    PQR Submission 7 points (detailed)

    1. Send all data electronically (in .xls, .pdf, or .doc format) to the e-mail link of the appropriate Quality Engineerlisted in the PQR system. Please be sure to include a numbered (bubbled) print with any FAIR submission. Asubmission will not be approved based on electronic data alone. A sample part is required. If the files are

    zipped, please make sure that Polaris is included in the name of the .zip file or the e-mail will be quarantinedby the Polaris Firewall. Please only send one e-mail for each PQR with the PQR number AND part number in thesubject line of the e-mail.

    2. FAIRs include 100% measurement of a print (including notes). If any dimensions do not meet theprint/specifications, a Polaris Approved Print Change request or Deviation must be included with the submission.

    3. Make sure that the revision of the part measured matches the revision of the print AND the revision listed on thePQR. Please ensure that the print revision states ReleasedNOT Prerelease in the left hand lower corner of

    the Polaris Title Block (on the print). Only Polaris Released Prints will be accepted for submission of a PQR. If

    you dont have the Polaris released print, please contact the Polaris Purchasing agent.4. Ship the sample part(s) to the attention of the responsible Quality Engineer listed on the PQR. Also, include the

    tracking number on the PQR in the appropriate area. Sample parts are required for any FAIR submission. Thesample part(s) must be shipped shortly after the electronic data is submitted.

    5. ALL PQR sample parts must be produced off of production representative tooling. If you can not meet the PQRdue date, please notify the appropriate purchasing agent.

    6. The Sample Part Tag must be fixed to the shipping containers. The samples must be free of charge. DO NOTSEND SAMPLE PARTS WITH INVENTORY / PRODUCTION SHIPMENTS. DO NOT SHIP THE SAMPLE PARTS

    AGAINST ANY PURCHASE ORDERS. The bill of lading AND/OR the Invoice must clearly state that the parts aresamples at NO COST TO POLARIS. If samples are shipped against a purchase order, they will be received into

    inventory and will not be considered as PQR samples.7. Please see the Polaris Supplier Quality Manual for questions regarding how many samples will be required for

    submission.

    Why?1. Data that is sent via paper / snail mail can not be viewed by

    necessary people within the Polaris organization.2. Data must be submitted in a format that can be opened

    (conveniently).3. A bubbled / ballooned print is necessary to correlate dimensional

    data from the supplier4. Sample parts MUST be submitted unless otherwise noted in the

    PQR.5. Zipped files may be quarantined, never reaching the intended QE6. One e-mail for each part number allows each PQR to be tracked

    and filed accordinglyPurchasing and SQE should be copied on

    the submission (may want to add this to the Quality Manual)

    Why?1. QEs (at Polaris) are responsible for final approval of parts.

    Approval is based on design intent.

    2. A QE is not authorized (alone) to make decisions on partacceptability if the part doesnt meet the drawing

    3. Deviations must go through the entire approval process (and beapproved) before attaching to the PQR submission

    4. A deviation that states Approved by Purchasing (only) is not anapproved deviation

    Why?1. Polaris purchasing agents and engineers give suppliers preliminary prints for

    quoting purposes.2. Preliminary, Pre released, or WIP prints can change at any time with no notice

    and do not have to go through the Polaris Release Cycle3. The released print is the contractual agreement4. Polaris purchases part numbers based on released drawings at revision levels

    specified on the PO5. PQRs are automatically generated after a print is released6. QA defines the generated PQR (the supplier can not see the PQR until it is

    defined

    7. If multiple revisions exist, previous revision requirements can be moved forwardto the newest PQR upon supplier request. This is not done automatically due topast confusion (example: A supplier may be in the process of submitting aPQRif it is retracted automatically, the supplier will either be frustrated with the

    rapid change or confused by what happened to the PQR they were submittingagainst.

    Why?1. Polaris has many locations and departments. Unless the part is

    labeled correctly, the correct person will not receive it, or it will bedelayed.

    2. The Tracking number is evidence that the sample part has beenshipped. Tracking numbers assure all parties that the part wasshipped to the correct destination. Unless a tracking number isentered into the PQR, it should be assumed that the sample partwas not shipped.

    3. Sample parts are used to verify dimensional data from the supplier,

    provide a means of measurement correlation, and may be used fordestructive testing.

    4. Check the address prior to shipping. Osceola has changedaddresses AND PQRs have been transferred to Monterrey.

    Why?1. Polaris utilizes the sample parts for measurement verification.2. FAIRs are used for tooling approval. Unless submitted parts are

    made off the production intent tooling, the production tool can notbe verified.3. Due dates are important. Polaris verification activities are planned

    off of the PQR due dates. If a due date can not be achieved, it isimportant to communicate that through the PQR system (for all tosee).

    Why?1. Sample Part Tags are used to route the package to the appropriate

    individual or department within Polaris2. Samples may be used for destructive testing. Samples are

    scrapped after approval.3. Any parts that are submitted under a PO will go directly into

    inventory. The parts will not be delivered to QA (they must becontrolled by the inventory control system).

    4. Shipping samples under a PO will ABSOLUTELY delay theapproval process.

    Suppliers are responsible until their PQR isreceived. PQRs arent received until both electronic

    submissions AND sample parts are received by QA.Once received, the received date will display here.

    Why?1. The Supplier Quality Manual is a great resource to answer

    questions about submitting PQRs. There is a tremendous amountof information in the manual waiting to be utilized.
