to represent a closed system

for cost accounting purposes. All NKU entities will fall under one controlling area (NK01).

Conversion (Finance) The process of converting (transferring and reformatting) data from one

system to another. During data conversion, the data fields are "mapped" from the old system to the new system.

Cost center (Finance) An organizational unit within a controlling area that represents a clearly

delimited location where revenue and costs occur. Organizational divisions can be based on functional requirements, allocation criteria, physical location and/or responsibility for costs. SAP examples: Academic Advising Resource Center - 243010001, Baseball - 273040010

Cost Center Group (Finance) A hierarchical group of cost centers defined and organized according to

selected criteria. (also see Funds Center Group). It can be any group of cost centers used for reporting aggregated data. Example: Women's Sports, Chase College of Law, Chemistry

Cost Element (Finance) A cost element classifies the organization's expenses within a cost object

(Examples: cost center or internal order). A cost element corresponds to a commitment item in FM and the G/L account in FI. SAP Examples - State Appropriation General - 470010, Travel in State - 550905

Cost Object (Finance) A generic term referring to both cost centers and internal orders.

Country (Finance) The specified country for the mailing address.

Currency/rate (Finance) Monetary unit; The currency of the entity processing transactions.

D Data Repository

(Finance) A computer storage area or system for storing high volumes of data, documents, diagrams, etc., and retrieving them on demand.

(Finance) The output resulting from the completion of a major activity. PRISM will produce a number of deliverables including a Business Blueprint and, of course, the final configured SAP system.

Delivery Date (Finance) The requested or desired delivery date on the purchase document.

Des.Vendor (Finance) Vendor of choice.

Description (Finance) Text to identify and characterize an object or activity.

Distribution (Finance) Distribution indicator for multiple account assignment. Indicates how the

quantity and value of this purchase order item are apportioned among the individual account assignment items.

Doc.text (Finance) Short text further identifying the document.

Document number (Finance) The unique identification value assigned to a business event as it is

processed in SAP; the system automatically creates and assigns document numbers as each document is posted. Manual assigning of document numbers is not possible.

Document type (Finance) Key that identifies to which group of documents this document will be

assigned; Documents of the same type contain common information which is relevant to posting and updating of the value fields in the database.

E Earmarked funds

(Finance) Funds that are used to reserve portions of a budget for expected outgoings or incomings.

End users (Finance) Those individuals who use SAP to carry out their duties and responsibilities.

Enhancement (Finance) In SAP-speak, an enhancement refers to a custom program that is written to

enhance the functionality of the SAP system.

Enterprise (Finance) Typically a large business organization, but in this context referring to the

entire group of staff, faculty, and students that will use the new systems.

(Finance) E nterprise R esource P lanning. ERP refers to a category of software packages that are designed to integrate functions across an organization onto a single computer system.

(Finance) The Financial Accounting application in SAP.

Final Preparation (Finance) The fourth phase of the ASAP Roadmap; involves getting the system and the

institution ready for going live. All activities from previous phases are consolidated. End-user training is conducted and assessed. Final preparation includes final system testing and the preparation necessary for the increased number of users that will be accessing the system.

Fiscal Year (Finance) The 12 month period beginning July 1 and running through June 30 of the

following year for which the University (and the Commonwealth of Kentucky) administers budgets and measures financial results. For example, Fiscal Year 2005(FY2005 or FY05) began July 1, 2004 and ended June 30, 2005.

FM (Finance) The Funds Management application in SAP. This is the component of Public

Sector Management (PSM) developed to account for the budgeting of all relevant revenues and expenditures for individual areas of responsibility and the control of future funds movement according to a distributed budget.

FM Area (Finance) An organizational unit which plans, controls and monitors funds and

commitment budgets. All NKU entities will fall under one FM Area (NK01).

Functional Area (Finance) A master data element that is maintained within the Funds Management

(FM) Module. It is used in FI to classify revenues and expenditures of an organization by function. Functional area is often referred to as mission. The functional area will be derived from the cost center or internal order. Examples: Instruction, Academic Support and Research

Fund (Finance) A separate and distinct fiscal/accounting object containing a self-balancing

set of accounts used to budget and control costs and to identify source and use of funding. Financial data will be separated by Funds so that certain activities can be performed or objectives achieved in accordance with special regulations, restrictions, or limitations. Fund is not hierarchical. SAP Example: 0111000100 - NKU Unrestricted Current Fund

Funded Program (Finance) Funded program enables an organization to record budget, control postings,

and monitor the performance of internal projects; it can vary from simple activities to

complex projects and can cross fiscal years, funding sources, and organizational units. Funded program tracks budget for non-recurring projects or programs that are funded by multiple fund centers. The University will set up Funded Programs for all capital construction projects and internal awards. Funded program should provide a level of detail that will allow appropriate budgetary control and internal/external management information. It provides the means to budget internal orders.

