You should use this template to help you write the report that goes with the system you will produce for the Implementation Section.

Anything written in BLUE is a title. You should leave these alone.

Anything written in RED is an instruction. You should follow the instruction and delete the instructions before you hand your work in.

Anything written in PURPLE is an example. You should use the example to give you an idea of what to do. You should delete the examples before you hand your work in.

Anything that you write must be written in BLACK.

Your teacher will tell you when to hand each section in.

Remember to delete instructions and examples before handing in each section.

Each section is worth a number of marks. You can only get the higher marks if you get the lower marks first. The number of marks is in [square brackets] for each title.

Put your name in the footer of the report.

2 ANALYSIS [TOTAL: 12 MARKS]

2.1 Identify a Problem [4 marks]

2.1.1 The Organisation [1]Describe a little about the organisation for whom you are going to produce a solution.

2.1.2 The Problems [1-4]List and Describe the problems they are having. (For 4 marks you need a complex problem that will require more than 1 piece of software to solve).

• Eg:ColoursThe owner of a large car supermarket has difficulty knowing whether she has cars of a certain colour in stock.

LettersIt is taking her a long time to write letters to her customers every time a car becomes available that they are looking for.

1. Problem 1Description of Problem 1

2. Problem 2Description of Problem 2

Repeat this for all the problems.

2.1.3 Current Methods [1-4]List and Describe the methods the user is currently using to solve the problems.

• Eg:Colour of CarsTo find all green cars, the owner has to look at every car registration sheet (there are about 300) to find the green ones. This takes a long time and she sometimes misses them.

1. Method 1Description of Method 1

2. Method 2Description of Method 2

Repeat this for all the methods.

2.1.4 User Requirements [2-4]List and describe what the user wants the new system to be able to do.

GCSE ICT - Coursework Task 2 Page 3 of 23 Name: Name Goes Here

Page 4: Project 2 template

For each requirement, state exactly what the user needs to see.

For top marks, at least 2 requirements must involve the use of extra software which links the data between the 2. For example, mail merge, mailing labels.

• Eg:Colour of CarsShe needs to be able to see a list of all cars that are of a certain colour, eg Arctic Blue. For each car she needs to know:

• Registration Number• Make• Model• Miles• Price

Phone NumbersShe needs to be able to find the phone numbers of customers who want a particular car when it comes into stock. For each customer she needs to know:

• Title• First Name• Surname• Home Telephone Number• Mobile Telephone Number

1. Requirement 1Description of Requirement 1

• List of Data for Requirement 1• List of Data for Requirement 1• ….

2. Requirement 2Description of Requirement 2

• List of Data for Requirement 1• List of Data for Requirement 1• ….

Repeat this for all the requirements.

2.2 Use Methods of Collecting Information [4 Marks]

You will need to collect information so that you can find out how the organisation works, what problems they are experiencing, what current methods they use and what their requirements are for a new system.

2.2.1 Information Collected [1]You need to include in this section all evidence of the following that you have used:

• Any letters sent to the user• Any letters received from the user• Questions used in interviews• All rough notes from the answers from interviews• Any completed questionnaires from the user• Any documents you have collected from the user

2.2.2 How Information was Collected [2]Describe here how you obtained your information and what information you were looking for.

2.2.3 Alternative Methods for Collecting Information [3]Describe here alternative methods that you could have used for collecting information.

2.2.4 Choice of Method for Collecting Information [4]Explain why you chose the method you used for collecting information.

Explain why you didn't use the alternative methods.

2.3 Identify the Inputs, Outputs and Processing Required [4 marks]

2.3.1 Input, Output and Processing Requirements [1-2]List here everything that the system if needed to do. For each requirement, identify:

• Inputs• Outputs• Processing Required

• Eg:Colour of CarsShe needs to be able to see a list of all cars that are of a certain colour, eg Arctic Blue. Input: Query - Have you any Red Fords?Output:

The list must include the following data for each car.• Registration Number• Make• Model• Miles• PriceThe total number of cars must be shown at the bottom.