Funds Center (Finance) An organizational unit within the Funds Management (FM) Module.

Budgeting will be done at the funds center level. Funds Centers have a one-to-one relationship with cost centers. SAP Example: Economics and Finance (funds center) - 236020001, Economics and Finance (cost center) - 236020001

Funds Center Group (Finance) Funds centers can be grouped together to form funds center groups (not

necessarily hierarchical). Funds center groups will be used to provide the organizational structure for reporting information from the SAP system.

Funds Management Area (Finance) The financial management area is an organizational unit within accounting

which structures the business organization from the perspective of Cash Budget Management and Funds Management. All NKU entities will fall under one funds management area (NK01).

G G/L

(Finance) General Ledger

G/L Account (Finance) A structure that records values and represents assets, liabilities, revenues,

expenses, and fund balances. A G/L account has transaction figures that record changes to the account during a posting period. These figures are used for financial reporting. SAP Examples: Land - 180010, Accounts Payable - 200001, Faculty Salary - 503005

G/L Acct (Finance) A structure that records values and represents assets, liabilities, revenues,

GM (Finance) The Grants Management application in SAP. This is the component of Public

Sector Management (PSM) developed to account for grants from government and other bodies for the purpose of, for example, commercial or scientific research.

GM Version Go Live

(Finance) The fifth phase of the ASAP Roadmap; denotes the time when the new system is officially made operational. The emphasis is on production support for end-users and for optimal system performance. Live business process results are validated and project review takes place.

Goods Receipt (Finance) A term from inventory management denoting a physical inward movement of

goods or materials.

Grant (Finance) Legal instrument used to establish a funding relationship in order to carry out

a public purpose in which the sponsor does not expect to be substantially involved. A grant usually contains terms and conditions for the control, use, reporting and reimbursement of sponsor funding.

GUI (Finance) Graphical User Interface; refers to the display of information on a screen

using graphics, symbols, and icons rather than text alone.

H Header note

(Finance) Text for the header note.

House Bank (Finance) A business partner that represents a bank through which NKU entities

processes internal transactions such as payments to vendors.

I Implementation Partner

(Finance) A business firm that provides consulting services and coaching in the implementation of a software system.

Infotype (Finance) A set of data grouped together according to subject matter.

Infrastructure (Finance) The underlying communications network, hardware, software and databases

that provide the foundation for the SAP software.

Integration Testing (Finance) Testing of all units or components of a software product to ensure they work

together properly.

Interfaces (Finance) The connecting point between two components within a system, or between

different systems.

Intern.Order (Finance) Similar to a cost center, an internal order is used to record and monitor costs

and, in some cases, revenues. A guiding principle is that internal orders should be set up for programs that are short-term or finite in nature. The University will setup internal orders for all capital construction projects and university internal awards.

Inventory number (Finance) The unique identifier of an asset.

Invoice date (Finance) It is the date that is given by the vendor and appears on the invoice.

Invoice Verification (Finance) The matching of documents created during the purchase order process, the

goods receipt process, and the accounts payable process that is part of the internal controls system within an organization. SAP Example: Upon receipt of an invoice from a vendor, Accounts Payable audits the document and finalizes the three-way match process.

J Just-in-Time

(Finance) A training delivery concept based on the assumption that the shorter the time interval between training and the practical use of the skills obtained, the higher the retention level.

L License plate number

(Finance) The assigned license plate number for registered vehicles.

Line Item (Finance) Element at the item level of a document with information on an item; This

information is specific to the document type.

Location (Finance) The building where the asset is located.

M Manufacturer

(Finance) Description of the Manufacturer.

Master Data (Finance) Master Data form a pool of information stored on a long-term basis in the

SAP system and can be incorporated into individual transactions. Master data are entered once and can be modified as needed. SAP Example: The master data of a cost center contains the name of the cost center, the person responsible for the cost center,

and the corresponding hierarchy area. The master data of a vendor contains the name, address, and bank information for the vendor.

Material Doc Number (Finance) Unique number that identifies a material document.

Material Document (Finance) A material document contains one or more items and can be printed as a slip

to accompany physical goods movements.