Processing:The owner needs to look through all the cars to find those that are red and Fords. To find the total number of cars, all the cars on the list should be counted

Phone NumbersShe needs to be able to send a letter out to all customers who are looking for a certain type of car.Input: Query - details of type of carOutput:

The letter must include the following information:• Company Logo• Company Address• Company Telephone Number• Name of Recipient• Address of Recipient• Today's Date• Paragraph to tell the customer a car they are looking for is

available.• Car Make, Model, Year, Reg Letter, Colour, Engine Size, E/W,

S/R, C/L, PAS, Extra CommentsProcessing:

The owner needs to find all cars of a certain type (eg Red Vauxhall Vectra). She then needs to find all customers looking for that type of car. A standard letter needs to be used and the information written in the letter.

Requirement 1Description of requirement

Input: What the user needs to input.Output:

For each . . . list . . . Data Item 1 Data Item 2 Data Item 3 Data Item 4 …

Any summary information for the list.Processing:

Describe how the user currently finds the information required.

Requirement 2Description of requirement Input: What the user needs to input.Output:

For each . . . list . . . Data Item 1 Data Item 2 Data Item 3 Data Item 4 …

Any summary information for the list.Processing:

Describe how the user currently finds the information required.

Repeat this for all the requirements.

2.3.2 Hardware and Software Requirements [3]List and give a reason for all the hardware and software that is required, including:

• Type of Printer• Size and Type of Monitor• Laptop or Desktop• Any peripherals (input / output devices)• Database or Spreadsheet or Word Processor or Web Editor etc

2.3.3 Reasons for Choice of Hardware and Software [4]Describe your reasons for the choice of hardware and software - related to the task.

Compare your choice to alternatives. Do NOT use software names, eg Excel.

For example:I chose to use a laser printer instead of an inkjet printer because the user needed . . . I chose to use a desktop computer instead of a laptop because the user needed . . .I chose to use a database rather than an integrated package because the user needed…

3.1.2 Alternative Designs [2]Include at least 5 changes to your design.

Highlight each change.

Descirbe each change.

For example:I changed the surname field so that it included forename and surname separately.

I changed the length of telephone number from 7 to 12 digits.

I added a field for . . .

3.1.3 Reasons for Alternative Designs [3]For each change, explain which you prefer (original or change) and why.

For example:Using only the surname field means that less space is used up but using separate forename and surname fields means that the user can search for a surname separately from the forename.

Having a length of only 7 digits meant that only local telephone numbers could be used. By increasing the length to 12, long distance numbers can also be used.

The reason I added the . . . field was . . .

Highlight each change.

Descirbe each change.

For example:I put a box around all the address fields.

I made the space for price wider.

I added instructions for . . .

3.2.3 Reasons for Alternative Designs [3]For each change, explain which you prefer (original or change) and why.

For example:I wanted to make it clear which fields were part of the address and separate them from the rest of the fields.

The wizard only provided enough space for £99.99 but the field length is upto £9999.99 so I needed extra space.

The reason I added instructions for . . . was because . . .

5 TESTING [TOTAL 7 MARKS]

5.1 Describe the Testing [4 marks]

5.1.1 Evidence of Output Testing [1-2]Provide evidence in the form of printouts of the testing that you have done on outputs. This should include:

Labelled printouts of all queriesLabelled printouts of all reportsLabelled printouts of all Mail MergeLabelled printouts of all Mailing Labels

5.1.2 Evidence of Input Testing [3]Provide evidence in the form of printouts of the testing that you have done on validation. This should include:

Labelled printouts of all error messages

5.1.3 Critical Feedback [4]You need to show your working solution to the user. Ask them for critical feedback. The key here is the word critical - there must be something they would like to be improved with your system.

You need to ask your user to comment on and suggest improvements for:the data entry screenthe ease of usewhether all the required data is includedthe style of output queries / reportsthe style of Mail Merges

Provide evidence in the form of:Written notes signed by the user.A question sheet written by you with answers from the user.

Page 17: Project 2 template

5.2 Describe the Results [2 marks]

5.2.1 Expected Results [1]You need to show what you expected the results to be before you tested them.

This should be done for each test.

For example:

Customers looking for Red Cars

Looking visually at all the data, I expect the following customers to be listed in the report:

ChambersDoyleFoggartyJonesSmithWhite

5.2.2 Actual vs Expected Results [2]You need to compare the Actual Results with the Expected Results.

If they matched then you need to say so.

If they didn't match - you need to say why.

For example:

Customers looking for Cars up to £2500

One of the names I expected to be included in the actual results was Matthews. The reason this name wasn't there was because I used <2500 instead of <=2500 and Matthews was looking for cars that were £2500.

Customers looking for Fords

The actual results matched the expected results.

Do this for every test.

5.2.3 Choice of Test Data [3]You need to explain why you chose the test data you did. Your reasons should include data that is:

NormalExtremeInvalid

For example:

GCSE ICT - Coursework Task 2 Page 17 of 23 Name: Name Goes Here

Page 18: Project 2 template

I chose the price of £2500 for Matthews because it was an extreme value for checking whether cars up to £2500 would be listed.

I chose the value of Mrt because it wasn't valid for the title field and should generate the error message for the validation rule.

You should do this for at least 10 items of test data.

Page 20: Project 2 template

6.2 Processing and Outputting Data [3 marks]

6.2.1 Producing Results [1-3]You need to show the user how to:

Run all pre-existing queriesCreate new queries /filters for their requirementsOpen all pre-existing reportsOpen mail merge letters and merge the data from the database.

You must include screen shots.

You must do this for every part of your system to get 3 marks.

GCSE ICT - Coursework Task 2 Page 20 of 23 Name: Name Goes Here

Page 21: Project 2 template

6.3 Avoiding Problems [2 marks]

6.3.1 Producing Results [2]

For 1 mark, list at least 2 common errors that the user should avoid when using the system.

For 2 marks, describe how these errors can be corrected.

For example:

Using < nnn will only show values "less than" nnn. If you want to include nnn as well then you must use <=.

You could use the ideas behind your validation rules to help you find common errors.

Page 22: Project 2 template

7 EVALUATION [4 MARKS]

7.1 Evaluate the Solution [4 marks]

7.1.1 Describe what the System can Do [1]Describe using a list all the things your system can do.

Eg:

The system can:• Store data about cars• Search for cars of a certain colour• Search for cars of a certain make• List all cars available for sale• . . .

7.1.2 Comparison with Problem [2]Compare your solution to what you said it would do in the Requirements Sections in 2.1.4 and 2.1.3. A table pointing to the evidence like the one below is useful:

Eg:

Requirement Done Evidence1 Colour of Car Yes See printout of query for red cars.2 Phone Numbers Partly See printout of query for customers

interested in Vauxhall Vectras - mobile phone numbers were not included though.

3 Graph of makes of cars No User said it wasn't needed any more.

7.1.3 Limitations and Improvements [3]You need to list the things that your system can't do or problems that you have encountered.

You should describe how to overcome these problems.

For example:

The system was having difficulty listing all cars that were red in colour. This was because some cars were listed as red, some were listed as Crimson, some were listed as Flame Red etc. To overcome this, only a selection of 16 colours should be allowed.

7.1.4 Feedback from Users [4]You need to have done section 5.1.3 Critical Feedback before you can do this section.

GCSE ICT - Coursework Task 2 Page 22 of 23 Name: Name Goes Here

Page 23: Project 2 template

Based on the critical feedback that you received, what improvements might be made to the system.

You should state the comment made and then suggest an improvement.

Eg:

Harry said that typing in the colours caused problems because people were using too many different colours. Therefore, I think it might be an idea to use a drop down selection box which has all the colours typed in already.

Poonam said that she was confused between make of car and model of car. Therefore, I think it might be an idea to show some examples (Make: eg Ford, Vauxhall) and (Model: Mondeo, Vectra) on the data entry screen.