Material Group (Finance) A grouping of materials and services according to their characteristics. SAP

Example: Office Supplies - 50005615

Material Master Record (Finance) A data record containing all the basic information required to manage a

material.

Matl Group (Finance) A grouping of materials and services according to their characteristics. SAP

Example: Office Supplies - 50005615

Meaning MM

(Finance) The Materials Management application in SAP. The Purchasing and Inventory Management modules are contained in this application.

Module (Finance) A combination of business event types and the associated rules; roughly

corresponds to a course in Campus Management.

N Name

(Finance) The specified name of the mailing address.

O Order

(Finance) Sales, production, process, purchase, internal, or work order number that uniquely identifies an object.

Order group (Finance) Hierarchy of internal orders used for planning and reporting.

Order Phase Order type

(Finance) Identifier allowing differentiation between the different kinds of requisition and purchase order in the SAP system.

Overall amount (Finance) Description of the Overall amount.

Overdeliv. Tol. (Finance) A value stated in percent for which the system does not accept a goods

receipt outbound delivery that is greater than the order quantity plus the over delivery tolerance.

P Perce

(Finance) Percentage of the total order quantity that you want to allocate to this account assignment item.

PGrp (Finance) A unique code representing a person or group creating the requisition or

order.

Plant (Finance) In Logistics, a plant is an organizational unit for dividing an enterprise

according to production, procurement, maintenance, and materials planning. All NKU entities will use one plant (NK01).

Platform (Finance) The system on which programs or operating systems operate.

PO Number (Finance) Document used to purchase materials and services from vendors.

POrg (Finance) An organizational unit in Logistics, subdividing an enterprise according to the

requirements of Purchasing. A purchasing organization procures materials and services, negotiates conditions of purchase with vendors, and is responsible for such transactions. All NKU entities will use one Purchasing Organization (NK01).

Portal (Finance) A website that provides a gateway or single port of entry to other systems or

sites.

Postal Code (Finance) The specified postal code of the mailing address.

Power user (Finance) An individual whose primary job responsibilities require regular and extensive

use of the SAP systems, frequently resulting in a high degree of expertise with the system.

Purchasing Organization (Finance) An organizational unit in Logistics, subdividing an enterprise according to the

requirements of Purchasing. A purchasing organization procures materials and services, negotiates conditions of purchase with vendors, and is responsible for such transactions. All NKU entities will use one Purchasing Organization (NK01).

R Requesting order Responsible cost center

(Finance) The cost center responsible for carrying out the order; the order is therefore organizationally assigned to the cost center.

S Selection variant

(Finance) Saved selection criteria used to generate reports; instead of entering new criteria every time a report is executed, sets of criteria can be stored. Reports can have different variants associated with them, with each variant providing different information.

Short text (Finance) Text description of an object limited to 40 characters.

Sponsor (Finance) An organization or other source that finances a grant. The sponsor may

agree to fund the grant in total or in part based upon an application or proposal provided in response to a request for proposal. The sponsor may be a government agency, company, foundation, or individual interested in furthering study or interest in a particular area and is entitled to receive some consideration or benefits. The agreement from the sponsor represents a contractual obligation for performance of the specific activity by the University.

Sponsored Class (Finance) The sponsored class represents the sponsor's expense and revenue

classification. The sponsored class is used to group expenses and revenues in order to satisfy the sponsor's view and reporting needs. It is also used to specify in detail which expenses are relevant for billing and for indirect cost calculation. Examples: Personnel, Supplies, and Travel.

Sponsored Program (Finance) This master data element is maintained within the Grants Management (GM)

Module. It is used to classify revenues and expenditures of a grant by mission. Sponsored program is equivalent to functional area in FM.

Statistical Internal Order (Finance) An internal order created and maintained to accumulate costs and revenues

for internal reporting purposes. These orders are created using master data functionality and may be short- or long-term in nature. SAP Examples: Internal awards such as Faculty Development Awards, Faculty Project Awards

(Finance) The collective term for all vendor master records. The vendor master contains the data of all vendors with which a company conducts business.

a certain vendor, in particular for conducting business transactions. SAP Examples: Address, Tax ID number

Background ProcessingTo schedule a process to happen without coming onto the screen. Data can be processed in the background while other functions are being carried out in parallel on the screen. Some programs can be schedules to run on week ends at a particular time. This is particularly useful for batch processing, taking back-up of data etc.

Batch InputInterface to facilitate the transfer of large amounts of either old data or external data to an SAP system.

Batch ProcessingThe procedure to process large volumes of data at once. The processing can not be modified once processing has begun.
